HONESTY CODE OF PRACTICE

Please ensure that you familiarise yourself with the detail of this.

The following honesty code of practice has been designed to protect you from being blamed for doing something dishonest. We feel that it is our responsibility to point out what is considered dishonest in Woolworths. This will ensure that you do not unknowingly do anything dishonest.

PLEASE NOTE: THESE REGULATIONS ARE HERE TO PROTECT YOU! CLOCKING FOR YOUR SHIFT
DONT WHY? Clock for another employee It is a breach of company policy and will be treated as the same severity as fraud, immediate disciplinary action will be taken DONT WHY? Forget to clock with your swipe card This can be perceived as being dishonest, and you may not be paid accurately.

ACTIONS TO AVOID
DONT Walk into the store with packages (i.e. returns and exchanges) without following the correct in-store parcel check in procedures. WHY? You cannot be blamed for placing merchandise that you have not paid for into the parcel. DONT Go to the sales floor without a supervisor/member of management being present. WHY? To protect you. If something goes missing or is stolen you cannot be blamed. DONT WHY? Leave your locker unlocked. The company is not responsible for any contents stored in the locker. If your locker is locked, there is less temptation for someone to steal your belongings. DONT WHY? Keep money on your person when operating a till or authorising at tills. To ensure that you cannot be held responsible for any money missing from tills. DONT Serve friends and family personally.

WHY?

So that you cannot be blamed for under-ringing goods for your friends and family, nor that money has been given out of the till.

DONT WHY?

Take more than your set tea and lunch breaks. Your line manager has planned for someone to cover for you while you go to tea and lunch. If you take longer other colleagues will be affected.

Put away stock under counters for any personal reasons. It could be suspicious. . It compromises stock accuracy, which in turn causes shrinkage.

DONT WHY?

Use company phones without permission. The company is responsible for paying the telephone account. Telephones should therefore be used for company business only, unless there are personal emergencies.

Use / answer your cell phone on the sales floor unless you are authorised to do so.

WHY?

Not only does this impact on productivity, but it could also appear suspicious and can result in poor customer service.

Use company property (equipment, office supplies etc.) for private use This impacts negatively on company profitability Open till drawer to tidy or open change without following the correct authorisation procedure (all no sales signed and annotated on the audit roll) and under the required supervision. (This does not apply to MATRA tills which do not have a audit roll)

DONT WHY?

Fiddle with the contents of the till drawer while not serving a customer. If money goes missing from the till you are operating, an unauthorised No sale on the till roll may look suspicious.

WHEN MAKING A STAFF PURCHASE

Keep your discount card in your handbag or in your store uniform during the day.

DONT WHY?

Take the card home with you at night. To protect you. You cannot be blamed for entering additional amounts onto your card.

Purchase anything without a member of Management, Supervisor or a

Pay point Controller being present. WHY? There can be no accusation that employees have a secret understanding between them to do something dishonest. DONT Take the parcel to the trolley without following the agreed parcel sign in process within the store (parcels are to be authorised by security/management and/or PPCs) WHY? This is to protect you. It confirms that Management or someone in a mandated supervisory/security capacity has witnessed the sale. Management reserves the right to inspect the purchases for accuracy and security reasons. DONT WHY? Keep food on your person or in your locker. So that you will not be looked upon with suspicion if food is stolen from the food market. When you make a food purchase it must be signed to this effect and taken directly to the dining room or placed in the purchase cage to be secured until the end of your shift. DONT WHY? Obtain a refund for yourself, without having your discount card adjusted. If the amount which is refunded is not deducted from your purchases, you will obtain more discount than you entitled to. DONT Take your discount card to another store, or enter a purchase made at another store by yourself. WHY? DONT It would look suspicious if you took your discount card out of the store. Have purchases made by friends or relatives entered on your discount card. WHY? Discount is available to you and your immediate family (husband, wife and dependent children) and not to friends and other relatives. DONT Borrow merchandise. Rather buy merchandise and if it is unsuitable you can obtain a refund. WHY? This is unauthorised possession of company property and could lead to dismissal and prosecution. DONT Have purchases bought with gift vouchers entered on your discount card. This does not apply if you received the gift voucher as a gift. WHY? You receive discount when you purchase gift vouchers (double discounts are not permitted). DONT WHY? DONT Obtain a cash refund for goods purchased on instalment. This is equivalent to an interest free loan, and is therefore dishonest. Return merchandise in other stores without proof of purchase.

Such purchases may not be correctly removed from your Woolworths discount card.

DININGROOM PROCEDURES
DONT WHY? Eat food without paying for it. It is dishonest not to pay for food you eat.

BUYING EXPIRED MERCHANDISE


DONT WHY? Place expired merchandise in your basket before it has been recorded. This causes shrinkage and creates stock inaccuracy. In addition, all employees must have an equal opportunity to purchase expired merchandise. DONT WHY? DONT WHY? DONT WHY? Enter expired merchandise onto your employee purchase discount card. Expired merchandise is already sold at very reduced prices. Eat expired (or any other) merchandise without paying for it. This is equivalent to unauthorised possession of company property. Bring family members to shop in the waste shop This is against company policy

WHEN ENTERING / LEAVING THE STORE


DONT Clock with another employees swipe card or ask another employee to take you swipe card and clock for you WHY? DONT WHY? DONT WHY? This can be perceived as being dishonest Stay on the floor after everyone has left. It would look suspicious if you were alone on the sales floor. Ask other people to collect your parcels from the employee parcel trolley. This regulation prevents people from taking other store members parcels without their permission. DONT Re-enter the store without having your parcels signed by a member of Management/ Security.

WHY?

There may be suspicion that you might have placed items that you have not paid for into your parcel.

Leave the store by any route other than approved employee exit without the express permission of management

It contravenes store policy and would look suspicious. Remove lost property from the store without the necessary authorisation This will be regarded as theft / misappropriation / unauthorised possession

PRACTICE WITHIN THE STORE

DONT WHY?

Reveal or share passwords of any kind Passwords are designed for security purposes. Revealing or sharing passwords compromises this and puts you as the password holder, as well as the business at risk.

DONT WHY?

Use or read other peoples email It is an invasion of privacy and contravention of company policy

GENERAL
DONT WHY? Be convicted of theft or fraud outside the company. This may lead to dismissal.
