Synchronization with the Solution Manager

The following parts describe the initial and consecutive synchronization between ARIS and Solution Manager.

Initial synchronization
Before you can synchronize with the Solution Manager, you have to maintain the following settings in ARIS (These settings have to be maintained on each ARIS client!). The following settings can be maintained via the ARIS menu "View", "Options":

Definition of the solution manager: "SAP options", "Select server"

Click on "Register Windows Server": Based on the information of the saplogon.ini file all available SAP systems are listed. Select the relevant Solution Manager system. In the option "Register Web Server" you are able to specify a Web-Service-URL. The Web-Service-URL depends on the Solution Manager configuration. Please consult the ARIS-Manual for further details on the identification of the Web-Service-URL. All four options have to be selected for the "Solution manager" settings

Solution Managers options in ARIS

For each Solution Manager it is necessary to define the corresponding model types. A recommended setting is as following:

If you synchronize with various Solution Managers, it is possible to create different profiles for each Solution Manager by using the option "Method configurations" Before you can start modeling in ARIS you have to start an initial synchronization. In order to do that, you need to select an existing project from the Solution Manager. Based on the content of the Solution Manager the relevant models, assignments and the group structure are generated. Procedure: Create a new repository in ARIS

Create a new repository in ARIS

http://wiki.sdn.sap.com/wiki/display/ModHandbook/Synchronization+w...

Create a new project in the Solution Manager (for details please refer to Solution Manager documentation) Download available BPR content of SAP Solution Manager into the project. This step is optional (for details refer to Business Process Repository in SAP Solution Manager section) - Procedure: Right-click on the "Main Group" in ARIS, SAP, Transfer project...

Transfer ARIS project to Solution Manager

Select the Solution Manager Project

Solution Manager Project selection

Choose the elements for the synchronization

Elements for synchronization

Relevant options: Transfer Documents

Documents that are defined within Solution Manager at corresponding structural elements (Szenarios, Business Processes or Process Steps) will be shown as a Symbol within Function Allocation Diagrams in ARIS. The documents remain in the Knowledge Warehouse and are not copied to the ARIS Database. By double klicking the Documentation Element in ARIS the user gets transferred to the Solution Manager opening the document from the Knowledge Warehouse. Adding additional documents in ARIS are not synchronized to Solution Manager. These elements are only synchronized from Solution Manager to ARIS.

Transfer Master Data

Master Data Elements are created in ARIS as entity types based on the defined Elements in Solution Manager. These elements can be used to define input and/or output of process steps or to create a Entity Relationsship Model. These elements are only synchronized from Solution Manager to ARIS and not the other way around.

Transfer Organizational Units

Transfer Organizational Units

If this option is selected organizational units as defined in Solution Manager are automatically created within ARIS as corresponding elements. Choose further elements for the synchronization

End user role synchronization

Relevant Options:
This dialogue provides the selection of role types. Depending on the grannularity needed for process modeling the corresponding role types need to be selected. All role types are predefined in Solution Manager and synchronization is only from Solution Manager to ARIS. Additional roles created within are not being synchronized to Solution Manager.

Following synchronizations
The synchronization can be executed on each process related element (scenario, business process, process step). However it is necessary that the selected synchronization object is already available within solution manager. Otherwise the path to the selected object is unknown and the interface will return an error. In addition to that, a root synchronization object is generated during the initial synchronization in the main group of the ARIS repository. Using this root synchronization object, you can execute a full synchronization of the ARIS repository. The following illustration shows a full synchronization using the synchronization object (created during the initial synchronization):

Full synchronization to Solution Manager

In the following dialog you define the direction of the synchronization. The following settings have to be selected. "Include subordinate items" means that the complete assignment structure is being processed recursive and consequently relevant for the synchronization. "Start consistency check" helps to identify and resolve inconsistent elements before the synchronization.

In the following dialog the relevant structure elements are defined for the synchronization. The following settings have to be selected:

Synchronization of structural elements

Relevant options for this dialogue: Transfer Names:

Names refer to the naming of synchronization relevant objects like Scenarios, Business Processes and Process steps. Names are being transferred in both directions from ARIS to Solution Manager and the other way around. A later change of names is therefore no problem.

Transfer scope information:

For each process relevant element it is possible to define if it active or inactive. This is being done by double clicking the object and then select or deselect the "active" selection. If this option is selected all elements that are not marked as "active" are marked as "out-of-scope" within Solution Manager. This attribute is being synchronized in both directions.

Transfer new Items:

Decision whether new items/objects should be synchronized.

Transfer new Shortcuts:

Decision whether new shortcuts (occurrence copies) should be synchronized.

Transfer Keywords:
ARIS allows the usage of keywords as attributes for objects. These can be synchronized in both directions.

Consider Order:
It is possible to define the order of elements/objects within ARIS. This order is at the end only relevant for the structure of the business blueprint in Solution Manager. This option helps to define the right order for example according to naming convention. In the following dialog the synchronization of scope definition and transactions is defined. The following settings have to be selected:

Synchronization of transactions

Relevant options for this dialogue: Transfer scope information:

For each transaction it is possible to define if it is in or out of scope of the solution. This information is being synchronized in both directions.

Transfer new Transactions:

Decision whether new transaction are synchronized or not. Transactions are being synchronized in both directions. The following dialog defines the handling of deleted elements. To avoid a loss of data, it is advisable to set these deleted items only out of scope. These items will only be grayed out in the solution manager and be deleted later, if necessary.

Relevant options for this dialogue: Transfer deleted structural elements

Deleted elements are going to be deleted in Solution Manager if this option is selected.

Delete Shadow Objects and Shortcuts with Object Definition

If a definition is deleted all the corresponding shadow objects and shortcuts are being deleted in ARIS as well. This option is only applicable in the direction from Solution Manager to ARIS.

Transfer deleted Shortcuts

Deleted shortcuts are going to be deleted in the other system. This option is relevant for both directions of synchronization.

Delete deleted Elements from Project

Deleted elements are deleted in the other system. Attention: If the a scenario was deleted the whole underlying structure is going to be deleted in the other system. This affects both directions of synchronization.

Set deleted Items "Out of Scope"

If this option is set, the deleted elements are only set out of scope and not deleted from the other system. This affects both directions of synchronization. The provision of roles is carried out initially in the Solution Manager. These roles will then only be consumed in ARIS. New roles have to be manually created in the solution manager, since they are not transferred from ARIS to the Solution Manager (The other way around is possible!).

Transfer of end user roles

Relevant options for this dialogue: Transfer End User Roles (Project)
Transfer all selected roles to the project.

Delete End User Roles from the Project

If this option is selected all selected roles from below are deleted from the project. In the following dialog the settings for the web export of the repository are defined. First you select if you want to transfer or remove links and then the technology (either ARIS Business Publisher or ARIS Web Publisher) is selected. If you want to transfer the process models as URL to the Solution Manager you have to maintain the "URL part 1" field. The URL is provided by the ARIS Business Publisher or ARIS Web Publisher installation. Keep in mind to remove the GUID from the URL. The synchronization adapter will automatically add the corresping GUIDs to the URLs. By adding a GUID to the GUID field you can test the settings and the given URL.

Click "Finish" to start the synchronization. After the synchronization, a log file is provided:

Synchronization log file

The logfile can include warnings and/or errors. Warnings do not interrupt the synchronization process. Errors might interrupt the synchronization if the adapter faced to much inconsistency. The log provides further information about the possible errors or warnings.
