POLICY WRT RECORDING OF ATTENDANCE, WEARING OF IDENTITY CARDS & WORKING TIME FOR HO/BRANCHES/SITES (W.E.F 1/9/2012) I.

OBJECTIVE: Recording the attendance - To record the attendance and bring discipline at work. Wearing of Identity Cards - To ensure that only authorized personnel are present in the Company premises. Working Time For unity of Control, Direction and instill discipline in the employees. II. III. SCOPE: All Employees. RESPONSIBILITY: Ensuring the attendance - Each individual, HOD /Corporate HR / Site HR. Wearing of Identity Cards - HR Department is vested with the authority and responsibility as regards issuing of Identity Cards and implementation of this policy. Working Time / Punctuality - Corporate HR/Site HR 1.0 RECORDING OF ATTENDANCE: KEY POLICY-CLAUSE: a. Recording of attendance shall be compulsory every time any employee enters or leaves the relevant premises. With a view to suffice with this requirement, the company has implemented the electronic attendance recording system (Biometric) at the HO/ Swastik Chamber Office & Kandla Workshop. b. Otherwise employee shall follow the attendance marking system established at respective places. c. All the employees working at locations other than the above mentioned will give their daily attendance to the Site HR / Admin.-In-Charge, who will in turn make a summary of the same and send it in Excel Sheet in the prescribed format on a daily basis. No request for late submission of Daily Attendance will be entertained other than for exigencies beyond control. d. All new entrants must sign the attendance register till the Thumb impression is

activated on the Electronic Attendance. e. Any change in scheduled off shall be effected from the first day of the month and intimation must reach the Corporate HR / Site HR at least two days before. f. Concerned HOD shall inform HR / Site HR for abnormal absenteeism of any employee. g. Attendance records from the Electronic Attendance / Register shall directly be used for calculation of Monthly Salary / OT. 2.0 WEARING OF IDENTITY CARDS: KEY POLICY-CLAUSE: a. It is mandatory for all the Fulltime Employees / Contractual Employees / Trainees of FFIL / PRL / Begg Cousland to have Identity Cards either in neck or in belt fix fashion. b. For new joinees / lost cards, the same will be issued within 1 weeks time from the date of joining / receipt of card lost information. c. Employees shall produce their Identity Card at any point of time on demand by the authorities while in transit in the company vehicle or any place in the sites or offices. d. Visitors / Vendors /any other person having an appointment to see an employee of FFIL should report at the security, fill in the entry pass and obtain a VISITOR Identity Card to access the employee he/she is seeking to meet. This is from the Security point of view. e. Each employee will be issued only a single Identity Card at a time. Any employee wrongfully holding more than one Identity Card is liable to be penalized. f. Each employee is responsible for safe keeping and preserving his/her Identity Card as it is. Any changes / alterations made on Identity Card by employee will be considered as forgery. g. Identity Card is FFILs property. It is mandatory to return the Identity Card to Company at the time of separation from the Company. Return of Identity Card will be recorded on the Clearance Form. h. Loss or robbery of Identity Card should be immediately reported to HR Dept. and concerned employee will apply for another Identity Card through prescribed procedure. He will also include an undertaking stating that the old card will be returned to company in case it is found at later stage.

Security Staff is authorized to check Identity Cards of the employees at any place within the Company Premises and will report violations to HR Dept. Security staff can also deny entry to employee not having Identity Card and later can give entry to such employee after establishing his/her identity, in consultation with HR Dept. Employees, who are found to be habitually / regularly breaking this policy, will be given a warning and then penalized or their entry will be denied and the person marked as leave / absent from work.

WORKING DAYS & TIMINGS: The workdays and timings for employees located at: Corporate Office/Swastik Chambers/Kochi Office/Delhi OfficeWork days from Monday to Saturday, with Saturday second half and Sunday full day being holidays. Timings from Monday to Friday will be 9.30 AM to 5.30 PM, and Saturday 9.30 AM to 1.30 PM. Mumbai WorkshopWork days will be Saturday to Thursday, Friday being the weekly off day. Kandla WorkshopWork days will be Monday to Saturday, Sunday being the weekly off day.

PUNCTUALITY: a. To maintain punctuality in attendance the following shall be observed: To debit one Half Day Casual Leave (CL) for three late comings / early leaving in a month. Total late comings and early goings allowed in a month is upto 3 Hrs. If the employee has no Casual Leave to credit, a one Half Day Privilege Leave would be deducted. b. No Employee can punch in his attendance and go for breakfast to the canteen after 9.30 AM. Strict instructions have been issued to the Canteen not to provide breakfast after 9.30 AM. c. Any employee having an urgent reason for leaving work must obtain permission from respective Project Manager/HOD /Supervisor prior to leaving the designated duty station. d. If employee goes out during Office hours on account of Office Work, he / she

shall fill-in the prescribed Out Door Duty form in the HRIS and the same to be approved by the HOD before he goes for the said Out Door Duty. e. For employees posted on certain types of jobs, such as Dispatch, House Keeping, Maintenance etc. flexible working hours has been prescribed, but in any case the total working hours will not be less than eight hours a day (including half an hour for lunch).
