1.1 About Marine Solutionz

Marine Solutionz is a group of young and vibrant seafarers who have worked at
various ranks and reached to the pinnacle of their onboard careers.
With them, they bring more than 30 years of sailing experience. Having worked with
crew of various nationalities, they can now tackle varying mindsets with conviction
and lead them to common end.
It is after a respectable stint on board that they felt the need to bring some harmony
into the already chaotic environ of crew management.
During their onboard stint into various ranks and with various employers/companies,
they observed that the demands for seafarers are increasing nowadays. Although the
companies are willing to spend mega bucks on their development and growth, they
are still unable to meet the expectations of the seafarers. Retention or the rate of
attrition is the buzz word.
Marine Solutionz came to fore to help companies augment and retain their most
important asset i.e. seafarers.

1.2 Nature and Business

MARINE SOLUTIONZ
Marine Solutionz was established in Sep 2008 as a Crew Management company
based out of Delhi. Within 3 months of its operation by December 2008 it branched
out to have its own offices in Mumbai and having liaison agents in Patna, Chennai
and Kolkata
In 2009 Marine Solutionz made its international presence by having agents in
Bangladesh and Indonesia
Apart from providing Crew Management from 2010 we started providing Port
Captaincy, Quality and Quantity Analysis of vessels being loaded in India, mainly
from the ports in Gujrat and Maharashtra.
In 2012 Commercial operations management was started and is involved in chartering
and brokering of Dry Cargo mainly Alumina and Project Cargoes.

Solitaire Marine and OffShore Pvt Ltd was started in April 2012 as a natural
progression for providing complete Ship Management Services out of India for our
existing and new Clients.

In a short span of 4 months, the Company completed the requirements of the Indian &
Liberian Administration for Management of Tankers, Chemical Tankers, Gas
Tankers, Passenger vessels, Bulk Carriers and other cargo vessels. The company is
presently having a Passenger Vessel a Chemical Tanker and a RoRo vessel under
Technical Management
Solitaire Marine and OffShore Pvt Ltd is committed to Quality assurance for Clients,
Health and Safety of our Floating Staff, and Respect for our Environment.

SOLITIARE MARINE SOLUTIONZ PTE. LTD.
Solitiare Marine Solutionz Pte Ltd was established in 2013 for the planned
expansion and having own offices instead of appointed agents to handle our client
needs. Singapore being ideally located in Asia and being an established global
shipping business hub. Subsequently commercial operations are being shifted out
from Noida office to Singapore.
Located in Singapore it becomes easier for the superintendants to reach coal mines of
Indonesia and supervise loading on the spot. It is also economical for the group and
clients.

MARINE SOLUTIONZ EDUCATION TRUST
In the year 2012 a trust was formed with the core group members for fulfilling the
Social Committement of doing business and giving back to the society in general and
seafarer in particular. We envisage to have D G Shipping approval by the end of year
2013.
Presently value added courses is being conducted from its CBD Belapur facility to
enhance their knowledge and soft skills.

Currently there are 3 independent directors, and a managing director. Then under
them there are more than 250 employees working in Noida ,Mumbai and Singapore
office.

The turnover of Marine Solutionz is greater than 24 crores this year.

2.1 SWOT Analysis of the Company

A SWOT analysis is a structured planning method used to evaluate the strengths, weaknesses,
opportunities, and threats involved in a project or in a business venture. A SWOT analysis
can be carried out for a product, place, industry or person. It involves specifying the objective
of the business venture or project and identifying the internal and external factors that are
favourable and unfavourable to achieve that objective.
Setting the objective should be done after the SWOT analysis has been performed. This
would allow achievable goals or objectives to be set for the organization.

Strengths: characteristics of the business or project that give it an advantage over
others.
Weaknesses: characteristics that place the business or project at a disadvantage
relative to others
Opportunities: elements that the project could exploit to its advantage
Threats: elements in the environment that could cause trouble for the business or
project
Identification of SWOTs is important because they can inform later steps in planning to
achieve the objective.
First, the decision makers should consider whether the objective is attainable, given the
SWOTs. If the objective is not attainable a different objective must be selected and the
process repeated.
Users of SWOT analysis need to ask and answer questions that generate meaningful
information for each category (strengths, weaknesses, opportunities, and threats) to make the
analysis useful and find their competitive advantage.

2.2.1 Strength
The breakeven point is nearly 50% of the amount which the company receives for the
service provided by them so the profit margin is very high.
The coordination between the top management and employees in the company is very
good so they can fulfil their objectives on time.
The style of the company for employees retention and leadership is that they provide
recognition and appreciation to the employees who deserve it and always value their
comments and suggestions which make them feel as an important and valued part of
the organization.
The special skill required for a particular ship is also provided by the company, this
training and skill development is imparted to employees through regular training in
the training centre .

2.2.1 Weakness
The business of the company depends on global trade., if global trade increases the
revenue also increases and if it decreases it leads to revenue loss.
Today there is a shortage of skilled seafarers. The number of people opting for this kind of
courses are still less as compared to other professions. There is shortage of marine
engineers because of lack of awareness and the education facilities in our country.
The company doesnt use new technologies to take care of the database and other work.A
lot to work is done manually.

2.2.2 Opportunities
The technological structure can be built more stronger in the organization, so the work can
be made a bit faster and more efficient.
Long term planning for the recruitment and training of skilled seafarers should be done
because the business is dependent on the seafarers.

2.2.3 Threats

Political instability is a threat to this industry because with the change in the government
the rules and regulation might change.

With the increase in price of fuel the profit of the company goes down because the
business is dependent on ships and the ships depend on fuel( bunker fuel which is a form
of crude oil, some ships use diesel fuel).
The business of this industry is dependent on global economy as the economy booms the
global trade goes up so does the business of the company.
Changes in tax policies by government is also a threat to the company.

2.3 USPs of the company

The company has various usps in various functional areas which are as follows:

2.3.1 Service
One-stop shop providing ship management, technical management, commercial operations,
crew management, legal assistance, ship inspection , dry docking, repair supervision.

2.3.2 Human Resource
Here the strategy is hiring the best people from India as well as abroad and retain them with
the company by providing them good salaries. After verifying all the documents the final
interview is taken by the director of the company and the ship owner and if a particular skill
is required for a particular ship then they are put to training in the training institute of the
company.

2.3.3 Finance
The salaries of the employees are never late and mostly credited early into their account so
that they work with more enthusiasm and dont face any monetary problems.

2.3.4 CRM(Customer Relationship Management)
Good client service and value for money for the clients is the motto of the company and
clients is the most important priority for them.

3.1 Data collection

Data collection is a process of collecting data about the company in various fields such as
Marketing, HR, Services and Operation, IT etc. The data from all these areas is collected to
get a picture of how the company is performing its various functions and how its getting the
work done in a smooth and efficient manner. It is done under some of the heads i.e.:

Crew Management

Marine solutionz provides crew management services having in mind that crew is a key
factor for the successful operation of any ship, and putting specific emphasis on the
selection of senior officers and their rotation on similar ship types within the fleet.

We established direct relationship with experienced and reliable manning agents, for the
selection and enrolment of crewmembers in compliance with our strict quality standards,
providing special skills and expertise whenever required.

We draw and regularly update ship rosters, taking into account the vessels' type and age,
flag, trading areas and the nationalities on board.

Offered crew management services encompass:
Selection and recruitment of seafarers
Roster management
Payroll management
Training and evaluation
Travel management


Technical Management

Marine solutionz ship managers are in constant communication with clients' head office
and fleet to provide high standard technical support and control ships' status, performance
and operational ability , hull and machinery routine maintenance, major repairs.

Vessel performances are monitored and evaluated against set KPI's to verify machinery's
condition, bunker, fuel and lube oil consumptions, replacement of parts and to highlight
changes in status.
Performance monitoring include regular visits aboard and reports scrutiny to keep the
operational expenses under control.

Our technical staff is ready to timely respond to emergency on 24 x 365 basis. Flying
squads are available to resolve critical situations and limit technical downtime.

Long-lasting relationships with selected shipyards around the world guarantee well-
organized and cost-effective repairs and dry-dockings.

New Building Supervision
Marine Solutionz services include project viability study, plan approval and design
modifications as required to comply with new regulations and operational requirements.
Every project is manned by a full strength team of experienced Hull & Machinery and
painting supervisor with NACE or FOROSIO level 2 / 3 certificates. Plans are checked &
approved by in-house plan approval team which includes Naval Architects, Marine &
Electrical Engineers & Ex-Class surveyors.
They have undertaken such services on behalf of over 50 vessels of various types from the
builder's yard across major ship building nations.

Insurance Claims Handling

Marine solutionz can provide expertise and experience to assist clients in their insurance
claims handling process at notification, assessment, expenses management and settlement
stage, aiming to resolve claims as quickly and effectively as possible.


Training

We are having complete Crew management of their 2 Chemical Tankers.

9. Dobson Fleet Management Cyprus
We were crew managers for their 04 Gas Boats and Chemical Tankers.

10. Sovereign Ship Management , UK
We were crew Managers for 3 of their Product Tankers for WAF.

11. Royal Marine, Singapore
We were crew Managers for their 2 Parcel Chemical Tankers

We were crew Managers for 2 of their Chemical Tankers

The company uses internet as a medium of advertising and promotion. There is a
website called as SEAJOB.COM. The company advertise on that website. Most of the
advertisement is done through word of mouth and newspapers and a magazine called
as SEA AND JOB.

which was published on the seajob website. It is the most popular website for the
seafarers.

The breakeven point for providing the services is between $4000-$5000 per month
depending on the requirement and kind of service. It is almost the half the price which
the company gets for the service.
The pricing strategy of the company is competition and geographical based.
Depending upon the geographical location of the owner of the ships the price for the
service is decided. For instance the price of the service for a Mumbai based owner
will be less than the owner who is outside India.
Mainly the advertising is done through print media like newspapers and magazines
like SEA AND JOB. The company also uses internet for promotion by putting adds
on SEAJOB website. It is the most popular website for seafarers.
The company has agents globally who handles the work in middle east, far east and
Europe . Many of the agents are provided by the Wilhelmsen shipping.

They provide very good salaries and enhance the skills of the seafarers and provide
them promotion whenever required. As a result of this the employee retention is very
good of the company which is the utmost requirement of the industry.

3.1.2 HRM (Human Resource Management)
The total number of employees of the company are more than 250.
The managerial employees of the company are 54 and non managerial are 197.
The recruitment process is done in two ways. First the jobs in the company are put on the
portal i.e. internal job posting where first the jobs are available to the existing employees
and then after that if in a specified amount of time the jobs are not filled then they are
pick up the data of the seafarers from the seajobs website and call the seafarers ,if they
are willing to join and are not sailing on anyother ship they are called for the
documentation and interview . Then the selected employees are given training if
required. The seafarers are assessed on the basis of their work by captain of the ship and .
Then according to the performance appropriate compensation and promotion is provided
for the same.
The advertisement for the recruitment of seafarers is posted on the website of the
company, newspapers , seajob mazgine and sea job website.
Since the company has to do operations in different countries good relations with the
industries and agents is maintained from where the goods are bought .
Promotion in Marine Solutionz is based on the performance you show on the ship and
the new skills you learn while you are on the ship. You have to fill a form known as
competency log that what new skills you have learnt while sailing. The more the work is
done, the more opportunities are there. All the employees are kept a close watch as to
how well are they doing in their respective fields by the captain.
All the seafarers have insurance in case of any accident or causality and company claims
the insurance for the seafarers.
There are many types of training for the seafarers which is done by the company internal
trust Marine solutionz education trust and if the course cant be done at the education
trust then the seafarers are asked to do that course from any other institution.
The various training for the seafarers are:
1. PSCRB/Personal survival techniques
2. Oil DCE(level 1and level 2)

4. Personal safety and social responsibility
5. Watch keeping(Engine/Dock)
6. ISPS code familiarization training
7. Ship Stimulator course
8. Engine Stimulator course

3.1.3 Production and operations
The quality and safety policy of the company is to provide quality services and solutions
in response to the clients' needs and expectations. To monitor their performance as an on-
going activity and to strive for continuous improvement. Their recognition of quality as
a necessary level of commitment is demonstrated in their supporting actions and
services.
Marine solutionz encourage the assessment of safety management system against target
and provide best practice guidance to on board, shore and office staff.
They believe best practice is an effective way to minimize the possibility of problems
reoccurring and to achieve incident-free operation, creating more opportunities for our
clients.

3.1.4 Finance
The business has a turnover of 11 crore in the last financial year. Turnover of this
quarter is 24 crores.
Since the charter rate is increased this year the company has expanded its number of
ships from 7 to 10.
There is an upsurge in freight rates this year and the demand for movement of oil and
iron ore has also increased which is a key factor for the growth of the company this year.
A very large crude container (VLCCs) earned an average of as much as $45000 a day on
certain key routes this year which is the highest since January 2010.

3.1.5 IT (Information Technology)
No company can survive without the help of IT nowadays as it helps the company to ease
the workload and cut costs as this helps to get more work done with less number of
employees.

Some of the software used here are Shipnet, AMOS, Support office mailing system.
This software help the company to work efficiently and effectively and also helps in
proper management of the workload.
Shipnet software is used for the crew management and AMOS is used for the technical
management.

3.1.5 International Business
The documents and certificates which are required in the industry are :
A shipping company with merchant ships to ply on international waters for
export and import of cargo, one of the first thing to be eligible to do this
business is to comply with International Management code for safe operation
of ship and pollution prevention .
International Safety Management Code is a set of guidelines for shipping
companies and its employees, both on ship and shore, to ensure that the ship
and the companies are operating as per guidelines of SOLAS i.e. safety is never
compromised and pollution awareness is present.
As per ISM code under SOLAS chapter IX, a company shall be issued with Document of
compliance (DOC) and its ships are issued with Safety Management Certificates (SMC) only
after ensuring that the company has a Safety Management System (SMS) and all ships are
operated as per the SMS.

Understanding DOC
A Document of Compliance or DOC is issued to a company based on the type of ship. This
means that the DOC will be different for different type of ships i.e. if company have10
containers and 10 oil tankers then 2 different DOC will be issued, one to the container fleet
and other to the tanker fleet.

DOC is issued under the authority of flag state government by successfully auditing and
reviewing companies SMS and its implementation.

Types of DOCs
Interim DOC
An interim DOC is issued to a newly established company or when a new type of ship
is added in the company
The company is requested to submit SMS implementation plan and 12 months are
given to the company for fulfilling the ISM requirements.
The company shall undergo initial audit, and in case of newly built shipping company
within the validity period of interim DOC i.e. 12 months.
The company shall undergo additional audit in case new ship type is added to the
shipping company within the validity period of interim DOC i.e. 12 months.
For a new company, further document review is conducted prior to the audit by
administration.

Short Term DOC
A short term DOC is issued on the day of the audit by the administration auditor as a
response or proof of completion of the initial, annual or renewal audit process.
Validity of short term DOC is 5 months.

DOC
It is issued by the administration after successful completion of initial audit or
fulfilment or interim DOC requirements.

Issued after at least three months of implementation of SMS at the company and at
least one ship in the fleet for which DOC is concerned.
The validity of DOC, after initial audit is 5 years from the next date of expiry and it is
subjected to annual audit.
If a Major NON Conformity is found in the audit, the DOC is withdrawn.
The DOC is kept with the company and copy is kept in all the ship under that DOC
fleet.

Understanding SMC
A Safety Management Certificate is issued to the ship of a DOC holding Company by the
administration.
Every individual ship must have a SMC which ensures that it complies with the onboard
Safety Management Manual based on ISM.
If a company owns 25 oil tanker ships, then SMC is issued to each ship with total of 25 SMC.
SMC is issued after successfully auditing the ship for making sure that it is operating as per
the SMS based on ISM code.

Types of SMC
1. Interim SMC
Issued to the company which posses Main DOC, Interim DOC or Short term DOC.
Issued to the newly built ship added to the existing fleet of the shipping company.
Issued to a new ship with change in Management Company.
Issued to a company with change in the flag state.
Its Validity is for 6 months.
A ship undergoes initial audit with interim SMC and it must fulfil the entire
requirements to comply the SMS based on ISM code to get the main SMC.

2. Short Term SMC
A short term SMC is issued on the day of the audit by the administration auditor as a
response or proof of completion of the initial, annual or renewal audit process.
Validity of short term SMC is 5 months.

3. SMC
It is issued by the administration after successful completion of initial audit or
fulfilment or interim SMC requirements.
The validity of SMC, after initial audit is 5 years from the next date of expiry and it is
subjected to intermediate audit.
The intermediate audit is carried out between the second and the third anniversary
date of the ship.
If a Major NON Conformity is found in the audit, the SMC and DOC are withdrawn.
The original SMC is kept on the ship and copy is kept with the company.

The payment is done in US dollar($) and the salaries are also provided in dollars.

A recruitment licence is also needed for the recruitment of the seafarers which is issued by the
Director general of shipping.

4.1 Summary and conclusion

Findings
There is a growth in the number of ships that the company is managing since 2008
and it has increased from 1 ship in 2008 to 17 ships in 2014.
The fleet growth is also showing a positive trend i.e the number of seafarers are
increasing year by year and the retention of seafarers is also very good by the
company.
The revenue from the Middle East is the lowest i.e 21% , and highest in Far East
i.e. 42%.
It can be seen that the females are not much into the fleet members (98% seafarers are
male and only 2% are females).
70% of the revenue is generated by crew management and approximately 15%
revenue is generated by technical management and commercial management.
The seafarers are recruited from the seajob portal i.e 76% and 14% of the seafarers
are recruited from internal sources and the rest 10% are recruited from sea and job
magazine.

Lessons learnt
The company keeps a tab on all of its seafarers and cares about them as their own
family and handles their insurance claims if any accident take place .
The coordination between the higher management and the employees sailing or
the office staff is very good.
The practical knowledge that was gained in Marine Solutionz is how the
recruitment of the seafarers is done in the company, what are the documents
required by the seafarers to sail and the documents needed by the company to run
the company in a global market.
In this company not a single ship has missed any deadline and is having
maximum seafarer retention which are the main resource in the ship management
industry.

1.2 Suggestions
Students should be sent to Marine Solutionz as their process of training
involves learning the concepts and then their execution as well. They also
supervise the work constantly to discover the loopholes being missed by the
interns until the interns master the work.
The only difficulty in doing it can be that the candidate has to do field work
too like travelling to many embassies if the candidate really wants to learn.
Also there is no stipend provided for the same but they give you travelling
allowance (TA) if you are going out for companies work.
