SMIC Private School Model United Nations Club Constitution Preamble We, the directors and members of the SMIC Private School Model United Nations Club, in order to further our education and world view, hereby organize ourselves in a way that will be recognized by the administration of the SMIC Private School !he club will enable members fully to e"#and the educational value of their e"#eriences in Model United Nations related #ro$ects and conferences Article I Names and Mottos Section One Name: !he official name of this club will be the SMIC Private School Model United Nations Club !he official shortened form of our club name will be SMIC MUN Section Two Motto: !he official club motto is %&rbis !errarum In Mens 'uod In Pectus Pectoris(, translated into )nglish means %!he world in our minds and hearts( Article II Purpose and Affiliations Section One Mission Statement: %SMIC MUN Club will be rooted in the #rinci#les of diligent research and critical thin*ing !hrough learning about and assessing current events, students will broaden their worldly #ers#ective for understanding international relations !he club will focus on ma*ing sure all members are given chances to #artici#ate in discussions, and encourage all members to grow more confident in their #ublic s#ea*ing s*ills+ Section Two Affiliations: SMIC MUN is an &fficial Club of the SMIC Private School and abides by the rules and restrictions that this affiliation entails Article III Membership and Members Section One Membership: ,ll enrolled SMIC Private School students are eligible to a##ly for membershi# Members shall gain acce#tance through the club-s a##lication #rocess Club members only need to reaffirm their desire to retain membershi# with the director.s/ during the Club-s yearly elections Section Two Membership Criteria: !he director and club officers shall use the following criteria in selecting new candidates for membershi#0 1 Previous MUN Partici#ation in other schools 1 Perceived commitment level as determined by the 2irectors and officers of the club 1 Seniority .seniors and $uniors will be considered first then so#homores and freshmen/ Section Three Application Process: Members shall gain acce#tance through the a##lication #rocess detailed as follows0 1 ,##lications are submitted to 2irector.s/ by a date set by the director in Se#tember 1 !he faculty advisors and club officers review a##lications using the Club-s membershi# criteria SMIC Model United Nations 1 !he director will distribute acce#tance letters Section Four Number of Members: !he director.s/ holds sole authority over setting the number of members in the Club by the second wee* of &ctober Article IV Offices and Duties Section One - Office of the Secretar": !he &ffice of the Secretary will be filled by election that conforms to the standards set forth in this constitution !he office of the Secretary will be charged with e"ecuting the following duties0 1 2elegate an alternate in case of absence 1 Pre#are and maintain the membershi# list 1 Pre#are and maintain committee assignments 1 !a*e attendance 1 !a*e meeting minutes 1 4ecord nominations 1 Pass out club documents 1 )1mail reminders and re#orts Section Fi#e - Office of the Treasurer: !he &ffice of the !reasurer will be filled by election that conforms to the standards set forth in this constitution !he office of the !reasurer will be charged with e"ecuting the following duties0 1 2elegate an alternate in case of absence 1 Present a financial re#ort when re:uested by a vote at a club meeting or an officer meeting or the director 1 9ee# trac* of club funds 1 Collect funds from club members and fundraisers 1 Collect and distribute tri# cost information Section Si$ - Office of Communications: !he &ffice of Communications will be filled by election that conforms to the standards set forth in this constitution !he office of Communications will be charged with e"ecuting the following duties0 1 2elegate an alternate in case of absence 1 Managing the website 1 ,dvertising 1 Collect and distribute #ictures 1 2esign and distribute club #ublications 1 4ecruit Members Section Se#en - Non-Office %olin& Members: !hese #ositions will be filled by the non1office holding members of the organization !hese members will be e"#ected to #artici#ate in all club events and be active members in committees, meetings, and all club activities Non1office holding members are eligible to attend conferences SMIC Model United Nations Article V Election of Officers Section One 'eneral (nformation: )lections for SMIC MUN officers must conform to the following system )lections must be held during meetings that have a :uorum .;<= of members/ )lections will be held during the > rd wee* of May &nly club members will be eligible to vote In case of a tie vote, the director will cast the deciding vote 6oting will be held by secret ballot Section Two Nomination Process: Members wishing to run for office must declare their desire to run for a specific office two weeks before elections. They must submit their request to the current officers and/or directors for approval. Before elections the officers and directors will meet and compose a list of the final nominees. (4!"##$% Members are eligible to run for more than one #osition ,ll nominations will be recorded by the secretary Section Three !otin& Proceure: &lub members will fill out their own ballots. 'ach voting member will vote for one candidate of their choice for the office being voted on. The candidate which receives a simple ma(ority ()*+ or higher% will assume the duties of the office. ,f no candidate receives a simple ma(ority there will be a run off election between the top two candidates. The candidate that receives a simple ma(ority during the run off election will assume the duties of the office. ,f a candidate runs unopposed then that person will assume the duties of the corresponding office upon approval of the director. The -ffice of .resident will be filled first followed by the vice president/ secretary/ treasurer/ and communications. ($"0"#**% Article VI Dismissal of Membership or Office Section One 'rouns for Dismissal: &fficers and members can be removed from office and8or have club membershi# revo*ed by not fulfilling the duties that are entrusted to them in this constitution or if they commit one of the following offenses0 1 Commits a ma$or offense according to the SMIC 7andboo* 1 Is #laced on academic #robation 1 7as received two formal warnings from the director for club related offenses Section Two Process for Dismissal: ,ll dismissals for the SMIC MUN officers and members must conform to the following #rocedures0 1 , formal com#laint must be received by the director from a SMIC administrator, faculty member, director, associate director, officer, or club member 1 2irector and officers will hold an in:uiry to determine the validity of com#laint 1 !he director, #resident, and vice1#resident will determine whether to dismiss or retain the club member or officer Section Three )eplacin& Dismisse Officers: !he club will hold a new election to re#lace a dismissed officer ,ll club members, including officers, will be eligible to run for the vacant office &fficers do not have to resign their office to be eligible for the election If a #residing officer does not win the election that officer will continue to retain the duties of their office Section Four Appealin& a Dismissal: ,ll decisions on removal of membershi# or office are final and can only be overturned by the director Article VII Committees Section One Formin& Committees an Desi&natin& Chairs: Club officers have the #ower to establish committees to underta*e #ro$ects or hel# with their different duties for the Club )very committee shall be established by an order of an officer with a##roval of the director !he officer who re:uests the committee will serve as the chair for the committee they re:uested or a##oint a re#lacement with the a##roval of the director SMIC Model United Nations Article VIII Conference Attendance Section One Conference Attenance: Candidates for conference #ositions will be granted by the 2irector and &fficers using the following criteria0 1 Current SMIC MUN &ffice 7olders 1 Prior Conference )"#erience 1 Prior SMIC MUN Club )"#erience 1 Meeting the )thical and Intellectual Standards as set forth in this constitution !here will be more than one conference throughout the year and for each of individual conference the club will a##oint different delegates as the director and officers see fit Article IX Amendments Section One Amenment Process: ,ny amendments to this Constitution must follow the #rocedure as stated below0 1 ,mendments to the Constitution should be submitted to the 2irector 1 !he director and officers will review the amendment and submit the amendment to the Club 1 , meeting with a :uorum .;<= of the club members/ is needed to vote on amendments 1 , ?8>-s vote of club members #resent is needed to amend this constitution Section Two Amenments: ,mendments to this Constitution will be #laced in the corres#onding sections along with the date the amendment was #assed Article X imitations on the Po!er of this Constitution !his Constitution shall be the governing document of the Club 7owever, if anything in this Constitution should come into conflict with the rules of the SMIC Private School, the rules of the SMIC Privates School will ta*e #recedence over this Constitution Article XI "atification !his constitution shall be ratified in a club meeting that has a :uorum .;<= of members/ and must #ass by a >8@As vote Number of votes shall be recorded along with the date this Constitution was ratified in this article )atifie April *+ th , *--. with /0 members present an 1 absent2 !ote /0-- for ratification2 SMIC Model United Nations
