➢ Introduction:
Word processing is a term, which describes the use of hardware and
software to create, edit, view, format, store, retrieve and print documents
(written material such as letters, reports, books, etc.). A word processing
package enables us to do all these on a computer system.

➢ Features of Word Processing Package:


• Entering text.
• Editing text.
• Formatting page style.
• Formatting text.
• Displaying documents.
• Saving, retrieving and deleting documents.
• Printing documents.
• Importing text, graphics and images.
• Searching and replacing text string.
• Checking spelling.
• Checking grammar and style.

➢ Features of MS Word 2003:


• The MS Word processing software can be used to create letters,
memos, labels, envelops, CVs, and a variety of other types of
documents. Beside all these features MS Word has the following main
features:-
• MS Word is a full-featured program for creating text etc.
• By using MS Word one can create a new document, type in the text or
copy text from already created documents and can save it on the
disk/diskette with or without protection (security passwords).

• MS Word can integrate information from non-word programs like


graphics, databases, spreadsheets etc.
• MS Word automatically saves your document while you are working.
In case of abnormal shutdown like power failure, it automatically
retrieves your document in your next session in MS Word.
• It also provides on-line help and an efficient graphical user interface
(GUI) feature.
• Its tools like spell check, grammar and thesaurus certify its exigency.

➢ Understanding the GUI of Word 2003

➢ Title bar
• indicate title of the application and the current document.

➢ Standard tool bar


• contains a number of most common command buttons to do
respective operation with a single click. There are some standard
toolbars provided with the package, but the user can also design own
customized toolbar.

• Create a new document.


• Open an existing document.
• Save changes made to document.
• Protect Document
• Compose an E-mail.

• Print the active document.


• View print preview of active document

• Check the grammar and spelling of the whole document


• Search for translation of the selected text

• Cut the selected text, picture or any other clipart and place it on the
office clip board.
• Copy the selected text, picture or any other clipart to the office

• Insert Hyperlink. Hyperlink means a text having a link with some other
page and after clicking it we jump to the other page.
• Assign border to page, paragraph or selected text .
• Insert Table.
• Insert MS’s Excel Spread Sheet.
• Create columns on a page as directed (currently 2; maximum 4).
• Show/hide drawing bar on the bottom.

• Show the outline of document (headlines or summary).

• contains buttons related to operations on font, alignment and layout of
page.

• Provides predefined sizes, styles and formats of text especially


headings.
• Switch the style of text.
• Provide different types of font face.
• Provides a wide range in the font size.

• Highlight the selected font in bold, italic, or underlined manner.

• Edit the line spacing.

• Insert numbered bullets

• It decreases the indent (i.e. the space between the page and bullet or

➢ Drawing bar
• is used to create, edit, or format the pictures, or auto shapes.

• Used to create, edit, or format the pictures, or auto shapes. It also


provides options to group, ungroup, order, wrap, or align the pictures,
or auto shapes.
• Enable/Disable the selection of objects (pictures or other bitmaps).

• Draw lines, connectors, flowcharts, stars, banners, callouts, and basic


shapes like square, parabola, triangle etc.

➢ Status bar
• shows the current status of document i.e.
• No. of current page. That page where the cursor exits currently.

document.
• Location of cursor in inches.
• The line where cursor exists currently.
• The column where cursor exists currently.

➢ Menu bar contains menu of Word 2003 i.e. File, Edit, View, Insert,
etc.

➢ File menu:

• Create a new document.


• Open an existing document.
• Close current document.
• Save changes to current document.
• Save current document with a different title.
• Save current document as a webpage.
• Search an existing file.
• Provides protection to personal document.
• Add information about versions of the document.
• Provides webpage layout of current document.
• Edit page setup i.e. margins, paper size,
orientation, preview, borders, etc.
• Show print layout of current document.

• Print the current document.


• Options to copy the current document to different
location such as MS PowerPoint or mail recipient.
• Edit the properties of current documents such as title, subject, author,
pages, paragraphs, lines, words, characters, etc.
• Shows a list of recently opened documents.
• Exit to windows.

➢ Edit menu:
• Cancel the last operation performed i.e. typing.
• Repeat the last operation performed i.e. typing
• Cut the selected text, picture or any other clipart and
place it on the office clip board.
• Copy the selected text, picture or any other clipart to
the office clipboard.
Shows the office clipboard. Office clipboard has text, or
graphics recently extracted or copied.

➢ Office clipboard has maximum space of 24 objects.


• Paste the text, picture or any other clipart already extracted or copied

cursor changing its initial format e.g. text into bitmap image.

to the position of cursor as hyperlink. We can jump to the initial
location by simply click + Ctrl key.

• Selects all the text or graphics within document.

• Replace initial text with new one e.g. colour with

➢ View menu:

• Shows Normal layout of document.


• Shows Webpage layout of document.
• Shows Print layout of document.
• Shows Reading layout. Such as a book, of document.
• Shows Outline (i.e. in the form of bullets) layout of document.
• Enable/Disable the display of Task Pane.

➢ Task Pane
• is sub window of MS Word user interface, provides options such as
• Online help about Office from Microsoft’s homepage.
• Provide online update to latest version.
• Open recent document
• Create a new document using pre defined templates
• It also provides option to download templates from Microsoft’s
Homepage and we can create our required template manually.
• Add/remove required toolbars to the Microsoft Word user interface.
We can also create our required toolbar manually using customize
option.
• Show/Hide horizontal and vertical ruler bars.
• Summarize whole document.
• Provide preview of each page in the form of thumb-nailed picture at
left hand side of Ms Word user interface.
• Show/Hide header of page and options related to them.
• Add foot notes to documents.

➢ Footnotes
• are used in printed documents to explain, comment
on, or provide references for text in a document. A
footnote consists of two linked parts — the note
reference mark and the corresponding note text.
• Show comments (if any) in the document.
• Enable/Disable full screen mode.
• Show the size of display (Zoom).

• is a database of MS Word and contains various words usually used as

• Header/Footers etc
• Inserts field to the current point of cursor. Field includes date, time,
equations, formulas, mail merge, document information, etc.
• Insert symbol. Like Þ, ß, ¶, ™, €, £, μ, etc
• Insert comments. We can see comments using Markup option of
View Menu.
• Insert references as:
• Foot note
• Caption (Title of a figure or table is known as caption.)
• Cross-reference (A cross-reference refers to an item that appears in
another location in a document. we can create cross-references to
headings, footnotes, bookmarks, captions, and numbered
paragraphs.)
• Index and tables
• Insert web components. e.g. WebPages
• Inserts picture from clip art, from file, from scanner or camera, new
drawing, auto shapes, word art, organization chart (flow chart), or
chart.
• Insert a diagram. Diagram may be an organization chart, cycle, radial,
pyramid, Venn, or target diagram.

• Insert bookmark (A bookmark identifies a location or selection of text

• Option to edit/modify font, font style, size, color,


underline style, color, effects, character spacing &
animated text effects.

spacing etc.

• Make a list using bullets, numbers, or outline numbering format. It


contains list styles also.
• Provide border to the page, selected text or paragraph. It also gives
color to the shading of border.
• Split page into columns as directed by user.
• Tab stops enable us to line up text to the left, right, center, or to a
decimal character or bar character. We can also automatically insert
specific characters, such as periods or dashes, before the tabs.
• Drop cap a large dropped initial capital letter of a paragraph.
• Change text direction (downward/upward) while using drop cap
option.
• Change case of the selected text;

• Sentence case, Title case, tOGGLE cASE, lower case, UPPER CASE.
• Gives background color to the document
• Provide different predefined looks (themes) to document.
• This option closes current document and show outline/summary of
document in a new document. We can save this (new) document as
summary of that document. In other words we can cut frames of
document.
• Option to format our document automatically.
• Provides different styles and formats of lists and headings.
• Provides current formatting of whole
document.

➢ Tools menu:

• Check the spellings and grammar (US) of


document.
• Search the given text from thesaurus (i.e.
database of MS office that contains
thousands of words), hyphenation (i.e. fol-
low-ing), translation (i.e. US dictionary), or
from reference book if any (i.e. reference
books are installed on our PCs).
• Language options such as selection,
translation of language from thesaurus and
hyphenation of language.
• Show number of pages, words, characters (with and without spaces),
paragraphs and lines.
• A best way to summarize text automatically as required percent of
whole text.
• Make a speech and MS Word will write it in text form
• (Pronunciation is an important factor).
• Share documents world wide. (network is necessary)

• Review the comments and allow to accept/discard the changes in


document made by the user
• Provide comparison and insertion of a created document in document
under operation.
• Protect personal documents.
• Online meetings and web discussions about MS Word through

• Options to create, publish, edit, or modify any letter or an electronic

• A macro is a series of MS Office commands and instructions that you
group together as a single command to accomplish a task
automatically.
• Option to add document as MS Word’s template.
• Automatically correct our wrong statements. We can edit autocorrect
options according to our requirement.
• Modify the display of MS Word User Interface.
• Provide edition/modification in options like

• View, Edit, Print, Save, Security, Spelling and grammar, Track


changes, User information, Capability, File location, etc We have
already discussed them in detail

• Draw table according to user’s requirement

splitting screen vertically.

• Show help related to MS Word.
• The Office Assistant can answer our
questions, offer tips, and provide help for a
variety of features specific to the program

• Contact information about Microsoft.
• Check for the updates online.
• Repair the corrupt MS Word’s document.
• Register your copy to Microsoft
• Send feedback to Microsoft
