MODEL OF LETTER OF INTENT

I, the undersigned (Name, position), acting in the name of and on behalf of

the above organisation (Name, address), hereby certify that the
information contained in this grant application form is correct.

I hereby declare:

- that the proposed intervention, as specified in the application,

conforms to the expectations of our organisation;
- that the estimated budget of the intervention is in accordance with
local market prices;
- that our organisation conforms to all legal requirements and respect
national labour, health and environmental regulations and that we do
not use child labour in our activities.

I have taken note of the fact that the intervention application will be the
subject of internal assessment by the PROINVEST evaluation committee
which undertakes to deal with all information supplied in the strictest
confidentiality.

In the case of our intervention application being accepted by PROINVEST,

our organisation undertakes:

- to meet the charge of a minimum of 33 % of the cost of intervention

and to supply, on request from PRIMS, evidence that these charges
have been met;
- to conform to the PROINVEST regulation on market consultation for the
selection of service providers requested for the proposed intervention
(comparison of at least three proposals from three different service
providers and selection of the most advantageous proposal);
- to keep records of the market consultation carried out (copy of the
tenders, evaluation report) for any audits;
- to collect all the original supporting documents relating to expenses
incurred from the various service providers and suppliers and to remit
them to PRIMS together with our final financial report;
- to take all necessary steps to ensure that the intervention is
undertaken as well as possible in the best conditions and to inform
PRIMS immediately of any event likely to have an effect upon the
proper running of the intervention;

- to release PRIMS from any liability arising from the execution of the
intervention;
- to provide PRIMS or EC auditors with free access to all documents and
premises directly relating to the intervention for up to five years after
the completion of the intervention.

I also take note of the fact that the PRIMS carries out regular assessments
of the impact of its interventions on the beneficiary organisations.

In this respect, we undertake:

- to provide PRIMS with an assessment report within the two weeks
which follow the completion of the intervention;
- to reply as soon as possible and as fully as possible to any assessment
request from PRIMS, for up to 24 months after the completion of the
intervention.

I authorise/I do not authorise PRIMS to use our name/our project for

PROINVEST’s promotional purposes. (publication in the PROINVEST
newsletter or in other specialised magazines)
