Key Club Divisional Meeting

I) Lt. Governor Shellee calls the meeting to order at 7:10pm


II) At 7:11pm, Division 7 Webmaster and East Rockaway High School President
Dylan Gross led the group in the Pledge of Allegiance.
III) At 7:13pm, Baldwin High School Vice President Regina Zick led the meeting in
the Key Club Pledge.
IV) At 7:14pm, Immediate past Lt. Governor Ronnie Instrella began roll call. The
following clubs were present at the Divisional Meeting
a) Baldwin: 11 members
b) East Rockaway: 2 Members
c) Lawrence: 3 members
d) Lynbrook: 4 members
e) Oceanside: 10 members
f) Valley Stream South: 2 members
V) The following Clubs were absent at the meeting
a) Freeport High School
b) Hewlett High School
c) Lawrence Academy High School
d) Long Beach High School
e) Malverne High School
VI) At 7:15pm, a member from Baldwin high school entered the meeting.
Baldwin has a total of 12 members present at the meeting.
VII) At 7:18pm, Shellee led the group in an icebreaker entitled “the Ball
Challenge”.
VIII) At 7:20pm, a member from Baldwin high School entered the meeting during
the icebreaker. Baldwin has a total of 13 members present at the meeting.
IX) At 7:24pm, Lt. Governor Shellee Wong introduces Keynote speaker, Santi
Wong
X) Club Updates began at 7:36pm
a) Baldwin High School reported that they have been preparing
presentations for the elementary school in support of the Kiwanis Pediatric
Trauma Center’s Safe Kids project. They promoted conservation in support
of the governor’s project, “Our World, Our Focus”. In addition, Baldwin
reported that they volunteered at their senior center and held two walks;
this includes the aids walk with division 11 and the Scleroderma Walk, a
prospective event. They are also hosting their first annual relay for life on
June 13th-14th, 2009.
b) Oceanside high School reported that they have been consistently holding
both bake sales and Iced Coffee sales in support of Oceanside’s first
annual relay for life, an event sponsored by the American Cancer Society.
Oceanside has also held a food drive at their local church, helping to
stock their food pantry. Since the 2009 Leadership Training Conference,
Oceanside started collecting dues for the upcoming school year, in order
to reach the early bird dues deadlines. The club also reported that they
started a committee system in an effort to become more involved on a
divisional and district level. Recently, Oceanside hosted a blood drive at
the High School; members volunteered by working at the tables for
registration and escorting donors throughout the day.
c) East Rockaway High School reported that they have two prospective
events. The first is another of their frequent movie nights. This time, the club
chose to donate the money they raised to one of the district projects: The
VH1 save the music foundation. The second is a large community event
entitled “Huckleberry Frocklic”. Division 7 Webmaster and East Rockaway
president Dylan Gross invited the division to attend this event.
d) Valley Stream South reported that over the past few months, their club
has successfully held clothing drives and bake sales within their school.
Members from Valley Stream Key Club also visited their local senior center,
and attended Walks to support cancer research.
e) Lynbrook High School reported that their club hosted a senior citizen
holiday dinner at their local recreation center. To add, Lynbrook held a
Prom Dress Drive at Nassau Community College. Members also
participated in the Mitch C. walk, a fundraiser dedicated to a teacher
who passed away from Lynbrook. They also volunteered at their
‘Superbowl for caring event’ and held a canned food drive.
f) Lawrence High School reported that they successfully held and organized
a relay for life within their school, as well as a benefit concert, both in
support of the American Cancer Society. On April 23rd, 2009, Lawrence
Key Club volunteered to clean up Woodmere Park. On May 3rd, 2009,
members volunteered at the Special Olympics. Members also volunteered
at a blood drive held within Lawrence High School. The school collected
close to 150 pints of blood. In support of the ALS Walk, Lawrence Key Club
was able to raise over $8000. Lawrence continues to hold a yearlong
clothing drive, an ongoing event. They were already able to collect over
150 bags of clothes.
XI) Old Business
XII) At 7:45pm, Lt. Governor Shellee spoke about the importance of monthly
report forms. The next Monthly Report is due on June 7th. The Monthly Report
Forms are available online on the district website.
XIII) At 7:46pm, Lt. Governor Shellee spoke about the importance of the District
mailing list.
XIV) Lt. Governor Shellee spoke about the newly created Division 7 website.
Division 7 Webmaster Dylan is the creator and editor of the website. It is
important for clubs to send information and updates to Dylan to be posted
on the website.
XV) Lt. Governor Shellee spoke about the importance of reaching the dues
deadline next year. Clubs will not be in good standing if deadlines are not
met. It should be a priority of all clubs to reach deadlines, even the early bird
deadlines if possible.
XVI) Lt. Governor Shellee spoke about State updates on District Projects. There
are 8 district projects this year. There is a focus on Kiwanis related projects;
these include The Kiwanis Pediatric Trauma Center, Kamp Kiwanis, Kiwanis
Pediatric Lyme, and Local Causes
XVII) Lt. Governor Shellee spoke about the newly established district goals. This
year, the goal for District Projects is $175,000. The goal established for the
Governor’s Project is 14,000 hours.
XVIII) Lt. Governor Shellee spoke about the importance for the Distinguished Key
Clubber Award. The deadline for this award is March 1st, 2009. Lt. Governor
Shellee is the committee chair for the Distinguished Key Clubber award this
year.
XIX) Lt. Governor Shellee spoke about the importance of Kiwanis Relations. Club
officers and members should invite Kiwanians to their meetings. It is important
to stay in constant contact with their Kiwanians. It is easier for a Key Club
members or officer to approach a Kiwanian than it is for a Kiwanian to
approach a Key Club member.
XX) The Scleroderma Walk will be held on June 7th, 2009. Lt. Governor Shellee
invited the entire division to attend the Scleroderma Walk.
XXI) Lt. Governor Shellee spoke about the upcoming relay for life in Baldwin and
Oceanside High School. Both events are held to benefit the American
Cancer Society.
XXII) This Saturday, May 30th, 2009, Oceanside Key Club is hosting a bowling
event in support of its first Relay for Life. Lt. Governor Shellee invited the entire
division to attend. Executive Assistant Max handed out flyers for the event.
XXIII) Lt. Governor Shellee invited the division to East Rockaway’s Huckleberry
Frolic. Division 7 Webmaster Dylan gave a description of the event.
XXIV) Lt. Governor Shellee spoke about sending in Lieutenant Governor
Evaluation Forms. These forms are found online on the district website and
should be submitted periodically.
XXV) Lt. Governor Shellee encouraged the division to invite her to their club
meetings. Clubs will be notified in advance and are expected to hold
meetings during the scheduled visit date.
XXVI) Lt Governor Shellee spoke about submitting Service Spotlight Articles. Club
officers or members should write – in approximately 250 words – articles that
highlight an event that was important or successful.
XXVII) Lt. Governor Shellee spoke about her upcoming newsletter. In an effort to
save paper, Lt. Governor Shellee will be sending her next newsletter to all
club officers via email only.
XXVIII) At 8:00pm, Lt. Governor Shellee adjourned the meeting. Lt. Governor
Shellee requested that all Presidents and Vice Presidents – or two officers from
each club – stay for a Presidents Council Meeting.
XXIX) Presidents and Vice Presidents Meeting was called to order at 8:11pm
XXX) Lt. Governor Shellee spoke about the early bird dues deadlines. If clubs do
not meet the deadlines, their club will be in poor standing
XXXI) Lt. Governor Shellee spoke about club meetings. Clubs should have
meetings a minimum of twice a month. Club officers need to make sure they
stay in constant contact with the members of their club in order to maintain
stable communication throughout the year. Club members should receive
frequent updates. Lt. Governor Shellee requests that club officers send
updates to her via email. It should include a brief description of what the
clubs has been doing. Club officers are allowed to create an update in
bulleted form. Clubs should to ask Shellee for help with Monthly Report forms if
they are confused or concerned.
XXXII) Lt. Governor Shellee spoke about the Monthly Report Forms. Lt. Governor
Shellee encourages all officers to stay in contact with her if they need help
with updates for forms. Club officers should constantly check their facebook
for updates and messages.
XXXIII) Lt. Governor Shellee spoke about club projects. This topic is included in
the Distinguished Key Clubber checklist that was handed out during the
divisional meeting. Members are encouraged to write and sign advocacy
letters throughout the year. Sample advocacy letters are available on the
district website.
XXXIV) Lt. Governor Shellee spoke about this year’s major emphasis project
entitled, “live to learn”.
XXXV) Lt. Governor Shellee spoke about the importance of attending divisional
meetings. It is included in the criteria for the Distinguished Key Clubbers’
Award.
XXXVI) Lt. Governor Shellee spoke about having meetings through the end of
the year even if the school year is winding down and events are becoming
less frequent. Clubs should hold executive board meetings even if the club
does not regularly meet during the summer.
XXXVII) Lt. Governor Shellee spoke about the importance of handing in Monthly
Report Forms in a timely fashion.
XXXVIII) Lt. Governor Shellee spoke about fundraising report forms. Clubs need to
report on everything that they fundraise throughout the year. Some form of
proof needs to be submitted as well.
XXXIX) Lt. Governor Shellee spoke about submitting the Lieutenant Governors
Evaluation forms. Lt. Governor Shellee describes it as a ‘complaint box’. The
form can be found and submitted online. A receipt is given after a successful
submission.
XL) Lt. Governor Shellee spoke about the possibility of chartering a K-Kids. She
considers it an important goal this year. Clubs should let Kiwanians know that
they would like to charter a K-Kids club in their elementary school. Clubs
should talk to the school’s principal for help. Key Clubbers need to train all
officers.
XLI) Adjournment of the President’s Council meeting.
