Setting up MultiSite Administration
MultiSite Administration was initially configured as part of the installation process, which
is explained in detail in Avaya Integrated Management 2.1 MultiSite Administration
Configuration, 555-233-137, which is available from the Integrated Management home
page.
This topic does not repeat the installation and configuration process described in that
document. Instead, this topic explains how you can view or change the configuration
information that has already been set up in MultiSite Administration.

Configuring an MSA Server


This procedure describes how to configure a MultiSite Administration server.
Only MultiSite Administration administrators (those with super-user permissions) can
perform this activity.

Click the MSA Manager tab in the Browser Pane.

Click MSA Server Configuration.


MultiSite Administration displays the Server Configuration wizard.

Click Next to start the wizard. Complete the fields on each page and click Next to
move to the next page.

Click Finish.

Adding users to MultiSite Administration

Click the MSA Manager tab in the Browser Pane.

Click MSA User Configuration.

Click the MSA Users tab.

Click Add User.


MultiSite Administration displays the Add User screen.

Complete the Add User to MSA dialog box.


If a field is not applicable, leave it blank.

If you want this user to have super-user permissions, select the Super User check
box.
Doing so gives this user access to the MSA Manager tab.

Click Add.
If you entered insufficient information, an error message will appear. Otherwise, a
message will indicate that the addition was successful and MultiSite Administration will
display the User Configuration screen.

Give this user access to voice systems registered in MultiSite Administration.

Creating a custom privileges profile


By default, all users you add to MultiSite Administration will have full privileges on the
voice systems you specify. However, you can create and assign a custom privileges
profile to user. With this custom privileges profile, you can restrict users from accessing
certain objects within the MultiSite Administration System Manager. For each object in
the System Manager, you can select whether the user has no access, read-only access,
or full access.
To create a custom privileges profile:

Click the MSA Manager tab in the Browser Pane.

Click MSA User Configuration.

Click the Define System Manager Custom Privilege tab.

In the Custom privilege name box, enter the name for the custom privilege profile you
are creating.

For each Station Manager object, select the option button for the type of permission
you want to assign.

If you want this user be able to use Quick Commands, select the Use Quick
Command check box.

If you want this user to have access to reports via the List/Display button, select the
Full access to reports via List/Display button check box.

If you want this user to be able to access other users jobs in the Translation
Summary, select the Access other users jobs in Translation Editor check box.

When finished, click Done.


If you entered insufficient information, an error message will appear. Otherwise, a
message will indicate that the addition was successful and MultiSite Administration will
display the User Configuration screen.

Adding a UDP group


A UDP group is a set of voice systems that use the Uniform Dialing Plan (UDP) feature of
Avayas Communication Manager Software.

Initializing voice systems


After you assign a messaging system to MultiSite Administration and start the queue for
that system, then complete the following steps to initialize the voice system:

Starting the queue


The queue must be running before you can use MultiSite Administration to administer
voice systems or messaging systems. The people who installed and set up MultiSite
Administration started the queue initially, after they added the voice system to MultiSite
Administration. Any time you restart the MultiSite Administration server or upgrade to a
new release of MultiSite Administration software, the queue will restart automatically. If
you ever stop the queue manually, then you must follow the steps below to start it again.

From the MultiSite Administration main screen, click the MSA Manager tab.
If you dont see the MSA Manager tab, click here.

Click System Resources.

Click Start Queue.

Click Save Changes.

Additional Functionality

MultiSite Administration offers graphical phone illustrations in the station administration


screens. You can assign features to phone buttons by clicking a button on the picture!
MultiSite Administration validates the data you enter for extensions and ports, as well as
ranges and field types before it sends data to a voice system.
You can run jobs in real time or schedule them to occur later.
If you schedule a job, when MultiSite Administration runs the job it performs detailed
logging and if errors occurred MultiSite Administration will notify you when you enter the
application.
If your Communication Manager software lets you view an object, then MultiSite
Administration also lets you view it, using "list" reports or "display" reports that are
accessible from the MultiSite Administration Report Manager.

Cutting through to a system


Using the cut through icon on the toolbar, you can open a Java Terminal Applet (JTA)
window and log into the voice system. When you cut through to a system, you will use an
admin port on that system.
To cut through to a system, complete the following steps:

Click the Cut Through icon on the toolbar.


A message box appears.

Click OK.
The Cut Through window appears and displays a login prompt. The voice system you
want to log into is displayed in the title bar of the window.

Enter your login, and press ENTER.

Enter your password, and press ENTER.


You are prompted to enter the terminal type.
NOTE:
The Cut Through window only supports the VT220 terminal type.

Using This Product

Enter VT220 and press ENTER.


The IP address and TCP port of the voice system to which you are connected are
displayed at the bottom left of the window. The status of your session (for example,
"online" or "offline") is displayed at the bottom right of the window.
While using the Cut Through window, status of your session (that is, whether you are
logged into the system) is displayed at the bottom of the window. When you are logged
into the system, the IP address of the voice system and the TCP port you are using are
displayed.

Logging into MultiSite Administration
Before you can log into MultiSite Administration, you must have a login ID and password.
The login ID and password were created by your MultiSite Administration Administrator (a
super user). If you dont know your login and password, check with that person.
To log into MultiSite Administration, complete the following steps:

In the Name box, enter a login ID.

In the Password box, enter your password.

Understanding log files


What is a log file?
A log file is a history of the activities that have been submitted, through MultiSite
Administration, to be processed on a voice system or messaging system. Log files may
also contain messages from the MultiSite Administration application that you are currently
in.
All successful translations are logged as they are removed from the Translation Editor
screen. If translations are scheduled for unattended processing, detailed logging occurs.
If errors occurred, you will be automatically notified upon entry into the application.
A log file is not a history of all activities on the voice system. If someone cuts through to
the voice system, for example, it is possible that changes would be made directly to the
voice system and not go through MultiSite Administration. MultiSite Administration gets
updated with all such changes.

Types of log files


There are two types of log files within MultiSite Administration:

the master log file


application log files

The master log file contains messages from all of the application log files. The application
log files exist for the System Manager, Station Manager, Report Manager, and Data
Manager applications.
How can I view a log file?
How you access the log file depends on which "manager" is currently active. In addition,
in some of the "managers", it also depends if an application log file exists. In those
"managers," an application log file will display if there is one, and the master log file will
display if there is no application log file. In other "managers", it works differently.
You need to a) learn the pathway to the log file in each "manager" b) be able to recognize
the appearance of an application log file versus the master log file.

Understanding templates
A template is a file that contains stored settings. You can use templates to streamline the
process of performing various routine MultiSite Administration activities. Templates save
the data that you enter, so you can perform similar activities later without re-entering the
same data.
MultiSite Administration allows you to create, store, and use templates to simplify the
tasks of adding stations, adding other objects, running reports, or exporting translations.
MultiSite Administration offers several prepackaged templates, and you can create your
own, as well.

The display area


Widening the display area

MSA Toolbars
The toolbar displays icons for commonly performed tasks. The first 6 icons are dictated
by MultiSite Administration. However, you can customize the icons to the right of these
first 6. The toolbar can contain a maximum of 20 icons.
Toolbar Editor: Clicking this icon allows you to customize
the toolbar.

System Properties: Clicking this icon allows you to view


the "system properties" associated with the given voice
system, including information like name, IP address, and
so on.
System CutThrough: Clicking this icon launches the Cut
Through window, which is a terminal emulation window
that enables you to log into the voice system.
View Log Files: Clicking this icon allows you to see a
history of general activity on the MultiSite Administration
server, and activity on the voice system that has been
initiated by an MultiSite Administration user.
View Scheduled Entries: Clicking this icon lets you view
the reports and commands that are currently scheduled to
occur on the given voice system.
Station Wizard: Clicking this icon starts the Station
Wizard, which allows you to perform various station
administration tasks.

Purpose
The Browser Pane is essentially a graphical menu that displays icons for the activities

Understanding the System Manager


Purpose
This category on the Task tab of the Browser Pane allows you to create and edit
translations that affect your entire voice system, rather than a specific extension.
Access
In the Browser Pane, click the Task tab, and then click the System Manager category.

Use the up and down arrow keys on the interface to scroll to the different icons.
Click an icon in the Browser Pane to display the associated screen in the right pane of
the screen.

Purpose

Understanding the Report Manager


Purpose
This category on the Task tab of the Browser Pane allows you to create and manage
reports. This interface can get any report available and save or print it. Choose from a
comprehensive list of custom reports that can be delimited and imported into other
programs, or use them "as is". The reports module will analyze and summarize your
voice systems configuration and provide port and extension information needed to add a
station.
Access
In the Browser Pane, click the Task tab, and then click the Report Manager category.

of the screen.

Using This Product

Understanding the Data Manager


Purpose
The Data Manager lets you build templates for collecting information from your voice
system, schedule the data collection, and view the results.
Access
In the Browser Pane, click the Task tab, and then click the Data Manager category.
Other Reference
Administrative commands are scheduled from the MSA Manager tab. Reports are
scheduled from the Report Manager on the Task tab. Changes to stations are scheduled
from the System Manager module, Station icon on the Task tab.
Use

Click List Reports.


MultiSite Administration displays the List Reports dialog box.

Complete the List Reports dialog box and click Next.

Select the type of report you want to create (or use) a template for and click Next.
MultiSite Administration runs the report and displays the results in the Report Output
screen.

Purpose
The Tree tab displays folders containing shortcuts to Communication Manager software
commands and lets you execute those commands by double-clicking any given shortcut.
Access

This topic assumes that you know what a template is. By "applying" a template, we mean
making the data that has been saved as a template become part of the activity that you
are currently performing. Before you can apply a template, you must create a template.
This topic assumes you have already created one.

Copying templates
Before you can copy a template, you must create a template. This topic assumes you
have already created one.
To copy a template, complete the following steps:
1

In the MultiSite Administration Browser Pane, click the Task tab, and the appropriate
icon for your activity.
MultiSite Administration displays the appropriate list screen for that icon.

From the Tools menu, choose View Template.


If you do not see this menu, click here. MultiSite Administration displays a screen listing
all public templates that have been saved in MultiSite Administration, and all private
templates saved by you.

Click either the Public or Private tab.

Select the template you want to copy and click Copy.

Give the copy a name.

Click OK.
MultiSite Administration saves the new template and adds it to the bottom of the list.

Do one of the following:

To exit the screen, click Cancel.


You can double-check that it is there by reopening the View Template list. It should
appear in alphabetical order this time.
To edit the highlighted template, click OK.
Be sure the correct template was highlighted. MultiSite Administration does not
automatically highlight the template that was most recently created.
To delete the new template, highlight it from the list and click Remove and OK.

To delete a template, complete the following steps:

In the MultiSite Administration Browser Pane, click the Task tab, and the appropriate
icon for your activity.
MultiSite Administration displays the appropriate list screen for that icon.

From the Tools menu, choose View Template.


If you do not see this menu, click here. MultiSite Administration displays a screen listing
all public templates that have been saved in MultiSite Administration, and all private
templates saved by you.

Click either the Public or Private tab.

Select the template you want to delete and click Remove.

Click OK.

Creating a new station


There are several ways to create a new station using MultiSite Administration. Choose
the option below that works best for you.
Option 1
1

Click the Task tab in the MultiSite Administration Browser Pane.

Click Station Manager.

Click Create a new station.


MultiSite Administration displays the Station wizard.

Complete the wizard.


As part of the process of completing the wizard, you can apply a station template (if you
have created one). However, you can also create a station without using a template. If
you do not apply a station template, Station Manager enters default field values, which
you can change (for the given station) to suit your needs.

Option 2
Choose this option if you already know the extension number that you want to give to the
new station.

Click the Task tab in the MultiSite Administration Browser Pane.

Click either Station Manager or System Manager.

In the "Quick Command" field (on the right side of the screen), type add station
nnnn where nnnn is the extension number you are giving the new station.

In the confirmation dialog box, click OK.

Complete the Station Administration screen.

Using This Product

Option 3
Choose this option you prefer to view a list of existing stations before deciding what
extension number to give to a new station.

Click the Task tab in the MultiSite Administration Browser Pane.

Click System Manager.

Click Station.
MultiSite Administration displays a list of stations currently assigned on this voice system.

Click Add.

Specify the extension number of the station that you want to add and click OK.
MultiSite Administration displays the Station Administration screen.

Complete the Station Administration screen

Option 4
Choose this option if you prefer that the voice system automatically assign the next
available extension to the new station.

Click the Tree tab in the MultiSite Administration Browser Pane.

Double-click the folder called Station.

Click the entry called add station next.


MultiSite Administration displays the Add dialog box.

Verify that the settings are correct and click OK.


MultiSite Administration displays the Station Administration screen.

Complete the Station Administration screen as you normally would.

Creating station templates


This topic assumes that you know what a template is. By "station templates," we mean
templates that you would use when creating a new station.
Station templates save all fields/features specified except extension, port, room, cable,
jack, building, floor, and security code, which are unique for each station. There are
multiple ways to create station templates. Choose the option (below) that works for you:
Option 1: From anywhere in MultiSite Administration

Click the Task tab in the MultiSite Administration Browser Pane.

Click Station Manager.

Click Create a station template.


MultiSite Administration displays the Create a station template wizard.

Complete page 1 of the wizard and click Next.


MultiSite Administration displays the Station Administration screen, showing a picture of
the phone that you selected.

Complete the Station Administration screen.

Click Done.
MultiSite Administration displays the Enter Template File Name dialog box.

Type a name for the template.


MultiSite Administration will add a .tpl extension when it stores the template.

Select Private Template or Public Template.


Private templates block general access to the template. Public templates can be used
without your permission.

Click OK.

Option 2: If you are already creating or changing a station


This option works well if you are already creating or changing a station using the Station
Administration screen. You can save the settings as a template as follows:

From the Template menu, choose Save template.

Type a name for the template.


MultiSite Administration will add a .tpl extension when it stores the template.

Select Private Template or Public Template.


Private templates block general access to the template. Public templates can be used
without your permission.

Click OK.

Removing stations

Click the Task tab in the MultiSite Administration Browser Pane.

Click Station Manager.

Click Remove existing station(s).


MultiSite Administration displays the Remove existing stations wizard.

Specify the stations you want to remove and click Next.


Either select from existing stations or enter the extensions. Separate extensions with
commas. Type in ranges using a dash.

Specify if you want the station extension removed from its associated messaging
system.
The stations are automatically removed from any associated groups.

Changing set types


To change the type of phone associated with a specific extension on your voice system,
complete the following steps:
1

Click the Task tab in the MultiSite Administration Browser Pane.

Click Station Manager.

Click Change station voice terminal set types.


MultiSite Administration displays the Change station voice terminal set types wizard.

Specify whether all or only some stations are changing set types:

If all stations are changing, select "All exts to new set type."
If only stations of a particular set type are changing, select "Only exts of specific set
type."

Type the extensions to be changed.

If you chose "All" in Step 4, specify the new set type and click Next.

If you chose "Only" in Step 4, specify the old and new set types and click Next.

(Optional) Specify a template to use.

Click Finished.

10 Specify when to process the job and click Go.

Changing feature buttons


There are multiple ways to perform this activity.
Option 1
1

Click the Task tab in the MultiSite Administration Browser Pane.

Click Station Manager.

Click Change station feature button(s).


MultiSite Administration displays the Change station feature button(s) wizard.

Specify the stations you want to change and click Next.

In the field called "Change ALL feature buttons of current value," enter the feature
button that you want to change.
Click Set Feature Button Value for a list of feature buttons. Note: Features are
separated with commas.

In the field called "To new feature button value," enter the new feature button that you
want to replace the old feature button.

Click Next.

Specify whether the above change should be made to a specific set type only, or all
set types.

Click Next.
MultiSite Administration changes all feature buttons that meet the specified criteria. If a
station listed does not exist or contain the button value, it will be skipped.

Option 2
1

Click the Task tab in the MultiSite Administration Browser Pane.

Click the System Manger category.

Click the Station icon.


MultiSite Administration displays the appropriate System Manager screen.

In the list of stations, select the station you want to change and click Change.

Click OK to the confirmation dialog.


MultiSite Administration displays the Station Administration screen.

On the picture of the phone, click the button you want to assign a feature to.

In the screen that appears, pick the feature that you want to assign to the button.

Click Assign.

Repeat Steps 6 through 8 for each button you want to assign or change.

10 On the Station Administration screen, click OK.


11 Complete the "Select" screen.

Using This Product

Swapping stations
This procedure explains how to swap similar types of voice terminals; for example, digital
for digital, analog for analog, or ISDN for ISDN.

Click the Task tab in the MultiSite Administration Browser Pane.

Click Station Manager.

Click Move an existing station by swapping it with another.

Enter extensions to swap and information in the fields available.

At the bottom of the dialog box, check specific fields to swap.


If no fields are marked, only new values are used. If no fields are checked, values on the
voice system are preserved. The ports are automatically swapped.

Click Next.

Click Finish.
MultiSite Administration displays a dialog box that asks what you want to do with this job.

Complete the dialog box.

Remember to physically swap the phones.

Moving multiple stations

Click the Task tab in the MultiSite Administration Browser Pane.

Click Station Manager.

Click Move multiple stations to new locations/names.

Enter the extension of the station you want to move.


Press Enter after entering data in each cell, press F2 to edit existing data. Click View
Current Exts to view a list of extensions that you can highlight to populate this screen.

Enter the new port number.

Enter any other new information.


If you do not enter a value in a field, the existing values on the voice system will be
preserved.

Repeat Steps 4-6 for each station you want to move.


Enter information for each station, one station per line. Click New Row to create a new
row.

Click Finish.
MultiSite Administration displays a dialog box that asks what you want to do with this job.

Complete the dialog box.

Moving people among groups


This process involves removing the extension from groups and then, if desired, adding it
to others.

Click the Task tab in the MultiSite Administration Browser Pane.

Click Move person among groups.

Changing station extensions


This procedure enables you to perform the "change extension-station" command on
multiple stations at one time.

Click the Task tab in the MultiSite Administration Browser Pane.

Click Station Manager.

Click Change Station Extensions.


The Change Station Extensions screen appears.

Enter the extension of the station you want to change.


Press Enter after entering data in each cell.
Click View Current Exts to view a list of extensions that are currently assigned.
After you enter an extension, click Get Current Values For Selected Ext From System
to retrieve the current name, message lamp extension, and emergency location
extension from the voice system.

Enter the new extension number.


Click View Available Extensions to view a list of extensions that are currently available.

Enter the new message lamp extension.

Enter the new emergency location extension.

If you want to change another extension, click New Row and repeat Steps 4-7 for
each extension you want to change.

If you want these changes to be made on the associated messaging system, select
the Change Associated Subscriber Mailboxes check box.

10 Click Finish.
MultiSite Administration displays a dialog box that asks what you want to do with this job.
11 Complete the dialog box.

Using This Product

Moving stations in the same ENP network


This procedure enables you to move one or more stations from one voice system to
another while maintaining the same extension. The stations you move can be imported,
obtained from a search, or entered manually.
NOTE:
The current voice system on which the stations reside and the destination voice system
must be in the same UDP groups.
To move stations in the same ENP network:
1

Click the Task tab in the MultiSite Administration Browser Pane.

Click Station Manager.

Click Move stations in the same ENP network.


MultiSite Administration displays the ENP Move Station wizard.

MultiSite Administration offers many different ways to add translations to your voice
system. This topic explains the general process. For information on performing a specific
activity, refer to the Index and Find tabs within this online help system.
To add translations using MultiSite Administration, complete the following steps:

Click the Task tab.

To administer any other object on your voice system, click System Manager.

Do one of the following:

Hold this translation in the Translation Editor dialog box for later editing / processing.

Using This Product

Creating object templates


This topic assumes that you know what a template is. By "object templates" we mean
templates that store information about Communication Manager software objects other
than stations. For instructions on creating station templates, see Creating station
templates.

Click the Task tab in the MultiSite Administration Browser Pane.

Choose Tools>Create Template.


If you do not see this menu, click here. MultiSite Administration displays the Create a
Template screen.

From the "Select the object to create template for" drop-down list, pick the object you
want to create a template for and click OK.
MultiSite Administration displays one of many possible screens, depending on the object
you picked in the previous step.

Complete the screen that appears and click OK.

Name the template file without an extension.

Select the category (private or public) for the template.


Public will allow others to be able to use the template. Private allows only you to have
access.

Click OK.

Importing translations
This feature lets you define and import a text (.txt) file or a .csv (comma-separated
values) file.
To use this feature, complete the following steps:

Click the System Manager.

MultiSite Administration displays the Import screen for that object.

Exporting translations
By "exporting translations," we mean saving a copy of data into a text file in a format
suitable for use with a third-party spreadsheet or database application. With MultiSite
Administration, you can save a copy of the data that is generated by any Communication
Manager software commands (as explained below).
To export translations, complete the following steps:

Click the Task tab.

Click Data Manager.

Click List Reports.


MultiSite Administration displays the List Reports dialog box.

In the List Reports dialog box, select Database format and click Next.
MultiSite Administration displays the Reports dialog box.

In the Reports dialog box, select the command-object that corresponds to the data
you want to export, and click Next.
If the object that you selected requires a qualifier, then specify the qualifier in the dialog
box that appears. To learn more about any of these commands, see Chapter 19,
"Command Reference," in the Administrators Guide to Avaya Communication Manager
Software, 555-233-506, Issue 4 (May 2002).
MultiSite Administration then displays the Template dialog box.

Complete the Template dialog box.

Duplicating translations
To duplicate translations, complete the following steps:

Click the Task tab.

Click System Manager.

Click the appropriate icon for the object you want to change.
MultiSite Administration displays the appropriate System Manager screen.

Highlight the object you want to copy and click Duplicate at the bottom of the screen.
MultiSite Administration displays the Duplicate dialog box for this object.

Complete the Duplicate dialog box and click OK.


MultiSite Administration displays the appropriate "add" screen for this object. For
example, if you are duplicating a station, it displays the Summary of Duplicates screen.

Change the screen as appropriate.

Click OK.

Changing translations
To change a translation, complete the following steps:

Click the Task tab.

Click System Manager.

Click the appropriate icon for the object you want to change.
MultiSite Administration displays the appropriate System Manager screen.

MultiSite Administration displays the Change Station screen.
When you need more information to administer the object (for example a station), click
the List/Display button at the bottom of the screen to see the most current information.

Specify any necessary qualifier for the object you want to change.
For example, if you are changing a station, specify which station you want to change.
Click Select from current station data to select the station from an list.

Click OK.
MultiSite Administration displays the Station Administration screen.

Change the Station Administration screen as appropriate.

Click OK.

A "global change" is a change you make to all translations that meet specific criteria. For
example, you might want to change all stations that currently have 2500 set types to
8406D sets. The Global Change feature will change field values across multiple valid
objects. Not all fields presented are valid for all set types.
To change a set of translations globally, complete the following steps:

Specifying page size, source, orientation, and margins


You can specify the paper size, source, orientation, and layout by choosing File>Page
Setup.

Polling manually for data


In a crunch, you can poll manually as described here. However, It is strongly
recommended that you simply set up the Scheduler to do this for you.
It is possible to manually get the report from the voice system, name it and place it in the
correct directory. This may be necessary if, for some reason, the Reports Manager could
not poll the voice system and you want data.

Connect to the voice system.

Click the Task tab.

Click Report Manager.

Click List Reports.

Click measurements trunk-group summary yesterday-peak

Click OK.

To save the data, follow the instructions for downloading in Report output screen.
The file name for polled reports is in a numerical format.

Changing the priority of a scheduled job


If, after you schedule a job to run, you want to change the priority of the job, complete the
following steps:
1

Open the View Processing Queue dialog box as follows:


a) If you have MultiSite Administration administrator privileges, click the MultiSite
Administration Manager tab and choose Processing Queue from the View
menu.
b) If you do NOT have MultiSite Administration administrator privileges, click the Task
tab and choose one of the following:

Click System Manager and then choose Processing Queue from the View
menu.
Click Station Manager and then choose Processing Queue from the View
menu.

Select a queued job.

Click Priority.
MultiSite Administration displays the Changing Job Priority screen.

Select a new priority number from the drop-down list.


0 is lowest priority. 10 is highest priority.

Click Apply.

Deleting a scheduled job


If, after you schedule a job to run, you want to delete the job, complete the following
steps:
1

From the System Manager or Station Manager, choose View Translations


Summary from the Tools menu.
The Current Translations Summary dialog box appears.

Select the scheduled job you want to delete.

Click Delete.

If you want to remove an active job from the queue viewer, complete the following steps:

Open the View Processing Queue dialog box as follows:


a) If you have MultiSite Administration administrator privileges, click the MSA
Manager tab and choose Processing Queue from the View menu.
If you do not see this menu, click here.
b) If you do NOT have MultiSite Administration administrator privileges, click the Task
tab and chose one of the following:

Click System Manager and then choose Processing Queue from the View
menu.
Click Station Manager and then choose Processing Queue from the View
menu.

If you do not see this menu, click here.

Select a queued job.

Click Cancel Job.


MultiSite Administration displays a confirmation message.

Click Yes.

Changing server information


After the MultiSite Administration server has been set up, you can change the information
about the MultiSite Administration server using the MSA Server Configuration wizard.
You might want to change this information if the physical location or the IP address of the
MultiSite Administration server has changed.

perform this activity.
To view server information in MultiSite Administration, complete the following steps:

Disconnecting a user from MultiSite Administration


Only MultiSite Administration administrators (those with super-user permissions) can
perform this activity.

Click the MSA Manager tab in the Browser Pane.

Choose View>Whos Logged On.


MultiSite Administration displays the Whos Logged On screen. You can set the screen
refresh rate from 1 to 60 seconds.

Select the user you want to disconnect.

Click Disconnect User From System.


The disconnected user will see a message indicating a "kill" by the administrator.

Changing passwords
To change your own password, simply start MultiSite Administration and at the login
dialog box, click Change Password and complete the Change Password dialog box.
To change another MultiSite Administration users password, complete the following
steps. Only MultiSite Administration administrators (those with super-user permissions)
can change other users passwords.
To change a users password and update the data on an established local user:

Click the MSA Manager tab in the Browser Pane.

Click MSA User Configuration.

Click the MSA Users tab.

Select the user of interest.

Click Update User.


MultiSite Administration displays the Update User screen.

Click Change Password.


MultiSite Administration displays the Change Password screen.

Complete the dialog box and click Change.


If the password does not meet the password requirements, MultiSite Administration will
display an error. Otherwise, MultiSite Administration will display a message that the
change was successful and then will display the User Administration screen.

Deleting destinations
This topic assumes that you know what a destination is.
There are multiple ways to delete a destination.
Option 1
If you are not a super-user, then you can delete only destinations that were created by
you. You cannot delete the private destinations of other MultiSite Administration users.
This option explains how to access the Destination Manager screen via the Data
Manager or Report Manager.

From the Schedule menu, choose Schedule or Scheduler.

Administration Screen menus


Whenever you access an administration screen (typically by choosing the Task tab, then
System Manager, and then an icon), the administration screen offers an additional,
unique set of menus. What the menus do depends on the object that you are
administering.
Template See Templates in the following section.
Apply Template: Lets you choose a template to apply to this object.
Save Template: Lets you save the current object settings as a template
View Template: Lets you choose a template to view.
Ports
Show Available Digital Ports: shows a list of unused digital ports on this voice system.

If You Don't See a Menu


The menus that are displayed in MultiSite Administration depend on several things:

which tab has been selected in the Browser Pane (Task tab or MSA Manager tab);
If the Task tab has been selected, then it also matters which category is showing;
If the Task tab has been selected and a category is showing, then it also matters if the
MultiSite Administration window has been refreshed. To refresh the MultiSite
Administration window, simply click the category (it is a button) and MultiSite
Administration will display the proper menus.

From the MSA User Configuration screen, MSA Users tab, click Add User.

Enter values in all fields that have a star (*) after the field name.

Specify whether or not this person should have super-user permissions.


Enabling the super-user checkbox lets this user view and use the MSA Manager.

Click Add.
MultiSite Administration inserts the information you entered as a new row on the MSA

Add User to Systems (dialog box)


Purpose
Once you have added a user to MSA, you can use this screen to give the new user
access to different voice systems.

Access
From the MSA User Configuration screen, Users on Systems tab, click Add User.
Use

From the User ID drop-down list, select the ID of the user that you want to assign
access to.
When you choose a user from the list, MultiSite Administration fills in the fields it can with
data you already entered in the Add User to MSA dialog box.

(Optional) Complete any other relevant fields.


If a field is not applicable, leave it blank.

Select the systems to which this user should have access.


To select more than one system, hold down the Ctrl key and click it.

Select the "managers" to which this user should have access.


The check boxes at the bottom of the dialog box represent the applications ("managers")
within MultiSite Administration. Select only those you want this user to be able to access.

MSA Server Configuration wizard


Purpose
The MultiSite Administration server is a Linux computer on which the MultiSite
Administration server software has been installed. After the installers install the MultiSite
Administration server software on the Linux computer, and before anyone begins to use
MultiSite Administration, the installers must provide the MultiSite Administration server
software with information about the Linux computer, such as its IP address. The MSA
Server Configuration wizard lets installers enter this information. Subsequently, the MSA
Server Configuration wizard enables MultiSite Administration users to view (but not
change) this information.

Access
In the Browser Pane, click the MSA Manager tab, and then click MSA Server
Configuration.

This information does not go into log files or any files that Avaya support personnel might

View or change the IP Address, Subnet Mask, and Gateway Address for the specific
server you have in mind.

(Optional) Click any of the Ping buttons to determine if the network connection to the
IP Address, Gateway, DNS server, or MultiSite Administration server are working.
You can also use the Ping buttons as a troubleshooting device.

Specify how long to wait before disconnecting an inactive MultiSite Administration


user session.

Messaging System Configuration (screen)


Purpose
After you install MSA and set up the MSA server, usually the next thing you do is "add"
messaging systems. When you "add" messaging systems to MultiSite Administration, you
are providing MultiSite Administration with the information that it needs in order to access
these systems, as well as display the system names in MultiSite Administration screens.
This screen lets you add messaging systems, view information about the messaging
systems that have been added, as well as change that information or delete it.

Access

System Resources (screen)


Purpose
After you install MSA and set up the MSA server, you can use this screen to specify how
MultiSite Administration communicates with the selected voice system.
This screen lets you specify the number of concurrent moves, adds, or changes (MACs)
to the given voice system. You can specify timeouts, as well as start and stop the queue
and initialize the voice system.

If the MSA Manager tab is displayed in the Browser Pane, click the System Resources
icon.

If you make a mistake, click Cancel and then re-open this window to start again.

Description

Total channels

For each applicable system (voice system, messaging


system 1, and/or messaging system 2), the total
number of communication channels that have been
set up between the MultiSite Administration server
computer and the current system are displayed.
Any "cut-through" (terminal emulation) sessions
launched using MultiSite Administration are separate
from these "channels". To use an extreme example,
you could set the total channels to 10, have 10 people
using MultiSite Administration simultaneously to make
changes to the voice system, AND have a terminal
emulation session open to the same voice system,
without any one of these connections blocking
another.
All MultiSite Administration connections, whether
"channels" or cut-through, go through the port that
was specified in the MSA Server Configuration wizard.
From the perspective of the voice system, all of these
connections look like a single MultiSite Administration
login on the voice system.

Dedicated channels

For each applicable system (voice system, messaging


system 1, and/or messaging system 2), specify how
many of the channels should be "dedicated."
Dedicated channels are constantly connected to the
selected system; they are opened when you start the
queue, and remain active until you stop the queue.
Standby channels are opened only when necessary.

Concurrent MACs

From the drop-down list, specify the number of


simultaneous moves/adds/changes (MACs) you want
to be able to send to the voice system.

timeout value

Specify the number of minutes that you want MultiSite


Administration to wait before it shuts down an inactive
session with a MultiSite Administration user. When
MultiSite Administration shuts down a session with a
MultiSite Administration user, the user must then log
back in to MultiSite Administration before they can
perform any activities using MultiSite Administration.

Standby voice

Standby channels are used only when all "dedicated"


channels are already in use. In this field, specify the
number of minutes that you want MultiSite
Administration to wait before it shuts down an inactive
session on a standby channel between the MultiSite
Administration server and the given voice system. The
value that you enter here must be greater than the
length of time required to create a List Station report.

Standby messaging
system timeout

Standby channels are used only when all "dedicated"


channels are already in use. In this field, specify the
number of minutes that you want MultiSite
Administration to wait before it shuts down an inactive
session on a standby channel between the MultiSite
Administration server and the given voice system.

(If appropriate) To start the queue, click Start Queue.


If you make a mistake, click Stop Queue.

(If appropriate) To stop the queue, click Stop Queue.


If you make a mistake, click Start Queue.

(If appropriate) To initialize the MultiSite Administration database that contains


information about this system, click Initialize System.
This process can take minutes or hours. Perform this activity during low-use periods.

Add UDP Group: UDP Configuration (dialog box)


Purpose
This screen lets you enter the information necessary to create a UDP group in MultiSite
Administration.

Access
This screen is accessible only by clicking Add on the Uniform Dial Plan Configuration
screen.
Use

In the "Name of Group" box, enter the name for the UDP group you want to create.

If you want the UDP tables of every voice system that you add to this group to be
updated automatically, select the Update UDP tables of all members automatically
check box.

If you want to create a local entry automatically in the UDP table of the voice system
when you add a station to it, select the Create local entry in UDP table of the voice
system when adding a station to it check box.

Click Members.
The Adding UDP Members to UDP group dialog box appears.

In the Available Systems box, select the voice system you want to add to this UDP
group, and then click ->.
The selected voice system appears in the UDP Group Member box.

Repeat Step 5 for each voice system you want to add to this UDP group.
UDP Groups must contain between 2 and 10 systems. If you make a mistake, use <- to
move any UDP group members back to the Available Systems box.

Click Numbering Plan.


The UDP Dial Plan dialog box appears.

Configure the dial plan and then click OK.

Click OK.

Task Scheduler (screen)


Purpose
The Task Scheduler allows you to schedule activities that many MultiSite Administration
users perform frequently. The Task Scheduler is also the only way to schedule the
following MultiSite Administration maintenance tasks, which are required if MultiSite
Administration is to function properly:

Cache Update
Housekeeping

You can also use this screen to schedule any of the other (optional) tasks. The tasks are
described in the lower-right corner of the screen. You can select different tasks to view
the descriptions.

Access
You can access the Task Schedule in the following ways

If the MSA Manager tab is displayed in the Browser Pane, you can choose Task
Scheduler from the Action menu.
If the MSA Manager tab is displayed in the Browser Pane, you can click the Task
Scheduler icon.

System Locks (screen)


Purpose
This screen lets you prevent another MultiSite Administration user from editing a station
or object that has changes pending. The control that the System Locks feature provides
makes it possible for many MultiSite Administration users to work on one voice system at
a time. The software tracks each users activities and locks any object that is currently
being updated.

Access
With the MSA Manager tab displayed in the Browser Pane, click the System Locks icon
or choose System Locks from the Action menu.
Use
To Lock, Unlock, or View Station Locks:

Click the Station Locks tab.

Enter a range of extensions or a single extension.

Click one of the following buttons:

Click Set Lock to lock the station.


Click Clear Lock to disable the lock.
Click Test Lock to show whether the station is currently locked.
Click Clear All to clear all locks.
Click Show All to show all stations that are currently locked.

Instead of a Station and extension, this tab provides access to numerous objects and

Broadcast System Messages (dialog box)


Purpose
This screen lets you send a "broadcast message" to MultiSite Administration users. The
message you enter is appended to the system messages file and is deployed when the
user logs on.
When the user logs on, the broadcast message screen appears and displays all
messages designated for the given user. The user can reply using the screen that
appears, by typing another message and clicking Send Message.

Access
If the MSA Manager tab is displayed in the Browser Pane, you can choose Broadcast
Message from the View menu.

View Processing Queue (dialog box)


Purpose
This screen lets you see what jobs are in the queue (in line) for processing on the voice
system (queue manager) you select. (You can view the queue for a voice system that
you are not currently logged on to.) This screen also lets you change the priority of a job
or cancel a job.
All MultiSite Administration users activities are time-stamped and logged in the local log.
Job failures and errors, schedule failures and errors, and hardware and software
problems are also logged so that the MultiSite Administration administrator (a super-user)
can view enterprise-wide problems.

From the main screen, click the Tool Bar Editor icon in the Tool Bar.
With the MSA Manager tab displayed, choose Tools> Toolbar Editor.

In the Select Manager field, select the screen for which you want to customize the
toolbar.

In the "Available Toolbar Items" box, select the item you want in your toolbar and
click Add.
MultiSite Administration moves the selected item to the box on the right.

Note
If you make a mistake, you can highlight an item in the right box and click
Remove to remove it.

In the "Selected items for Toolbar" box, highlight an item and click Move Up or Move
Down to move the item up or down in the box.
Moving an item up in the box shifts the button to the left on the toolbar.

Click Save

Understanding the System Manager
Purpose
This category on the Task tab of the Browser Pane allows you to create and edit
translations that affect your entire voice system, rather than a specific extension.
Access
In the Browser Pane, click the Task tab, and then click the System Manager category.

Use the up and down arrow keys on the interface to scroll to the different icons.
Click an icon in the Browser Pane to display the associated screen in the right pane of
the screen.

Add Station (dialog box)


Purpose
This screen lets you specify the extension of the station you want to add or view a list of
available extensions.

Use
Complete the dialog box with an extension or range you wish to add and a Station Set
Type. The View Available Extension button will query the database for you. Select from
the offered qualifiers (for station related objects) or enter qualifiers in the follow-on text
box. If more than one extension is to be added, type the start number, dash, end number.
If the extension you type does not meet valid Dial Plan Ranges, you will see a warning
message.

Define External File Format dialog box


Purpose
To import translations into a voice system, the translations must be contained in an
"input" file, and the data in the input file must be in an understood format. This screen lets
you specify what data is in your input file, in what order, and using what
delimiters.

Access
From the Import dialog box, click Format of Input File.
Use
The box on the left shows all of the fields that you could have in the file you are importing.
The box on the right shows the fields that you believe actually are in the file you are
importing. You must pick fields from the left, move them to the right, and then make sure
the fields in the right box are in the same order as they appear in the actual file you are
importing.

From the "Available Fields" (left) box, select the fields that are (or will be) part of the
import file.
Only the fields listed in this box may be defined in the format file. Fields not defined in this
screen are determined either by a template (optional) or by default settings on the voice
system.

Click Add

MultiSite Administration moves the selected fields to the right box. If you make a mistake,
you can select a field in the right box and click Remove to move it back. You can also
click Reset To Defaults to start over.

In the "Selected Fields" (right) box, put the selected fields in the order they appear (or
will appear) in the import file.
To do so, highlight a field in the right box and click Move Up or Move Down.

From the Field Delimiter drop-down list, pick the symbol that is used (or will be) to
separate the values of one field from another in your import file.

Do one of the following:

To save this format so you dont have to redefine it again, click Save and give it a
name. MultiSite Administration saves the format in a file that has a .fmt extension.
To specify which import file format you want to use when you import the file, click
Load and pick a format. Formats appear on this list only after they have been
created and saved, as explained in the steps above. If you have not yet saved this
format, you will not see it on the list of available format files.
To print the format you just specified, click Print and complete the print dialog box.
To use the format you just specified without saving or loading it, simply click OK.
When MultiSite Administration displays the Import dialog box again, click OK to run
the job. Otherwise, your format settings will be lost.
To stop specifying an import file format, click Cancel.

Show, and then enter any optional qualifiers and click OK.

Regardless which option you choose, if data is available on the voice system that meets
the criteria you specified, then MultiSite Administration will display the Report Output
screen.

Specify whether the data you are importing into the voice system will change, add to,
or delete translations.

To specify the file to import, click Select next to the "Select Input File:" label and
navigate to the file.
MultiSite Administration displays the Select Input File to Import dialog box. Be sure the
data within the file conforms to format requirements.

(Optional) If you are using a template to add or change objects on the voice system,
click Select next to the "Select Optional Template" label and navigate to the
template.
You can apply a template to the data before it is imported into the voice system. During
processing, the template is applied to each record before the record is sent to the voice
system. A check is made to determine correct set type.

Note
You cannot use a template to remove objects from a voice system. You cannot
use a template for objects on a messaging system.
MultiSite Administration displays the Select Template dialog box.

Specify whether or not you want MultiSite Administration to prompt you when it
encounters an error.

Do one of the following:

To view an example of what the input file should look like, click View.
To specify the formatting of the file you are importing, click Format of Input File.

Purpose
This screen lets you add a station, or view or change the settings for a station that has
already been added. Voice terminal bitmaps vary with the set you selected in the Add
Station (screen) or Change Station (dialog box).

Access
You can access this screen in any of the following ways:

With the Task tab displayed in the Browser Pane, and the System Manager or Station
Manager category showing, type add station (qualifier) or change station (qualifier),
click Submit, and then press OK.
With the Task tab displayed in the Browser Pane, and the System Manager category
showing, click the Station icon, click either the Add or Change button, enter the
extension, and click OK.

Use
You can use this screen to create or change a station, or to create or change a station
template. The screen operates the same way, regardless.

If you are creating or changing station, you can apply a station template (if a station
template already exists) by choosing Template>Apply Template, selecting the
template to use, clicking OK, and clicking OK to the confirmation dialog box.
If you are creating or changing a station and you do not want to apply a template,
then you can select the features that you want in your phone (see instructions below).

Purpose
This dialog box lets you change the status of an individual job.

Access
From the Translation Editor (dialog box), select a job and click Status.
Use
Select a status option and click Change Status.

Active (A) removes the job from the Translation Editor (dialog box) after successful
processing.
Active (S) keeps the job listed in the Translation Editor (dialog box) after successful
processing. If the last processing command fails, an E for error will display.
Inactive (I) will skip processing of a translation.

Create a New Station (wizard) page 1


Purpose
This screen automates the process of adding a new station to the voice system. For
information about the Set Type, Extension, or Port fields, refer to the Administrators
Guide for Avaya Communication Manager Software, or the Avaya Communication
Manager Solutions Little Instruction Books, all of which you can access from the
Integrated Management home page.

Access
From the Tasks tab on the Browser Pane, if the Station Manager is displayed, click the
Create a new station icon.
Use

From the Set Type drop-down list, select a set type.

In the Extension field, specify the extension you want to add.

In the Port field, enter the port number associated with this extension.
The port is either defined as cabinet+carrier+slot+circuit (as in 01A0208) or as X. Use IP
for IP phones.

(Optional) Select a template.

Click Next.

Purpose
This screen lets you specify information about the person who will be using the phone
you are adding to the voice system. For more information about any of these fields, refer
to the Administrators Guide for Avaya Communication Manager Software, or the Avaya
Communication Manager Solutions Little Instruction Books, all of which you can access
from the Integrated Management home page.

This screen lets you specify which groups the new station will belong to. For more

To add the new station to a group, complete the following steps:

From screen 3, click Next.

Translation Editor (dialog box)


Purpose
This screen lists the pending translations and reports sent from the Station Manager,
Reports Manager, and Data Management applications. From this screen, you can
process, schedule, edit, print, delete, clear, or cancel translations. Highlight a job and
click one of the buttons on the bottom of the box. Translations process in the order that
they appear on the screen.

Access

From the System Manager or Station Manager, choose View Translations Summary
from the Tools menu.
This screen also appears if you selected "Do not process" when MultiSite
Administration presents the Select what to do with this translation screen.

Log File Viewer (screen)


Purpose
This screen lets you view a log of all activities scheduled for unattended processing, as
well as all other application log messages (for example, messages from the System
Manager, Station Manager, Reports Manager, or Data Manager).
If you do anything, like add a station, an entry will show up in the log file for that
application. If you schedule something and it fails, a message will appear in the log. Very
few messages appear if you do not submit jobs. In that situation, the only message you
might see is a message from the Log application itself, indicating that it successfully
initialized the log file for today.

Access

If the MSA Manager tab is displayed, choose Logs from the View menu.
If the Task tab is displayed, and either the System Manager or the Station Manager
categories are displayed, choose Log>Master Log from the View menu.
If the Task tab is displayed, and the Report Manager category is displayed, then click
the View Logs icon on toolbar. If there is an application log file, it will appear and then
you can click Master Log. If there is no application log file, you must use another
method to access the master log.
If the Task tab is displayed, and the Data Manager category is displayed, then click the
View Logs icon on the toolbar. If there is an application log file, it will appear and then
you can click Master Log. If there is no application log file, you must use another
method to access the master log.

From the "System" drop-down list, select the voice system whose log files you want
to see.
Administrators on the primary server have the option to select which server to view. They
can either view log messages for the server they are currently on or they can view log
messages for the entire network. Administrators that are not on the primary server do not
have this option.

From the "Logfile" drop-down list, select the specific log file you want to see
Once the log file selection has been made, the LOG file screen will be displayed. Log
message display defaults to the current day. All applications write log messages
generated to a file that is refreshed every three minutes.

Button Labels (dialog box)


Purpose
Use this dialog box to print button labels for your phones.

Access
From the System Manager category or the Station Manager category, choose
Tools>Button Labels.

In the Extensions: field, type the extensions of the phones for which you want to print
labels.
You can enter ranges or non-sequential extensions, or both.

From the Station Set Type: drop-down list, select the type of phone for which you
want to print labels, and (where applicable) the type of button label forms you are

Click OK.

View Processing Queue (dialog box)


Purpose
This screen lets you see what jobs are in the queue (in line) for processing on the voice
system (queue manager) you select. (You can view the queue for a voice system that
you are not currently logged on to.) This screen also lets you change the priority of a job
or cancel a job.
All MultiSite Administration users activities are time-stamped and logged in the local log.
Job failures and errors, schedule failures and errors, and hardware and software
problems are also logged so that the MultiSite Administration administrator (a super-user)
can view enterprise-wide problems.

Purpose
This screen lets you view everything that is scheduled to run from MultiSite
Administration.

If the MSA Manager tab is displayed in the Browser Pane, choose Scheduled Entries
from the View menu.
If the Task tab is displayed in the Browser Pane, and the System Manager or the
Station Manager category is selected, choose Scheduled Entries from the View menu.
This option is available only if you have permission to view scheduled entries.
This screen is not accessible from the Report Manager or the Data Manager modules
on the Task tab.

Use
To schedule jobs, you do not use this dialog box. Instead, schedule jobs using the
Station Manager, Report Manager, or Data Manager.

Station Administration screen buttons


You can assign additional options and features using the command buttons shown on the
Station Administration screen. Each set type displays different dialog boxes.
This button displays a screen that lets you set general
fields. The appearance of this dialog box varies from one
set type to another.
This button displays a screen that lets you set features
unique to a particular voice terminal type.
Note: Check Data Module to support a data module.
This button displays a screen that lets you set information
about room, jack, cable, floor, and building.
This button displays a screen that lets you set the AUDIX
name and messaging server name.

Create abbreviated dialing lists for a specific station.


Provide lists of stored numbers that can be accessed to
place local, long-distance, and international calls;
Activate features; or
Access remote computer equipment.

Select enhanced, personal, system or group lists.


Up to three lists can be accessed by the voice terminal. If
personal or group is entered, a personal list number or
group number is also required.
This button displays a screen that lets you assign features
to the buttons on a phone, using a graphical interface. The
buttons that can be assigned to each phone are listed when
you click a button on the phone. Depending on the button
type, you may have to enter additional auxiliary information.
You have complete control over the assignments with the
Undo Last Assignment control button, the CLEARFLD
command for individual buttons, and the Clear All control
button for clearing all feature buttons.
This button displays a screen that lets you assign support
for a data module to a station.
Note: If you enter COR/COS incorrectly, dialing certain
extension numbers will result in an erroneous busy signal.
This button displays the next sequential integer you
indicated in your range and the option to save.
Click this button to send the translation to Tranlsation Editor
dialog box, where you can schedule, process, edit, print, or
delete the job.

View Log History (dialog box)


Purpose
This screen lets you view the status or outcome of all of the jobs that you have submitted
using this MultiSite Administration application. Application log files exist for the System
Manager, Station Manager, Report Manager, and Data Manager applications.

Access

If the Task tab is displayed, and either the System Manager or the Station Manager
categories are displayed, then open the View menu and select the Log option. If there is
no application log file, the master log file will appear automatically.
If the Task tab is displayed, and the Report Manager category is displayed, then open
the View menu and select the Log option. If there is no application log file, MultiSite
Administration will display a message to that effect.
If the Task tab is displayed, and the Data Manager category is displayed, then open the
View menu and select the Log option. If there is no application log file, MultiSite
Administration will display a message to that effect.
From the Translation Editor dialog box, click Log History.

Use

If the log file if it becomes excessively large, you can empty it by clicking Clear.
Before emptying the log file, you can print the log for your records via Print Log History.

Add User Report (dialog box)
Purpose
This screen lets you set up a button in the MultiSite Administration display area that,
when clicked, will generate the report that you specify here.

Access
From the User Reports dialog box, click Add.
Use

In the Button Title field, enter the name that you want to give this button.
This will appear in the display area when you click the Report Manager category. Buttons
titles that are longer than 7 characters are truncated when they appear in the display
area.

In the Report Command field, type the Communication Manager software command
corresponding to the report you want to generate.
For help with Communication Manager software commands, see the Administrators
Guide for Communication Manager Software, which is available from the Integrated
Management home page.

Specify where to send the report.


If you send it to the screen, you will see the output as soon as MultiSite Administration
starts to receive it. If you send it to Disk, MultiSite Administration will display the View
Processing Queue dialog box until the job is complete, at which time the queue viewer
will disappear.

Purpose
This dialog box lets you specify which extensions on your system are Direct Inward
Dialing (DID) extensions. MultiSite Administration uses this information to present
accurate reports on available extensions.

Access
In the Task tab, click the Report Manager category, then click the DID Dial Plan icon.
Use
To specify a DID range, click Add DID and complete the Add DID dialog box.
To remove a DID range, select the range you want to delete and click Delete DID.

FTP Screen
Purpose
This screen lets you specify the location of FTP sites that you want MultiSite
Administration to be able to access. This feature allows you to send or get reports and
other information to/from an FTP site.

Access
From the Reports tab of the Schedule New Entry dialog box, click FTP Dest. File.
Use
To add an FTP location, click FTP Dest.
To post a file to an existing FTP location, complete the following steps:

Highlight the FTP location where you want to post the new file.

In the Destination File Name field, enter the name of the file that you are posting.

If the filename matches a file already stored at this FTP location, then specify what

Total Summary of All


Purpose
This report lists the total number of boards (by board type) on the active voice system, as
well as:

the total number of ports (by board type)


the number of unused ports (by board type)
the transportable circuit pack numbers (by board type)
The numbers in the last two columns help you utilize boards most efficiently by
reassigning boards that are getting little use to meet demand elsewhere on your system.

Finally, this report shows the total number of available (unused) slots on your entire
system. Use this number to decide how many (if any) boards to add to your system. For
example, if the total number of unused slots is one, you can add one board.
Access
From the Custom Reports screen, select Total Summary of All and click OK. Select a
carrier or all carriers and click OK.

User Reports (dialog box)


Purpose
This screen lets you program up to eight keyboard buttons to connect to a voice system
and generate reports. The report buttons appear in the display area of the main screen
when you access the voice system.

Access
In the Task tab, click the Report Manager category, then click the Set User Buttons
icon.
Use

The button title is a voice system, report name, or eight character label. In the Report
Command field, type in the report name, for example, list configuration all. This is any
valid string that can be typed at the command: prompt.
Click on Screen, Printer or Disk to direct output. If disk is selected, enter a file name
with full path in the Files: text box. Every time you click the button, the report is
appended to the end of the existing file. Click OK to put the button on the main screen.

List Reports (dialog box)
Purpose
This screen appears as part of the process of creating (or using) a template for report
generation. This screen also appears as part of the process for exporting data from a
voice system into a text file that you can use with third-party spreadsheet or database
applications.

Access
In the Task tab, click the Data Manager category, and then click the List Reports icon
Use
Select a report type and click Next.

Standard system display

Database format using field / record delimiters

Select this option if you want to capture any of the canned reports from your voice
system and send them to disk, printer, or screen. These reports appear exactly as they
would appear on the voice system; you cannot manipulate the data in these reports.
These templates can be built to allow the reports to be regenerated from local raw data or
from current voice system data without having to redefine the report settings. Indicate
customized data to be captured by fields, the order that fields appear, the qualifying
criteria, field / record distribution, and order of sort.

Save Template (dialog box)


Purpose
This dialog box lets you specify a name for the template that you are creating.

Access
From the Template dialog box, on the Template tab, click Save.
Use
Specify the name you want to give the file, specify whether you want the template to be
public (accessible to all MultiSite Administration users) or private, and click OK.

Template (dialog box)


Purpose
The appearance of this dialog box changes depending on what type of report you
selected in the List Reports dialog box, and which report you selected in the Reports
dialog box.

This dialog box lets you:

Select a report template for use with this report. (Load) .


Note that loading a template is not required.
Specify criteria that you want to use to generate this report, including:

which fields you want include


the order in which those fields should appear
any criteria the data must meet before being included
field / record delimiters
the order in which you want your data sorted.

(Optional) Save the criteria that you set, in a template. (Save)


Generate reports using current voice system information. (Run Report)
Generate reports using voice system information that has been previously captured.
(Raw Files)
Print the generated report.

Access
From the List Reports dialog box, click Next, and then choose a report from the Reports
screen.
Use
What you do in this dialog box depends on what you are trying to accomplish. Choose
the procedure below that is right for you.
If you are running a report or exporting translations

(Optional) Decide whether you want to create a report template.

If no, go to Step 2.

(Optional) Decide whether you want to apply a report template.

If yes, see Creating a report template

If yes, see select the report template and click Load.


If no, go to Step 3.

Specify which fields you want to include in the report or in the export file.
Click the Fields tab and specify which fields to include.

(Optional) Decide whether you want to include a header.

This applies only if you are exporting translations.


If you are exporting translations, you only need a header if your third-party
spreadsheet or database application expects one.
If you need a header, complete the Header tab.

Specify the order in which you want the data to appear in your report.
To do so, complete the Body tab.

Purpose and Use


This tab lists the templates that you have created.
Save templates
Create new templates by clicking Save. Provide a template
name. You can build and save multiple templates and apply
them against the same data in a variety of ways.
Load templates
Load existing data templates so reports can be run against
existing data previously captured (Raw Data) or against
current voice system data (Run Report).
Delete
To delete a template, highlight it in the list and click Delete.

Fields

This tab displays all fields associated with this report and
allows you to select the fields you want included and the
order you want them in the report.

Reference

Page

Specify whether a page number will be displayed, and if so,


the format and location of how it will look.
Note: If a report generates data that is too wide for a page it
will be printed to another page and the page number will
proceed 'Page 1a', 'Page 1b', etc.

specified in the template that is currently open, against
current data on the voice system.

Done

This button closes the current window.

Raw Files

This button generates a report using the criteria you


specified in the template that is currently open, against

Directory

Enter the directory or full pathname of the location


where you plan to store files on this computer.
Required.

If you want to run a command after a file is transferred to or from the destination,
check the Run the following command after transfer box and enter the command
in the box below it.

Specify how often MultiSite Administration should attempt to transfer the file in a
given period of time.

If you want MultiSite Administration to remove the original file after the copy is
transferred, check the Remove original file after transfer box.

If you want to make this destination available to other MultiSite Administration users
to transfer files to or from, check the Make this destination public box.

If you want to test the connection information that you entered in this screen, click
Test.
MultiSite Administration will attempt to access the destination using the information you
provided.

Click OK.

Scheduled Entries (dialog box)


Purpose
This screen lets you schedule the collection of data from your voice system (if you
accessed it from the Data Manager) or schedule the generation of reports (if you
accessed it from the Report Manager).

Access

In the Task tab, click the Data Manager category, and then the Schedule icon.
In the Task tab, click the Report Manager category, then click the Scheduler icon.

Use

To add a job to the schedule, click Add Entry and complete the screens.
To change a job that is already scheduled, highlight it, click Update Entry, and
complete the screens.
To cancel a scheduled job, highlight it and click Delete Entry.
To see when the report is next planned to be generated, click Next Run.
To make a job run immediately, highlight it in the list and click Run Now.
To view a history of what has happened with your scheduled reports, click View Log.
To exit this screen, click Finished.

Schedule New Entry (dialog box)


Purpose
This screen lets you specify which report to run and when. This screen lets you schedule
new reports only. To reschedule an existing report, see Rescheduling reports.

From the Scheduled Entries dialog box, click Add Entry.
Use

Click the Date/Time tab. Then, specify:


a) Whether to run the report on a consistent day of the week, or on a consistent date
of the month.
b) Which months, days (or dates), and hours to run the report on.
c) Whether you want half hour reports (or hourly)
d) Whether to run Critical or Active reports (or both)
MultiSite Administration will attempt to run Critical reports again if polling fails the
first time

Click the Reports tab. Then:


a) Specify whether you want to view "list" reports or "display" reports.
b) Select the report from the list that appears.
You can select only one report at a time.
c) Click Add Report.
d) If applicable, specify the qualifier for the object you chose

For example, if you are running a list station report, specify the range of stations you
want to list.

e) In the dialog box that appears, specify whether to send this report to an FTP
location.
If you click Yes, specify on the FTP screen where to send the report output.
MultiSite Administration adds the report to the Scheduled Report box. If you make a
mistake, you can remove the report from the Scheduled Report box by highlighting it
and clicking Delete.
f)

If you make a mistake specifying the qualifier, simply highlight the scheduled report
and click Change Qualifier to reenter it.

g) If you make a mistake specifying the FTP location, simply highlight the scheduled
report and click FTP Dest. File to reenter it.

Click Update.

Click Yes to the confirmation dialog.


MultiSite Administration adds the selected report to the Scheduled Entries screen.

Report output screen


Purpose
This screen displays the results of any "list" or "display" reports that you asked MultiSite
Administration to generate.

Access
From the On-Line List Reports dialog box, or the On-Line Display Reports dialog box,
select a report and click OK.
Use

To print this report, click Print.


To specify printer settings, click Print Setup.
To download this report to a file that you specify, click Download.
Then navigate to the location where you want to save the data, enter a name for the new
file, and click Open. MultiSite Administration copies the data to the location you
specified.
To FTP this report to a site you specify, click FTP.
To close this screen, click Cancel.

What is a destination?
A destination is a location on a computer where you want to put files or get files. MultiSite
Administration cannot put or get files from a computer without basic information, such as:

The IP address of the computer


A login ID and password to gain access to the computer
The full pathname to the directory

You can provide this type of information to MultiSite Administration using the Destination
Editor. MultiSite Administration also lets you specify whether to allow other MultiSite
Administration users access to this destination. Simply indicate whether the destination is
public or private when you create it (or afterwards).

What is the queue?


Normally, there are a limited number of logins to a voice system or messaging system.
To conserve logins, MultiSite Administration needs only one login to a voice system or
messaging system, and uses a queue to collect, prioritize, and send jobs from multiple
concurrent MultiSite Administration users. MultiSite Administration uses separate queues
for each voice system that has been added to MultiSite Administration.
Each job is placed in the queue by level of importance and when it was received. The
queue uses as many ports as were set up in the System Resources screen to send jobs
to the voice system.

Format requirements for imported files


If you are importing a file to add or change objects, the input file must adhere to the
following requirements:

the records must be in the exact order that you specify in the Define External File
Format dialog box.
lines beginning with # are treated as comments
one record per line
record delimiter is CR/LF

You can create the import file using third party applications, like spreadsheet programs,
database management systems, or text editors.
For removing objects (i.e., stations), the records should consist only of the qualifiers
(extensions, group#).

What are list and display reports?

MultiSite Administrations "list" reports are the reports that the Communication Manager
software on your voice system generates if you were to cut through to the system and
type the Communication Manager software command list <object>.
MultiSite Administrations "display" reports are the reports that appear if you were to type
the command display <object>.
The difference between the list command and the display command is that typically the
list command displays a list of a specific type of object (for example, list station displays
a list of the stations on your system), whereas the display command is used to view
information about a specific object (for example, display station 10001 displays
information specific to that station only).
Since you may want to view a list of objects or a information about a specific object,
MultiSite Administration offers both types of reports. When you click List Reports or
Display Reports in the MultiSite Administration Report Manager, the dialog boxes that
appear look very nearly identical. The difference is in the qualifier that you specify after
you choose the object you want to view. For list reports, the qualifier is some type of
range. For display reports, the qualifier identifies a specific instance of that object.

Before you call, please have the following information available:

your name and number (in case we need to call you back)
your installation location (IL) number
your companys main phone number
the type of your voice system
the number of trunks on your system
the number of stations on your system

Remember, if the problem is with equipment or service outside of your own equipment,
you need to call your vendor or service provider. If you determine that the problem is with
your own equipment, such as on your own stations, voice system, or trunks, give Avaya a
call.

Be ready to talk about:

the problem you want to solve


a log of the steps you took and the information you gathered while performing your
diagnosis of the problem.
if the problem is with a new component or feature
if something that used to work now does not work
any numbers involved with the problem (for example, extensions or phone numbers,
