Retail Store Case Study

Let me start with a brief of our Business. I am CEO of a Retail company (Easy
Retail) which has 25 stores In India. All our 25 stores are departmental stores
with an average store size of 10000 sq ft. Our Product categories are Home Care,
Personal Care, Fashion, Electronics, Food, Sports, Toys & Health Care. In each
product Category we have subcategories such as Fashion has Apparel, Shoes etc.

How the story started. This Retail Company was founded in 2000 when we had
our first store started operating in Delhi. Store Size was 200 sq ft. and back then
it was dealing with mostly Food and Personal care Items. At that time, there was
no need of any software to run the business. In 2 years time, a second store was
opened in Delhi and the store size was 500 sq ft. Categories were also added
with addition of 2nd store. With the operation of 2 nd store, our management were
able to run the business with the help of Excel.

By 2006, we had 10 stores across Delhi and cities in North of India. We were
dealing with most of the categories that is mentioned above. We added a
warehouse where we stored our product. By Now we had implemented a POS
(Point of Sales) system to allow out cashier to bill our customer. We were also
debating about few software around manging our purchase processes, Human
resources and accounting.

By 2012 we had 20 stores in India and store sizes have gone bigger. We were
doing more than 100,000 billing per day through our POS system. In year 2011
we had started an Initiative to implement an ERP (Enterprise Resource Planning)
to run our business. We looked at all the business processes and got an
Integration ERP system built for us. This ERP was intended to help us with our
finance processes, Sales Processes, Procurement Processes, warehouse
processes, Human Resource processes & Logistics processes. By End of 2012 we
had ERP helping us run the business. We had few simple MIS reports created as a
part of ERP.
As of today, we have added 10 more stores and we are growing at a fast pace.
My Job is to make sure that I take decisions which will help Easy Retail to
maintain the growth, expand its business in new geographies in India, remove
loss making product categories, Manage Promotions, Increase customer
Satisfaction, Cut cost and Increase profit.
I need your help here to provide me with analytics around Sales, Finance &
Procurement from the data we have so that I can take right decision at the right
time and grow Easy Retail.
I need the following Intelligence from the ERP data we have;
Week 1:
1. My Top 5 & Bottom 5 Store in terms of Sales this year
2. My Top 5 & Bottom 5 Store in terms of Profit this year
3. Most Improved Store performance in terms of Sales compared to last year

4. Most Improved Store performance in terms of Profit compared to last year


5. Most Improved Item and Item Category in terms of sales compared to last
year
6. Most Improved Item and Item Category in terms of Profit compared to last
year
7. Most and least sold Product this year
8. Most profitable product and Most Loss making Product this Quarter
9. Last 3 years Sales & Profit trend
10.Most Profitable Product Category and Most loss making Product Category
last quarter
11.State wise total Qty and Value of sales in last 3 months
Week 2
12.Maximum Stock out Products by store (you have to calculate closing Stock
of the Item for each day. If closing Stock becomes 0 or negative for any
day then that Day will be considered stock out Day)
13.Lost Sales due to Stock out by item, by Category, by store, by month, by
Quarter, by Year (Take average per Day sales by average rolling 3 months
sales, then multiply with sales price. Add all the lost sales by item, by
Item category, by Store, by quarter, by month, by year to calculate lost
sales)
Week 3
14.Stock Transfer qty ( Transaction Type 4) by Month, by Quarter from
warehouse to Store
15.Product ageing by warehouse in these Brackets
o 0-15 Days
o 16-30 Days
o 31-60 Days
o 60-120 Days
o >120 Days.
