2nd Call for IPSF Coordinators and Committee Positions 2015-16

Coordinators and committees work under the IPSF Executive Committee and their work is tailored
specifically to certain activities. These positions require little travelling, but it is strongly
recommended to attend the 62nd IPSF World Congress 2016 in Harare, Zimbabwe and you respective
committee meeting, if one is programmed.
You should be able to work on a daily basis throughout the year in your position and have regular
internet access. Coordinator positions have different busy times or seasons, but you must be
reachable throughout your entire term.
If you are interested in a particular position listed below, you should contact the relevant IPSF
Executive (contact information provided) before the deadline for applications. Please submit your
nominations via online nomination, no later than Saturday the 31st of October 11:59PM GMT+0.

2. Secretary General Portfolio


Constitutional Working Committee (CWC) (2 Positions)
The Constitutional Working Committee assists the Secretary General in reviewing and editing the
IPSF Official Documents. CWC members should be familiar in general with the Official Documents
and should also have excellent knowledge of English in order to edit the Official Documents.
Furthermore, the Constitutional Working Committee helps the Secretary General to write and
prepare the minutes of previous General Assembly. Applicants for the CWC are required to have a
deep and thorough understanding and knowledge of the Federation.

3. Treasurer Portfolio
Development Fund (DF) Coordinator
Under the supervision of the Treasurer, the DF Coordinator manages the DF Committee. The
Coordinator is responsible for the development of donation strategies and ensuring the proper use
of the DF. As such, it is essential to understand the aims and objectives of the DF.
The DF Coordinator manages DF grant application forms, calls for applications, correspondence with
applicants, as well as review of the applications.
The DF Coordinator must have regular internet access, specifically be able to read and reply to emails daily during periods when the DF applications are submitted and reviewed. The Coordinator
should preferably be from a defined high-income country to prevent any conflict of interest with
possible applicants.

Development Fund Committee (3 Positions)


Committee members are mainly tasked with review grant applications for DF Congress Grants, SEP
Grants, and other DF grants. Committee members will also assist with donation solicitation.
You should have a regular internet connection for this position. Your time commitment varies
throughout the year but the busiest period falls between January and April.
DF Committee members should preferably come from defined high-income countries to prevent any
conflict of interest with DF applicants.

5. External Portfolio
Corporate Relations Committee (CRC) (4 Positions)
The Corporate Relations Committee supports the Chairperson of External Relations and the
Corporate Relations Coordinator in providing resources for the international management of IPSF.
The specific duties shall include maintaining continuous contact with existing IPSF corporate
partners, seeking new partnerships, working in collaboration with the Internship Coordinator to
improve the availability and quality of both interns and work sites, and assist the Corporate
Relations Coordinator in building tailored sponsorship packages for partners.
Regional Relations Officers work as co-opted members of the CRC and are responsible for corporate
relations with partners of the IPSF Regional Offices. The IPSF President is a co-opted member of the
CRC.

6. Professional Development Portfolio


Pharmacy Profession Awareness Coordinator
The Pharmacy Profession Awareness Coordinator must have good communication and
organizational skills. It is strongly advised that the Coordinator have previously organized the PPAC.
The Pharmacy Profession Awareness Coordinator is strongly advised to attend World Congress and
Regional Symposia to facilitate Professional Pharmacy Awareness Campaign (PPAC) workshops. The
Coordinator must maintain contact with the respective Reception Committee from the beginning of
the term to setup workshop times, campaigns, and secure any potential speakers for workshops.
The Coordinator is also responsible for organizing campaign material and promoting World
Pharmacist Day on social media.
The Coordinator should be aware of the IPSF Teddy Bear Hospital and Pharmacist Awareness Week
to work in conjunction with planning committees. The Coordinator works in collaboration with the
PDC and the Chairperson of PD to update all portfolio materials.
Throughout the year, the Coordinator must regularly check the email account to assist member
organizations who wish to initiate PPAC at local and national levels. For associations not running
PPAC, the Coordinator shall contact member associations to offer IPSF workshops and case materials
The Coordinator will be a co-opted member of the Policy Committee and is responsible for the
development of Policy within the Professional Development Portfolio.

Furthermore, the Coordinator should ensure a structured PPAC report and all PPAC cases be
submitted to IPSF to maintain a PPAC database. Maintaining these records is vital when composing
the annual report, collecting data, and improving the Professional Development Star System
Accreditation. Additionally, the Coordinator is responsible for promoting regional PPAC Awards
annually. Quarterly progress reports, all requested newsletter articles, and a final Annual Report
shall be submitted to the Executive Committee and General Assembly.

7. Public Health Portfolio


The work of the Public Health Committee varies according to the Chairpersons management style.
Generally, there are four coordinators responsible for campaigns held throughout the year and these
campaigns can evolve over time. The Public Health Committee will assist the Chairperson and the
Coordinators to run and promote these campaigns.

Humanitarian Coordinator
The Humanitarian Coordinator works under the direction of the Chairperson of Public Health and is
responsible for the promotion of IPSF Humanitarian Campaigns such as the Vampire Cup
Competition. The Coordinator is required to disseminate updated materials regarding all
Humanitarian Projects to members as well as collect Public Health Reports from each association
through the Project Accreditation System.
The Coordinator will assist the Chairperson to organize the Public Health Campaign taking place
during the IPSF World Congress and IPSF Regional Symposia. If possible, the Coordinator will host a
workshop focused topics related to humanitarian work during the World Congress.
The Coordinator should have a good knowledge of current Humanitarian Campaigns, including
promotion and implementation of such Campaigns. The Coordinator should have a working
proficiency in the English language and strong communication skills. The position requires
consistent access to internet and the ability to commit 10-15 hours of work per week.
Since the portfolio is currently under revision, the Coordinator will be required to research potential
new campaigns and plan for future implementation. Creativity is an important skill for this position.
The Coordinator is supported by the Public Health Committee members.

9. Media and Publications Portfolio


Editorial Committee (EC) (4 Positions)
This committee is chaired by the Editor-in-Chief and is responsible for proofreading all documents
intended for distribution within or outside the Federation.
Each member of the committee will be a dedicated to a single portfolio and coordinate with the
respective portfolio committees. Members of the committee working with the Pharmacy Education
Portfolio will be particularly focused on Phuture, the IPSF scientific publication. These members
must be familiar with reviewing scientific literature and have previous journal club or editorial
experience.
It is required that members be native (or advanced level) English speakers.

Design and Creativity Committee (DCC) (4 Positions)


The DCC under the direction of the Chairperson is responsible for completing all design, publication,
and social media materials. Work within the DCC is generally assigned and carried out as individuals
or small groups based on members aptitudes across media platforms and design tools. Regional
Media and Publications Officers are adjunct members of the DCC and will be responsible for work
product regarding respective regional projects, but may also assist with Portfolio-wide materials.
Applicants should have extensive experience in using common graphic design tools such as Adobe
Photoshop, Illustrator and InDesign, as well as video editing tools. IPSF does not own licenses for
any design software, therefore responsibility for obtaining access to such programs will fall to the
individual committee members.
Additionally, the Portfolio is seeking a DCC member with extensive experience in web development
and design, particularly use of WordPress.

Merchandise Coordinator (MeC)


The Merchandise Coordinator manages the IPSF inventory as well as the Online Store for IPSF.org.
The Online Store utilizes a pre-existing online tool and this position requires only basic web skills.
The Coordinator will maintain an up-to-date database with all merchandise materials, including price
and shipping costs. The Coordinator will be responsible for personally shipping or facilitating
shipment of all online orders. Additionally, the Coordinator will work with the DCC to host an annual
New Merchandise competition to select and produce a new featured product available for sale in
the Online Store, Regional Symposia and World Congress Shops (subject to the approval of the
Chairperson of Media and Publications as well as the IPSF Executive).
The Coordinator will negotiate pricing on orders for new materials, in coordination with the
Chairperson of Media and Publications and the IPSF Treasurer.
The Coordinator must have regular access to internet and email to field requests for merchandise
and maintain the Online Shop. It is preferable that the Coordinator be located within reasonable
distance of the IPSF Headquarters to better facilitate regular shipments and inventory management.
