Legacy Systems with no integration

Problems faced due to legacy systems

In 2013 Mandira Marketing Limited went ahead with a customized ERP
package called AMSOL Infotech Solutions for their operations and
management. The reason for this was that the company started facing a
lot of issues due to presence of different information systems and data
bases for different units. The problems faced by the company were:
Lack of integration among the organization, there were many
organizations within a big organization without any sync between them

- One department would not be able to get any information from any other
team if required
Lack of coordination between the teams which led to mismanagement
and data loss
- One unit may not know the current status of any process or system which
may lead to confusion and ambiguity within the company
A lot of effort was carried out manually due to absence of any
integration which used a lot of manpower and time
-The higher management requires integrated reports to present in the
meetings, which would require a lot of manual efforts to consolidate the data
from different teams and thus would become a strenuous job. They mainly
wanted their reporting format to be customized.
As the company operations started expanding there was a need to
integrate the systems for better communication between various
modules and functions
- The company reports needed to be published in the public domain which
required integrated dashboard reports and data. They also wanted to do away
with user restrictions and give easy accessibility to everyone.
To gain Competitive advantage over other similar organizations
- The companies carrying similar profiles were upgrading themselves to
ERP systems. Whereas still using legacy systems meant that the company
was not competitive enough to stand in the same league as other such big
organizations. This might impact the global picture of the company in the
market

Advantages of AMASOL Infotech

Solutions
The ERP system takes into account all the functional units in the organization
and integrates them. Because of this system it is possible to fetch the data by
any employee working in any module regarding any other module. Thus a
single window system exists for fetching data from all the divisions.

Critical Success Factors for ERP

Processes

Senior Management Commitment & Participation

Open to Change
Good Project Management Skills
Using Standard Methodology
Improved Employment Efficiency
Infrastructure Availability
Communication between teams
Customized reporting standards
Easy accessibility of all the employees to the data of other divisions

Time taken for the implementation

-The implementation process took about 3 months which included staff training as
well.

Cost of implementation
-The Companys overall budget for adopting AMSOL Infotech Solutions was
Rs.3 lakh approximately.

Disadvantages of Amasol Infotech

Solutions
The data regarding the pros and cons of the implementation was collected through
interviews with the employees from the organization. There are certain bottlenecks
that need to be addressed:
1. The execution speed is slow:
There is an absence of high performing servers to handle the data that is
being exchanged on the application.
2. The training process is slow:
The numbers of trainers are low; hence it takes more time for the new
employees to get adjusted to the ERP package.

Recommendation of the SAP R/3

implementation
There is no online knowledge management portal for all the trainings to be
delivered. Because most of the trainings are offered to the employees at the
training centers. If there is an online portal basic trainings can be uploaded in the
knowledge management portals from where the employee can easily login and
access the trainings. So employees need not go to the training center to learn and
can invest that time productively.

Conclusions
Before implementation of the customized ERP system AMSOL Infotech Solutions
there were different legacy systems like Tally.
These different information systems worked as separate entities and hence there
was as lack of coordination among the units, although they were computerized but
were inefficient, were not integrated, had too much manual effort and had minimal
capabilities in terms of company expansion thereby hurting the opportunities in
terms of competitive advantage.
With the installation of ERP Package, a single centralized data fetching setup was
achieved. All the different functional divisions such as Operations & logistics,
Human resources and Payroll, administrations, financials, Planning and budget
control and other system management tools were integrated, thus increasing the
efficiency at every level of the Organization.
