PINNER WOOD SCHOOL
Pinner Wood School is located in the Pinner Hill area of the London Borough of
Harrow. It is a 2 form entry school with a nursery attached. The pupils mainly
come from the local area, but there are some families who are from other parts of
the borough.
The pupils are from widely differing social and economic backgrounds. The
religious, ethnic and cultural diversity of its intake enriches the work of the school
and is an important reason why so many parents choose the school. The school
has a good reputation for teaching pupils with special educational needs.

become increasingly independent. Respect for others is a high priority and it is
encouraged in children’s responses toward staff, visitors and peers. The staff and

ETHOS
At Pinner Wood School we aim to be a caring, well ordered community where
children can work happily with commitment, allowing their learning to flourish.

AIMS AND OBJECTIVES


Pinner Wood is a School where children are grouped in parallel, mixed ability age
groups. Classroom management and organisation are required in order to
enhance the learning within such groupings. All staff are required to be
committed to the Aims of the School as well as the Teaching & Learning Policy.

ACCIDENTS & SICK CHILDREN


The qualified First Aiders should inform Mrs Crutchley of children who are unwell
or have had an accident during the school day
If the child continues to show distress, signs of drowsiness or is sick, further
advice should be sought and the parent informed.
If there is the slightest chance that the child’s condition may deteriorate after
school, the class teacher or Welfare Staff should personally inform the parent of
the injury. If the child is not met by the parent a letter will be written. This is
particularly important in the case of a bumped head.
Accident or incidents of a more serious nature are reported in detail to the LEA. If
any claim or communication is received in respect of the incident, this too should
be sent to the LEA. No correspondence or discussion must be entered into,
beyond informing the claimant or writer that the matter is in hand.
At lunchtime the Senior Midday Supervisors, are responsible. The following staff
have first aid certificates:

All medication, including asthma inhalers for younger children, should be handed
to Mrs Crutchley. Pupils in Year 3 and above should carry their asthma inhalers
with them at all times.

BEHAVIOUR
The School has a Behaviour Code which is implemented consistently by
everyone. There are agreed incentives and sanctions. Staff should refer to this.
Children who are out of class should be carrying a green card.

BLUE INCIDENT BOOKS


All staff have a blue incident book. This is where any incidents should be
recorded concerning aggressive behaviour, bullying, bad language, or signs of
emotional or physical abuse. The books will be routinely monitored. Any serious
incidents should be referred to Miss Caseberry, Mrs Ellis or Mrs Williamson
immediately.

CHILD PROTECTION
Unfortunately some children suffer emotional, physical and sexual abuse. They
may confide in school staff or their behaviour and demeanour might alert adults
to suspect all is not well with the child.

If you have any concerns which make you think a child may be the victim of
abuse, please discuss them with the designated persons.

Any member of staff having serious concerns about a child’s physical or


emotional well being should also report concerns immediately to Deb
Caseberry or Christina Williamson

In case of minor on going concerns staff will keep dated notes in their incident
book about the children who:
• have injuries inconsistent with the explanations
• show signs of neglect
• have a low self esteem
• are very attention seeking
• show extremes of behaviour
• exhibit inappropriate behaviour suggesting sexual abuse (precocious
sexual behaviour for the age of the child, sudden changes in behaviour,
not wanting to be touched).

After discussions between members of staff and the Headteacher, the parents
may be invited to explain the situation. Appropriate action will follow.
Staff will provide reports as required by social services or any other agency with
a legitimate right to information.
The Headteacher or a staff member will attend case conferences and any other
meetings arranged to discuss the welfare of the child.
All information will be treated as confidential and only passed to those who
require it to ensure the child’s welfare.
Should a member of staff need to speak with a child alone, this should be
done with the classroom door open in full view. Under no circumstances
should a member of staff be alone with a child with the door closed.

CHILDREN’S ABSENCE
Children who are absent should bring a written explanation upon their return.
This must be in the form of a letter rather than in the homework diary as we are
required to keep such letters. Any requests in advance for absence must be
passed on to the Headteacher, particularly holiday requests. The Headteacher is
the only person who can authorise absence. The Headteacher should also be
alerted to any concerns regarding attendance.
The registers and attendance are monitored by the SIMS Operator, Headteacher
and Educational Social Worker.

DRESS CODE
The children are expected to wear full school uniform at all times and staff should
enforce this. Staff are role models and should therefore dress appropriately as
professionals in a place of work. Men are expected to wear a tie and women are
equally expected to dress smartly. Denim is not to be worn and “sport” type
clothing and footwear should only be worn when teaching P.E. In hot weather
shorts or sun tops are not suitable work clothes for staff.

EMPLOYEE ASSISTANCE PROGRAMME


As part of our staff well-being we have access to the Employee Assistance
Programme. This is available 24 hours a day and it is a completely confidential
service offered to all school staff. You will only be asked to confirm the school
name to check your eligibility. It is also available to your household and family
members. 08000 856 148

Expenses
If staff need to purchase things for such they should give the receipts to the office
manager so that they can be reimbursed.

FIRE PROCEDURE

• If you discover smoke or fire raise the alarm


• If you hear the alarm evacuate the building and proceed to the Assembly
point
• Remain calm and ensure that all individuals in your care leave the building
quickly and safely
• When you receive the register check that all children are present
• Notify the Headteacher immediately if any child is not accounted for
• Do not re-enter the building until you are given further instructions
• There will be a Fire Drill every term. Please make sure you know how to
evacuate the building from your room and where you should assemble.
• The Alarm system is tested by the caretaker every Friday at 4 pm.

HEALTH AND SAFETY


Governors and staff are responsible for maintaining a safe place of work and a
safe environment for children. Risk assessments are carried out regularly and
procedures reviewed. An ongoing programme of repairs and maintenance keeps
the building and equipment in a satisfactory condition.

Staff are responsible for the children in their care until they actually enter the care
of another member of staff. A child who leaves the room to go on a message or
to the toilet is still in the care of the member of staff who gave them permission to
leave. All staff should be aware of the following:
• Classes must not be left unsupervised except in line with break
arrangements (see Playground Duty)
• The layout of the classroom should be uncluttered and exits left clear
• Each teacher is responsible for the safe use of P.E. apparatus
• Materials and equipment must be safe and sensibly stored. Scissors must
be stored in a cupboard.
• Staff should report any potentially dangerous situation or equipment
• Staff should instruct and frequently remind children how to safely use tools
and equipment, including scissors. Sharp tools should be used and stored
safely in line with the Design Technology policy.
• All staff should make themselves aware of the procedure to evacuate the
building in the event of an emergency. Fire drills are held termly.

Mobile Phones
Children who have to bring a mobile phone to school, should have written
permission from their parents and leave it in the school office. Staff should leave
their phones in lockers and should not be making or receiving calls or texts
during the teaching sessions. In an emergency friends or family should ring the
school office who will contact the member of staff immediately.

HOMEWORK
The School has a homework policy which is planned within the year group. All
staff should follow this policy as far as possible.

MONITORING, ASSESSMENT AND REPORTING


Detailed records of each child’s development are kept from Nursery onwards.
This ensures that the children always have the opportunity to work at the most
appropriate level, to build on their existing knowledge and to acquire new skills.
Parents are invited to Parents’ Evenings to meet the teachers and they are given
a school report at the end of the Summer Term.
Parents are informed of their child’s results in the Foundation Stage Profile and
at the end of Key Stages 1 and 2. They also receive QCA results in years 3, 4, 5
and 7. The requirements of monitoring, recording and reporting are detailed in
the School’s Assessment Policy. At the end of the school year information
regarding pupils and records of work will be passed on to the next teacher, in line
with school policy.

PARENTS
The homework diaries are used from Year 3 upwards as a link between school
and home. Parents are invited to meet teachers during Parent Evenings in the
Autumn and Spring Terms. Should parents have concerns at other times they
should be encouraged to make an appointment to meet the teacher concerned.
Parents do on occasions become anxious and they should be treated with
respect and understanding by staff in order that positive partnerships can be
developed. Equally, staff have the right to be spoken to with respect. Should staff
have concerns about meeting parents they should seek advice from the Deputy
or Headteacher. If the parent has made a complaint about school or there is a
planned parent: teacher meeting the Headteacher should be informed.

Photographs
Some parents do not wish their child to be photographed. The list of these
children is held in the office.

PERFORMANCE MANAGEMENT
Performance Management will take place in line with school policy. Staff
Development, Monitoring and Assessment will be in line with School Policies.

PLAYGROUND DUTY
The school operates a rota system for playground supervision. This is managed
by the Deputy Headteacher. If a member of staff knows that they will absent on
their duty day they should inform the Deputy Headteacher so that cover can be
organised.
Staff on duty should be on the playground at the beginning of break. They may
leave their classroom five minutes before break, but must ensure that either a
teaching assistant is in their classroom or that the teacher in the neighbouring
classroom is aware that they have left.
Only tennis balls may be used during morning break and football is restricted to
the designated areas.
At the end of break the member of staff on duty should blow the whistle and
gradually instruct the children to enter the school building. Prefects are on duty in
the corridors so that the pupils enter in an orderly manner. The member of staff
on duty should ensure that no pupil is left on the playground and must then lock
the doors leading into school. They should also ensure that the cloakrooms are
empty.
No child may be left unsupervised in any part of the school during morning break
or lunchtime other than Year 7 prefects, librarians and monitors with specific
responsibilities.
During wet breaks teachers should settle their classes in quiet activities from the
classroom wet play box. Under no circumstances may scissors be used – these
should be put away in a cupboard. Wet play monitors from Year 7 will be with
classes and staff on duty should patrol their respective part of the school.

At the end of the school day the member of staff on duty should go to the
playground to ensure that all children leave the premises safely and in an orderly
manner. Staff should check that no children have been left who should have
been collected. Such children should be brought back in to the year 6 doors. The
doors to the playgrounds and the gate to the Year 6 & 7 playground will be
locked by the caretaker when all the pupils have left.

PUPILS’ PROPERTY
Schools have a general duty of care with regard to the safety of the person and
the property of pupils.
Schools are not the insurers of pupils’ property. Their duty is limited to taking
reasonable care.
A general warning to pupils and parents about care of property and possessions
should be given to assist in avoiding liability for theft of pupil property. All items
should be clearly and permanently named.

“Pupils and their parents are reminded that they are responsible for their own
personal property and possessions while on school premises or engaged on
school activities. Neither the school nor the Local Education Authority can accept
any liability for loss of or damage to such property and possessions”.

REGISTRATION
Legal Requirements for Pupil Registration
• to mark the attendance register at the beginning of each morning and
afternoon session, recording the presence or absence of every pupil.
• Admin staff will distinguish in the attendance registers between a pupil’s
authorised and unauthorised absence. Absence may only be authorised
by the school and not by parents. This is particularly important in relation
to legal proceedings in cases of school non-attendance. Legal action is
unlikely to be successful where absence has been authorised.
• to keep attendance registers for a period of three years after the date on
which it was last used.
• to keep, during school hours, attendance register available for inspection
by those designated by the Secretary of State for Education and
Educational Social Workers.

Publication of Attendance Data


Schools are required:
• to publish in the school profile specified data in relation to attendance and
absence over the preceding year.
• to make a return of data in relation to attendance and absence on a date
specified by the DfEE

School Meals Register form
At registration each morning, it is necessary to fill out a lunch requirements form
which is sent to the office with the register.

RESPONSIBILITY AND DELEGATION


The ultimate responsibility for the day to day running of Pinner Wood School
rests with the Headteacher.
Within the staff structure responsibility is delegated in various ways and
members are expected to use their initiative and act as responsible adults, e.g.
whilst in charge of children in the classroom or playground.
However, there are some important instances which must be reported to the
Headteacher and permission sought before action is taken.

• Injury to a child or illness which seems sufficiently serious for the parent to
be contacted.
• Suspected non-accidental injury to a child. Permission must be sought
before telephone calls are made.
• Please remember, no child may leave the premises unaccompanied
during the school day.
• All orders must be approved by a member of staff with delegated authority
and no one has authority to purchase items, charge expenses, pay
membership fees or arrange for repairs without gaining the appropriate
authorisation from a member of staff with delegated authority. Please
note that all authorised transactions require receipts with a VAT number
before payment can be made from petty cash.

In the Headteacher’s absence the nominated Deputy Headteacher or senior


teacher, takes the Headteacher’s place. All the foregoing items must be referred
to the nominated person and reported to the Headteacher on their return.

RESTRAINT OF PUPILS
Care must be taken not to use physical intervention unless essential for the
safety of pupils or adults. Other preventative steps should be taken first. Only as
a last resort should the minimum amount of restraint should be used. Pressure
must never be used on joints. In cases where restraint has been used an incident
report must be completed and given to the Headteacher.

SCHOOL CLOSURE
In the absence of the Headteacher, the Deputy Headteacher or nominated senior
teacher will be in charge.
Before taking any action an attempt must be made to contact the Headteacher (if
absent) or the Civic Centre for advice.
A list of emergency numbers is kept in the school office and on the SIMS
database system..
The important rule to remember is that children must never be allowed to
return home unaccompanied unless parents have been informed first. The
interests of the pupils must be paramount at all times.

Action:
• Children arriving unaccompanied or already in the building should be cared
for by members of staff as instructed by the Teacher in Charge, until such
time as their parents may be contacted.
• As parents arrive with children they should be met by an authorised person
and advised of the situation. If the school has already been declared ‘closed’
parents should be informed and requested to take their children home again.
Attempts should be made to contact parents of those children already in
school.
• Unless the school is ‘officially closed’ parents may decide to leave their
children. In this case they should be advised to telephone later in the morning
in case the situation should deteriorate further. In the case of heavy snowfall
parents should be advised that children might be collected earlier than
normal.
• Unless the school is ‘officially closed’ staff will assume duties as on a normal
working day. Organisation of groups, timetables etc will be decided by the
Teacher in Charge.
• If the school has been ‘officially closed’ and there are children already on the
premises or arriving at school unaccompanied, the Teacher in Charge will
make arrangements for their care until parents can be contacted or the end of
the normal school day, whichever is the earlier.
• Such arrangements will be made by agreement among the staff still present
taking into account such variables as weather conditions and travelling
distances to home. Obviously the Teacher in Charge plus at least one other
will remain on the premises, and try to contact the parents of remaining
children.

BOMB ALERT

If you see a suspicious object, DO NOT TOUCH IT.

• Activate evacuation procedures immediately. Inform the Headteacher who will
use the Fire Bell to evacuate the school.
• If it is impossible without danger to life to inform the Headteacher, if there
should be an explosion, or if you find a smoking object, use the nearest Fire
Bell to activate evacuation procedures.
• Children will be escorted to the Year 6/7 playground. They may then be
escorted out on to far side of the School field, facing the fence.
Copies of the School Emergency Plan and Procedures are available from the
Office.

SCHOOL DAY
Information for staff

8.40am
• The designated member of staff will open main doors and let children into
school as they arrive between 8.40am and 8.50am
• Staff will be in their classrooms to meet the children
• Main doors will be locked at 8.50 am.
• All late children must go to the office

10.45am - Morning Playtime (10.30am for year 1)


• Bell will ring throughout the school to announce the beginning of playtime

11.00am (10.45 for year 1)


• End of playtime, staff to be in their classrooms to meet the children
• Duty staff start to send in the children quietly through the main doors.

12.00 – Lunchtime
• 11.55 - SMSA team meet to discuss lunchtime arrangements
• 12.00 - Beginning of lunchtime, SMSA team in place
• 12.55 - Staff go to playground to collect children
• 12.55 - Children quietly return to their classrooms with staff

2.15pm – Afternoon Playtime (for Years Reception, 1 & 2)


• The bell will be rung at 2.15pm.
• The tray/folder should be collected by a member of the class from the office
• Please make sure all letters to parents are given out at the end of the day.

3.05pm (Reception – Year 3) 3.10pm (Years 4 – 7)


• Reception children will be escorted to the playground to meet their parents
• Years 1 and 2 children will go out of their own classroom doors
• Year 3 - 7 children will be escorted outside.
• Staff will have the opportunity to speak to parents at this time
• Any remaining children are brought to the year 6 doors

• Parents or emergency numbers are contacted by telephone at 3.30pm.

End of the Day


• The classroom and cloakroom area should be left tidy
• Computer equipment, Interactive Whiteboards and lights should be
switched off and blinds drawn where appropriate

SECURITY
The safety and security of children, staff and school property are high priority.
Staff should therefore take the following steps:
• Do not disclose the security number for the front door to anyone other
than school staff.
• Do not let anyone in to School unless they are known to you.
• At the end of the day ensure that you have switched off any computers or
electrical equipment in your classroom and that all windows are closed.
• The front door of the School is locked and the alarm is set at 6.00 pm.
Staff should therefore leave their classrooms well before this time to enable
the caretaker to lock up on time. The School is part of a large site and it takes
some time to ensure that it is secure.

SOFT START
The School operates a “soft start” to the day which encourages a calm beginning.
The playground gates open at 8.30 when the children may come into the
playground. At this time parents take responsibility for their child as there is no
playground supervision. Ball games are not permitted.
At 8.40 the doors will be opened and children will come into school as they arrive
on the playground. Staff should be in their classrooms at this time. As children
arrive in the classroom they should prepare themselves, ready for the day. Then
they could either read or continue with outstanding work. This time may also give
staff the opportunity to speak with individual children.
The start of the school day for the children continues to be 8.50. At this time the
doors will be closed and the register should be taken within a reasonable time,
allowing for those children who arrived at 8.50 to get to the classroom. It is
expected that in most classes lessons will have begun by 9.00.

STAFF ABSENCE
Procedures for sickness are in line with recommendations drawn up by the LA,
as the governors have adopted Harrow staff absence and leave of absence
policy.

• Please notify the School of any absence as soon as possible. Mrs Ellis
should be phoned on his mobile until 10.30 pm or from 7.00 am. From 7.45
am telephone School. This will enable cover to be arranged.
• During absence it is important to keep in touch with School so that
appropriate arrangements can be made.
• Absences for sickness up to 7 days do not require a doctor’s certificate,
but staff must complete a self-certificate. These should be obtained from the
School Administrator, to whom they should also be returned. Absences for
more than 7 days require a doctor’s certificate.
• All absences will be recorded, as requested by the LA, and levels of
absence monitored.
• All staff will have a return to work interview with Deb Caseberry on their
first day back of work.
• Unjustified absence from School is a matter of conduct and will be dealt
with under disciplinary procedures. In such cases the LA will be informed.
Staff who are working parents are expected to have contingency plans in place
that will enable them to come to work if their child is routinely ill.

Discretionary Leave
Sometimes the Headteacher grants discretionary leave for an “unmissbale family
event”. This leave is most usually unpaid and is not guaranteed.

STAFF INFORMATION
Staff are required to complete staff information sheets and to give them to the
School Administrator. Performance Management will take place on a yearly cycle
in line the School Performance Management policy.

STAFF ROOM
The Staff Room is for the use of all staff. It is place for relaxation during breaks.
Photocopier Machines are to be found in the Resource Rooms. Copying of more
than 30 copies should be done on the more economical machine. Tea and coffee
making facilities are in the Staff Room as well as a water cooler, microwave and
fridge/freezer. There is a telephone, but private calls should be paid for. The
Staff Room, as well as the rest of the school site, is a no smoking area.
School Diary. A daily diary is kept in the staffroom with information for the day.
All staff, especially those who are part time should refer to the diary to ensure
they have the most up to date information.

STOCK
The School operates an open stock policy. The key to the stock rooms are in the
School Office. Staff should ensure that these rooms are kept locked at all times
as well as being left tidy. Any reasonable requests for stock will be considered.
Staff should also notify if the stock of any item is becoming low. However, staff
are expected to be responsible in the use of stock, avoiding both wastage and
hoarding. Who?

SUPPLY TEACHERS
Separate guidance is available for supply teachers.

TIMETABLE
There is a School timetable in order to cater for specialisation and the use of
specialist teaching areas. The timetables for each area are displayed in the Work
Room, next to the staffroom. Additional use of the ICT Suite may be booked
using the timetable provided.
Each class timetable should be displayed prominently in each classroom. Any
changes to the timetable should be notified to the Headteacher or Deputy.
TOILETS
Children, apart from those in Foundation Stage, should be discouraged from
going to the toilet during lesson time as far as possible. However, in obvious
emergencies they should take a green card and go. Children are not allowed to
return to the cloakrooms during lesson time for any reason unless supervised by
an adult.
