ANNEX 1. DOCUMENTATION
1.1.1
GENERAL
The supplier will deliver the standard instruction books, shop manuals and part drawings with lists
corresponding to the drawings; and further, if available or necessary, trouble shooting schemes,
safety instructions, servicing and maintenance instructions, repair instructions and commissioning
instructions, in triplicate (per equipment).
Instruction books and parts lists are submitted in the English language.
As far as possible all this information will be supplied as well on CD or DVD in MS Office format.
This documentation will be subjected to the Owner's approval concerning: completeness,
identification, unambiguity.
For all supplied equipment and installed equipment the parts list will indicate:
position number referring to a detailed and readable drawing
name or description of the part
unique part number
full specification (including make, type, relevant dimensions, standard material,
certificates...) for all normally commercially available parts such as fasteners,
bearings
(roller bearings, cylinder bearings, etc.), seals (O-rings, simmerrings, cylinder seals, etc...),
hydraulic components, electric components, couplings,
hoses, monitoring
devices, appendages and fittings (valves, non return valves, etc...).
For all equipment and installations all adjusted values, calibrations, scalings, ... will be entered in the
drawings, in protocols or in the relevant manuals, as adjusted on board.
1.1.2
ELECTRIC INSTALLATION
For all electric, control and automation installations, the instruction manuals will contain among
others:

Of all switchboards, measuring and control stands or desks or panels, starter panels, lighting
distribution panels, power distribution panels, main distribution panels, thyristor chests, relay
chests, etc. an arrangement, a scheme and a detailed list of parts will be delivered,
mentioning:
-item number (with reference to the scheme)

- for all components: make, type and all specifications necessary for ordering spare
parts.
The drawings will consist of:
a. layout drawing of the equipment, showing location of components, with
identification
b. layout drawing of panels, etc. showing location of control equipment (e.g.
signallamps, indicators, switches, ...) with identification
c. scheme (multiline power diagram) and control diagram of the system, showing the
functioning of all components. These control diagrams are complete with:
- identification for all components
- wire numbers; wires are provided with unique numbers.
- identification of all connections to and terminals of components
- for relais, switches, etc. page and section number of the different contacts
are shown
- terminal strip identification and terminal strip number
- the necessary texts, clarifying the functions of the components
- contacts or similar are identified by reference to the component id., and
page and section number of the component is given near the contact
- for components exterior to the system (e.g. pushbutton in a control desk), a
reference to the exterior system's drawing is entered, and terminal numbers
of the component in the exterior system are given, and vice versa.
d. cable connection diagrams showing:
- terminal strips with identification and numbering
- all cable connections
- cable number, and origin or destination of every cable; indicating as well the
drawing number and page and section number where the other end of the
cable is to be found (this also applies to cable connection diagrams of
equipments supplied by thirds: information of cabling connected by the
main electrical contractor has to be entered on the cable connection
diagrams of the supplier)
- core numbers of all cables
- for large control diagrams, comprising several pages, the page and section
number where the signal is used, will be indicated on the terminal strip, near
the strips of the signal.
For the complete electric installation cabling diagrams and cable lists will be delivered,
mentioning clearly the type, the number, length etc. of each cable that has been used.
A clear documentation will be delivered of the most important elements mentioned under 1),
allowing after sales services, regulation or ordering of parts (this concerns among others
relays, switches, printed circuits, transformers, measuring instruments, current-, pressure- and
temperature switches, etc.).
Documentation of PLC and computer programs, schemes, drawings, etc... available as
computer files will also be submitted suitable for use on an E-plan, or AutoCad system.
PLC-, PC-, processor- or any other computer programs and systems will be well documented as
follows:
- clear lists of all I/O's , giving all required hardware data (terminals, I/O devices, scaling,
....) and identification of the signals in the programs.
- program listing enabling an understanding of the different functions of the program
- clear hardware and software configurations of the systems
- complete identification and specification of all used parts
- standard documentation of hard- and software
a complete back-up of all software, with installation software and clear installation
instructions. Installation of back-up software is possible by means of a laptop. Special
interface cables, if required, are supplied as well.
In case installation of back-up software by means of this laptop is not possible, an
adequate programming device must be supplied with the vessel.
all software to be officially registered with the original supplier, and an unlimited license
for use on board of the vessel is supplied.
