Work instruction for CLEAN UP OF SOST

Reorganization of the data During the reorganization, documents that are no longer used are deleted. A document and the data related to it are not deleted if one of the following cases applies: 1. Send request is in the SAPconnect queue: Can use report RSBCS_DELETE_QUEUE (see Note 1244680) to delete message from Queue. 2. Expiry date not reached: Can use report RSBCS_SREQ_EXPIRE (see Note 1478279) to initialize the expiry of the document. Not in scope due to support pack release. 3. Send request is not yet released: Can you report RSBCS_SREQ_RELEASE (see Note 1238740) to release the request. 4. Relationship to application: Can you report RSBCS_SREQ_UNLINK (see Note 1276402) to delete the relationship created. 5. Documents from GOS link: Can user report RSGOSRE01 (see Note 567975) for deleting the GOS link. 6. Document is in a folder Here we must distinguish between several cases: Private Folders: you can use the RSSO_DELETE_PRIVATE report (see Note 922671). Shared folders: You can delete documents in shared folders using the Business Workplace. To delete the shared trash regularly, you can use the RSSOTRCL report. Hidden folder: To display and delete documents from the hidden folder, you can use the RSSODFRE report (see Note 567975). Sequence of running the reports for Reorg. 1. RSBCS_SREQ_RELEASE 2. RSBCS_SREQ_RELEASE This report will release the send request which is not yet released. -Specify the date for which you want to release the send request -Rest boxes can be left empty, uncheck the Test mode and if you want to have a detailed display that option can be ticked.

RSBCS_SREQ_UNLINK This report will release the existing link for the request. -Specify the date for which you want to release the link for request. -Rest boxes can be left empty, uncheck the Test mode and if you want to have a detailed display that option can be ticked

RSBCS_DELETE_QUEUE This report will release the send request which is in Queue. -Specify the date for which you want to delete the send request -Check on Messages and Status Notifications, uncheck Test mode. -Rest all fields can remain empty.

RSGOSRE01 This report will delete document link to GOS. -Specify the date for which you want to delete the link. -Select * for the object type. -Select all the document types as mentioned below and uncheck Test Run.

RSSOTRCL This report will delete the entire document in Shared folder. Specify the number of days for which you want to delete the document in Shared folder and execute it in Background

RSSO_DELETE_PRIVATE This report will delete the entire document in Private folder. -Specify the number of days for which you want to delete the document in Private folder with below options. -Check all the check boxes as mentioned below. -Select on Folder content and uncheck Test mode. Rest everything need not be changed.

This report will delete the entire document in Hidden folder. -Specify the number of days for which you want to delete the document in Hidden folder with below options. -Select * for Created by. -Check both the ticks under Links, uncheck Test mode

RSBCS_REORG This report will finally delete all data related to Business Communication Services (BCS). -Specify the number of days for which you want to delete related to BCS. -Check both the boxes for reorganization mode. - Check detailed Output and uncheck Test Mode. Rest can remain empty.

Check SOST, will all the mails are cleared. Documents with no expiry date will not be deleted as we do not have the program due to our Support pack level.
