PLANNING Planning is the basic function of any management or an event.

In the words of Koontz and ODonnell Planning is deciding in advance what to do, when to do, and how to do. So it involves choosing and is to anticipate the future course of events So without proper planning, other management functions like organising, leading, and controlling are meaningless.

Getting started with planning of the workshop: Any event takes planning and requires efforts, but with the help of a group or team effort, even a little hard work results in a very successful event. The planning process for the successful completion of our workshop can be diagrammatically being shown as:

1. GOAL Goal is the mission that is responsible for the existence of the event. The goal of our workshop was to generate maximum funds that can help the NGO and the children it is supporting. 2. OBJECTIVE Objectives are the end results in the process of planning and for their attainment, planning is done. The objective of this workshop was to provide maximum help to the orphanage either in the form of financial or the entertainment purpose. Objective was to raise at least 10,000 rupees for the event that can be donated for the betterment of NGO and its children. 3. POLICIES POLICIES are those statements which are decided for the guidance of the employees. Our policy was to maintain sincerity in the work till the workshop is completed. 4. PROCEDURES Procedure determines the sequence of any work performance. VARIOUS PROCEDURES involved in our mission were: Laying down the chart of activities that included: Painting A magical show Singing & Dancing Selection of co-ordinators for being the part of workshop. Estimating and generating budget for the show.

Motivating the invitees to donate maximum for the good cause.

Deciding the workshop location and date: The organizers decided the workshop location and date as per their convenience. K.L. SAIGAL memorial hall, Jalandhar was the appropriate location to hold such an event.

Publicizing the event: The key to hosting a successful event is to publicize it well. You can put in all the time and raise all the money in the world, but if no one knows about the event, attendance will be low. So we publicized the event in Jalandhar and Phagwara through news papers and posters so that maximum audience can be generated and hence our motto for helping the NGO can be achieved.

5. BUDGETING OR FUNDRAISING Unfortunately, putting on an event is not free. Raising money for an event can be hard--but it can be done! Telling straight about the workshop can be a best option. Various charity or donation boxes were placed in the whole hall and outside. With the suitable campaigning, the fundraising was made.
