Case Study - Birthdays R Us

John Pilkins is the Managing Director of a small event management company specialising in childrens parties. The business has grown from strength to strength thanks to his increasing numbers of satisfied customers who passed his name on to their friends. However it has now grown to the point where things have started to get a bit unmanageable in the last few months orders have disappeared and entertainers have been complaining about last minute bookings. John believes he needs to set up a computerised information s ystem to handle the companys affairs. The all inclusive party service offered by the company encompasses the following: Catering: the company offer a range of 10 catering options (from a sausage roll and crisps option through to a deluxe silver service option at 50 per person). Catering is charged per head, and only one catering option is permitted per party. Equipment hire: the company has a large range of equipment which can be hired for a party, for example trampolines, bouncy castles, and even fairground rides. These are charged a flat rate per day, even if the party is for one or two hours, as the company needs to price in the cost of transport, assembly etc. Entertainment: Birthdays R Us has a large number of entertainers on their books, ranging from clowns and magicians through to makeup artists and singers. The company publishes a catalogue of available entertainers and hourly rates. Entertainers are booked for a minimum of 2 hours. The company invoices the charges and pass on 80% of the fee to the entertainers, keeping 20% of as booking commission. Recently there have been problems keeping up with entertainers who increase their fees. On more than one occasion, an entertainer was paid at an incorrect rate, which led to some bad feeling between the entertainer and the company, before the problem was sorted out. Customers placing a party bookings are obliged to take a catering package, but other services are optional. On booking, customers will list the equipment and/or entertainer types they required. The company will then look at the booking diary to see whether the equipment is available. If it is, it is booked for the party; occasionally the equipment is not available, in which case the administrator will get back to the client to ask whether the client would like an alternative item of equipment. At this point the client may decide they do not, and cancel the order. The administrator will also contact the required entertainer(s) to ask whether they would be available for the booking; Once this is confirmed, the party booking will be confirmed and the customer will be asked to pay a deposit of 50% of the total party costs. The balance is invoiced, to be paid within 7 days of the date of the party. Once the payment is received, the entertainers are then paid. If payment has not been received within 7 days, the company will telephone customers to remind them of the outstanding sum; If no payment is forthcoming after 30 days, the company will send a letter threatening legal action. John Pilkins is intent on expanding the company as far as he can take it he is picturing a scenario where the system will be able to send out letters automatically to clients a month before their birthdays, to encourage more business, where debtor letters will be sent out automatically, etc. John has told employees that he would like to go for full computerisation so that we can be as efficient as possible but Freda Payne, the current administrator, is worried that she has not had that much to do with computers and may not be able to cope. Elsie Tanner, her 19 year old assistant, was rather pleased initially by the news because she believed she might be elevated to a better job, saying Im pretty good with Microsoft, Ill be able to sort this place out. She has subsequently learned that John is to bring in an external consultant to develop a the system and is unhappy with this: This person doesnt know how we do things around here why cant I help?.
