Introduction

Electronic File Manager (EFM) is a feature in SAP Business One used to create file format projects which are used
in the transfer of data to from SAP Business One and a third-party software. File format projects are a coupling of
source and target file structures with mapping and validation rules. Fields from the source file are mapped to
fields in the target file ensuring the relevant information is transferred based on pre-defined conditions.
Validations ensure that the information contained in the target fields is consistent with the requirements for those
fields. Electronic File Manager (EFM) is delivered as an SAP Business One add-on.
You can use the tool to design different electronic format solutions including:

GEP (Generic Electronic File Format Project) - Generic format used for generating electronic files based on
SAP Crystal Reports .rpt files. Once a GEP format has been generated it can be placed in a new menu entry in
SAP Business One. You can use this to export files with the help of a wizard.

BPP (Bank Payment File Format Project) - Bank payment file format used for exporting payment data from
SAP Business One. This format is used to generate a bank payment file in the payment wizard with the help
of payment engine.

BFP (Bank Statement File Format Project) - Bank statement file format used for parsing and importing bank
statement data into SAP Business One in conjunction with the Bank Transaction handling Facility add-on.

SPP (Special Purpose File Format Project) - Generic format used for various special business purposes with
predefined structure.

In this document, the process of importing a GEP file into SAP Business One is described, as well as the process of
generating the relevant electronic file or report.

Introduction

Importing GEP Files into SAP Business

Prerequisite
You have saved the relevant GEP file to your computer.

Procedure
1.

From the SAP Business One Main Menu, go to Administration Setup General Electronic File Manager.

Right-click on the first blank row and choose Upload.

Select the relevant GEP file from the location where you have saved it.

To confirm the upload, in the Electronic File Manager window, choose Update.

Following the upload of the GEP file, a new menu item related to the GEP file is created in the Main Menu under
Reports Financials Electronic Reports [Name of the Relevant Report] automatically. For example, a
new menu item is created in the Main Menu under Reports Financial Reports Chart of Accounts.

Generating Electronic Report Based on


GEP File

Once you have imported a GEP file into SAP Business One, a new menu item is created automatically under
Reports Financials Electronic Reports [Name of the Relevant Report]. To generate the electronic file, follow
the procedure below. Depending on the type of the report, the steps in the report wizard may slightly vary.

Procedure
1.

From the SAP Business One Main Menu, under Financials Electronic Reports, choose the relevant menu
item, for example, Chart of Accounts. A report wizard appears, guiding you through several steps.

2.

In the introductory screen of the report wizard, choose Next to move to Step 1.

3.

In Step 1, define the selection criteria. To see the Crystal Reports source information, choose the Preview
button.

4.

In Step 2, define the path to the location where you want to save the generated output file.

In Step 3, view the link to the generated report file.

To view the log information, choose the Log button


To open the file in the relevant folder as displayed below, click on the link.

To close the report wizard, choose Finish.
