Purpose

100 Administrative

The purpose of this programming book is to determine a space programming requirement for an international sales and importing company. The book will
include an educated appraisal of the amount of space
that the company will need for move-in. The assessment will propose how the client can best utilize the
space and whether they should utilize part of the floor,
the entire floor, or the entire floor and part of another.
The space estimate will withstand 5 years worth of
company growth.

000 Executives

110 Accounting:

The Executive portion will be a combination of private and public areas. The Presidents Office will be
the largest of all offices, which should include display
storage for artifacts in a wall system, a private toilet
and shower, a personal coat storage, and a primary
exterior view to the North overlooking the channel.
The Executive area also includes three Vice Presidential offices with primary window views, all of which
are slightly smaller than the Presidential, but have
adequate space to accomodate a 2-3 person meeting.
There will be three Executive Secretary desks in an
open landscape arrangement in close proximity to the
Presidential offices. A waiting area that accomodates
8-10 people, two medium-sized conferences rooms,
and an array of file storage and cabinets to store all
of the printed documents. The Executives should be
adjacent to the reception desk to add convenience to
those who meet with them. No growth is expected
for the Executive unit within the next 5 years, so no
extra space will need to be accounted for.

The Accounting area deals with company capital


and does not require a separation between employee operations, nor do they need much privacy. This
space can promote a collaborative work environment
through an open landscape plan. The section needs
to be adjacent to the Executives to ensure any accounting mistakes made can be quickly looked over
and corrected by an exec member. Desks for a Bookkeeper, Accounts Recievable/Payable Clerks, and an
Accountant Secretary should be included. These jobs
require a large amount of file storage, so around 180
linear ft. of filing storage should be provided. Room for
a small conference room, supply cabinetry, a copier
and a fireproof vault should also be accounted for. No
particular window adjacency is necessary.

Background
Italian Limited is an Italy-based sales and import
company; they sell fine Italian products, such as
art, textiles and leathers. This project marks an
investment in their first American sales branch of
their company. This branch will cover all company
operations dealing with the Northeastern region of
the United States. Italian Limited desires an international-code abiding space that has a creative and
contemporary design. The company wants to provide
its employees with a functional space, free of any
inconveniences. They also desire a design appropriate for administrative functions, like showcasing their
products to customers.

120 Management:
The Management area includes the Office Manager.
It should have primary window adjacency, but also be
centrally located in order to be easily accessible by
other units.

The Personnel division is a public area, so an open


plan for collaborative working should be considered.
A small office for the Director should be included,
along with an area intended for the Personnel assistant, payroll clerks, secretary and adequate file storage. An informal conference area big enough for 2-3
people is suggested. No particular window adjacency
is required.

Similar to the Sales, the Marketing department would


benefit from an open, collaborative working environment that helps to promote creative ideas for marketing strategies that would add value to the products.
The division should be close to the Executives in
order to get fast approval on big marketing strategies.
The Marketing Directors office and small conference
room are the only areas that need any privacy in this
department, while the creative positions, like the
Graphic Designer and Writer should have semi-private areas that are in close proximity to the computer
room. The remaining area should accomodate workspaces, filing cabinets, supply storage, a map file, and

210 Sales:
An open landscape setting is especially important
in the Sales Division in order to support the creative
process. Collaborative areas where sales employees can meet and generate new ideas to create an
increased value in the product should be considered. The Sales Director will require a private office
that includes a small conference area for a 4 person
capacity. The other sales categories require a lot of
workspace and file storage. A small waiting area and
4-6 person conference room should also be considered for the department. Some growth is expected
in the sales division within the next 5 years, so extra
workspaces should also be included.

Common Use Facilities


Reception Area:
The Reception must be an open and inviting area
that welcomes the guests with the company logo
immiately after they get off the elevator. The logo
will ensure the guest that they are in the right place.
This area should have enough seating to hold 6-8
people, along with a large coat storage. The reception
desk will be multifunctional by becoming a security
desk at night, so room for extra monitors should be
accounted for. The area needs close proximity to the

Sales Manager and Executive Secretaries, as well


as the Show Room. Primary window adjacency with
Northern views should be considered in order to give
the customers the best possible experience.

Coffee Center and Staff Lounge:


Because there are no restaurants in the neighborhood,
a sufficient eating and lounging area is needed. Since
the company puts an emphasis on employee appreciation, this area should be designed with extra consideration in order to create a space that promotes employee
comfort and relaxation. This section should include
a capacity of 12 dining tables that hold 6-8 chairs, a
kitchen area with counterspace, a microwave, cooktop,
refrigerator, sink, storage, and 3 vending machines with
healthy snacks and drinks to promote a healthier lifestyle. The coffee center and lounge could use primary
window adjacency, which gives employees beautiful
views of outside, promoting mental health. Other adjacencies to be considered are with the Board Room and
Audio/Video room to provide easy kitchen access for
luncheons in those areas.

Problem Definition
Board Room:
The Board Room serves as an area where larger
meetings or luncheons can be held. This large room
should provide a podium with projection setup,
plenty of seating, a wet bar, storage for coats, and a
large digital monitor that can has concealed display
when it is not in use. These electronics would be operated
from a common projection room between this room and
the audio/visual room. Adjacency to the kitchen, Executive area and primary window views would be ideal for this
particular area.

Audio/Visual Room:

for the area should be creative but practical, in order
to compliment any product line displayed. A lounge

for inclusion. The area needs to be adjacent to the

building, whether that ends up being more, less or
equal to the entirety of the third floor. All of the exterior
walls are permanent, but most of the the interior partitions and walls were previously removed, so the area
is almost completely a blank slate. The only elements
that cannot be moved are the existing restrooms, elevators, stairs and mechanical core.

The Audio/Visual room is a perfect area for presentations over a new product idea, or for various other
reasons. A few items that should be accounted for
are room for 15-20 folding tables, a motorized screen,
and moveable panels along one wall. Access to the
projection room for controls to the projector should be
considered. There will be an audio/visual technician
on hand during presentations or meetings. Adjacency
to the kitchen and reception are ideal.

Central Supplies & Storage:

Italian Limited selected the top floor of a three-story


building that overlooks the bay on the outskirts of the
city. The Northern view includes the channel where
the cargo ships come through, while the other directions include views of surrounding buildings. The ex-

company is always accepting creative and innovative
advice, and they greatly value the opinions of their
employees. Italian Limited want their image to be mirrored through the design of their new space. The materials and finishes used will be contemporary, clean, yet
creative; perfectly emulating their image through the
use of materials. This sales companys forward-thinking and contemporary aesthetic will be shown through
their products, design, and their people.

Problem Definition
Operational Needs
The company is tentatively planning on occupying
the entirety of the third floor. Because Italian Limited has a large amount of paper and product storage,
the storage room and filing cabinets will take up a fair
amount of square feet. This is also due to the anticipation of a growing inventory in future years. A central
computer room is needed for the computer technician,
who manages the computers and other equipment.
All of the rooms included in the plan fall under one of
two categories: administrative areas or common-use
areas. Those that fall under administrative areas include: the show room, Sales areas and Marketing areas. Common use areas include: the reception area,
conference room(s), lounge/dining area, audio/visual
area, board room, mail room, storage rooms and computer facilities.

Adjacencies
The entrance to the building must be close to the elevator to provide guests with an efficient means of getting to the reception area. The reception will be next
to the show room, in order to keep the public areas of
the space together. The reception will also be in close
proximity to the Presidents office, Sales Manager and
Executive Secretaries to serve as a common ground
for the company files to be easily accessible. The show

room will be close to the large storage room to be able


to change displays quick and easily. Both the President
and Vice President need to be in close proximity to the
Executive Secretary so that they can relay important
information to her immidiately after meetings. The
employee lounge and dining area should be close to
the board room and audio/visual room for easy access
during company luncheons.

Building Constraints
An existing stair case opens to the outside in the
buildings current floorplan. A decision about the location of the entrance needs to be made along with
a signage location.
The ceiling height is a uniform 12 0 throughout
the building.
The air conditioning/return is ducted through a
band of vents in the ceiling at the window line.
The perimeter walls on the main floor can have
additional openings punched in the window areas
but cannot have any large sections of the wall removed.
The air conditioning and heating units are on top
of the roof.
The elevator can be used, an extra unit can be added, but they should be located in close proximity to

each other.
The roof cannot be penetrated or altered in any
fashion.
All exterior walls are permanent. Existing building
mechanical core can not be removed.
The floor is poured concrete, and has a ceiling
feed for electrical and communications as may be
required.
The restrooms, elevators, stairs and other architectural elements cant be moved, but can be updated to fit current code requirements.

A programming team for Italian Limited will need


to be established to make deisions for the duration
of the progect. The team will consist of members
from both Italian Limited and the design team. The
responsibilities of the programming team include
collecting, filtering, verifying, and approving information, as well as scheduling and budgeting.

The programmer will need to develop a database of


information and determine methods for collection
the required data.

Information Handling Techniques


The programming teach needs to determine the techniques for data handling and filtering between members.
These techniques include the approval process and which
personnel will be resonsible for each. An interview list
will be established that includes the name of each unit,
name of personnel and rank, and contaction information.

Information should be collected for Italian Limited


regarding the company backgroud, including the
following:
Nature of business
Company image
Company administrative policies
Company organization charts for structure
Personnel organization and hierarchy
Personnel projects for the next 5 years
Information should be collected for Italian Limited regarding the existing personnel organizational
units and subunits, including the following:
Names of heirachy levels
Existing units and subunits names and codes
Existing relationships of major units and subunits
Policy on furniture, finishes, and accessories assignment relative to job title and heirachy

Information should be collected for Italian Limited regarding existing operational requirements by
units, including the following:
Existing space standards relative to job title and
heirarchy
Group shared spaces between units and subunits, such as support spaces and special use
spaces

Data Collection
The data that will be included in the database should
be collected through a variety of methods, including
questionnaires, interview, and observations.

Questionnaires
Questionnaires for personnel requirements should
include the following:
Furniture and space needs based on job catagory
Existing space standards for type of space, furniture, and equipment
Type and frequency of meetings within a workstation
Type and amount of storage space
Equipment within workstation
Future growth or contraction
Questionnaires for group support and special use
spaces requirements should include the following:
Files, shelving, and storage requirements
Equipment quantities and sizes
Type of space
Adjacencies
Special treatments, such as lighting, security,
plumbing, and acoustics

Questionnaires for proximity requirements should


include the following:
Proximity requirements between departments
Proximity requirements between personnel
Proximity requirements between special use
and group sapces

Interviews
Interviews will aid in collecting information for the
users requirements and direction of the project. A
list should be made of people to interview, such as
executives, personnel director, facility director, and
unit directors.

Detail Listings
Summaries of the space needs for each department
will be generated with projects up to five years to
determine the total square footage needed for each
space. Each department list will include calculations for personnel, support, and special use spaces,
as well as circulation space needs. A summary of
common use spaces will also be generated with projections up to five years. A comparative unit summary for the entire company will be completed to
show the total space required.

Observations
Observations for the project will be made with tours
regarding the existing environment, function, operational requirements, and problems.

Organization Charts
A chart will be generated for the company that illustrates the breakdown of departments and how
they interact with one another. A second personnel
organization chart will be generated to explain the
hierarchy of employees and how they relate to one
another. Personnel organization charts show the
breakdown of each unit, the internal organization
of personnel hierarchy, job categories, quantities at
move-in and 5 years and their adjacencies.

Space Studies
Space studies and area assignments will be developed for personnel work stations based on rank and
job category. Space studies for common spaces will
also be developed based on the needs for the company. Each standard will include approximate furniture, space, and equipment needs. Each space
study will include the square footage, dimensions,
and secondary circulation aisles needed for each
space.
There are two types of space studies, which are
personnel and group. Personnel include private,
semi-private, and open work station standards.
Group space studies are shared spaces within each
unit that include support, special use spaces, and
shared spaces for the whole company that include
common areas.

Building Analysis

Layering and Blocking Diagrams

A written analysis chart of the building for move-in


will be created that includes gross square footage,
net assignable square footage, building facilities
and constraints, uniform building and ADA code
compliance, site and environmental situation. This
will demonstrate how these factors will impact the
companys overall needs.

Layering and blocking diagrams will be created


to illustrate the distribution options for the given
building based off the distribution analysis. The
blocking is a horizontal distribution of space, and
layering is the vertical distribution of space. Diagrams will be created for both move-in and for five
year projections.

Data Analysis

Planning Guidelines and


Recommendations

Graphic representations will be generated to illustrate the comparison of data details. The charts will
include program data with a comparative analysis
between departments that include move-in and five
year projections.

A summary will be created of the programming


findings that will consider waste and planning recommendations for the building.

Adjacency Diagram and


Distribution Analysis
Two options for the utilization of space throughout the building will be created. One option will
maximize adjacencies and the other will maximize
square footage. The purpose is to show the mobility
of units over time and illustrate how the spaces will
be assigned.

Sub-Lease Options

The maximized adjacency and maximized square


footage options both fulfilled the companies needs
in different ways. The adjacency-focused floor plan
makes the most sense when considering departments
purposes and relationships towards one another. The
flow of people will be easier in this option and will
provide an added convenience. Since the adjacency
requirements dont necessarily keep square footage
in consideration, the excess spaces are more random
than the maximized square footage floorplan.

Both the maximized adjacency and square footage


floorplans expanded from move-in to 5 years. Neither
floorplans used the third floor, even after 5 years worth
of expansion.

Both floorplans left the third floor totally empty, meaning that there is plenty of space left to sublease to another company. The maximized square footage floorpaln has plenty of space open to sublease at move-in,
but since that space is projected to be occupied by
their own companys expansion within 5 years, they
could use that space for temporary conference rooms,
another employee lounge, etc.

Space Consumption
The maximized square footage floorplan did not have
to focus as much on the adjacency requirements,
therefore it provided a floorplan that focused primarily
on filling the given space more efficiently. This plan
would provide the company with extra space to be
able to sublease, but would also not be as much of a
convenience to the ease-of-flow to the company.

Wasted Square Footage


Both options have some space that is under 2,000
square feet at the end, which would be considered
wasted square footage. The adjacency focused floorplan has slightly more wasted space, since maxmizing the square footage wasnt its main focus.

Planning Direction
Both the adjacency-focused and square footage-focused plans make sense for office space planning
purposes for various reasons. This company requires
certain departments to be close to one another for
specific reasons, but they also want to maximize the
space usage so that they can sublease unneeded
space. Either way, the company will have a space
plan that has free flow from on department to another,
all with open, naturally lit environments.

Recommendations
Personnel vs. Group Spaces
While there are more personnel spaces than group
spaces while comparing the quantity of them, they
both take up around the same amount of square footage because the group spaces individually are larger.

Recommendations
My recommendation is to follow the maximized
adjacency floor plan. The maximized square footage
plan doesnt save the company enough room to be
worth the lack of adjacency, in my opinion. Both plans
keep the third floor completely unoccupied, resulting
in subleasing opportunities in either plan that the
company follows. The added adjacency will add convenience for both the employees and visitors to the
company, so I think that this option would make the
most sense to go with.
