1. Define Project
A project is a process to achieve a specific objective and every project objective should be
established at the initial stage of the project. The uniqueness of a project comes together with its objectives.
2. Define Project Management
Project management is the discipline of planning, organizing, seucring and managing resources to
bring about the successful completion of specific project goals and objectives.
3. What is communication management
Communications Management centers on determining who needs what information and whenand
then produces the plan to provide the needed information. Communications Management includes
generating, collecting, disseminating, and storing communication. Successful projects require successful
communication. Communication is the key link between people, ideas, and information.
Communications Management includes four processes, which may overlap each other and other knowledge
areas. The four processes are:
Communication planning The project manager will need to identify the stakeholders and their
communication needs and determine how to fulfill their requirements.
Information distribution The project manager will need to get the correct information on the correct
schedule to the appropriate stakeholders.
Performance reporting The project manager will rely on EVM and other performance measurement
to create status reports, measure performance, and forecast project conditions.
Administrative closure The project manager will need a routine of documentation, communication,
and information distribution to close out a phase or project
Communication during projects can be of many different types such as oral, written and nonverbal.
Oral communication is mainly utilized in face-to-face meetings or over the telephone as well as in group
meetings and affords a lot more flexibility to the speaker, such as the ability to communicate not only with
voice but body language, attitude and nuance. The subtle nuances that can be communicated during verbal
communication are not present during written communication.
Written communication, on the other hand, is usually more precise. It can be sent through correspondence
such as memos, letters or notices. It can also be sent via Email or the project management information
system. The key to making written communication more effective is to first grab peoples attention, then give

them a reason to want to read the rest of the communication.

Another type of communication that plays a big role during projects is the non-verbal kind. The way people
dress, the tone of their voice, their stance while talking all convey something significant. For example, an
interesting anecdote states that during important negotiations with vendors or other business parties, the
project team at NASA was taught to keep their hands under the table at all times so as not to produce any
misunderstandings through their non-verbal gestures. Being aware of a persons body language can greatly
enhance your own level of understanding. A sudden intake of breath may indicate that a person wants to
speak, or a furrowed brow could be an indicator that either the other person does not understand you or
does not agree with your point
4. State the factor constraining the project management
Project management is constantly concerned with three aspects of the projects. The three most
important factors are time, cost and quality, commonly called Total Quality Control (TQC)

5. Define scope, schedule, cost, customer satisfaction


Scope These are the functional elements that, when completed, make up the end deliverable for the
project. The scope itself is generally identified up front so as to give the project the best chance of succes
and meet customer quality requirements.
Schedule/ Time This refers to the actual time required to produce a deliverable. Which in this case, would
be the end result of the project. Naturally, the amount of time required to produce the deliverable will be
directly related to the amount of requirements that are part of the end result (quality) along with the amount
of resources allocated to the project (cost).
Cost This is the estimation of the amount of money that will be required to complete the project. Cost itself
encompasses various things, such as: resources, labor rates for contractors, risk estimates, bills of materials,
et cetera. All aspects of the project that have a monetary component are made part of the overall cost
structure.
Customer Satifaction- Understanding, evaluating, defining, and managing expectations so that customer
requirements are met. This requires a combination of conformance to requirements (the project must
produce what it said it would produce) and fitness for use (the product or service must satisfy real needs).

6. As a project manager what are important needed. Sketch the diagram to illustrate you answer
As a project manager the important aspect is to deal with it. The project manager needs to strike a balance
between the three constraints so that quality of the project will not be compromised.

To overcome the constraints, the project managers have several methods to keep the project going. Some of
these will be based on preventing stakeholders from changing the scope and maintaining limits on both
financial and human resources.
A project manager's role is evolved around responsibility. A project manager needs to supervise and control
the project from the beginning to the closure.
The following factors will outline a project manager's role:
The project manager needs to define the project and split the tasks amongst team members. The project
manager also needs to obtain key resources and build teamwork.
The project manager needs to set the objectives required for the project and work towards meeting these
objectives.
The most important activity of a project manager is to keep stakeholders informed on the progress of the
project.
The project manager needs to asses and carefully monitor risks of the project.

In order to overcome the challenges related to project triangle and meet the project objectives, the project
manager needs to have a range of skills, which includes:
Leadership
Managing people
Negotiation
Time management
Effective communication
Planning
Controlling
Conflict resolution
Problem solving
Creative thinking
Time management

7. From your understanding give and discuss 3 benefit of project management


The benefits of good project management serve all those who are involved in the process: the manager who
is responsible for the project, the customer who is anxiously waiting for the completed project and the
production team that gets this project up and running.
Understanding benefits of professional management is not difficult, but they often get dressed up that way. At
its base lies the basic organisation skills that are necessary to succeed in any project. Which is the reason
why many managers fail to understand its concept and resist investing in good quality project management.
A project can be managed efficiently using a set of tools. A project management plan, fit the the sizes and
complexity of the project, is important, because it enables mangers to guide any project from point A to
point B in a most cost effective and efficient way.
Benefits of project management.

9.Increased risk assessment-When all project players are lined up and your strategy is in place, then all

assessing the risks and warns you in time, even before you start working on any project.

productivity.
With successful implementation of various strategies for management of any project, it can narrow down the
focus, reach the goals within the set time and cost perimeters. Finally, everybody in the team comes out as
winner, which is the biggest benefit of project management.
