Any act by which one person gives to or receives from another person information about that persons needs desires, perceptions, knowledge or affective states is called communication.

Business communication
Business communication is any communication used to promote a product, service, or organization with the objective of making sale.

Importance of business communication


Business communication is important in any business transaction. It helps the business to garner the clients trust and confidence. The presences of business communication ensure that there is a sense of professionalism in the business. Without business communication between all departments a business would be in disarray. Proper communication will keep a company running smoothly and efficiently. Effective business communication is the important for the survival and growth of the company, if there is good communication then all these who are part of the company will have pleasant relationships you will have better control as well as coordination in the company, if the communication in the company is effective through this people will able to understand matter clearly and there is the good climate in the company. Business communication does not just involve those who are inside the company but also those who are outside the company. Through business communication the business can become well organized, manager need to communicate properly when need for motivating workers, challenging them and recommending something for their improvement.

Types of business communication


There are two types of business communication in an organization: 1. Internal communication 2. External communication

1. Internal communication
Communication within an organization is called internal communication. It includes all communication within an organization. It may be formal or an informal. Good communication may help to increase job satisfaction, safety, productivity, and profit and decrease grievances.

Internal communication is further divided into three types: A. Upward communication B. Downward communication C. Horizontal communication

A. Upward communication
Upward communication is the flow of information from subordinates to superiors or from employees to management. This type of communication is needed in an organization to: 1. Exchange information 2. Offer ideas 3. Express enthusiasm 4. Provide feedback 5. Achieve job satisfaction

B. Downward communication
Downward communication is the flow of information from superiors to subordinates. This type of communication is needed in an organization to: 1. 2. 3. 4. 5. 6. Transmit vital information Give instruction Encourage 2 .way decisions Announce decisions Increase efficiency Boost morale

C .Horizontal communication
Horizontal communication normally involves coordinating information and allows people with the same or similar rank in an organization to cooperate or collaborate. 1. Verbal communication
In verbal communication message is transmitted verbally, communication is done by word of mouth and a piece of writing. Objective of every communication is to have people understand what are trying to convey. In verbal communication remember the acronym kiss (keep it short and simple).

Verbal communication is further divided into:


Oral communication Written communication

Oral communication

In oral communication, spoken words are used. It included face to face conversation, speech, telephonic conversation, video, radio, television, voice over internet. In oral communication is influence by pitch, volume, speech and clarity of speaking.

Written communication
In written communication, written signs or symbols are used to communicate. A written Message may be printed or hand written. In written communication message can be transmitted via email, letter, report, memo, etc. Message in written communication, is influenced by the vocabulary and grammar used, writing style, precision and clarity of the language used.

2. Nonverbal communication
The communication other than oral and written, such as gesture, body language, posture, tone of voice or facial expression, is called nonverbal communication. Non verbal communications have the following three elements:

Appearance
Speaker: clothing, hairstyle, neatness, use of cosmetics

Body language
Facial expressions, gestures, postures

Sound
Voice tone, volume, speed rate

Types of communication based on the purpose and style


Based on style and purpose, there are two main categories of communication, communication types based on style and purposes are: 1. Formal communication 2. Informal communication

1. Formal communication
In formal communication, certain rules, conventions and principal are followed while communicating message. Formal communication occurs in formal and official style.

Usually professional setting, corporate meetings, conferences undergoes in formal pattern. In formal communication, use of slang and foul language is avoided and correct pronunciation is required.

2. Informal communication
Its just a casual talk and face to face discussions. In informal communication use of slang words, foul language is not restricted. Usually informal communication is done orally and using gestures. Informal communication helps in building relationships.
