EXECUTIVE SUMMARY


MEGHNA GROUP is very successful in automotive sector in Bangladesh. They are the sole
distributor of prestigious German brand BMW in this country. On October 21, 2002 Executive
Motors Limited (EML) was launched as a concern of MEGHNA GROUP as the sole importer of
BMW Automobiles to Bangladesh. Executive Motors Limited is thoroughly dedicated to its
responsibility in managing the BMW marquee. They aim to be the unparalleled leader in the
automobile industry and the distinctively preferred choice for customers who accept only the
very best in quality & service.

This project is about an interview that was taken with Mr. Shafayet Jason working as a Deputy
Sales & Marketing Manager in the current organization is the bright & glooming future of the
Executive motors ltd. The aim of the report is to understand several management theories that are
interviewed with him to understand how it is being implemented by him & his organization.
Some of the theoretical concepts include how he plans within the organization? What is the
organizational culture it follows? What are the effects of controlling in their organization? &
many other related management theories. A particular section of the report highlights the
qualities; strengths that someone needs to have in order to be a part of the Executive Motors. He
is personality of versatile qualities who has taken his organization to the top & brought success
to the company.

OBJECTIVES

The objective of this report, assignment is to get exposed to the theories of management,
organizational structure and the practice of management in contemporary organization
conceptual, analytical and pragmatic perspective. This report will help to get a better view of
management in the real practice. It also helps to understand the duties and responsibilities of
managerial positions and develop ideas about the environment that divers organizations have.
The objective of the report is also learning how management provides direction for the
organizational goal and quality of work to be accomplished within a given period of time, also
learn the universality of management. It doesnt apply to organization but to our real life also.
There are some more objectives behind the report that are listed below:

Learn how managements effectiveness is increased.
Learn the proper utilization of resources.
Co-ordinations in the organization.
To reduce the execution time for various activities of the organization.
To control the quality of workmanship.

SCOPE
Managing the scope of a project is an important part of all organization of project management.
By properly managing the scope of our project, we ensure that only the essential work required
for project completion is included in planning and scheduling. And by performing this task well,
we can ensure that the final project delivers on the initial specified product or service.
At our organization we divide the scope management into five distinct categories:
1. Scope initiation
2. Scope planning
3. Scope definition
4. Scope verification
Scope initiation
Scope initiation is the process of formally recognizing the existence of a project of our
organization. We start our project because of identifying a need of an organization. In actuality, a
project develops a solution to address a need. However, we thought that before undertaking a
project, it is crucial to verify that the project corresponds with the overall organization strategy.
Decision models
There were two types of decision models -
Benefit of measurement methods, was a comparative approach, including scoring models,
benefited contribution, or economic models.
Scope planning
Scope planning was the justification of our scope management. It was during the scope planning
stage that the scope statement was developed. The scope statement form was the basis for our
agreement between our project team and the customer by relating the work of the project to our
organizations objectives.

Scope definition
We considered our scope definition involved the project manager subdividing the major project
deliverables as identified in our scope statement into smaller, more manageable and deliverables.
Allow easier management of each component.
Allow accurate estimation of time, cost, and resource requirements.
Make it easier to set a baseline for performance measurement.
Allow easier assignment of resources.
Allow easier assignment of responsibility for works packages.

LIMITATIONS

After doing this report on a person working in a managerial position we have come across some
of the limitations of management.
a) Changing nature: The principle of management is not static. With the growth of science
and technology, the concept of management is also changing. Some of the old idea is
being eliminated and new ideas being invented. Similarly, scientific management is
taking place of traditional management.

b) Narrow concept: The narrow outlook of managers is also an important limitation of
management. The habit of work done by others develops dictatorship and authoritarian
attitude among the managers. Moreover, workload unnecessarily increased due to
concentration of power in few hands only.

c) Effects of external factors: -We know it is the process of decision making. It has to
operate within the policies of ruling government interventional relations and climate
conditions.

d) Profit oriented concept: -The findings say that management is actuated by self-interest
and pecuniary consideration. Managers tend to give priority to their own interest,
progress and profit as against the interest and profit of organization.

Apart from these above listed limitations we also know that the culture and social,
political and religious environment put much influences on management. The flexibility
of principles is also to be adjusted according to specific circumstances.

EDUCATIONAL & PROFESSIONAL BACKGROUND
MR. SHAFAYET JASON is a Deputy Manager in Sales & Marketing at EXECUTIVE
MOTORS LTD. He is a graduate from Dhaka University & an Ex-IUBAT, Shafayet Jason is a
man of versatile qualities.

Sir, tell us about your job title & designation.
Mr. Jason: I am working as a Deputy Manager in Sales & Marketing at Executive Motors ltd, a
sole distributor of BMW in Bangladesh (From July 2006 till date) a concern of Meghna group.


How did you get started working in this field?
Mr. Jason: Interesting! As I have done my graduation in Computer Engineering & I also have
one year experience in Lotus Kamal Group as a network administrator & web programmer, I had
been called for an interview in Executive Motors Ltd for the Assistant Manager in IT position.
Well, after attending three interviews for that post, suddenly the manager asked whether I am
interested in sales or not. During that time it was a very turning question for me, because I had a
very good result and one year experience in IT field. But suddenly, I realized that as I had a lot of
interest in cars as much and I did not know about cars as much, I thought joining would allow me
to know more, and I will able to communicate with more people, which is what I like the most.
So after thinking over a few days, I expressed my interest to join in BMW sales & my
designation was Consultant, which makes me more suited to the job. And after my joining, till
now I am learning each day, and thats why I can tell you that I am satisfied!

Can you brief us about your job
duties & responsibilities? And how
you plan to achieve your targets &
objectives set by your organizations
head.

Mr. Jason: Responsibilities include following up with the foreign organizations,
embassies, multinational companies, private organizations & individual clients &
assist them to get the best product according to their criteria and standard,
handling and maintaining individual database, maintaining marketing planning &
successful exsiccation, giving input for Marketing plan & achieving the sales target.
For the second part of your question I would rather say I plan my days work
through dedication, perseverance & through hard work, and I go step by step that
made me successful over the years and help me to build a better craftsmanship.

How you plan your typical day at your job?

Mr. Jason: Thank you for this question. My day
starts as per below schedule:
9.30 am to 9.45 am -entering office
9.45 am to 11.30 am -preparations for the outgoing appointments, desk
work etc.
11.30 to 4.30 pm sales call
4.30 pm to 7.00 pm post appointment work, making schedules for
upcoming visits, working on prospects, desk work. I try and make my lunch
timings within. However, as I work with the night market, this schedule may
vary.

Who is responsible for planning in your
organization towards the achievement of the
organizations objectives?

Mr. Jason: Basically the planning is done by the owners &
the top level managers i.e. the chairman & the board members. Then, it flows down to the other
levels of the management. In turn i direct the plans to my sub-ordinates toward achievements of
the goal. Apart from this view sometimes we are also asked to give some ideas about the plan
which actually improves our skills, responsibilities etc.



What skills/personal qualities are best for this job?
Mr. Jason: Apart from the interest in cars, a premium segment car
salesman must have these required qualities & skills:
Detailed knowledge about the product.
Self-confidence.
Believe in his product.
Quick response of a client or any query (No matter how silly the question is).
Price negotiation power.
Guiding the client for the right product.
Understand the client need.
Understand the company mission & vision.
Show/tell the real scenario to the upper management.

What are the qualities that managers must possess
that proves to be the strength for your organization.

Mr. Jason: As the world of work continues to change so do the
qualities & characteristics of the managers who are going to be
leading this organization. Some theories that made me successful
are:
Follow from the front & try to be an example for the organization. As far as the managers are
concerned they are the most valuable asset that any organization may have. So I try to be the
leading person. Secondly understand technology. It actually understands the impact of
technology at work. If someone have the good understanding of what is happening with
technology will always be able to adapt & evolve ahead of competition. And lastly believe in
sharing which means managers should be connected to the employees & provide them with the
information they need to get their jobs done.

What changes do you expect to see in the organization for your organization?
Mr. Jason: I think right now our government has to think about the duty structure. In
Bangladesh the duty structure is too high. So government has to make about why the duty
structure is high. What is their plan? Is the problem that we
are importing the foreign cars; is the problems the roads or
the government planning to have its own car industries in
Bangladesh? If they have plans to
welcome foreign companies to build their own assembling
plant over here then the high duty is ok; if not, then please us
a clean idea of the high duty.

So what I expect in this automobile industry is that government will give us a clear vision so that
we in the automobile industry can make our strategy according to that way.


Say us something about controlling in your organization?

Mr. Jason: Actually the top level of the organization has set some objectives that are to be
attained & they plan for us accordingly. Now in turn I try to achieve their target, goals. When the
outcomes are measured with the actual planned one we can figure out the deficit. In that case if
the sales target I achieve is more than the desired one than I get rewarded by the organization.
And if the sales target is not reached than
my planning is not effective, the chairman
asks me to develop my craftsmanship & who
knows might throw me out. Sometimes
corrective actions are taken to correct it.



Say us something about the culture of your organization? And what type of
organizational culture does it follow?

Mr. Jason: Basically it is how we do things around the organization to succeed. We
believe in collaboration among our organizational members i.e. we succeed by
working together. The top level management has trust on the employees & the
organization as a whole. Actually my organization is a
diversity of population who are working towards
making the success of the company. We believe in
succeeding by growing people who fulfill our vision by
doing their best, through -

dedication at work & through craftsmanship. Apart from all this views we believe in
participation, empowerment, being flexible as much as possible. This is why we have diverse
organizational culture & we are the best.


Does your organization follow traditional goal setting or the Management by
objective?

Mr. Jason: My organization follows Management by objective because everything is
periodically reviewed & employees are rewarded for the goals met.

What are the most challenging aspects of your job?

Mr. Jason: Achieving the sales target is not the challenging assignment of my job. The tough
part is getting the buyer when he/she wants to buy the car.
Well I am a sales person & I am selling an ultimate product, which is BMW, the most enjoyable
driving machine-we always say that, we are not selling cars, we sell dream product!
So for me selling is not a big deal rather needs
the person who has the budget for a car but not
sure what he/she will buy. And sometimes its
really tough to have an appointment with them
due to their busy schedule.

Sir can you mention the achievements or rewards that you are proud of?


Mr. Jason: Well in this case I have attended a good amount of training abroad, which had a
very strong influence on selling & of course my resume. Moreover, I was nominated as the
salesman of the year for 2012.



Would you say something about
centralization?

Mr. Jason: Yes, as far as my organization is
concerned it is a centrally organized
organization where the owners typically
develop the mission, vision & set objectives for managers to
follow when achieving these goals.
In a way it also provides us flexibility in interpreting through the
decision, planning etc.

RECOMMENDATION

What is your advice to youngsters who are interested in your job field?
Mr. Jason: My advice to youngsters is, during your undergrad BBA course, choose marketing
as your major; try to do more assignments & projects on automobiles industry. If possible do
your internship in any automobile company in Bangladesh.
After completing your graduation, do the English communication course if possible. Some more
qualities that are needed for this field include:
Good communication skills
Mannerism
Being a good listener
Negotiation skills
And finally, an interest to learn(of course about automobile)


Sir any final thoughts you would like to add?

Mr. Jason: Be honest & dedicated to your work. I can assure you, this will lead you to all the
way to the top.

CONCLUSION


Every project or a report has an objective to be met, for us it clearly understands the managerial
position of an organization, how it accomplishes its plan to achieve its mission etc. From the
interview with Mr. Shafayet Jason it is vividly clear how he & his organization are effective in
achieving its target & being the best in the country. He sets an example by leading from the
front.

GLOSSARY

PLANNING: Planning (also called forethought) is the process of thinking about
and organizing the activities required to achieve a desired goal.
Planning involves the creation and maintenance of a plan. As such, planning is a fundamental
property of intelligent behavior. This thought process is essential to the creation and refinement
of a plan, or integration of it with other plans; that is, it combines forecasting of developments
with the preparation of scenarios of how to react to them.

Centralization: Centralized organizational structures rely on one individual to
make decisions and provide direction for the company. Small businesses often use this structure
since the owner is responsible for the companys business operations.

Controlling: The basic management function of establishing benchmarks or
standards, comparing actual performance against them, and taking action if required.

Organizational culture: Organizational culture is the behavior of humans who are part of
an organization and the meanings that the people attach to their actions. Culture includes the
organization values, visions, norms, working language, systems, symbols, beliefs and habits.
