The Impact of the Office Environment on

Employees
 This topic discusses the quality of working environment
that affects employees most of the level of employee
motivation and subsequent performance. The main
purpose of this topic was to determine the relationship
between office design and productivity

 We begin the topic with a discussion of the relationship


between personality, work environment and
performance. The purpose of this study was to examine
the relationship between personality, work environment
preferences, and the performance of the employees.
Also to discuss the factors in the working environment of
workers affected the motivation and performance
Office
 An office is generally a room or other areas where
people work, but also may indicate a position in the
organization with the task - a task attached to it ( see the
officers, the office - holder, official ), the latter is in fact an
earlier usage, office as a place originally referring to a
job site.

Environment
 Circumstances or conditions that surround one;
surroundings.
 The totality of the circumstances surrounding an
organism or group of organisms, especially:
a. The combination of external physical conditions that
influence and affect growth, development, and survival
of organisms: " We will not understand the natural
environment until we see it as a living organism " ( Paul
Brooks ).
b. Complex social and cultural conditions that influence
the nature of the individual or community 

Office environment
 Office environment means an atmosphere with a wide
range of environmental factors that can impact on an
individual
 Studies suggest that natural light increases human
productivity and reduces fatigue and stress.

 By simply replacing your antiquated fluorescent tubes


with full-spectrum tubes, you can instantly enhance your
environment and your well-being!

 Full spectrum lighting emits a natural, balanced


spectrum of light that is the closest you can get to
sunlight indoors.

 Based on years of study not only do they bring out true,


vibrant colors but they can also ease eye fatigue,
improve your mood, reduce cortisol (stress hormone)
levels, slow aging of the retina and reduce glare.
 Scientific studies recognize that colors bring about
emotional reactions to individuals.

 Our reactions and attitudes to colors differ from person


to person. That color affects us all is an undoubted fact.

 Its significance has been investigated and the results


utilized in merchandizing, selling, home decorating, the
workplace environment, industry, plant growth, nutrition,
physics, physiology, psychology, ecclesiasticism and art.

 In fact, color is so much a part of our lives that we tend


to take it for granted.
 Colors that are useful in the office are:
a. orange – stimulates creativity;

b. yellow – intensifies the intellect and heightens


motivation;
c. red – energizes;

d. blue – calming, fights physical and mental tension;

e. green – fights irritability and has a healing effect on the


body.

 For the office, use colors that you are drawn to as these
are the colors that will benefit your health.
 Too much noise, such as sound from equipment, tools,
and people s conversation, may prevent workers
concentrating on their jobs, consequently decreasing
their productivity.

 However, people cannot achieve good performance in a


silent environment, because at some level, sound may
generate a healthy background and can also assist
employees accomplish their work.

 Excessive noise can affect employees psychologically


due to an increase of blood pressure and metabolic rate,
which in turn can decrease their productivity
 In general, noise can influence employees while doing
their work and the impact can be both positive and
negative. If there is soft background sound, which is
coming from instrumental music, and there is an
employee who has to tackle claims from some inpatient
customers, the background sound in turn, will assist
him/her to become more relaxed in solving the customer
s problems.

 In contrast, if the sound background is quite hard, which


may develop from the telephone ringing and loud
conversation among people in the same room, this
situation can hamper both the employee and customers.
 Improving the office sound can lead to increase on
employee productivity. Due to the trend of offices in the
future being open office and smaller workplaces there
will be less space for people in the office. In turn, this
can distract and disturb the office environment. Noise-
control programs are one alternative that many office
managements have applied in order to overcome the
noise problems.
 Poor air quality can raise a negative impact on employee
health in the form of respiratory problems, headaches,
and, fatigue, which in the long periods will reduce
productivity.

 Indoor air quality in sealed office windows are 10 times


more polluted than the outdoor one.

 Indoor air quality contributed 40% of absenteeism


among the workers due to some illnesses, and also,
there is an increase in the number of worker s claims on
related issues.

 The air quality contains four factors that are:


temperature, humidity, ventilation, and cleanliness.
 A comfortable office environment is a building or room in
which workers can generate their work properly as it
clean, with proper range of temperature, enough
ventilation, and an adequate humidity.

 In addition, the best temperature level for work in an


office is 68 degrees Fahrenheit. Humidity level of an
office environment has affect on the temperature level,
and recommended range of humidity level is between 40
and 60%.

 An appropriate humidity level may cause some damages


to the office environments.
 Too little humidity level may causes magnetic tapes and
disks to stick during processing operation, whereas too
much humidity, on the other hand, produces
condensation on the electronic parts of the equipment
and causes short circuiting
 All offices have some type of music playing in the
background.

 Music can affect emotional well-being, physical health,


social functioning, communication abilities, and cognitive
skills.

 Music in the workplace, either from piped-in music or


from a radio, is sometimes used to mask sounds.

 Music can provide mental stimulation while performing


monotonous tasks, which can help to reduce stress
levels in the office.

 Some people, however, find music in the office intensely


annoying, especially if it is too loud or inappropriate.
 Security has two dimensions, protection of the
organization’s physical property such as (equipment,
machines, and furniture) and protection of the
organization’s (data and records) that is stolen or lost will
have dire consequences on the organizations ability to
continue to function.

 Among the devices used to restrict accss are photo Ids,


pushbutton locks, card-lock system, and physical
attribute systems (finger-print and eye oriented
systems).

 Automatic light control system that are activated by


either motion or body heat sensors.
 install compact fluorescent lightbulbs. These lightbulbs
will save 80% in electricity use and costs, and last six
times longer

 lights should be turned off if you will be out of the room


for 5 minutes or more – even compact fluorescent light
bulbs

 use motion sensors for outdoor lighting. You'll still have


security and save electricity

 install ceiling fans instead of an air conditioner. They use


less energy;
 if you have to use the air conditioner, set the
temperature to be comfortable, not cold;

 plant small trees on the western side of your house to


shade it in summer. Consider planting deciduous trees
which let the sun through in winter. Use native trees as
much as possible;

 install well-fitting close weave curtains from a closed


pelmet. In winter these can significantly reduce the heat
lost through windows
