i. Time & Date of receiving. ii. Vehicle Number iii. Product Description iv. Batch number confirmation v. Mfg. Date vi. Expiry Date vii. Items & each items batch must be segregated viii. Warranty ix. Supplier Name & Address x. Cold Chain Maintenance Note

2. There must be manual & computerized entries. 3. Inspection Report format. 4. In case of any issue, that must be recorded on receiving note.

Orders & Supplies

There must be computerized method to generate order. All orders received from the market should be vetted by the Distribution Pharmacist. Once order is generated 1st it must be picked and placed in dispatch area in the warehouse. Distribution Pharmacist will confirm item, batch numbers, expiry dates & delivery address either every thing is as per order. At the time of dispatch, generate invoices which must have batch number as of physical stock expiry dates. Incase of batch difference or expiry change invoice.

Delivery
Invoices must be with the supply no manual editing or batch difference is acceptable, unless manual editing is verified by Distribution Pharmacist. Warranty must be issued as per Drug Act 1976 & that must be duly signed by Distribution Pharmacist. The Pharmacist should verify the validity of Drug Sales License. To whom stock is issued. Incase of unlicensed premises, Pharmacist must not sign the warranty. Shipper name, vehicle number must be entered in system to avoid issues or tracking any kind quires by the Vendor Company or MOH. In order to make system efficient an activity is recommended, name mock recall, means trace the batch number of different products, those when and to whom dispatched to the market and verify your information from market.
