Year 12 Formal After Party Dear Parents, Introduction This Letter sets out the arrangements for a private after party for the Year 12s and their guests to attend after their school formal on the 18th of May. It must be noted that this after party is not afFiliated with or endorsed by any school. A number of people have been involved in contributing ideas and offers of help to the host to ensure the party runs smoothly and safely. The After party will run from 12am - 3 30am. This form is for attendees that are paying for their formal date to attend this after party. There is a separate form for plus ones or those dates that are paying for themselves. Cost There will be an attendance fee of $50 per person. The money will go towards the venue and other event costs such as DJs, toilet hire, security, lighting, staging, food, water and marquee etc. The money is to be enclosed with the consent form and returned by the 3rd of May. Venue & Transport The venue will remain anonymous until the day before the event, in order to ensure privacy and that there are no gate crashers. The after party will be hosted at a private lane way within the Adelaide CBD. It is the responsibility of parents to organise drop off and pick up of attendees at the venue. Attendees will not be allowed to drive themselves to or from the venue, as there will be alcohol present at the after party. Organising parents will ensure on the night of the event that no attendee leaves the after party between the hours of 12:00am and 3:30am without a parent or guardian present. Attendees will be permitted to leave the after party at 3:30 without a parent or guardian present, or with another responsible adult if prior permission is given by that attendees guardian. (please see consent form below). Alcohol ALCOHOL WILL NOT BE SUPPLIED AT THE AFTER PARTY.

Guest are permitted to bring their own alcohol (a maximum of four cans) into the venue. This includes no glass or spirits. Security guards present at the event have the right to check individuals upon arrival if they are suspected of having spirits on them. All alcoholic beverages that are unopened upon entry of the after party should be presented to the organising parents to be stored safely in individual bags that coincide with the number that will be given to the attendee upon arrival. The organising parents have the right to refuse any attendee their alcoholic beverages if the parents consider them to be in an unFit state or if the attendee is behaving in a disorderly manner. Please note: in the event of an attendee being in this state the parents of the guest will be required to pick up the guest. This is why guardian contact details are required on the returned consent form. Alcohol is allowed however we understand some parents do not condone their children drinking and therefore parents have the right to refuse their child of permission to drink at the After Party. It is encouraged that parents speak to their child prior to the after party regarding their stance on them drinking and how much they should consume on the night. Food and beverages As alcohol will be present at this after party it is a requirement that we will abide by that organising parents will provide water and food for all attendees. Entry & Removal of Attendees There will be a strict door list so no-one will be able to attend this after party without payment or an invitation. As attendees arrive their names will be ticked off a spread sheet and they will be given a number which coincides with their drinks number. Any individual that is not on this list means they have either not paid or have not been invited and they will be asked by security to leave immediately. Photo identiFication will be required by attendees. As alcohol is permitted at this event it is understood that some attendees may try to take advantage of this and sneak spirits or illicit drugs into the venue. If a bottle or Flask of spirits or illicit drugs are found in the possession of an attendee the spirits/illicit drugs will be conFiscated immediately by security and the individual will be forced to leave the event or will be refused entry. Illicit drugs are illegal and it is important that all attendees note that they

are not condoned at this after party and in the event that they are found police will be notiFied. Health, Safety & Security The safety and security of the guests is of paramount concern. Professional security guards have been hired to ensure that the night runs smoothly and that all guests feel safe whilst at the after party. Please note that the security guards are there to protect all guests at the event and attendees should be aware they can approach any of the security guards at anytime throughout the night if they are feeling unsafe. Co-operation and responsibility It is encouraged that parents and attendee read the contents of this letter together so both parties are aware of arrangements in place for this after party. All reasonable steps will be taken by the organising parents to ensure that all the participants in this event enjoy themselves within a safe and secure venue. Past events suggests that excessive consumption of alcohol prior to the function causes most problems for organisers. It is the responsibility of parents and guardians of the attendees to ensure that the attendees arrive at the event in an appropriate state. If the professional security guards believe that they are already intoxicated by alcohol or drugs, a review will be done and entry may be refused to this individual. Conclusion Please use this letter as the basis of providing an explanation of arrangements to the parents of the attendees invited to the event. In order to help avoid unwanted gate crashers or notoriety about the event, please dont publicise these arrangements more widely than a need to know basis. The arrangements for this after party have been put together in conjunction with professional legal advice to ensure safety of the attendees and that all legal requirement of running an event like this are being satisRied.
