Facilities Assistants (FA)

Office Administrator

A day in the Life of

Karen Davis
As the Office Administrator, my main area of
responsibility is supervising the Facilities Assistant. This
includes managing their schedules, supervising daily
tasks, providing supplies needed to execute tasks,
provide guidance and assistance when needed to
resolve challenges.
My day does not stop there. Multi-tasking is the
core of my day as it often involves coordinating travel
arrangements for employees visiting our overseas
locations, managing office inventory, coordinating
driver errands as well as assisting with preparing
schedules and booking meetings for visitors to the site.
I also assist with managing the Front Office operations
and partner with Cashea to ensure both internal and
external customers continue to receive the excellent
customer service that is the expected standard of
Vistaprint Jamaica Facilities Team.
Overall my day is pretty exciting and may also include
a call from Phillippa to say Karen, please have one
of the FAs clean the cobwebs from the ceiling.
Thats my very glamorous life at Vistaprint.

A day in the Life of

Petula Clark

The first thing I do when I arrive for my shift is to

check the critical areas such as the restrooms,
kitchenettes and lunchrooms. I ensure these
areas are thoroughly cleaned and supplies
are readily available for my customers. It is
important that my customers have their hot
and cold beverages to get them started on their
daily routine so I make the beverage dispensers
a priority and keep them well stocked and clean
throughout my shift.
I also check all other areas such as the offices,
work stations and reception area to make sure
they are clean and free of garbage. Throughout
the day I check the restrooms, lunchrooms and
conference rooms all the time so that they are
fresh and ready to be used by my co-workers.
I deliver Service with a smile and I try my very
best to honour everyones request.
Other Facilities Assistants: Audrey McPherson, Jayan Scott,

A day in the Life of

Cashea Bennett
My day typically begins with a cup of French vanilla & checking
my emails. I spend most of my day meeting and greeting
visitors as well as managing and routing all incoming calls to
the reception telephone. In my absence Marlon, Karen and
Damion act as my support to ensure that we maintain a good
first impression be it on the telephone or when our customers
first walk through the door.
My daily routine is centered around the administrative duties
of Vistaprint Jamaica. I coordinate hotel accommodations &
transportation arrangements for visitors to the office, make
arrangements for courier services and track packages that are
expected to arrive at the office. It is important to ensure there
is proper protocol in managing this process which includes
securing the proper authorization of release forms from the
respective domain manager for packages that are detained
by customs. I also manage the process for local mail and
coordinate weekly pick up and distribution.
I am the point person for securing quotations and ordering &
distribution of office supplies. I invest a lot of time and effort
conducting research to ensure that we procure the best
quality products at the right price. I work with our Finance
Department to ensure vendor invoices are submitted on time
so that payments can be made upon their due date. It is
important to maintain a mutually beneficial business relationship
with our vendors so that the amenities we provide are always
available to you, our customers.
I liaise with external agencies such as banks, education
institutions, credit unions and insurance companies and make
arrangements for representatives to visit our office so that
these services are available to you, right at your fingertips.
I enjoy providing excellent customer service and am readily
available to assist with off-site conference arrangements as
well as coordinating lunch orders.

A day in the Life of

David Tate
My work day usually commence at 8 a.m. Monday Friday. Given
the nature of our office environment and our hours of operations I
sometimes work six days per week to facilitate projects such as office
build outs or maintenance services which are usually completed on
the weekend.
My morning routine involves a check of all air conditioning units
throughout VP1-5 to ensure these systems are up and running. This
is very critical to our daily operations as there can be significant
discomfort to our customers whenever a malfunction occurs. The
next stop on my checklist is the restrooms to ensure running water is
in the taps, there is no leakage and everything is intact. I also check our
reserve water systems to ensure the tanks are filled, more importantly
I check our back up power supply, the generator, which must be set
to auto and the fuel tank filled. This too is critical to our operations
as we would not be able to support our internal and external
customers in the event of a commercial power outage.
I then proceed to check maintenance issues or requests,
(replacement light bulbs, ceiling tiles, cubicles repairs, etc.) that have
been filed via Infra by various departments and take action to have
them resolved.
I collaborate with other departments such as IT on cubicle build out
projects as well as repairs of electrical fixtures in the cubicles. I also
carry out routine cleaning between general servicing of the A/C units.

I am a dedicated & committed employee. I am nicknamed Jack

of all Trades in plumbing, carpentry and electrical repairs. I am also
the Vistaprint Jamaica resident shoemaker. The ladies are always
seeking my help in repairing their shoes, every day, every day I
have to fix a shoe.
Apart from the daily routine maintenance checks & repairs, I also
work closely with Cashea & Karen relocating items between offices
for daily use. My day is always BUSY and my cellphone is always
riingingggggggggg. I am in such high demand I usually go off property
for lunch but I must say I enjoy every minute of my daily life at
Vistaprint.

A day in the Life of

Marlon Currie
Each morning on my way to work I usually have Lucianos
Jah Give Me Strength to Face Another Day playing in my
cassette deck (yes, I still have a cassette deck).
I usually arrive in office between 8-8:30 a.m. My day begins
at the Free Zone Security entrance. I endeavor to foster a
good relationship between Vistaprint Jamaica and the Free
Zone Security personnel. I usually have a quick check in with
the officer on duty to ensure there are no security challenges
relating to Vistaprint & discuss complaints, if any, relating to
our employees.
As soon as I reach upstairs I enquire with Damion (Security
Officer) if I am first to arrive from the Facilities Administrative
Team. Most times Phillippa is first & I always say If 8:30
comes and she is not here please call her. I then ask
Damion for an update to determine if Kenny (Security Officer)
reported any security issues that occurred on the night shift.
I then proceed to check my e-mails and to check on new &
outstanding Infra tickets for security related requests. I then
check-in with the Security Officer assigned to VP4 for an
update.
Throughout the day I assist employees with various issues
such as lost Ids, Proxy cards, Locker keys sick bay first aid
requests, security and gate passes and of course, enforcing
the companys various security and safety policies. I partner
with our IT department to ensure all security related systems
are functional.

I also work closely with my team in the Front Office.

We strive to keep our days lively with very interesting
conversations while delivering quality work.
I believe we are successful as a team because we support
and make ourselves available to assist each other.
