TO CREATE A PERSONALIZED DATA SPY

A Data Spy is a query list that HMS uses to filter and present reservation data. All users have the capability to personalize multiple Data Spies in the Guest Stay screen of HMS. Follow these instructions to create a personalized Data Spy: 1. Open HMS, and click on the Front Desk tab at the top of the screen. Then, click on the option for the Guest Stay screen from the drop down option list.

2. Choose a list from the drop down menu on the top left of the Guest Stay screen. Choose a list that is most similar to the list you would like to create. (For a list containing future reservations only, choose Reserved. For a list containing past, present, and future reservations only, choose All). Next, click the blue Edit button to the right of the drop down list.

3. A small dialog box will pop up on your screen. Click New at the top of the dialog box. Next, type a name into the blank on the upper left side of the dialog box.

4. Notice the column of tabs on the left side of the dialog box. The Filter tab should be highlighted at this point of the process. In the center of the dialog box, input personalized settings. For all Data Spies, the first setting should always be set to: Property equals Cranes BeachHouse Hotel. For a Data Spy that contains all past, present and future guests, input: Primary Guest- Selected. For a Data Spy that contains only future reservations, input and Primary Guest Selected and Status Equals- Reserved. See image for step 3. 5. Choose Sort from the vertical tabs on the left of the screen. Next, in the center of the dialog box, set your parameters. Choose the parameters that define the order in which you would like your data to appear. For example: 1st Last Name, 2nd First Name, 3rd Arrival Date

Choose Layout from the vertical tabs on the left side of the screen. Next, be sure that the circle next to List View is chosen. Highlight items that you would like to show in your Data Spy, and use the arrows in the center of the screen to move the items into the box on the right side of the screen. The items will show on your Data Spy in the order that they are listed in this box.

7. You can set your new Data Spy to show each time that you select the Guest Stay screen: In the bottom of the dialog box, click the Default Dataspy box.

8. Finally, click Save on the bottom left of the dialog box. This will close the dialog box. If you opted to make your personalized Data Spy a default, your system will automatically open the new Data Spy.
