PTA Minutes 9 February 2010.

Present: Sharon Madden-Nadeau – Chair; Tracey White – Deputy Chair;


Nina Moore – Secretary; Andrina Gibson.

Action Points update from Last Meeting

Terry sent an e-mail to Wendy Boorman re school garden and is waiting for a
response.

Funding form circulated for comment and changes made. This is now ready to
publicise and to put on the PTA website.

Electronic copy of the giving machine sent to Alan Southgate. The school
council will discuss how best to publicise this at there next council meeting.
School council also provided two members to help the PTA give out race night
and giving machine leaflets at the consultation day on 2 February.

Sharon wrote to the local MP to try to organise a parliamentary tour for the
school council. This has been organised for 10 May.

Flyer for Race Night has been designed and handed out at the consultation
day a copy will be sent out with the minutes.

Summer Raffle tickets purchased at a cost of £64. These are now available to
sell to family and friends and at any events the school is holding. 55 sold at
the consultation day.

Outstanding action points

 Dawn to send details of London Business in the community that helped


East Wickham primary school develop their school garden.
 Sharon to write to those who have submitted proposals to thank them
and let them know what is happening to their request for funding.
 Nina to provide a full list of dates that the school is holding at which the
PTA can sell raffle tickets.

Easter Race Night

 The event will take place on 12 March from 6.30pm onwards this is an
adult only night.
 Carol confirmed that fish and chips etc can be delivered. The order will
be required by 5 March. This provides logistical difficulties in getting
orders and money in before the event. Ticket prices are: £7 with Fish
and Chips (cod or rock); £6 with Sausage and Chips and £3.50 entry
only.
 Sharon to send out flyer with the PTA minutes and PTA members to
confirm who is attending, numbers and food orders no later than 5
March. If possible bringing money to meeting to pay for tickets on 3
March.
 Nina to design tickets for race night to be ready for the PTA meting on
3 March.
 As the evening involves mechanical horses rather than DVD being
screened Kurt had confirmed that an entertainment licence is not
required.
 Sharon to check how many people would be required to help out on the
night particularly during each race collecting bets etc.
 Sharon to design a newsletter to be sent out to parents via parent mail
after half term and to be posted on PTA website. Nina to e-mail all
teachers to try and generate support.
 Nina to check if film students would take a video or photos of one of the
racers on race night to link into the web page.
 Agreed that funds from the event would be used to support the setting
up of the science after school club request received from Catherine
Ventham for up to £400.

Raffle

 Tickets have now arrived and are available for PTA members to take
home and sell to family and friends. These will be brought to each PTA
meeting or if you are unable to attend PTA meetings but would be
prepared to sell tickets to family and friends, contact Sharon via e-mail
and she will try to arrange to drop tickets off.
 Dates available to sell the tickets in school are not as many as at first
thought. Nina to supply dates however it transpired that the school play
would be held after the draw date on 6 July so we would not be able to
sell tickets at this event.
 Next date available to represent PTA, advertise race night and sell
raffle tickets is the year 9 option night on 24 February from 7-9 pm.
PTA members who do not have year 9 children to confirm if they will be
available to help out on the evening.
 Draw to take place at Welling School on 6 July
 Prizes are £250 First Prize; £100 Second Prize and £50 Third Prize.
Ticket price £1 each.

Funding requests

 Witches hat structure in school ground - Dianne at a cost of between


£15,000 and £17,000. (Agreed that this was too ambitious for the PTA
at the present time. Not to be funded.
 English Dictionaries and a set of contemporary books for both key
stages - Mrs Bonner. No costs provided. Agreed to defer this request.
Sharon to contact Mrs Bonner to ask for costs. Possible funding option
for summer raffle.
 Media and Film club - Gerri Ottit. Costs not provided. Agreed to defer
this request. Sharon to contact Gerri to ask for costs. Possible funding
option for summer raffle.
 School Garden – Wendy Boorman. Alternative methods of support are
being looked into i.e. via school council and through London in
business community etc first.
 Black history timeline to display along the main corridor at cost of £350.
Agreed to consider this for funding for race night.
 Catherine Ventham – Funding for an after school science club £400.
Agreed to consider this for funding for race night

A vote was taken and it was agreed unanimously to support the after school
science club with funds from the race night and any short fall either from
existing funds or from some of the proceeds raised from Summer Raffle. An
update on funds required at the next meeting. Black history timeline to remain
as a possible funding option for Summer Raffle.

PTA webpage /Blog

It was agreed that the PTA webpage requires an overhaul. It is difficult to get
the pages updated quickly as it is under the control of the school and is
dependant on teachers having the time to do it.
Nina demonstrated how lo link a blog to the PTA front page that would allow
the PTA to upload minutes of meetings, Newsletters, future events etc, that is
far more appealing to those looking at the site and easier to update and
maintain without the need to have HTML skills thus allowing the PTA to
control the site.

It was agreed that Nina would set up the blog and as secretary she would
have joint authorship of the site with Tracey White who volunteered to also
help support and update the blog.
Nina to set up prior to the meeting on 3 March and to give details out at the
PTA meeting to allow them to have a look and provide comments and ideas
for improvement.

Summer Fayre – This took a lot of organising last year and need to start
making plans if we are going to hold one this year. Sharon to contact School
council to find out if children would like such an event and would be prepared
to support it. Members also commented that they would like to look at other
ways of helping the school and parents rather than focusing solely on
fundraising events. i.e. skills support rather than financial support. To be
discussed at the next meeting on 3 March.

Accounts – Will need to get someone to audit the accounts this year. Nina
agreed to find out if there was a trained accountant at the school who would
be prepared to undertake the audit.
