USE CASE

This presentation describes and explains a concrete use case which consists in saving the knowledge and the whole process of a project (non-specific tool). This case includes two main phases which are:

Creation and update of a data base constituted by all items of a project by all the participants, recurrent in the pre-design activities (documents, pictures, minutes of meeting, e-mail exchange and knowledge items).

Use of this data base as an example for next similar projects (in order to benefit from the past experiences), and to understand exactly what is the best way for this new case.

REQUIREMENTS

Constitution of the data base:


- Management of a complete data base of the past studies or projects, - Collecting and archiving of all documents (text, pictures, diagrams, maps, MoM etc.), - Making easier the storing process, - Connecting correlated information, - Friendly MMI (Man Machine Interface).

Data research :
- Powerful search engine in order to find quickly all the needed information, - Rights management for confidential information, - Possibility to have an overview of all the items linked with the concerned project on a map.

- 1 Insertion of documents
(main types of doc like Word, Excel, PDF, photos, sound)

- 2 Addition of Knowledge items


(an opinion on a subject)

- 3 Addition of meetings information


(Generally linked with MoM if possible)

- 4 creation of a glossary with definitions of specific words or acronyms.

Data search
(Same process for each items)

- 1 By lists
(Date, project, type, format, my items, for my attention)

- 2 By dynamic table
(Vertical & Horizontal filters, and with several other filters criterias like, date, language, author etc))

3 By natural queries
(Natural language or criteria's search)

- 4 By links
(With the graph function, when an initial file is selected)

CONCLUSION

Objectives fulfillment : This tool allows to store a lot of information of a project, and gives the possibility to save time by a quick search of the past experiences, when a new study is launched. To archive all the pertinent information is the main difficulty. Remaining work for next period : Working on rights management for confidential aspect. Deployment of real use cases (with a lot of projects and a very big data base). Using of dynamic tables as dashboard Upgrade of MMI. (Some functions need to be adapted)

INNOVATION

This tool is innovative because it allows to centralise and to store the historic of a whole project and it offers the possibility to re-find quickly the process already used (totally or partially if needed) in order to save time.
