HYPERLINK
A reference in an electronic document that lets the reader follow to specific
data within the same document or an entirely different document.
Typically, a link can be followed by clicking on hypertexts, pictures, buttons
and other objects.

Hypertext, linked text or text that contains a link to other text.

For the purpose of this manual, we will demonstrate step by step how to
insert hyperlinks to follow an existing file using a one-cell and partial
hypertext one-cell links.
Create the following file for this exercise.
In a word document type Welcome to my audit evidence
and save it as 2014_SOX_YE_16.2.1.1A.docx

INSTRUCTIONS

INSERT A HYPERLINK
STEP ONE.
Open a blank worksheet in Excel and type A Sample of 50 was
selected for the audit. Reference 2014_SOX_YE_16.2.1.1A.docx

STEP TWO.
Right click on the desired cell to insert a hyperlink or click on the
Insert tab on the tool bar. Click on Hyperlink.

STEP THREE.
On the Insert Hyperlink window, select the Link to option Existing
File or Web Page
Search for 2014_SOX_YE_16.2.1.1A.docx in your computer
select it and click OK

Look for the


reference
file and click
OK

Note. Some of the other options for selecting existing files or web pages include
files and web pages from the shortcut buttons of browsed pages and recent file
history; and searching the web and bookmarks. In addition, it has a ScreenTip
feature, which displays customized text as the cursor moves over the hyperlink.

Cell B2 now contains a hyperlink with in its text, click on the text to
ensure the link it is working properly.

Note. Once the link is inserted, Excel automatically formats the font within the
cell by underlining it and changing its color to blue. This will be an indicator to
the reader that a hyperlink is present.

But what if you ONLY want the file name to be activated with a link to
2014_SOX_YE_16.2.1.1A.docx?

INSERT A PARTIAL HYPERLINK


WITHIN A CELL
Excel does not allow the user to select partial text within a cell to insert a
link; however, using other Built-in features or Visual Basic for Applications,
a user can work around the program to ensure only the desired text is
linked to a file, web or a specific place in the workbook.
For the purpose of this exercise, we will show an easy step-by-step
approach for those users who are not experts on VBA language.
STEP ONE.
Open a blank worksheet in Excel and type A Sample of 50 was
selected for the audit. Reference 2014_SOX_YE_16.2.1.1A.docx

STEP TWO.

Double click on cell B2, and select 2014_SOX_YE_16.2.1.1A.docx.

Select Home tab and click on the underline option in the Font
section and change the color to blue.
Tip. Blue color can be customized in the color window with the following code
[Color Model: RGB; Red: 0; Green: 0; Blue: 225]

STEP THREE.
Click on the Insert Tab and click on the arrow down of shapes on the
Illustrations section. Select a rectangle shape to be inserted over the
file name.

STEP FOUR.
Click at the start of the file name 2014_SOX_YE_16.2.1.1A.docx and
drag the rectangle shape to the end of the text. Make sure the
rectangle covers the entire file name.

STEP FIVE.

Click on Shape Fill dropdown arrow and select No Fill.

Click on Shape Outline dropdown arrow and select No Outline

STEP SIX.
Select the rectangle and right click on it, click on hyperlink and follow
step three from the previous exercise to select the reference file.

REMOVE HYPERLINK
STEP ONE.
Right click on the cell or object where the hyperlink is inserted and
select Remove Hyperlink

Click on Remove

OR Click on Hyperlink on the Insert Tab, and select Remove Link from
the Edit Hyperlink window.

EMBEDDED ZIP
FILE
Refers to an inserted zip file link in a worksheet; mainly used for shortcut
purposes.

INSTRUCTIONS
Use the Excel worksheet from the previous hyperlink exercise
Create the following files (content does not matter)
Evidence1 PDF format
Evidence2 Excel format
Evidence3 Word format

STEP ONE.
Add Evidence1.pdf, Evidence2.xlsx, and Evidence3.docx files to a zip
file and name it PBC_14FEB15
First select the files by clicking on Evidence1 file and
pressing the arrow down key twice while holding the Shift
key down.

all files are selected

Right click on them, move the cursor over to Send to and


select Compressed (zipped) folder from the submenu

STEP TWO.
On the Insert Tab, select Object option from the Text section. The
Object window will be displayed.

Rename the zip file to PBC_14FEB15 while the file is active


for editing

STEP THREE.
Click on the Create from File tab and select the browse button to
search for file PBC_14FEB15, once the file has been located click on
Open.

The location of the file will be automatically displayed under File


name: and click OK.

STEP THREE (Cont.)


The Zip File is automatically added to the worksheet; the object can
be resized and relocated to any place in the sheet. Also, in the
Drawing Tools/Format tab activated when the object is selected, you
can edit the object to change its outline and/or fill colors.

Test the embedded zip file by double clicking on the object

Note. To remove the embedded zip file, select the object and press the delete key.
