my fellow councillors, we could pass the amendments and convene an Extraordinary General
Meeting this year.
I was deeply aware that the issue of affiliation has been discussed for more than two years, however
it has not yet been approved. This might require more discussion in the next session of the Council.
Aside from the aforementioned, the councillors also had a lot of exchange in ideas and opinions. I
was active in bringing members opinions into the Council and facilitated the discussion in the
Council.
3.1 My role as a member of the Constitution Review Committee, A.S.C., A.A.H.K.U.S.U.
I am the representative of Arts Association in the Constitution Review Committee this year. My job
is to express my views on the amendments to the Constitution, By-laws and Financial Regulations
of Arts Association and the Constitution of its affiliated societies, as well as review the structure of
the association. My job also includes approving the application of affiliation of other societies.
This year, I put my focus on the amendments of the Constitution of Arts Association. I did a survey
and listened to the opinions of our members before proposing an elevation the of membership fee of
the association. I made every endeavour in hope to deal with the financial difficulties faced by the
association this year. Thanks to the understanding of the members, all of them supported the
proposal and it was put forward to the Council.
Another major area of discussion lies in the affiliation of Spanish Society. I carefully looked into
their Constitution and gave opinions on how to amend it. Other issues were also discussed, such as
optimising the composition of the Council and some changes in the Financial Regulation. However
these required more in-depth discussion, therefore a decision has not been made yet. By attending
all meetings and jotting the minutes for every meeting, I was able to involve in the discussion of all
matters. Unfortunately time is limited such that I cannot look into the details of other issues. It is
foreseen that the next session will have to work hard to deal with the aforementioned problems.
3.2 My role as a member of the Faculty Affairs Committee, A.S.C., A.A.H.K.U.S.U.
I served as the representative of the association in the Faculty Affairs Committee this year. I
attended all meetings and paid close attention to issues including concerns about the honours
classification system and the academic advising system. As I am also an undergraduate
representative in the Board of Faculty of Arts, I could bring in information about the Deans
selection process and other business like the ranking of the Faculty and its departments among
other universities around the globe. I helped facilitate the discussion by providing information and
giving my own views.
brainstorming the theme to on-day preparation to running the sub-functions, I worked with my
colleagues to ensure the smooth progress of all the sub-functions. This year, some of our subfunctions were held together at the same time. This led to the problem of insufficient manpower.
Despite such difficulty, my colleagues still made their best endeavour to stick to their positions. I
would like to express my heartfelt gratitude to all of them.
3. Our Selection Magazine
As the second person in charge of Our Selection, I was a member of the editorial board of the
Magazine. I joined some of the interviews with the interviewees, typed articles and edited the drafts
of the Magazine. Thanks must be given to Mr. Fung Jing En, Billy for his persistent efforts in
making a critical account of the Mainland-Hong Kong conflicts. Credits must also go to Mr. Yeow
Tsz Kin, Nick for his publication work and Ms. Lo Lok Yan, Vanessa for her diligence in
proofreading. Without these members of the editorial board, we could not have published a
magazine.
4. Registration Day
The Registration Day was held in August this year. As I was not a member of the Orientation
Affairs Committee, I was not as involved in the event as Mr. Fung Jing En, Billy. The Registration
Day would not have been a huge success without the arrangements and preparations done by Mr.
Fung and the person in charge, Ms. Lo Lok Yan Vanessa. Although I did not participate much in
the discussion and preparation parts, I tried my best to ensure the smooth progress of the
Registration Day during the two days. My colleagues and I all helped answer the questions from
freshmen and introduced Arts Association to them.
5. Orientation Camp
As the second person in charge of the Orientation Camp, my participation and involvement can be
improved. Due to the clash of events and my being the person in charge of the Orientation Day, a
lot of preparation work has to be done by the person in charge, Ms. Ling Chi Ching, Christie. The
preparation started from June to August. In this period of time, I helped prepare every sub-function
of the Camp and discussed different ideas with my colleagues. Thanks must be given to all personsin-charge of the sub-functions and the organising committee.
6. Orientation Day
As the person in charge of the Orientation Day, I started the preparation work from June to August.
Due to some changes, I could not start planning for the event earlier. The original plan for the event
was also changed. Yet, my colleagues bore with the sudden changes and tried their best to assist me
in the preparation work. They helped me with preparing for the materials needed and taking care of
and guiding the participants. Besides, I would like to extend my utmost gratitude to the helpers and
organising committee of the event. They had meetings with me and helped refine the sub-functions
of the event. Without all these help, the Orientation Day would not have been a success.

problems are highly appreciated. Yet after the elevation of the membership fee, we could have
better liquidity and cash flow. It is hoped that the sufficiency of the financial resources of the
association can be maintained.
3. Academic affairs
Our Academic Secretary, Ms. Wong Ho Yan, Monique, performed her constitutional duties
throughout the session. She promoted cultural functions like the Freespace Fest and Shakespeare in
the Port through our Facebook page. Through Arts Festival, an event held by the association, she
also promoted local culture and music. We received positive feedbacks from the participants. Ms.
Wong paid attention to the cultural and arts events happening around and provided information
about them. Her knowledge and interests in such areas contributed a lot to the associations
promotion of academic affairs.
4. Welfare
Our Welfare Secretary, Ms. Chan Ruo Xi, Yosie, has been very responsible in fulfilling all her
constitutional duties. She made timetables for my colleagues and I to take shifts in serving members
in the Society Room. The Society Room is opened from 10:30 a.m. to 6:30 p.m. on every teaching
day. Despite the fact that there are only 9 members in our Executive Committee, we managed to
open the Society Room for our members on every teaching day, such that our members can visit the
Room for services, such as photocopying and borrowing books.
Ms. Chan also made her best in providing Society products for our members, including Society
Jackets, Society T-shirts and Society Hoodies. We received positive comments on these products
from our members.
Ms. Chan was also devoted to providing welfare for members in the Welfare Week held in midNovember. The number of welfare packs was sufficient and the feedback we received was
encouraging. Credits must be given to Ms. Chan.
5. Sports
Throughout the session, there have been numerous sports competitions. I would like to express my
thanks to Ms. Chan Ruo Xi, Yosie, as she has taken up all the work of a Sports Captain. She
contacted players actively and attended the competitions. I also went to several competitions with
the players and cheered for them. This year, we were lucky to have got the first runner-up in the
Womens Basketball Competition.
6. Publication and Publicity
The publication work was handled by our Publication Secretary, Mr. Yeow Tsz Kin, Nick. He
published several publications including the Inauguration booklet, Our Selection Magazine, the
freshmen booklet distributed on Registration Day and the Orientation Camp booklet. The quality of

the publications was appreciated. The publicity work was mostly done by our Publicity Secretary,
Ms. Ho Mei Yin, Georgina. She has made a lot of efforts to publicise various events by making
posters, banners and posting on our Facebook page. With their joint efforts, the events of the
association were successfully promoted.
7. Faculty Affairs
Due to the absence of a Faculty Affairs Secretary, our Vice-Chairman, Internal, Ms. Ling Chi
Ching, Christie, our Academic Secretary, Ms. Wong Ho Yan, Monique and I, handled faculty
affairs. As we are also undergraduate representatives of the Board of Faculty of Arts, we can have
better understanding of the Facultys business.
Through the Faculty Affairs Committee, we expressed our concerns on different issues such as the
honours classification system and the exchange requirements. Moreover, these concerns were also
expressed to the Dean and Associate Deans through the Deans Forum.
We were also aware of the selection process of the next Dean and kept in touch with the student
representative in the Search Committee for the Dean of Faculty of Arts. Questionnaires regarding
the selection were also distributed in the Society Room such that we could receive opinions from
Arts students.
Two of the Dean candidates visited the University of Hong Kong and the Faculty in late August
and early September. They also had dialogue sessions with students and Faculty staff. We helped
publicise their visits on our Facebook page such that more students could come and raise questions.
Apart from the above-mentioned, the students were also worried about the class boycott in
September. I, along with my colleagues, had a short meeting with one of the school heads,
Professor Timothy OLeary to discuss the matter. We also sent emails to Faculty staff and teaching
staff to inquire about their stance on the student strike. The Dean replied our email and answered
our concerns. His response was circulated among the Arts students.
Throughout the year, we have established a good relationship with the Faculty. The Faculty staff
helped us in the reservation of venues and promoting the association, while the Executive
Committee assisted the Faculty in some functions. I, as the Chairman of the association, also
received questions and requests from the Faculty and made responses accordingly.
8. Marketing
With the absence of a Marketing Secretary, Ms. Chan Ruo Xi, Yosie took up the marketing work.
With her persistence and perseverance, she has obtained sponsors from various companies for our
events, such as the Orientation Camp and the Welfare Week. The sponsorships supported our
events and helped provide welfare for our members.

9. Association Affairs
Our Vice-Chairman, Internal, Ms. Ling Chi Ching, Christie, was responsible for the reservation of
venues, materials and equipment for our events. With her help and hard work, the functions of the
association could be held. She actively contacted Faculty Staff as well as Union Staff to reserve
materials. This allows the association to provide different activities for its members according to
our year plan.
Ms. Ling also kept a good relationship with the academic societies of the association. By keeping in
touch with them frequently, the association could answer their concerns and questions regarding
Faculty policies or the business of the association.
10. Extraordinary General Meeting 1 of Arts Association, H.K.U.S.U.
An Extraordinary General Meeting was convened in early May, dealing with the amendments to the
Constitution of the association. Amendments regarding the wordings in the Constitution were
passed and the proposal on the elevation of membership fee was also approved. Thanks to our
members understanding and the approval of the councillors in the Arts Students Council, the
fiscal problem of the association could eventually be alleviated. There had been financial
difficulties for years and the Executive Committee even had to apply for the Union Loan Fund to
support our functions this year. The decision reached in EGM1 really helped a lot in the
improvement of the associations financial situation.
External Affairs
1. Union Affairs
Our Vice-Chairman, External, Mr. Fung Jing En, Billy, is the Arts Association Representative in
the Hong Kong University Students Union Session 2014. Mr. Fung has attended almost all Union
Council meetings during his term of office. His efforts made in the Current Affairs Committee of
the Union Council and the Council Restructuring Working Group are highly recognised and
appreciated by the Executive Committee. He was committed to voicing out the opinions of Arts
students in the meetings of the Union Council.
Concerning issues like the 6.22 Civil Referendum and the class boycott advocated by the Hong
Kong Federation of Students, Mr. Fung was devoted to giving assistance and promoting the
functions by giving out leaflets in different stations around Hong Kong and publicising them on the
campus. In light of the recent Umbrella Movement, Mr. Fung also assisted the Students Union in
promoting its essence and encouraging students to support the movement and the strike. He visited
some Residential Halls to deliver his ideas and also provided information about the Students Union
through our Facebook page.

I, as the Chairman of the association was also very aware of various Union Affairs. I went to the
student strike meetings held by the Students Union to learn more about the arrangements such that
our members could get the latest information.
2. University Affairs
Our Vice-Chairman, External, Mr. Fung Jing En, Billy, was also passionate about university affairs
helped raise students awareness of the relevant issues. For example, in the Annual Debate of the
Students Union held in early November, he expressed his views on the motion, helping to heighten
awareness within the university. He also voiced out views of our members. The motion of the
Debate was Simplified Chinese characters should be taught in Practical Chinese courses of HKU.
This concerns the compulsory Chinese courses that local students have to take. He raised his
concerns in the debate and represented the association on this issue.
Mr. Fung also tried his best to inquire about school policies. He raised questions in an open forum
where the representatives from the Centre of Development and Resources for Students were present.
He expressed concerns about the allocation of rooms and the functions of different venues and
questioned school policies. This is closely related to our academic societies as some of them still do
not have a society room for their operation.
During the class boycott and the Umbrella Movement, the Executive Committee was also aware of
the stance that the University took. My colleagues and I paid attention to the announcements made
by the university so as to further negotiate with the Faculty.
3. Social Affairs
The Executive Committee of Arts Association, H.K.U.S.U. has been committed to promoting and
heightening the awareness of various current affairs and social issues among our members.
The Executive Committee released statements on issues like the knife attack on Mr. Kevin Lau, the
publication of the White Paper by the Central Government and Mr. Ng Leung-sings breach of the
procedures of the Finance Committee of the Legislative Council. We expressed our views and
criticism towards certain issues.
The Executive Committee also joined the class boycott, the July 1st March and the June Fourth
Commemoration Event to voice out our opinions on certain social affairs.
The Arts Students Council also passed a motion that
. This shows our strong stance on striving for civic
nomination through a non-violent manner.

A Joint-Faculty June Fourth Exhibition Function was also held. Arts Association, together with the
other nine Faculty Societies, cooperated and published leaflets expressing our views. Mr. Fung
spared no effort in the preparation of the event.
Aside from the aforementioned, Mr. Fung also persistently promoted different social issues. As the
Chairman of the Current Affairs Committee, A.S.C., A.A.H.K.U.S.U., he actively updated the page
to share news about the funding of the North East New Territories New Development Areas, the
Umbrella Movement and the pressing issue about civic nomination for the Chief Executive of the
HKSAR. Ms. Lo Lok Yan, Vanessa, as a member of the Current Affairs Committee, also worked
hard to promote social affairs along with Mr. Fung. The Current Affairs Committee published
leaflets to promote social affairs to freshmen and invite ordinary members of the association to join
the Committee. Their achievements were satisfactory.
Conclusion
1. Prospects
As Arts Association, H.K.U.S.U. is stepping into its 100th anniversary, I hoped that the next
executive committee members can learn from the past, and bring in new ideas for the development
of the association. I wish that the next cabinet can handle the financial resources carefully and build
up a reserve for the association. It is also recommended that they strive for the best and achieve
their goals with their best endeavour. An executive committee member should not only fulfill their
constitutional duty and be satisfied with it. They should set higher goals and help out one another
whenever help is needed. Do not just enjoy the title of an executive committee member but
remember the responsibilities and duties that go with it.
2. Overall Comments
It has been a challenging yet rewarding experience to take up the chairmanship of the association
for a year. I am honoured to serve as the Chairman of Arts Association, H.K.U.S.U., Session 20132014. I would like to thank my colleagues once again for their joint efforts in running the
association throughout the year. They have been very supportive and encouraging at times of
difficulty. All of them have been responsible for their own work and also helped out others when
assistance was needed. I sincerely enjoy the time working with the other eight members of Arts
Astra, the 99th cabinet of Arts Association, H.K.U.S.U. Per Aspera Ad Astra. We pursue
excellence despite all obstacles.

committees, we were able to collect information on faculty affairs and also express opinions to the
Faculty.
Personally, I have attended some functions held by the Faculty. For example, I was the master of
ceremony for the information session of the Faculty Open Day and I also gave campus tours to
participants on that day. With Mr. Fung Jing En Billy and Ms. Lo Lok Yan Vanessa, I organised
mass games for secondary school students participating in the Summer Residential Programme. I
have also participated as helpers for talks and open lectures organised by the Faculty. Through
attending these events, it is hoped that the collaborative relationship could be enhanced between the
Faculty and the association.
In cooperation with the Faculty, promotional photos of the association are now displayed on the
screens in the lifts of Run Run Shaw Tower. The work of the association could be reached to more
members through this mean. Although this could not be done frequently, the photos could be
updated through contact with Faculty staff.
We have promoted the visits of two candidates for the Deanship organised by the Faculty and also
attended both of the visits ourselves. A collaborative questionnaire with the student representative
in the Search Committee was distributed to members to gather their opinion concerning the
candidates. The results were handed to the student representative to discuss with the other members
of the Search Committee.
The Executive Committee has approached the Dean, Associate Deans and Heads of Schools in
regards to the stance of the Faculty on the student strike and raised concerns of members on class
arrangements. With Ms. Wong Tsz Yin Ingrid and Ms. Wong Ho Yan Monique, I also had a short
meeting with the Head of School of Humanities, Professor Timothy O'Leary. A brief summary of
the meeting, our letter to the Faculty and their response has been uploaded to the official Facebook
page of the association.
2.3 Social Activities
As mentioned before, social functions, such as the Orientation Camp and Orientation Day have
been organized to bring members together. Through these functions, the bonding between members
can grow stronger. Particularly, I am the person in charge of the Orientation Camp.
For members to meet more people aside from the Faculty of Arts, co-organising social functions
with other Faculty Societies could also be considered in the coming session.
2.4 Alumni Affairs
I personally attended the New Years Luncheon of Hong Kong University Arts Alumni Association,
where connections have been built up with the alumni. It is suggested that a much stronger tie could

be established with the alumni through discussing possible cooperation opportunities such as
inviting them as guests for functions or holding career-related events.
2.5 Booking of Resources
The General Secretary, Ms. Lo Lok Yan Vanessa and I cooperated together for booking all
resources and reserving all venues for the association. Bookings can be quite troublesome and
complicated with various parties providing different facilities and each having their own regulations.
With two people handling these matters, the efficiency can be stepped up. It is important to
remember to keep the borrowed resources in good condition and return them on time.
3. My role as a Councillor of Arts Students Council, A.A.H.K.U.S.U.
I have played multiple roles in the Arts Students Council, A.A.H.K.U.S.U. during my session,
including a councillor, the Chairman of Faculty Affairs Committee, A.S.C., A.A.H.K.U.S.U. and a
member of Election Commission, A.S.C., A.A.H.K.U.S.U.
3.1 My role as a Councillor
Up to 19 November 2014, 3 Ordinary Council Meetings and 2 Emergency Council Meetings were
held in this Council Session. I was present at all meetings held. I have listened attentively to the
opinions expressed by other Councillors and also expressed my views on matters discussed.
However, I admit I could have been more active in the discussions.
3.2 My role as the Chairman of Faculty Affairs Committee
Two meetings were convened during this session. I have set the agendas and facilitated discussion
among Committee members. I explained issues to members when they were unfamiliar with them.
Members gave useful opinions during meetings however more engagement would have further
enhanced the quality of the meetings.
3.3 My role as a member of Election Commission
As a member of the Commission, I attended the meeting convened and assisted in the preparation
and set-up of the Annual Election 2014.
Brief Review of Internal Affairs
1. General Affairs
The General Secretary, Ms. Lo Lok Yan Vanessa, handled the general affairs of the association.
The associations Half-yearly Functional Report and the Annual Report has been prepared
attentively. The correspondences of the association have been handled with care and the mailbox
and email account have also been checked regularly. The minutes of the meetings of the Executive
Committee has been recorded systematically.

2. Finance
The Financial Secretary, Mr. Lee Siu Ho James handled finance of the association. He is
responsible for preparing the financial budget, financial reports and scrutinising funds of the
association. Financial matters have been handled with attentiveness.
The issue of adjusting the subscription fee for ordinary members has been in discussion in previous
sessions. The subscription fee had not been modified since 1989; however, the price level of
materials has been on the rise in the past 25 years. It has been difficult for the association to
maintain its operation, let alone providing more services for its members. Therefore, after extensive
research and analysing the results of questionnaires distributed to members, it was proposed that
subscription fees of the association should be increased from $30 to $50 per year.
The proposal had been discussed in Constitution Review Committee, A.S.C., A.A.H.K.U.S.U., Arts
Students Council, A.A.H.K.U.S.U. and Constitution Review Committee, HKUSU Council. An
Extraordinary General Meeting of the association was later held in May and the proposed
amendment to the subscription fee of ordinary members was passed.
With the adjustment to the subscription fee, the financial situation of the association is more
stabilised and there can be room for more services provided to its members. The funds of the
association should continue to be handled prudently in order to ensure smooth operation.
3. Academic Affairs
The Academic Secretary, Ms. Wong Ho Yan Monique, handled academic Affairs of the association.
Arts Festival was organised in April with the theme Journey into Hong Kong Arts & Culture.
Utilising the official Facebook page of the association, events related to arts and culture in the
society such as Shakespeare in the Port were promoted to raise members awareness. The
association has promoted academic affairs actively.
4. Welfare and Marketing
The Welfare Secretary, Ms. Chan Ruo Xi Yosie, handled welfare matters of the association. In the
absence of a Marketing Secretary, she has also taken up marketing work of the association. Welfare
Week was organised in November to distribute welfare packs to members. Apart from the
mentioned event, sponsorships were also actively sought for Inauguration Ceremony, Orientation
Camp and Orientation Day.
The Society Room is open to members and offers printing and photocopying services, water
dispensers and borrowing of books and sports equipment. A variety of society products have also
been sold. The Society Room has been generally kept quite clean to provide a comfortable
environment for members. There have been free Halloween snacks for members in October, which
further attracted them to visit the Society Room.

The Society Room and society products are important means to promote a sense of belonging to the
association among members. A pleasant environment should be provided and products designed to
cater members wants.
5. Sports
In the absence of a Sports Captain, the Welfare Secretary, Ms. Chan Ruo Xi Yosie handled sports
activities. The association has participated in various Inter-faculty Competitions organised by
Sports Association, H.K.U.S.U. throughout the year. Remarkably achieving 1st Runner-up for the
Womens Basketball competition.
6. Publication and Publicity
The Publication Secretary, Mr. Yeow Tsz Kin Nick, handled publication work of the association.
Several publication works have been published for different occasions. The Inauguration Booklet,
Our Selection magazine, Registration Day Freshmen Guide and Orientation Camp booklet have
been published this session. The Publicity Secretary, Ms Ho Mei Yin Georgina, handled publicity
work of the association. Several publicity means were used to arouse members interest in the
associations functions. Printed publicity means such as posters, banners, backdrops, booklets were
used. Latest information about the association has also been uploaded to the official Facebook page.
7. Social Activities
In the absence of a Social Secretary, I handled social activities. Social activities were organised to
enhance the bonding between members and their sense of belonging to the association. These
activities include the Orientation Camp and Orientation Day.
8. Faculty Affairs
In the absence of a Faculty Affairs Secretary, Academic Secretary, Ms Wong Ho Yan Monique,
Chairman, Ms Wong Tsz Yin Ingrid and I handled Faculty affairs. The Deans Forum was held to
provide a platform for the Faculty and members of the association to exchange views. The
Executive Committee also approached the Faculty in regards to the stance of the Faculty on the
student strike and raised concerns of members on class arrangements. Regarding the selection of
the next Dean, we have promoted the visits of two candidates for the Deanship organised by the
Faculty and distributed questionnaires to members to gather their opinion. We have also kept in
contact with the student representative in the Search Committee.
Conclusion
It has been my pleasure to serve as Vice-Chairman, Internal of Arts Association, H.K.U.S.U.,
Session 2013-2014. Although there were pressure and challenges, it has been a rewarding year
indeed. I would like to express my gratitude to members for giving me the opportunity to take part
in the running of the association.

In my term of office, I have encountered numerous challenges and obstacles. In return, however, I
have earned valuable experience and insight, and I have been able to grasp a bigger picture of
matters. This year is definitely a tough one; yet, I believe this is a worthwhile experience.
Although there were times of frustration and hardships, I am fortunate to have 8 supportive
colleagues. With their support and assistance, I have been able to put my thoughts into practice. I
am also very proud of the relationship of our executive members. We have been respectful and
understanding towards one another even when we have very different views on certain issues. This
enables us to serve our members better with our best efforts. I would like to extend my utmost
gratitude to my fellow colleagues.

Working with my fellow colleagues was definitely an extraordinary and delightful experience.
Through striving to achieve one common goal, we developed mutual trust and strong bonding. We
debated and argued in meetings, but our friendship was never undermined. Despite the many
difficulties we face, everyone was supportive and ready to help. No matter how hard the storm is
we had each others backs. It has been my greatest pleasure working with you all.

Towards the end of the session, I have also participated in discussions of proposed amendments to
the Financial Regulations of the Union, mostly regarding the restructuring of the funds, and also
participated in reviewing the applications of Contingency Expenses to provide financial aid for
Union sub-organisations due to unexpected expenses triggered by the outbreak of social movement
in Hong Kong in late September.
Conclusion
Without prior experiences in handling accounting matters, being the Financial Secretary came much
as a surprise for me. Suddenly handling tens of thousands of money and a bank account was a
complete new experience for me and I have acquired a lot of tangible skills and financial concepts,
such as account balancing and terms like non-current assets. Though limited, I have tried my
very best in serving the association.
I would like to express my sincere thanks here to my fellow executive committee members for their
continuous support throughout the year. I could not have achieved this much without their kind help
and care. Gratitude must also be expressed to my predecessor, Hisa, who has not stopped to advise
me on financial matters after the end of her session; as well as the financial secretaries of the
academic societies, the committee members of the Union Finance Committee and all helpers who
participated in our functions, for they have contributed much to the association affairs this year. I
would like to say that the year passed is blessed with lot of peoples hard work.

Having observed that the importance of local arts and culture is not to be overlooked in this era of
globalisation, I picked Journey into Hong Kong Arts and Culture as our theme for Arts Festival
this year. Through a series of functions, we hoped to foster members interest in various local art
forms - Hong Kong indie music and Cyber-literature, as well as their understanding of the
development of Hong Kong Cinema and the significance of traditional letterpress industry. We
hoped that members could also gain a better insight of Hong Kong history and culture by joining
our book fair and local community tour.
Realising the enormous significance of publicity work in promoting the event, I tried my every
effort to publicise the Festival via different means. This year, I produced a promotional video
showcasing the details of the Festival in kinetic typography. Although the number of views was not
particularly high, positive feedback was received. I also took part in designing posters and banners
for the Festival with my colleagues, thereby ensuring all the designs were closely in line with the
theme.
The Festival ran smoothly as scheduled in April. Nevertheless, we found that there was room for
improvement. For instance, despite promotion of the Festival as a whole, publicity work for the
letterpress workshop and the local community tour was not sufficient. The application method for
the workshop was not clearly stated. We received members emails queries and we realised that
online registration should be accepted at the first place. Moreover, the workshop had a quota of 15,
which was apparently not enough. It was also suggested that the two forums should have been held
in more open venues, such as Haking Wong Podium or Happy Park, so that more students could
participate in the forums.
Organising the Festival was a real challenge to me. In fact, it was my first time to hold an event of
such a large scale. I would like to extend my utmost gratitude to all the guests who kindly took part
in the Festival. Most importantly, I would like to express my gratitude to my colleagues who have
contributed a lot of valuable comments in planning the whole event.
2.2 General duties in promoting academic affairs
I have utilised the associations Facebook fan page to promote arts-related and cultural events
organised by various parties such as Fleurs des lettres and The House of Hong Kong Literature. I
have also participated in events including Freespace Fest and Kowloon City Book Fair, and tried
my best to encourage more members to join.
This year, members are welcome to borrow books and other reading materials in the society room,
that are re-arranged from time-to-time for members perusal. However, I failed to realise the need
to renew the reading materials. Moreover, though the society room has been publicised, there are
few readers. Observing this, along with the Time Magazine sponsorship that offers individual

subscription to members, we have decided to forego the option of subscribing magazines in the
society room.
3. My role as a Councillor of Arts Students Council, A.A.H.K.U.S.U.
As a councillor, I have attended all the council meetings. I have paid close attention to the issues
discussed and casted my votes on an unbiased basis.
3.1 My role as a member of Faculty Affairs Committee, A.S.C., A.A.H.K.U.S.U.
As the representative of Board of Faculty of Arts in the Faculty Affairs Committee, A.S.C.,
A.A.H.K.U.S.U., I have been active in addressing issues raised in the faculty board meetings.
Issues concerning Dean selection, the gender ratio of faculty staff and the honours classification
system were brought to light in the committee meetings. Committee members have also been keen
in contributing to the discussions.
Conclusion
I am pleased to be elected as the Academic Secretary of Arts Association, H.K.U.S.U., Session
2013-2014, and hence being able to realise my goals and serve our members. There were times of
hardships, but I find the whole experience very unforgettable and rewarding.
Looking back, my colleagues and I have worked closely and made our events possible in spite of
countless obstacles. No pains, no gains. In the midst of all the laughter and the tears, what we have
earned is more than mere friendship, but a strong bond of fraternity and trust. Most importantly, we
have been able to serve our members wholeheartedly.
Here, I would like to extend my most sincere gratitude to my colleagues. Without them, nothing
would have been possible. While promoting academic affairs is not an easy job, they have always
been supportive and they offered me a lot of flexibility. Arts Festival is the best example, as they
allowed me to pick the theme and plan the activities, they provided useful advice and guidance so
that I could refine and make the Festival a better one. It has been my pleasure working with these
great people.

Apart from managing the society room, I also met the representatives from the Swire Company
about the three vending machines located in the Main Building and putting new vending machines
into the Centennial Campus. Regretfully, due to Fire Regulations and various concern expressed by
the Faculty of Arts, we were not able to introduce new vending machines in Run Run Shaw Tower.
2.2 Society Products
Apart from the society products designed by the previous session, our Publication Secretary Mr.
Yeow Tsz Kin, Nick designed 3 new T-Shirts and hoodies this year of good quality for members.
Members made mostly positive comments on the society products, with their great support, T-shirts
and hoodies were almost sold out. Besides, tumblers, notebook cases and umbrellas was packed
into a package and sold in the Registration Day as a welcoming package for freshman. Society
Notepad designed by our Publication Secretary, Mr. Yeow Tsz Kin, Nick, was being put into the
Welfare packages this year for free to members as a welfare product.
2.3 Sponsorship
Among all events throughout the year, I found sponsorships mainly for the Inauguration Ceremony,
Orientation Camp and Welfare Week.
During the Inauguration Ceremony, I found sponsorships mainly on food and drinks. My
colleagues and I went to the Western District, Pok Fu Lam and Mong Kok to find restaurants to
provide hot dishes and appetizers. One of the alumni sponsored the Inauguration ceremony with
cakes and tarts.
For Orientation Camp, I found sponsorships mainly through Phelps, an agency company. We got
drinks, cosmetics, coupons and personal care sponsors from different companies for our freshman.
The Phelps Company also provided discount on the orientation camp T-shirts. Other companies like
Rexona also approached us for their sponsorship programme, they provided us with 170
Antiperspirants for our participants.
For Welfare Week, I have approached different companies through emails, Facebook inbox and
direct phone calls. Most companies replied through Facebook Inbox and gladly lots of the
companies were interested in sponsoring our event. We got sponsorship from about 12 companies
distributed them into the Welfare Packages and Lucky Draw. At the mean time, we also maintained
good and sustainable relationships with different companies to promote the image of the Arts
Association, H.K.U.S.U.

members in the association, we hope to gather all of them through products, or by opening the
society room to provide them with a platform to meet each other.
Last but not least, I would like to express my deepest thanks to my fellow executive committee
members. In a year full of challenges, difficulties and joy, I am lucky to have my eight colleagues
standing with me side by side. Getting closer to the end of the session, I thought about how we
started our journey, and how amazing it feels when I know the eight of you will never stop
supporting you no matter what happens.
What and if are two words as non threatening as words can be, but when we put them together
side-by-side, they have the power to haunt you for the rest of your life. What if? What if I never
got elected as an executive committee member? What if I never met the eight of them? I do not
know how our story will develop after the end of this session, but I am sure the nine of us will

Conclusion
First of all, I would like to express my greatest gratitude to fellow association members in trusting
and electing me as the Publicity Secretary of Arts Association, H.K.U.S.U.
When I was writing my annual report, I was surprised by how little days I have left being the
executive committee member of Arts Astra. Time flies, I have learnt so much and had so many
unforgettable memories during my term of office. People always talk about Give-and-take. It is
never easy to give because no one knows how much you can take. Learning Photoshop from
scratch was probably one of the most difficult tasks during my term of office. I would like to thank
my fellow executive committee members for their love and support throughout the year. They were
always there to help. Organising activities was also another challenging task. From writing proposal
to actually carrying out the plan, it was a long and tough process. But with my fellow executive
committee members, it suddenly seems not so hard at all. Trying out new things can be scary
because results are uncertain. This year, I stepped out of my comfort zone and had lots of new
experiences. The most important thing I learnt from this year: never be afraid to give as you always
end up taking more.
I would like to say a few words to the proposed Publication Secretary in the coming session,
Moonny. I am aware that you are the only Publication Secretary in your cabinet and the amount of
publication works will be overwhelming in the coming year. I hope that you can overcome all the

Despite problems encountered during preparation and small slips during the ceremony, the overall
flow of the ceremony was smooth and positive comments were received from guests. In general,
the Inauguration Ceremony was successfully held.
Preparation
- In general, we borrowed corsages from other societies systematically.
- There were only a few days left before the ceremony begun when we realised we were about ten
corsages short. However, we managed to borrow more corsages and the problem was promptly
solved.
- The borrowing of other resources such as tables and wineglasses was less systematical.
Different things, which belonged to different societies, were borrowed by different people,
which led to confusion when we had to return them.
- Invitation letters were sent to potential guests.
- We looked for sponsors for refreshments and cash by making telephone calls and visiting them
personally, but only a small percentage of them gave us a positive reply.
- Each executive committee member recruited helpers, who were then divided into different
teams.
- An info pack containing information such as a detailed schedule, a contact list, and a material
list was produced and distributed to helpers and all executive committee members.
- The briefing of helpers was done on the day of the Inauguration Ceremony. We believed there
would be enough time to do so, so we decided we might as well save them a trip to HKU.
However, this turned out to be an underestimation. As the transport of materials took much
longer than expected, there was too little time to brief the helpers.
Publicity
- A video introducing the executive committee members was produced.
- Since none of the executive committee members had a professional video camera, we had to
borrow cameras from friends. This led to less flexibility in video shooting.

It was decided that the Publication Secretary should be responsible for the Inauguration Booklet,
and the Publicity Secretary should be responsible for other publicity materials such as posters
and thank you cards.
However, this led to the problem of inconsistent design style as the designs were produced by
two distinct persons.
After some discussion, the different designs were merged into one to ensure a consistent theme.
Recommendations
- It is worth discussing whether to organise an Inauguration Ceremony at all. It is one of the most
expensive functions of the year, but does not benefit ordinary members directly.
- It is desirable to create an online document of some sort dedicated to recording the borrowing
and returning of resources. In the document, the borrower, lender, deposit, deadline for
returning among other details should be listed clearly in order to avoid misunderstanding.
- It may be more efficient to look for sponsors by making phone calls. When visiting them
personally, it is usually the best practice to avoid peak hours.
- More time could be spent on the briefing of helpers. It is worth considering to dedicate a day, as
opposed to several hours before the ceremony, for this.
- The corsages worn by executive committee members should be clearly distinguishable from
those worn by other guests.

sufficient time for counting and categorising books.

- Booth set-up and decoration was positively received. Together with the banner put behind the
booth as a backdrop, posters of three styles were hung around the booth as decoration to attract

- Set-up of the booth was efficient and operation was smooth. Duty roster of the booth was well
adopted by executive committee members. However, sales records were a slightly unorganised
and confusing, which caused difficulties during book counting.
Recommendations
- Metal banner supporters should be prepared the night before and more time should be reserved
for setting up the banner. It is suggested that movable boards covered with posters can be used
as alternatives to banner.
- Prices of books were not increased to earn any profit as the book fair was of benefit to our
members. Considering our financial situation, however, it was suggested that profit should be
earned instead.

limited manpower. Additional helpers should be recruited for setting-up of venue.
- The performance should be videotaped, so as to further promote and support local music and
independent artists. This will also benefit members, as they will be able to review the show
online as well.
- People started to leave after 1:30 p.m. to attend lectures and tutorials, it is suggested that the
performance be shortened.

The Letterpress Workshop and Community Cultural Tour was successfully held. As the programme
was free of charge and of rich content, a lot of positive feedback was received.

- Interaction between different interviewees was displayed through the editing work in the
section of interview. As answers of the interviewees were interrelated, the interview section
was similar to a forum, and thus was more readable.
- The editorial board received articles with diversified opinion. In total, four articles were
published with one by Mr. CHAN Kam Lam, one by me, and two by students.

- This part was satisfactory. The design and typesetting were clear and tidy.

Fourth Massacre was innovative and diversified in the event, which was well evaluated.

- The first issue of this 8-page pamphlet aimed to equip students with basic historical
knowledge of past democratic and student movement in Hong Kong. Also, it aimed to arouse
students in discussion about the different reasons that motivated individuals to engage in these
social movements. The preparation work for this publication was of average. As the
organising committee lacked manpower, long working hours were unavoidable.
- The second issue of this 8-page pamphlet aimed to reflect on the June Fourth Massacre. The
preparation work for this publication was satisfactory as discussions between students
concerning the June Fourth Massacre were successfully aroused.
Exhibition
- Headlines of various newspapers published in 1989 concerning the June Fourth Massacre
were collected and typeset into portable and reader-friendly pamphlets to arouse readers
understanding of details and public opinion towards the June Fourth Massacre. This was
satisfactory.
- A tank model was constructed for the exhibition to attract students attention. It was reflected
that the tank looked genuine. This part was also satisfactory.
- Exhibits were borrowed from the Hong Kong Alliance in Support of Patriotic Democratic
Movements in China. Prior booking was made, enabling smooth running of the exhibition.

Fourth Massacre were prepared as exhibits. Exhibits were sufficiently prepared.

- Together with the help of Campus TV, HKUSU, a promotional video was produced and
broadcasted on the channel of Campus TV, HKUSU.
- A Facebook page and event page were established respectively for the release of event
information and photos.
- Posters were designed uniquely and artistically to promote the event. Despite wordings were
not too clear, the posters attracted many students to our event.
- Overall, publicity means were adequate and satisfactory.
On-day Rundown
Exhibition
- This part was satisfactory.
- Exhibits were tidily shown in the exhibition. Moreover, a video concerning the June Forth
Massacre was shown in the exhibition. It was important that equipment required should be
booked beforehand.
- Allocation of manpower to manage the exhibition was satisfactory. At least two members
from the organising committee were present to look after the exhibition.
Distribution of and old newspaper collection
- This part was of average. Despite insufficient manpower on the first day of distribution, more
helpers were engaged after the evaluation meeting.
Recommendations
- Preparatory work was advised to begin at least two months in advance.
- Co-organisers should be confirmed as soon as possible to begin preparation.
- Proofreading of each piece of publicity and publication should be more comprehensive.
- More time should be reserved for setting-up of the exhibition in order to avoid the delay of the
starting time of the exhibition.

In general, Registration Day was successfully held. There were sufficient road signs and helpers to
ensure freshmen could reach LG.07 to complete their registration process. Freshmen were
generally enthusiastic in participating orientation affairs.
Preparation
- I have attended all meetings of the Orientation Affairs Committee, A.S.C., A.A.H.K.U.S.U. as
Arts Association Representative (AAR) to discuss matters related to orientation, mostly
regarding the Registration Day.
- Freshmen Packages, including a Survival Guide, a mini notepad and a leaflet published by the
Current Affairs Committee, were prepared.
- Registration documents and society products were prepared in advance.
- Floor plan of LG.07 was planned. LG.07 was divided into different queue areas with
elaborately decorated queuing stands.
- Sufficient helpers were recruited to assist the executive committee on Registration Day.
- Ten-dollar note and coins for change were prepared.
- Road signs were posted along the path from LE 5 to LG.07. Props were also designed for
helpers to draw the attention of freshmen of the Faculty of Arts.
Publicity
- Reminders were released on the associations Facebook page to remind freshmen what to
bring on Registration Day.
- The executive committee decorated the queuing stands with posters to publicise the
associations orientation activities. Not only can these queuing stands guide freshmen in

completing their registration process in LG.07, but also promote our society and orientation
activities.
A slideshow was projected in LG.07 to introduce Arts Association.
On-day Rundown
- Upon completion of the registration process of HKUSU, freshmen were gathered in the
waiting room in LE 5 and directed to LG.07 by helpers. Stickers were distributed to freshmen
in order to differentiate them from freshmen of other faculties. Students studying BA&LLB
were given red stickers for differentiation, as these students would be directed to Law
Association, H.K.U.S.U. to complete their registration process before proceeding to zone 2.
- Upon entrance of LG.07, freshmen would follow the queuing stands to complete their
registration process. First, freshmens membership registration forms, orientation activities
application forms and fees were collected. Then, freshmen would proceed to the second
counter where they could purchase society products and get their Freshmen Package.
- Upon completion of the registration process of Arts Association, freshmen would visit the
rooms of affiliated academic societies and then proceed to zone 2.
- As the registry failed to register freshmen of Faculty of Arts during non-peak hours, the first
day was not effective.
- Most of the freshmen of Faculty of Arts came during peak hours, which was the afternoon
session of 14 August 2014. Therefore, the closing hours of the rooms of academic societies
were extended from 6:30 p.m. to 7:30 p.m.
- In order to facilitate smooth running of the zone, Arts Association and academic societies all
sent helpers to take up shifts of zone helpers and enforcers. Zone helpers and enforcers were
required to attend a briefing session at 7:30 a.m. organised by the Orientation Affairs
Committee to familiarise with the arrangements.
- Although there were clashes with the academic societies of Social Sciences Society, clashes
were settled accordingly.
Recommendations
- Measures adopted this year to ensure freshmen to reach LG.07 were successful. These
measures include sticking road signs along the path between LE 5 and LG.07, recruiting
sufficient helpers, briefing every zone helper and enforcer thoroughly, designing props for
helpers and distributing stickers to freshmen. It is recommended that these measures can be
adopted in next years Registration Day.
- LG.07 was a satisfying venue as it was spacious enough. Dividing LG.07 by queuing stands
was effective in guiding freshmen to complete the registration process. It is suggested that a
similar venue and approach can be adopted next year.
- Prepare sufficient ten-dollar note and coins for exchange.

Preparation
- Meetings with the organising committee were held regularly every week and the participation
rate was very satisfactory. Members of the committee were actively involved throughout the
preparation period and the camp.
- There were four meetings held for group parents during the preparation period and the
participation rate was satisfactory. Most of the group parents were familiar with the rundown,
campfire songs, and their duties.
- Games were demonstrated beforehand and refined according to the feedback received.
Materials were also prepared well ahead of time.
- Communication with external parties i.e. the campsite management, transportation company,
food caterer, sponsors was sufficient.
- The camp booklets for freshmen were published ahead of time, however, the publishing of
booklets for helpers were delayed and were not distributed to helpers before the start of the
camp.
- The ideal venue for gathering on campus, LG.07, was unavailable for booking so it was
changed to LG.61 and 62, which was comparatively smaller in size.
Publicity
- The event was publicised through the associations Facebook page and on Registration Day
using posters and the projector in LG.07. Publicity was proven successful as an overwhelming
number of freshmen applied for the Orientation Camp.
On-day Rundown
- The Ice-breaking session was satisfactory. Participants were engaged in the games and

interacted with each other. However, the room was smaller than expected and some games did
not run as smoothly as we hoped they would.
The HKO was satisfactory. The coordination was smooth in general. However, there could be
more communication with helpers beforehand regarding the route and their stations.
Mass games were satisfactory. The participants generally enjoyed the games.
Detective Game was satisfactory. The participants were engaged in the game and enjoyed
watching the solution video.
The Auction was satisfactory. The participants were active throughout the session. They were
also pleased to receive the package containing sponsored products.
Water fight was satisfactory. The participants gave positive feedback on the rotating system
practiced during the game.
The SOCI game was satisfactory. Due to unstable weather, the game was held indoors. The
coordination was smooth and the participants were engaged in completing the tasks.
The Campfire was satisfactory. Due to unstable weather, it was held indoors at the hall.
Although there were occasional malfunctions of the sound system, the coordination was
smooth in general. The atmosphere was great and the campfire decoration received many
compliments.
The XY game was satisfactory. The participants expressed that it was a meaningful game.
However, the details of the game could be refined.
The Night walk was mediocre. Due to unstable weather, it was held indoors. However, the
coordination was not as smooth as expected and the venue was unsuitable for holding the
program.
Recommendations
- Orientation Camp is a large-scale event involving many participants and parties. It is vitally
important that it is well planned beforehand. There should be sufficient communication with
the organising committee, group parents and external parties to ensure smoothing running of
the event.
- Games should be modified to suit the capacity of the room in the case of a change of venue.
- Contingency plans should be well thought out in case of any unexpected situations.
- Remind participants to keep their rooms clean and tidy to avoid being fined by the campsite
management.

Preparation
- Some helpers were recruited in April. However, quite a number of them could not help
organise the event in the end. Therefore some difficulties were met when planning the details
of the sub-functions.
- A pre-day was held in early August to try out all the games. The executive committee
members and organising committee members for the function all expressed their opinions
such that the rundown and the format of games could be refined.
- The proposed venue for the function could not be reserved unfortunately. The Faculty helped
us with the reservation of another venue.
- Meals were ordered two days before the function. T-shirts for the event were also ordered in
late July. Preparations were done beforehand. The executive committee members helped
prepare the materials and the decorations for the event.
- Phone calls were made to the participants few days before the function. However there were
difficulties as some applicants could not make it in the end and the name list of participants
was not finalised until few hours before the start of the event.
Publicity
- Several publicity means were used to publicise the event. Posters were posted for freshmen to
learn about the orientation events on the Registration Days. A banner was also made. The
details of the event and reminders were also provided for the freshmen through our Facebook
page. Photos were also taken to publicise the event.
- Publicity was considered successful. The number of applicants was satisfactory.

- The sub-functions were all run on time and smoothly.
- The Ice-breaking session was quite satisfactory. The participants gained knowledge about the
Faculty, the association and the University. Their interaction was also quite satisfactory.
- The participants had lunch together. They were satisfied with the arrangements.
- The Campus Orientation session was conducted in different parts of the campus. The
participants got to visit different areas of the campus. However there might have been too
many checkpoints therefore some groups did not return on time. Luckily there was a buffer
session after the Campus Orientation session such that the running of other sub-functions
could be on schedule.
- The Mass Games session was quite long. Although many participants enjoyed the games,
some were also distracted during the session. The games ran smoothly but there is room for
improvement.
- Positive feedbacks were received from the participants. It is hoped that the association can
have closer bonding with them.
Recommendations
- The event can also be held earlier such that it will not clash with hall orientation activities and
those of our academic societies. Thus, the name list of the participants can be finalised two
days before the event to prevent sudden changes.
- The availability of the helpers should be ensured one to two months before the event such that
preparation work could start earlier.
- More helpers should be recruited to help with the smooth running of all the sub-functions.
- More trials of the games are recommended such that they could be refined.
- T-shirts should be ordered more than a month before the event is held such that we could have
a more discounted price. This will prevent monetary losses.
- The venue used this year was large enough for 60 participants to take part in the sub-functions
together. It is suggested that these rooms can be considered for functions of a similar nature
and with a similar number of target participants.
- The mass games should be more inclusive such that the participants can be more involved.

Our High Table Dinner, originally scheduled on 6 October 2014 at Loke Yew Hall from 7 p.m. to
9 p.m., was cancelled in response to the student strike organised by the Hong Kong Federation of
Students and Umbrella Movement. The executive committee members believed that members
could experience civil duty through other means. A Facebook announcement about the
cancellation and refund of High Table Dinner was released on 29 September 2014. Members who
had already registered and paid could visit the society room and get full refund on or before 31
October 2014.

Preparation
- The booking of Loke Yew Hall and the two classrooms outside (planned to be used as VIP
room and catering preparation room) were confirmed in late July.
- The list of guest was not confirmed until the last week, which hindered the preparation work.
- A Google Form was set up to facilitate the register process.

- Publicity work like sticking posters and releasing mass mails started two weeks before the
event.

- Due to the student strike, the forum originally scheduled on 23 September 2014 was
postponed to 7 November 2014.
- The venue was also changed from Union Foyer to UG 205 due to the postponement.
- Guest speakers were well contacted in advance.
- Questions were collected from students prior the forum via online platform.
Publicity
- Mass email and Facebook Posts were released.
- Posters were designed and posted around the Centennial Campus.
On-day Rundown
- Equipment and materials were promptly collected. Setting-up of the venue was efficient.
- All the guest speakers arrived in time and the forum started promptly.
- The forum went smoothly as scheduled.
- The forum over-ran for 15 minutes, as there were too many questions.
- Various issues concerning exchange programmes, honours classification system, campus
facilities and human resources of the faculty were raised and hotly discussed.

Recommendations
- It is suggested that the forum should be held in a more open venue, where more students will

- Questions collected prior the forum could be sent to guest speakers beforehand so they could
get well prepared.

- Banner site should be utilised for promoting the event. We were unable to use the booked

we were forced to hold our event in Run Run Shaw Podium, which is not a very desirable
event as it is quite far away from Centennial Campus.
- There should be more diversity in the promoting means of Arts Association, H.K.U.S.U. in
order to attract more kinds of sponsorship.
