Logging into your Office 365 account for the first time
What is your username?
Your username is your UR Active Directory UserID.
To find your username:
Step 1: Go to MyIdentity login page.
Step 2: Enter you NetID and Password (same as when logging into HRMS).
Step 3: Click on View Account. An account list will be displayed.
Step 4: Your username (User ID) will be displayed by UR Active Directory in the account list.
Step 5: To change your UR Active Directory password, click on Change Passwords.
Step 6: Follow the instructions to change just your UR Active Directory password or all passwords.

Microsoft Outlook Client Access


Step 1: Open Microsoft Outlook Client:

Step 2: For User name, enter username@ur.rochester.edu


For Password, enter the password associated with your username account. Click OK button.

Step 3: Click the OK button and wait for Outlook to finish making the necessary changes.

Step 4: Launch Outlook.

Outlook Web App Access


Step 1: Open up a web browser and type: http://owa.ur.rochester.edu. Enter your username and
password. Click Sign In.

Step 2: Choose the Language you would like to use and the proper time zone and click OK. You will be
taken to the new webmail interface.

Office 2011 for Mac Access


Step 1: Launch your Microsoft Office Outlook client by going to /Macintosh HD/Applications/Microsoft
Office 2011 and open Outlook.
Step 2: Check the Make Outlook the default application for e-mail, calendar, and contacts option
and click Add Account.

Step 3: Click on Exchange Account.

Step 4: Enter your primary email address (i.e. first.last@rochester.edu, username@xx.rochester.edu) in


the E-mail address field. Enter your username in the User name field. Enter your password

associated with your username in the Password field. Make sure Configure automatically is checked.
Once finished, click Add Account.

Step 5: Check the Always use my response for this server option and click on the Allow button.

Step 6: Once finished, you will be brought back to the Accounts window. Input the appropriate
information and click on Advanced.

Step 7: Under Directory service, leave the Server field blank. Click OK and close the Accounts window.

Apple Mail Access


NOTE: The following steps will be carried over into iCal and Address Book. However, some features that
exist in Outlook 2011 may not be accessible thru Apple Mail, Address Book, and iCal.
Step 1: Launch your Apple Mail client by going to /Macintosh HD/Applications/ and double-click Mail.
Step 2: The screen below will be displayed. Enter your name in the Full Name field. Enter your primary
email address (i.e. first.last@rochester.edu, username@xx.rochester.edu) in the E-mail address field.
Enter your password associated with your username in the Password field. When finished, click
Continue.

Step 3: If the server cannot login via your email address, you will be prompted with a Username
field. Please put in your username, then click Continue.

Step 4: When successful, the screen similar to below will be displayed. Click Create.

Step 5: Once in Mail, Ctrl-click on Inbox and select Get Account Info

Step 5: At this window, double-click on any folder you do not see (from the main Mail window)
and close each window after it appears on the left. Close this window when finished.

Thunderbird Access
Step 1: Open Thunderbird. A window will pop up asking about Setting Thunderbird as your Default
Client. If it is your default email client, click on Set as Default. If not, click on Skip
Integration.
Step 2: A new window will pop up asking you to configure a new account. Click on I think Ill configure
my account later.

Go to Account Settings.
a. From a Windows PC: right-click on the top of window, select Menu Bar,

then go to Tools > Account Settings.


b. From a Mac: go to top of screen, click on Tools > Account Settings.

Step 3: In this window, click on Account Actions > Add Mail Account.

Step 4: In the Mail Account Setup window, please enter the following:
a. Your name: Enter your full name here.
b. Email address: Enter your primary email address (i.e. first.last@rochester.edu,
username@xx.rochester.edu)
c. Password: Enter your password associated with your username. When finished, click
Continue.

Step 5: Thunderbird will attempt to find the correct settings, but if it cannot, you may receive this
message, which is normal.

In this case, please click on the Manual config button and provide the following settings:

a. Incoming:
i. Server hostname: outlook.office365.com
ii. Port: Auto
iii. SSL: Autodetect
iv. Authentication: Autodetect
b. Outgoing:
i. Server hostname: smtp.office365.com
ii. Port: Auto
iii. SSL: Autodetect
iv. Authentication: Autodetect
c. Username: Enter your username.

Step 6: Once all settings are entered, click on Re-test. If the settings are correct, you will see the
following message:

Step 7: Click Done. Now the mailbox will appear and start to populate.
Step 8: Because the protocol Thunderbird uses to connect to Office 365 is different than clients like
Apple Mail and Microsoft Outlook 2011 for Mac, it will use different folders for some of the
primary folders. To be consistent, we highly recommend you follow these steps below to
minimize confusing if you also use Office 365 web or a different desktop email client.
a. Right-click on your Office 365 account and select Subscribe from the drop-down
menu.
b. Place a checkmark next to each of these folders: Drafts, Deleted Items, Sent Items.
c. Click Subscribe button, then click OK.
d. Right-click on your Office 365 account again and select Settings from the drop-down
menu.
e. Under your Office 365 account, select Server Settings.
f. Within Server Settings > When I delete a message section, select Move it to this
folder and from the drop-down, select Deleted Items.
g. Under your Office 365 account, go to Copies & Folders.
h. In When sending messages, automatically > Place a copy in: section, select Other and
use the drop-down to select: username@ur.rochester.edu > Sent Items.
i. Under the Drafts & Templates section, select Other and make sure it states Drafts
on username@ur.rochester.edu.
j. Once done, click OK and close Thunderbird and re-open it.

Exchange ActiveSync (EAS)


EAS allows for the synchronization of email, contacts, calendar, tasks and notes from an
Exchange email server to a mobile device.

Configuring and Connecting iOS devices (iPhone, iPod Touch, iPad)


Step 1: Backup your handheld device.
Step 2: On the home screen of your iOS device, tap the Settings icon.

Step 3: Scroll down until you see Mail, Contacts, Calendars and tap the option.

Step 4: Select your University account.

Step 5: Scroll down and tap Delete Account.

Step 6: Tap Delete Account.

Step 7: Tap the Add Account icon.

Step 8: Tap the Microsoft Exchange option.

Step 9: Configure your Exchange credentials:


Enter your primary email address (i.e. first.last@rochester.edu,
username@xx.rochester.edu) in the E-mail address field.
Enter your password associated with your username in the Password field.
Enter UR in the description field.
Tap Next.

Step 10: The server name may automatically be populated, if not, you may be prompted with
additional fields to enter. Type in the following:

Server: outlook.office365.com
Domain: (Leave Blank)
Username: username@ur.rochester.edu

Tap Done.

Step 11: Set which features (Mail, Contacts, Calendars, Reminders, Notes) you want to sync on
your device and tap Save.

Configuring and Connecting Android


NOTE: There are many versions and customizations of the Android mobile operating systems.
The screenshots may be different with your phone, but the information for setup is the same.
Step 1: Backup your handheld device.
Step 2: Tap on the App Drawer then tap on Settings.

Step 3: Tap on Corporate.

Step 4: Tap on Account Settings

Step 5: Tap and hold your University account. Tap on Remove account.

Step 6: Tap on Remove account

Step 7: Tap on the App Drawer then tap on Settings.

Step 8: Scroll down and tap on + Add Account.

Step 9: Tap on Email.

Step 10: Configure Account Setup


Enter your primary email address (i.e. first.last@rochester.edu,
username@xx.rochester.edu) in the Primary E-mail Address Here field
Enter your password associated with your username in the field below the Primary Email Address field.
Tap Manual Setup.

Step 11: Tap on Exchange.

Enter your username@ur.rochester.edu in the Domain\Username field
Enter your password associated with your username in the Password field
For the server field, enter outlook.office365.com
Verify there is a checkmark for Use secure connection
Tap Next.

Step 13: You will be prompted to allow remote security administration. Tap OK to allow setup
to complete.

Step 14: Configure your preferred sync options. Tap Next.

Step 15: Tap Activate. This acknowledges the mobile security policy that is being applied to
your hand held device.

Step 16: Tap Activate. Your email will download.

Step 17: Open the Mail application on your Android device. You will be prompted to allow the
universitys mobile security settings. Tap OK.

Step 18: Open the Mail application on your Android device. Your emails will now sync to your
smartphone.

Blackberry
Quick Process for setting up Blackberry device:
Requirements: Blackberry 5.0 device with minimum Java 4.0 and Blackberry 4.5 software.
Step 1:

Contact your IT Support and request to be removed from the Blackberry Enterprise Server
(BES) and be added to the Blackberry Business Cloud Services. They will assist you with
configuring your Blackberry for Office 365 email.

Remote Wipe Self Initiated


Step 1: Open up a web browser and type: http://owa.ur.rochester.edu. Enter your username and
password. Click Sign In.

Step 2: Click on the Options icon and select Options

Step 3: In the Options menu select PHONE

Step 4: Select the mobile device you want to perform the remote wipe on. Click on the Wipe Device
icon.

Step 5: You will be prompted to validate the remote wipe request. Select Yes.

Step 6: You will see the status of the mobile device change from OK to Wipe Pending

Step 7: When completed the status will read Remote Device Wipe Successful.

Step 8: Select the mobile device you just completed the Remote Wipe on. Highlight the device and
select the delete icon.

Step 9: Select YES to complete the deletion of mobile device.

Step 10: You will be sent an email confirming the remote wipe. It will look similar the example below.
