This document is a synopsis of the policies, practices, and procedures of


Northern Vance High School.

INTRODUCTION

The policies and procedures as outlined in the Faculty/Staf Handbook are in


accordance with the policies and procedures of the Vance County Board of
Education. Each teacher and staff member is responsible for reading and
adhering to these policies.

ASSEMBLIES
Teachers are required to attend all student assemblies unless excused
by the principal. You are to sit with the students and supervise those
students assigned to you.
TEACHER EXPECTATIONS
1. Classes should begin immediately. Have a do now activity.
2. Do not leave your class unattended-ever.
3. You are responsible for the proper care of all books, furniture, apparatus,
and supplies assigned to you, your class, or department.
4. Classes are not to be dismissed until the end of the class time.
5. Do not leave money in an unlocked desk during the day or in the desk or
room overnight. All funds must be submitted to the bookkeeper by 2:00
daily for nightly deposits.
6. Have NCSCOS objectives listed on board for each of your classes and
activities.
7. Prepare/utilize a course pacing guide for each subject. Daily lesson plans
should be prepared for each class.

8. Do not send students to see administrators, nurse, social worker, counselor,


office staf or any other location until verifying with that adult that they are
in place and available to speak to the child.
GRADES AND GRADING PROCEDURES
It is important to have documentation in your grade book to support a
students grade. A written grading policy should be provided to students and
parents. Grades should be based on academic achievement, not classroom
behavior
Note: Homework may not count more than ten (10) percent of the
student grade.
Grades are to be recorded in Powerschool grade book, but may also be
recorded in a hard-copy grade book.
Grade Scale: All teachers at Northern Vance High School will follow the
following scale:
A = 100 - 90
B = 89 - 80
C = 79 - 70
D = 69 - 60
F = 60-0
Portfolios: Teachers of English and Math must have a student portfolio for
each student. Include a range of work examples, including projects, tests, and
writing samples from the Portfolio Checklist.
Classroom Progress Reports: Progress reports are to be completed using
Powerschool and issued to students on assigned dates.
FUNDRAISERS
Groups holding fundraisers must make sure that all fundraisers are approved
by Mrs. Fogg before they are implemented.
Guidelines
1. Secure a fundraising permission form from Mrs. Grissom in the main office.
2. Submit the form to Mrs. Fogg for approval.
3

3. Execute the fundraiser make sure that all money is receipted appropriately
and turned in to Mrs. Lewis on a daily basis.
4. Submit fundraiser summary to Mrs. Lewis immediately following the
fundraiser.
FIELD TRIPS
Please adhere to the following procedures for planning field trips:
September 18, 2015 will be the first day that field trip request forms will be
taken.
October 5, 2015 will be the first day that field trips may occur.
Please allow three weeks of planning before taking a trip.
Make sure you speak with Mrs. Whyte-Scott and Mr. Tate as you begin
planning your field trip.
Overnight field trips must be approved by the Board of Education. Please
submit those to Mrs. Whyte-Scott two months in advance.
Secure a Parent Permission Form for every child going on the field trip. No
exceptions.
E-mail a staf reminder and list the students attending before the field trip. A
hard copy should be placed in all teachers boxes.
Make arrangements for students who will not be going on the field trip.
THEY MAY NOT BE HOUSED IN ISS!
Upon returning turn in Field trip Evaluations forms to Mrs. Whyte-Scott.
Keep in mind that no student should be denied the privilege of
attending a field trip because of money.

IN-SCHOOL SUSPENSION
ISS procedures for Teachers:
Step 1: Teacher submits a discipline referral to the grade level administrator.
Step 2: The grade level administrator will properly investigate the incident and
determine a consequence in accordance with the Student Code of Conduct.
Step 3: During the afternoon, Mrs. Jones, the Data Manager, will print the ISS/OSS report
for the following school day and email it to teachers by 3:15.
Step 4: All teachers MUST check their email/boxes before leaving school to see if they
have students on the ISS list for the following day.
Step 5: Assignments are in ISS Coordinators box by 7:20 a.m.

TEACHERS MUST COORDINATE ISS ASSIGNMENTS WITH AN


ADMINISTRATOR.

-Students who are assigned ISS for the day by the Administrative Team
may not attend or participate in extra-curricular activities, schoolsponsored athletic events, club activities, or other school sponsored
functions while in ISS.

EMERGENCY PLAN
The safety of our students and staf is our number one objective here at
Northern Vance High School. Our emergency action plan has been developed
to comply with OSHA standards 29 CFR 1910.120.

Bomb Threats In the event of a bomb threat, the Administration will be


notified. Follow Fire Drill guidelines.

Fire Drills Fire drills will be scheduled monthly. Practice exiting and entering
the building with your students as part of your orientation activities.

All staf, students, and visitors should evacuate immediately, following the fire
evacuation route in your area. POST YOUR FIRE EVACUATION ROUTE BESIDE
YOUR EXIT DOOR. If you have questions or need a Fire Evacuation Route Map
please see Mr. Fuller.
During a fire drill, teachers should follow the guidelines listed below:
1. Ensure that all windows and doors are closed and locked.
2. Account for each student by checking class rosters once outside.
3. Keep students quiet and orderly during the drill/emergency.
4. Stay with your students.
5. Await the clearance from an administrator/designee before re-entering the
building.
Please Note: Due to safety issues the following items are not allowed in the
classrooms:
Hot plates
Lava Lamps

Candles
Refrigerators

Cofee Makers
Fans

Lockdown Information for Teachers Listed below are the guidelines that
should be followed if a true emergency occurs. Following these guidelines is vital
to ensure the safety of our students and staf at all times.
1. Code 300/Lockdown will be announced to initiate a Lockdown.

2. Clear students from the hallway immediately. Have them report to the
nearest available classroom.
3. Close and lock all windows and doors.
4. Move students away from windows and doors. If at all possible, seat
students against an interior wall that will provide them protection.
5. Account for all students.
6. Turn of all lights. Even though the lights operate by sensors, it is possible
to power them of manually.
7. Use red and green cards to communicate with emergency responders.
KNOW WHERE YOUR GREEN RED CARDS ARE AT ALL TIMES.
Red Card The teacher should display a red card in the exterior window and
slide a second red card under the door or affix the card to the classroom
door window to alert responders that emergency assistance is needed as
soon as possible.
Medical Emergencies The main office should be notified should a medical
emergency arise. Follow the procedures listed below:

Call the front desk receptionist by dialing 0. Tell the receptionist your
name, location, and type of emergency.
Should the receptionist be unavailable, call Mrs. Grissom.
Should Mrs. Grissom be unavailable, call Mrs. Lewis.

They will contact our first responders and to direct them to your location.
Tornado Watches/Warnings In the event of a tornado watch, Dr. Webb, or his
designee, will notify all staf members. Teachers should continue their regular
classroom activities.
In event of a tornado warning, Dr. Webb, or his designee, will sound the tornado
signal immediately. Dr. Webb will send runners to notify classes outside of the
building. Students should be instructed to crouch down and cover their heads in
the case of a real tornado.
ACCIDENT INJURY REPORT
When an on-the-job injury occurs, the employee must complete form WC-1,
Supervisors Report for Injury for Workers Compensation, located in the main
office. Completed Workers Compensation forms should be turned into Mrs. Lewis,
to be faxed to Mrs. White-Russell, Human Resources Analyst. If the injured

employee is seeking medical attention, he/she should take form WC-3 to the
Occupational Health Department behind Maria Parham Hospital. The Occupational
Health Department is the only medical provider authorized to provide care for
Vance County Schools employees injured while on the job. Prescriptions will be
covered by CVS drug store. See Mrs. Lewis with any questions or concerns you
have about Workers Compensation.
OFFICE REPORTS AND COMMUNICATIONS
It is imperative the office personnel and faculty operate within the guidelines of
mutually respected timelines to facilitate efective administrative procedures.
ATTENDANCE REPORTS Teachers must enter attendance within the first
15 minutes of each period.
FAX MACHINE The fax machine is located in the guidance office. The fax
machine is to be used for school business only. Before sending your fax, you
will need to enter information in the fax tracking log.
TELEPHONE CALLS TO SCHOOL PERSONNEL Except in cases of
emergency, faculty and staf members will receive personal telephone calls
from the office only during periods when they are not scheduled to be in
charge of a class. Teachers may not make personal phone calls during
classroom instructional time. Teachers may not leave the classroom to make
or receive personal calls while students are in your class. This includes
cell phone calls and texting.
THE GUIDANCE OFFICE
Please follow the procedures listed below when sending a student to the guidance
office:
1. If you determine that a student is experiencing an emotional crisis,
contact a counselor immediately. They will direct you in getting the
student to the counselor office.
2. If a student requests permission to see the guidance counselor, contact
a counselor immediately. They will direct you in getting the student to
the counselor office.
MEDICATION IN SCHOOL

Public School Law 115C-307 states:


Scope of duty of teachers to include some medical careIt is within the
scope of duty of teachers, including substitute teachers, aides, student
teachers, or any public school employee when given such authority by the
Board of Education or its designee, (a) to administer any drugs or

medication prescribed by a doctor upon written request of the doctor or


parents, (b) to give emergency health care when reasonable apparent
circumstances indicate that any delay would seriously worsen by physical
condition or endanger the life of the pupil, and (c) to perform any other first
aid or life-saving techniques in which the employee has been trained in a
program approved by the State Board of Education. Provided, that no one
shall be required to administer drugs or medication or attend life-saving
techniques training programs.
Staff members responsible for the Medical Care Program, or first
responders, at Northern Vance High School include Nurse Harris,
and Dr. Webb.
VANCE COUNTY STAFF DRESS CODE
Employees of the Vance County School System are expected to dress and be
groomed appropriately to meet the requirements of their job while projecting a
positive image to students and the public.
The Vance County Board of Education holds that dress must not be demonstrably
disruptive, must be in accordance with health and safety standards, and must be
consistent with prevailing or accepted standards for the various jobs held by
school employees.

Administrators and administrative support personnel are expected to project


a professional image and should be dressed and groomed appropriately for
an office/business environment.
Teachers and teacher support personnel are also expected to project a
professional image that sets positive dress and grooming examples for
students. Physical Education teachers and coaches may wear appropriate
athletic attire to meet the physical education requirement of their job;
however, in Health class they should be dressed at the same standard for
other teachers and teacher support personnel.
Blue jeans, sweat suits and wind suits are not considered professional or
business attire for the above employees. In other words, you may not
wear blue jeans, sweat suits or wind suits to work (unless approved
by Dr. Webb.)
All VCS employees must limit their facial jewelry to the ear lobes only when
performing their duties for the school system.
Uniform dress is recommended for cafeteria, maintenance, transportation,
and technology personnel.
Bus drivers must be appropriately dressed at all times while performing
their responsibilities.
All VCS employees must wear Identification Badges when performing their
duties for the school system.

The initial determination of a dress code violation will be made by the


employees supervisor. If unsuitable, inappropriate, unacceptable,
unprofessional dress is determined by the supervisor, he/she will counsel the
employee regarding suitable, appropriate, acceptable, professional dress and
will determine whether the employee is allowed to remain at work or is to be
sent of the job to change his/her dress. Failure to follow the supervisors
directive and/or blatant or repeated violations of this policy will subject the
employee to suspension and/or other disciplinary action.
Appeals of supervisory determination of dress code violations shall follow the
Vance County Board of Educations appeal procedures.

REPORTING TO WORK
All teachers and assistants are required to be at school and at their duty
station no later than 7:30 a.m.
Teachers and assistants are to remain at school until all professional duties
are completed.
All staf members are required to sign in electronically at the beginning of
each day.
All staf members are required to check their mailboxes each morning for
information that may afect their daily activities.
All staf members should check their mailboxes at the end of the school day
for any new information.
The hours of operation on teacher workdays will be from 8:00 a.m. until
4:00 p.m. with one-half hour for lunch, unless otherwise directed by the
superintendent.
LEAVING CAMPUS
Personnel leaving school must have Dr. Webbs permission to leave
campus during the working day.
ABSENCES and SUBSTITUTES
Staf members are expected to be present, prompt, and prepared every day.
However, should an occasion arise that requires you to be away from your
professional duties, please adhere to the procedures listed below for staf
absences.

A Leave Request Form or Professional Leave Form is to be on file for every


absence.
Planned Absences:
Please follow the guidelines listed below when scheduling a substitute for
planned absences.
1. Complete the appropriate Leave Request Form.
2. Submit your Leave Request Form or your Professional Leave Form to Dr.
Webb, prior to your absence, for approval.
3. You will then need to request a substitute through Mrs. Whyte
Scott.
4. On the day before your scheduled absence, place a copy of your
Substitute Lesson Plan in your mailbox for your substitute, and place a
copy in a folder in Mrs. Whyte Scotts mail box. You should also notify
your Grade Level Administrator, Team Leader, and Department Chair.
5. Failure to turn in an approved Leave Request Form could result in your
absence being turned into payroll as 07 Absence without Pay.
Note: You must notify Dr. Webb, Mrs. Whyte Scott and your Grade Level
Administrator of any type of absence, a failure to do so can result in your absence
being turned into payroll as 07 Absence without Pay, plus possible disciplinary
action.
Unplanned Absences
Please follow the guidelines listed below when scheduling a substitute for
unplanned absences.
1. Call Dr. Webb to report your absence.

3. Ensure that a lesson plan exists for the day(s) that you will be out.
4. Contact your Department Head,
4. Upon your return to school, complete an absence report with Ms. Lewis
YOU WILL HAVE AN ABSENCE WITHOUT PAY IF YOU DO NOT COMPLETE AN
ABSENCE FORM.
FACULTY MEETINGS
Each staff member should set aside Monday afternoon for the purpose of
attending faculty meetings. The staf should make no outside appointments
for Monday. Faculty meetings will usually be no longer than one hour. If there is a

need for an emergency meeting, teachers and staf will be notified as far in
advance as possible. Faculty meetings take priority over practices, games,
or meetings. Teachers are required to attend all faculty meetings unless
specifically excused by Dr. Webb.
FACULTY MEETINGS FACULTY MEETINGS
GRADE LEVEL, PLC AND DEPARTMENT MEETINGS
Northern Vance High School will participate in Professional Learning
Communities/Team Meetings. Teachers are required to attend and participate in
all meetings. These meetings should focus on implementing and integrating
efective teaching and learning practices to increase student learning and
decrease negative behaviors of students. Each PLC/team will meet at the
designated times. Team notebooks will be kept for review by administrators.
TEACHERS WORKROOM
The workroom is a private place the Faculty/Staf at Northern Vance High School.
Students are not to be allowed in the workroom, and each teacher is responsible
for helping to keep it clean and orderly.
SMOKING
In accordance with VCS policies, NVHS is a smoke free and tobacco free
work place for all employees at all times. This applies to classrooms,
workrooms, bathrooms, athletic fields, etc. This policy is efect before, during, and
after school.
INSTRUCTIONAL PREPARATION
Teacher Expectations Teachers should create, distribute, and discuss their
expectations for student learning and behavior at the beginning of the school
year. A copy of teacher expectations and course pacing guides and syllabus for
the current school year should be submitted to Mrs. Whyte Scott no later than
Friday, September 4, 2015.
Daily Lesson Plans Teacher lesson plans must be submitted weekly for review
and filing. Using the standardized NVHS Lesson Plan Template, teachers must
submit lesson plans to Grade Level Administrators not later than the first day of
the instructional week. The Lesson Plan must be typed and submitted along with
notes, worksheets, etc. See your Department Head or Grade Level Administrator
with any questions or concerns you may have about the lesson plan format.

Emergency Lesson Plans Each teacher must have 3 Emergency Lesson Plans
on file. You must submit an emergency lesson plan to Mrs. Whyte Scott no later
than Friday, September 4, 2015. The plans should include all the information
teachers include with lesson plans completed for substitute teachers for
anticipated absences. Each teacher will have a folder located in Mrs. Whyte
Scotts office. Your emergency lesson plan must be updated after each
unplanned absence.

EMPLOYEE USE OF SOCIAL MEDIA
The Vance County Board of Education recognizes the importance of incorporating
current technology tools, including new methods of electronic communication,
into the classroom to enhance student learning. It further recognizes the
importance of employees, students and parents engaging, learning, collaborating
and sharing in digital environments as part of 21st century learning. The board
strives to ensure that electronic communication tools incorporated into the school
curriculum are used responsibly and safely. As practicable, the board will provide
access to secure social media tools and board approved technologies for use
during instructional time and for school-sponsored activities in accordance with
policy IIBG (also EHAA) Internet Acceptable Use.
The board acknowledges that school employees may engage in the use of social
media during their personal time. School employees who use social media for
personal purposes must be mindful that they are responsible for their public
conduct even when not acting in their capacities as school system employees. All
school employees, including volunteers, student teachers and independent
contractors shall comply with the requirements of this policy when using
electronic social media for personal purposes.
For the purposes of this policy, social media includes, but is not limited to:
personal websites, web logs (blogs), wikis, social network sites, online forums,
virtual worlds, video-sharing websites and any other social media generally
available to the public or consumers that does not fall within the boards
technologies network (e.g., MySpace, Facebook, Twitter, LinkedIn, Flickr, YouTube,
Etc.).
A. SOCIAL MEDIA COMMUNICATIONS INVOLVING STUDENTS
Employees are to maintain professional relationships with students at all times
in accordance with policy GBH (also JM) - Staf-Student Relations. All electronic
communications with students who are currently enrolled in the school system
must be school-related and within the scope of the employees professional
responsibilities, unless otherwise authorized by this policy. School personnel
may use only school-controlled technological resources and social media tools

to communicate directly with students or to comment on student matters


through use of the Internet. An employee seeking to utilize and/or establish a
non-school-controlled social media website for instructional or other schoolrelated purposes must have prior written approval from the superintendent or
designee and principal and meet any applicable requirements of policy IIBG
(also EHAA) Internet Acceptable Use.
The use of electronic media for communicating with students and parents is an
extension of the employees workplace responsibilities. Accordingly, the board
expects employees to use professional judgment when using social media or
other electronic communications.
Employees are prohibited from knowingly communicating with current students
through a personal social network page. An Internet posting on a personal
social media website intended for a particular student will be considered a form
of direct communication with that student in violation of this policy. However,
an employee may communicate with a student using personal social media
networks to the extent the employee and student have a family relationship or
other type of appropriate relationship which originated outside of the school
setting. For example, an employee may have a relationship with a niece or
nephew, a student who is the child of an adult friend, a student who is a friend
of the employees child, or a member or participant in the same civic, social,
recreational, sport or religious organization.
B. EMPLOYEE PERSONAL USE OF SOCIAL MEDIA
The board respects the right of employees to use social media as a medium of
self-expression on their personal time. As role models for the school systems
students, however, employees are responsible for their public conduct even
when they are not performing their job duties as employees of the school
system. Employees will be held to the same professional standards in their
public use of social media and other electronic communications as they are for
any other public conduct. Further, school employees remain subject to
applicable state and federal laws, board policies, administrative regulations
and the Code of Ethics for North Carolina Educators, even if communicating
with others concerning personal and private matters. If an employees use of
social media interferes with the employees ability to efectively perform his or
her job duties, the employee is subject to disciplinary action, up to and
including termination of employment.
Employees are responsible for the content on their social media sites, including
content added by the employee, the employees friends or members of the
public who can access the employees site, and for Web links on the
employees site. Employees shall take reasonable precautions, such as using
available security settings, to restrict students from viewing their personal
information on social media websites and to prevent students from accessing
materials that are not age-appropriate.

School employees are prohibited from accessing social networking websites for
personal use during instructional time or with school system technological
resources.
C. POSTING TO SOCIAL MEDIA SITES

Employees who use social media for personal purposes must be aware that
the content they post may be viewed by anyone, including students,
parents and community members.

Employees shall observe the following principles when communicating


through social media:

Employees shall not accept current students as friends or followers or


otherwise connect with students on social media sites, unless the employee
and student have a family relationship or other type of appropriate
relationship which originated outside of the school setting.

Employees shall not knowingly allow students access to their personal social
media sites that discuss or portray sex, nudity, alcohol or drug use or other
behaviors associated with the employees private lives that would be
inappropriate to discuss with a student at school.

Employees may not knowingly grant students access to any portions of their
personal social media sites that are not accessible to the general public,
unless the employee and student have a family relationship or other type of
appropriate relationship which originated outside of the school setting.

Employees shall be professional in all Internet postings related to or


referencing the school system, students and other employees.

Employees shall not use profane, pornographic, obscene, indecent, lewd,


vulgar or sexually ofensive language, pictures or graphics or other
communication that could reasonably be anticipated to cause a substantial
disruption to the school environment.

Employees shall not use the school systems logo or other copyrighted
material of the system without express, written consent from the board.

Employees shall not post identifiable images of a student or students family


without permission from the student and the students parent or legal
guardian.

Employees shall not use Internet postings to libel or defame the board,
individual board members, students or other school employees.

Employees shall not use Internet postings to harass, bully or intimidate


other employees or students in violation of policy JCDC (also JFBA) Prohibition Against Discrimination, Harassment and Bullying, or state and
federal laws.

Employees shall not post inappropriate content that negatively impacts


their ability to perform their jobs.

Employees shall not use Internet postings to engage in any other conduct
that violates board policy and administrative procedures or state and
federal laws.

D. CONSEQUENCES
School system personnel shall monitor online activities of employees who
access the Internet using school technological resources. Additionally, the
superintendent or designee may periodically conduct public Internet searches
to determine if an employee has engaged in conduct that violates this policy.
Any employee who has been found by the superintendent to have violated this
policy may be subject to disciplinary action, up to and including dismissal.
The superintendent shall establish and communicate to employees guidelines that
are consistent with this policy.
