User management

Introduction

1 Introduction
With the user management, an operator can restrict access to the program Spectra to specific persons
defined by him. The operator can also determine the functional range for the individual user.
The program Usermanager is developed to set up and to administrate the user names, the assigned
passwords and the permitted functional range for the respective user. User groups are established to
simplify the assignement of the functional range for to individual users. A user group includes a
functional range of the program Spectra defined by the operator. An arbitrary number of user groups
can be determined. Every user must clearly be assigned to one user group and thus has access to the
functional range defined in the group. An arbitrary number of users can be assigned to a user group.

2 Application of the user management

2.1

The first start

Starting the program Usermanager leads to a dialogue for the entry of the user name and the password. After
a reinstallation of the program system, one user is set up (name: Administrator) by the manufacturer. The
password of this user is blank so that an activation of the button Ok leads to the actual program start. At a later
start, the selection field contains all users for which the checkboxes Account active and Administrator are
marked (see chapter 2.3). As soon as the button Cancel is activated, the program will be terminated.
Now, the program Usermanager with its main window appears. The user table is located in the upper half of
the window and the table of the user groups can be found in the lower half of it. The group Administrators is set
up as a group having the full functional range of the program Spectra as established by the manufacturer. The
factory-established user Administrator is part of this group.
Setting up of the password regulations and the log file should be the first job step (see chapter 2.5).
Afterwards, a password for the user administrator should be established and the name of this user could be
changed (see chapter 2.3).

2.2

Generation and edition of user groups

For the generation of a new user group the command Group/New must be executed. As a result, the dialogue
field Group is displayed. The name of the group and a comment must be entered in the upper part of the
dialogue. The entry of a group name is essential. The name must be different from group names already in
use. The entry of a comment is optional.
All commands in the program Spectra that are blocked or approved for the members of each user group are
listed in the table of Features. The texts in this table are identical to those of the main menu in the program
Spectra. A marked checkbox enables this command for members of this group.
Upon activation of the button Ok, the dialogue will be closed and the new group is being into the table in the
main window. The button Apply allows an entry without the need for closing the dialogue. This makes it
possible to generate several new groups without closing the dialogue.
For the edition of an existing group, the command Group/Edit must be executed. A double-click on the line of
the corresponding group or an activation of the Enter key will have the same effect. The dialogue field Group
with the data of the chosen group is displayed. The name of the group can only be edited, if no users are
assigned to this group yet. Upon activation of the button Ok, the altered data of the group are transferred.

2.3

Generation and edition of users

In order to generate a new user, the command User/New must be activated. As a result, the dialogue field
User will be displayed. The following entries must be placed in the dialogue:

Username:

Entry of the users name. This name must differ from those already existing.

Comment:

Entry of an optional comment.

Password:

Entry of the password. This password must correspond to the regulations concerning
the number and type of characters as defined in the dialogue Guidelines. The entered
characters are displayed as *. Please note that passwords, even those edited by the
particular user, are never displayed in the program Usermanager.

Confirm password:

Repetition of the entered password.

Group:

Selection of the user group in which the user should be part of.

Account active:

If this checkbox is marked, the user is allowed to log into the programs Spectra,
Usermanager and CRYSO_MEASURE. If the checkbox Freeze account if password
is incorrect has been marked, an automatic deactivation of the respective user takes
place after a defined number of wrong password entries. The user can be reactivated
by means of this checkbox.

Administrator:

If this checkbox is marked, the respective user can log into the program
Usermanager. When shutting the Usermanager, it will be checked, whether at least
one user with the right to do this exists.

Limited Account:

If this checkbox is marked, a date can be introduced in the field behind the checkbox.
After this date, the user will not be allowed to log in any more. When shutting the
Usermanager, it will be checked whether there is at least one user with unlimited
administrator user rights.

Upon activation of the button Ok, the dialogue will be closed and the new user is entered into the table in the
main window. The button Apply allows an entry without the need for closing the dialogue. This makes it
possible to generate several new users without closing the dialogue.
For the edition of an existing user, the command User/Edit must be executed. A double-click on the line of the
corresponding group or an activation of the Enter key will have the same effect. The dialogue field User with
the data of the chosen user is displayed. Upon activation of the button Ok, the altered data of the user are
transferred.

2.4

Deletion of users and user groups

Users and user groups can be deleted by marking the respective user or group and by executing the command
User/Delete or Group/Delete. Activating the button Del will have the same effect. The deletion must be
confirmed upon the question Delete user <name>, are you sure? or Delete group <name>, are you sure?.
It is not possible to delete a group that is being used by one user. Before deleting a user, it should be
considered, whether it would be sufficient to only block him (see chapter 2.3). A minimum of one user and one
user group is required.

Richtlinien fr Login, Passwrter und Logdatei

The dialogue for the guideline entry concerning the log in to Spectra, the passwords and the log file are
activated in the menu command Options/Guidelines of the program Usermanager. There are three group
fields in the dialogue field.
The following entries must be made in the particular group fields:

Group field Log in rules:

User can change password:

If this checkbox is marked, each user can change his

password in the password dialogue at any time.

Freeze account if password is incorrect:

If this checkbox is marked, the user will be blocked in case he

had entered the false password for several times; whereas the
administrator is never blocked in this situation. Moreover, the
administrator is allowed to reverse the blocking of the
corresponding user who had chosen the incorrect password in
the program Usermanager.

Incorrect attempts:

In this field, the legal number of wrong password entries can

be defined. Values from two to six are adjustable.

Group field Password rules:

Empty password possible:

If this checkbox is marked, also a blank password is possible.

Min. password length:

In this field, the minimum password length can be defined.

Values from four to sixteen are adjustable.

Please note that an alteration of the password rules has no effect on already existing passwords. If it is desired
that the new rules are valid for all passwords, already existing passwords must be allocated anew if necessary.

At least one character of this category:

Letter:

If this checkbox is activated, the password must contain at

least one letter.

Number:

If this checkbox is marked, the password must contain at least

one number.

Special symbol:

If this checkbox is activated, the password must contain at

least one special symbol.

Group field Logfile:

Use logfile:

If this checkbox is marked, the log in and log out concerning

the
programs
Usermanager,
Spectra
and
CRYSO_MEASURE are recorded in a file with user name and
date/time.

Entries in logfile:

In this field, the maximum number of entries in the log file can
be adjusted. If this number is being exceeded, the first entry
will be deleted.

2.6

The log file

If the generation of a log file has been activated in the dialogue field Guidelines, an entry into this file takes
place at each log in/log out relating to the programs Spectra, CRYSO_MEASURE and Usermanager. The log
file is named <Programmname>User.log. If this file does not exist yet, it will be generated. The log file can only
be read with the program Usermanager; this is not possible with the software tools of the operating system.
The command File/Show Logfile leads to the display of a window with the contents of this log file. Displayed
are: Date and time of the incident, incident type (LOGIN/LOGOUT), the program that caused this incident and
the name of the user. The number of entries in the log file is limited by the number entered in the dialogue
Guidelines.

3 User management in Spectra

3.1

Registration at the program start

Starting the program Spectra leads to a dialogue concerning the entry of a user name and a password. The
selection field contains all users for which the checkbox Account active (see chapter 2.3) is marked. If the
password is correct, the activation of the button Ok results in the actual start of the program. In the program
Spectra, all features that have been activated for this users group (see chapter 2.4) are available. If the button
Cancel is activated, the program will be closed.
If the checkbox Freeze account if password is incorrect has been marked in the dialogue Guidelines, the
program is closed and the user is blocked after the defined number of wrong password entries. A blocking will
not take place if the user is an administrator. A reactivation of this user is only possible in the program
Usermanager.
If the checkbox User can change password has been marked in the dialogue Guidelines, the button
ChangePassword appears in the password entry dialogue. An activation of this button leads to an
enhancement of the dialogue. Additionally, the entry fields New password and Confirm new password are
available. Here, the new password must be entered. A new password will only be accepted, if the previous one
has been entered correctly.

3.2

Log in and log out during the program run

The commands User/Login and User/Logout are available in the main menu of the program Spectra. Both
commands are not available during a measurement. After executing the command User/Logout, all comments
contained in the list Features of the dialogue Groups are deactivated. If the high voltage is switched on at the
time of the log out, the command for switching off the high voltage will not be deactivated. After the execution
of the command User/Login the dialogue for the user selection and password entry appears. With a correct
entry of user and password and the activation of the button Ok, all features that are activated for the group of
this new user become active. Incorrect entries or an activation of the button Cancel keep Spectra in the state
prior to the execution of the command User/Log in. A call-up of User/Logout before the call-up of User/Login is
not necessary.

User management in CRYSO_MEASURE

4 User management in CRYSO_MEASURE

The procedures for the selection of users and the entry of passwords are the same as for the procedures in
Spectra (see chapter 3.1). After starting CRYSO_MEASURE, the name of the user is entered in the field
behind the operator. This field cannot be edited. The name of the operator is entered into the project file and
the spectra generated during the measurement. Generally, in CRYSO_MEASURE all features are available for
all users.
Activating the button after the display of the operator will lead to the dialogue for the selection of the users and
the entry of the password. A new user can be chosen by entering the correct name and password. The name
of the new user is displayed in the field behind the operator. This has no effect on the functionality of the
program CRYSO_MEASURE. Activating the button Logout behind the operator display will log out the current
user. After this, all functions within CRYSO_MEAUSURE are blocked.
