Introduction

In Germany, a legal requirement is that data must be stored up to 10 years in the


ERP system, either in the live company or in an archive company. For Baan
ERP, SSA Global Baan decided to store all the data in one archive company.
Due to this requirement, you cannot use duplicate order numbers. For this reason,
customers with high-data volumes must be able to use order numbers of seven
digits in length. This Implementation Guide describes how Baan IVc4 has been
modified to permit seven-digit order numbers.

Functional description of the solution


Baan has prepared the standard software for use of seven-digit order numbers.
However, the actual change of the domains for order numbers from six to seven
digits will not be delivered as part of the Baan standard software. As a result, in
the standard software, the order numbers will remain six digits in length and
customers who do not need to enlarge the order numbers will not be impacted by
a functional modification. The standard software works the same as previously
when the order numbers were limited to six digits.
Customers who want to use seven-digit order numbers must install a customized
solution, which enlarges the domains for order numbers from six to seven digits.
In addition, customers also must follow the instructions provided in Chapter 6,
Implementation instructions. No further changes are required in the software
components, other than the domains for order numbers, as a customization,
because all other components are prepared to use seven-digit order numbers.
The domain for projects, which is also a six-digit code, is not taken into account
in the solution. No preparations are made to enable enlarged project numbers.
The technical reason for this is because projects use a domain of type String,
which can contain alphanumeric characters, and that leads to a database
reconfiguration, whereas order numbers use a domain of type Long, which can
contain numeric values only, and that do not lead to a database reconfiguration.

Technical description and further details of


the solution
The size of the order numbers remains unchanged in the standard software and
stays set to six digits in length. Enlarged domains for order numbers of seven
digits can be delivered as a customization.
The customized solution checks all forms and reports in Baan IVc4 on which an
order number appears or is printed. If insufficient space is available to display or
print a seven-digit order number, the solution adjusts the form or report. To
enable the seven-digit order number to be displayed or printed, the solution shifts
the fields on the form or report to the left or to the right. Occasionally, the
solution must reduce the size of a field, for example, a Description field, by one
character.
Changes are made in the forms of Baan IVc4 where a range of order numbers
can be selected and where the default value for the To-Order field was fixed at
999999. A new default value for the To-Order field has been set, in which the
default value now depends on the length of the Order Number field.
The solution checks all forms and reports of Baan IVc4 in which an order
number appears or is printed with a fixed display format of six digits. The
solution then changes the fixed display format of six digits and uses the display
format of the related order domain.
The solution also checks the program scripts of Baan IVc4 and groups
modifications in program scripts in the following categories:

Technical modifications to enable handling of seven-digit order numbers. The


solution changes all scripts in which the size of order numbers is fixed at six
digits. The scripts will now take the size of the order numbers from the
domain.
Generate a project from a sales order or generate a budget from a sales
quotation (in PCS and PCF modules). A check is introduced on the size of the
order/quotation number and the size of the project/budget code. If the size of
the project/budget code is smaller than the size of the order/quotation
number, you cannot generate a project or budget with the same number as the
order or quotation. To generate projects or budgets, you can still use the first
free numbers for projects or budgets.
Technical modifications in the PCF module, in which a reference order is
used, which is the origin of a product variant, for example, order, quotation,
or project. This reference order was restricted to six digits, while the
reference order must be able to handle orders of up to seven digits in length.

Functional modification in the handling of first free order numbers and order
series. If the domains for order numbers are enlarged to seven digits, the
customers must be able to use order series of three digits, where the
maximum size of the order series is currently two digits. Customers can only
use a three-digit series if the size of the domains for order numbers is
changed from six to seven digits in length.

multiple solutions in PMC format. You can recognize these solutions by the
solution title that starts with the text Enlarging order numbers: Most solutions
are grouped by package/module and are, in general, independent of each other.
This helps avoid one large solution and a PMC dependency problem. All
solutions will be included in SP15, so that customers who want to enlarge the
order numbers, and who do not use individual solutions, can install SP15.

The modifications that you must make in these domains to enable seven-digit
order numbers are the following:

Change the field numbers, before dec.sign, from 6 to 7.


Change the setting in the Display Format field from ZZZZZ9 to
ZZZZZZ9.
Change the maximum value of the Range field to permit seven-digit
numbers, if applicable.

Functional impact

To generate new order numbers


When Baan IV generates new order numbers, Baan uses the First Free Order
Number functionality. To generate order numbers, the following two elements
are important:

Use of series in order numbering: no digits, one digit, or two digits. You can
maintain this setting in multiple parameter sessions.
First free order numbers. You can maintain this in the Maintain First Free
Numbers (tcmcs0147m000) session.

The process to generate new order numbers after you enlarge the order numbers
to seven digits differs slightly, depending on whether or not you use order series.

Without series, for example, sales order number

After you lengthen the domain to seven, the following sales order number is
generated: 920966.

With series, for example, purchase order number

New situation:
After you enlarge the length of the domain to seven digits, the following
purchase order number is generated: 9020966.
The result differs slightly: if you implement the domain change for numbers
without series, the next number is generated as the last used number plus one.
However, for numbers with series, the next number is much higher than the
previously used number. A (one-time) gap occurs. After you generate the first
number after you enlarge the domain, the numbers will again be sequential.

Number of digits for order series


Multiple sessions in Baan IVc4 include the functionality to extract the series
number from existing orders. For example, you can use a series to define
dimensions in Finance while you post transactions to Finance. While you post
transactions to Finance, the sessions in the Logistics module extract the series
number from the order numbers. Similar functionality is used in multiple
locations in the Baan software, particularly in the area of Manufacturing.
The functions to extract the series number from existing order numbers will
return an incorrect series number for order numbers that are generated before the
domains are enlarged for order numbers. If no series are used for order numbers,
the series number is always zero. This setting will not change when you enlarge
the order numbers.
EXAMPLE

Before you enlarge the order number, the settings are as follows:

Purchase order number created: 920965


Number of digits for series: One digit
Series: Nine

After you enlarge the length of the domain to seven, the function to extract the
series number from order number 920965 returns the value 0 and not the value 9.
If you enlarge the order number to seven digits, the actual number is 0920965, in
which the first digit is a zero, and therefore not visible. The number of digits for
the series is defined as one digit, and as a result, the first digit (= zero) is
returned.
To avoid incorrect extraction of series numbers from existing order numbers, you
must maintain the length of the series numbers immediately after you enlarge the
order numbers. This process is only required for those order types in which the
length of the series is defined as one digit or two digits. If no series are defined,
no action is required.

Functional impact

If the number of digits for the series is defined as one, you must change this
setting to two. If the number of digits for the series was defined as two, you must
change this setting to three. This option for three-digit series numbers is a new
option that you can only activate if you first enlarge the domains to seven digits.

If you change the parameter for the number of digits for the series, this does not
necessarily require you to start to use the new series immediately.
EXAMPLE

The number of digits for a series is currently defined as one digit. You can use
the series one through nine. After you change the number of digits per series to
two digits, you can use the series one through 99. As a result, you can still use
the existing series after you change the number of digits per series.
If you add new order series, do not immediately delete the earlier series. You still
require these earlier order series, as described at the beginning of this chapter. If
you no longer want to use the old series, select the Blocked for Input check box
for that order series in the Maintain First Free Numbers (tcmcs0147m000)
session.

Generate project or budget from sales order or sales
quotation
Baan IVc4 offers the functionality to generate a project from a sales order or to
generate a budget from a sales quotation, in which the project or budget number
is equal to the order or quotation number. This functionality is available in the
following sessions:

The domain for the project is tccprj and is defined as a string of six characters.
The domain for budget is tccbdg and is defined as a string of six characters.
These string domains will not be enlarged. As a result, to create a project code
and budget code, you can only use order numbers with a maximum of six.
As long as the number of digits for the tcorno domain is less than or equal to the
string length of tccprj domain, no change is required. The project domain is, in
these cases, large enough to keep the order number as the project code.
If the number of digits for the tcorno domain is greater than the string length of
the tccprj domain, projects generated for sales orders cannot use the order
number. Instead, you must use the defined series for projects to generate the
project number. In this case, the option to use the order number as a project code
will be cleared and unavailable.
For standard Baan IVc4 customers, the tccprj domain is a six-digit string that can
only handle a tcorno domain with six digits. The following table shows whether
the functionality is changed based on the domain types of tcorno and tccprj:

Functional impact

If customers want to use the functionality to generate a project or budget from a


sales order or sales quotation, in which the project or budget number is equal to
the order or quotation number and the order numbers are enlarged to seven digits,
additional customization is required to enlarge the project field (domain tccprj)
and/or the budget field (tccbdg).

Calculate Product Variant Selling Price Structure


In Baan IVc4, the Product Variant IDs (tipcf500) table is available, which has a
Reference Order tipcf500.refo field with domain tccprj. This field can contain
an order, quotation, or project number, depending on the origin of the product
variant. This domain tccprj is a string of six characters and will not be enlarged,
whereas sales orders or quotations can be six, seven, or eight digits in length.
Therefore, you must change the domain of this field tipcf500.refo and make this
field independent of the tccprj domain.
The goal of this solution is to minimize the table changes and avoid
reconfiguration of the table.
The solution made available in Baan IVc4 is to link the tipcf500.refo field to a
new domain tcrefo. The modifications are delivered in solution 138172. If local
or zoom variables have links to the tipcf500.refo fields, these variables are also
linked to the new domain. The forms and the reports that use the tipcf500.refo
field can handle a domain of type String with a length of eight digits.
Initially, the solution is delivered in which the new domain tcrefo is equal to the
current tccprj domain. Customers who will stay with the current order number
length, six digits, will not suffer from a reconfiguration of table tipcf500. If a
customer wants to enlarge the order number domains, the customer also must
enlarge the tcrefo domain accordingly. The solution 140490, with the customized
domains on seven digits, already contains the tcrefo domain with a length of
seven digits, so that no manual actions are required. For more information, in
case you have customizations on the project domain tccprj, refer to Check
domains tccprj and tcrefo, in Chapter 6, Implementation instructions.

Functional impact

EDI
If you enlarge order numbers, this can impact the setup of EDI messages. If you
use a fixed-length setup, most likely, the order numbers are defined with six
digits. The EDI module in Baan IVc4 supports fixed-length setups, but Baan
delivers no defaults based on fixed-length setups. If you use EDI with a fixed
length setup, you must investigate the setups and, most likely, you must adjust
the setups to enable order numbers of seven digits.

Customizations
Technical description and further details of the solution, in Chapter 1,
Introduction, provided a technical description of the solution, among others, on
changes made in forms and reports. New sessions have been written to find the
forms and reports that must be modified for the solution. These sessions are
available in solution 140531 on the Baan Global Support Web site. You can use
these sessions to find customized forms and reports that you must change to
permit seven-digit order numbers.
No sessions have been added to check program script sources or report script
sources. The user must manually check the customized program script sources
and report script sources.

The procedure to implement enlarged domains for order numbers consists of the
following steps:

Read the last minute information.

Install the modified software.

Enlarge the order-related domains.

Check the domains tccprj and tcrefo.

Create a runtime data dictionary.

Maintain parameters for the length of order series.

Read the last-minute information


Before you implement the enlarged domains, first check if any last-minute
information is available about enlarged domains and the installation of the
enlarged domains. You can find this information on the Baan Global Support
Web site under solution number 140530.

Install modified software


The following three options are available to install the modified software:

Install Service Pack 15 for Baan IVc4.


Install all the solutions listed in Chapter 3, List of solutions. You can
download these solutions from the Baan Global Support ftp server and install
the solutions with PMC.
Use the Download, Scan, and Connect Solution (Multi-Level)
(ttpmc2210m000) session to download and scan solution 138962. This
session automatically downloads all solutions required to enlarge domains.
You can then install these solutions by means of PMC.

NOTE

After you install the modified software, neither the Create Runtime Data
Dictionary (ttadv5210m000) session nor the Convert to Runtime Data Dictionary
may be started.

Enlarge order-related domains


The following two options are available to enlarge the domains:

Copy the domains that are described in Chapter 4, Supported domains, to a


customization VRC and maintain these domains.
Install the enlarged domains from solution 140490 in a customization VRC.
You cannot download the dump with enlarged domains from the Baan Global
Support ftp server. You can only obtain these dumps from Baan Consulting.

Check domains tccprj and tcrefo


Check if you have customized the Project field (domain tccprj). If this field is
customized, you must also customize the domain tcrefo as well with the help of
the special instructions in solution 138172.

Create Runtime Data Dictionary


Run the Create Runtime Data Dictionary (ttadv5210m000) session: select the
relevant package combinations, and select the Domains, Tables, and
Reconfigure Tables check boxes.
After you run this session, exit the bshell. If Baan software components are
loaded in shared memory, which is often the case on Microsoft Windows
systems, stop and restart the shared memory and then restart the bshell.

Maintain parameters for length of order


series
Maintain the parameters for the length of order series, as described in Number
of digits for order series, in Chapter 5, Functional impact.

Check EDI setup


If you use EDI with a fixed-length setup, you must check the setup, and most
likely, adjust the setup before you can use seven-digit order numbers. For more
information, refer to Functional changes, in Chapter 5, Functional impact.

Check DDC setup


If you use distributed data collection, you must run the Query/Update Function
Servers (tuddc1212m000) session. For more information, refer to the session
Help.
