Workshops
Tuesday June 1

601 - Healthcare IT Project Management 101

Industry experts expect EMR implementations fail to be adopted 50% percent of the time
(Medical Records Institute, 2007) When considering the project aspects of on time, on budget,
and with quality, the failure rate can be as high as 80% (Healthcare Informatics, 2008). Often
these implementations are predestined to travel a bumpy minefield, due to poor project
management processes.

This workshop will provide an overview of tools and practices available for Healthcare IT Project
Management and the “Must Do’s” to assure successful product adoption.

Topics:
• Business Needs and Nuances of Project Management from Healthcare IT Perspective.
• Building Blocks of Healthcare IT Project Management
• Fine-Tuning Organizational Value with Quality Practices and Project Approaches.
• Understanding the tools needed to drive project’s critical success factors.

Prerequisites: None

603 - An Introduction to the Fundamentals of Business Process Modeling
Notation as a Vehicle for Process Redesign
Business Process Modeling Notation (BPMN) has become a best practices approach to workflow
process analysis across many industries, yet BPMN is still largely underutilized within healthcare.
Yet the healthcare industry – with critical but often fragmented process participants – stands to
benefit more than perhaps any other industry from the diligent application of BPMN.

This full day session is intended to provide participants with the fundamental tools and knowledge
base to begin applying best practices process redesign principles – specifically through the use of
BPMN – within their organizations. The session will include an overview of BPMN as a modeling
language, a summary of BPMN’s applicability to the implementation of process redesign, and
culminate in an interactive exercise during which session participants document the current state
of a sample process (utilizing BPMN to document risk, dependencies and barriers) and design
ideal future states of that process based upon hypothetical issues attendant to both the sample
current state process as well as traditional change management necessities.

Upon completing the session, participants will:

• Learn about the BPMN standard and how to access the open source tools freely
available to all
• Understand the need and applicability of the BPMN toolset in healthcare process
evaluation
• Will begin to become comfortable with BPMN basics.

706 - Project Management: Tailored to Fit the Needs of Your Organization
and Your People
There are undoubtedly multiple ways to manage a project. Although it is important to understand
the formal processes of Project Management, it is impractical for everyone to use these
processes. Project Management has been tailored to fit the needs of different industries and it
can also be tailored to fit the needs of different organizations. It is important to make the project
management process fit the organization rather than attempting to fit the organization to the
process. However, when projects span multiple organizations, inconsistent processes can be
problematic. How do you manage different perspectives, processes, and expectations and still
have a successful project?

This class will review the fundamental principles of project management, evaluate recent project
management trends as they pertain to the healthcare industry, and discuss how to manage
relationships with other project managers and team members for a successful project. The
examples used in the class will be based on the Project Management Book of Knowledge
(PMBOK), other Project Management Institute (PMI) publications, and personal templates. The
class will also provide guidance on how to choose the tools that are appropriate for a project and
how to implement those tools when more than one project manager is involved. Additional
emphasis will be put on the importance of roles and responsibilities, communication, setting
expectations for the Golden Triangle, and managing relationships across enterprises.

The goal of the class is to help project managers and team members understand project
management as a practice while also realizing the intricacies within project management that can
make or break a project. Attendees should expect to take away valuable tools that will enable
them to improve their organization’s project performance.

805 - DR Reporting Made Easy with SQL Server BI Tools
If you have MEDITECH’s Data Repository (DR), you already have all the tools you need to
successfully develop a Business Intelligence (BI) environment at your facility. Jump-start your BI
functionality with Microsoft SQL Server Reporting Services (SSRS) using Report Models and the
easy-to-use Report Designer tool. This ad-hoc query tool allows non-technical end users to
develop reports on the fly using a drag and drop, web-based reporting tool that is intuitive,
flexible, and requires minimal knowledge of the underlying database structures and relationships.

This workshop will demonstrate the ease of use and powerful report capabilities of SSRS’s
Report Models. Efficient BI reporting starts with well-designed Report Models. We will review
how raw MEDITECH DR data is transformed into the SSRS Report Models which are the
foundation on which Report Builder functionality resides. We will review how to build and deploy
models using the Model Designer, then dynamically create, execute and manage reports. We will
also educate you on how the Report Builder tool allows non-technical staff to develop, enter
formatting and layout features, and deploy web-based reporting solutions without involving the IT
department. Finally, we will discuss how easy it is to implement and maintain secure access to
reports using your Active Directory groups and the SSRS Report Manager.

If you own a MEDITECH DR and you have not implemented SSRS Report Models, you are
underutilizing a powerful BI opportunity that you already own. This workshop will get you on your
way to implementing SSRS Report Model/Report Designer solutions and help alleviating your IT
department as a bottleneck for MEDITECH custom report development.

806 - Implementing a Project Management Office
Do you have Project Management Office (PMO) questions?
• How can a PMO help an institution gain control of their projects, enable business, and
become a strategic asset?
• Do I require a PMO to implement an Enterprise Project Management (EPM) solution or
vice versa?
• What is the total cost of ownership of an EPM and a PMO?
• How should I go about implementing an EMP and a PMO?

Attend this workshop to learn the answers!

Enterprise Project Management (EPM) is an organizational managerial philosophy based on the

principle that an organization’s goals are more achievable when managed through a set of
projects and operational work that is visible to the organization as a whole. Organizations are
turning to project management methods to assist with implementing their organizational
strategies as a means to achieve lasting change, whilst seeking to maximize shareholder value
and realize business benefits.

The effective utilization of a PMO will ensure that all projects are managed in a consistent
manner, in addition to accurately implementing organizational priorities. Moreover, further
synergies will be identified as your strategic initiatives are delivered. The PMO should be the lead
in defining the project management methodology and integrating processes into the EPM
configuration. The PMO should govern projects from initiation through their entire life cycle.

If you get the first 15% of a project done correctly, you will ensure at least 85% of the desired
outcome. Some estimates suggest that one-third of the labor cost in projects is rework. Much of
the rework is caused by poor project planning. If you can centralize your corporation’s project
knowledge in the form of a PMO, you improve the probability of realizing your desired outcomes,
and eliminating expensive rework.

It is important to understand, that the technology component of the EPM system, must be
implemented within the context of the people who will use it, and the processes that define how
the system will be used. Making an EPM solution a reality means developing a structure aimed at
transforming the organization into a more dynamic, project-driven enterprise.

Topics to be covered:
• Understanding the major entities that comprise an EPM and a PMO
• Justifying the PMO “Overhead” to your strategic decision makers
• Developing PMO Organizational Process Assets
• Creating the PMO/EPM Infrastructure
• Case Study
o Building an PMO
o Implementing an EPM
o Considering PMO alternatives
o Considering EPM alternatives

Microsoft SQL Server, Analysis Services and Integration Services. It is quickly becoming the
most widely accepted web-based reporting tool for enterprise reporting. This tool also works with
other MEDITECH-based data extract solutions (including I-Direct/I-Connect, OpenGate, NPR
Downloads, etc.). Many organizations are utilizing Reporting Services to provide an integrated
“single look and feel” platform for its reporting from MEDITECH and other related systems. With
it being web-based, it means no client software installation is necessary on user’s desktops. It
also follows familiar web standards so little or no user orientation or training is required.

This workshop will provide:

• Insight into Reporting Services, its design and what it can provide to the organization.
• Step-by-step instruction on how to build sample web-based reports that are easily
deployed to targeted users

808 - Revenue Cycle Key Performance Indicators – How to Get More From
Your KPI’s
Key Performance Indicators (KPI’s) are a powerful tool that every facility should be using. They
are a Revenue Cycle best practice that provides leadership vital current state snapshot and
trending information on Revenue Cycle performance – in a crisp, concise format. When used
correctly they deliver the visibility and control that is sometimes missing.

While many facilities have KPI’s in use today, they may not be getting the most from them.
Leadership may be asking for more, or completely different, KPI’s. The KPI’s in use may be
Business Office focused, yet completely ignore other critical areas of the Revenue Cycle that
directly impact Business Office performance. And KPI’s can be time consuming to build and
maintain.

It is common to see KPI related questions and issues such as:

• What are the best KPI’s to use for a Revenue Cycle? What are they really telling you?
• What KPI’s from Patient Access, Case Management, Charge Capture and HIM should be
in use, in addition to the Business Office?
• There is disagreement on the best way to calculate them – what are the correct formulas
to use? Are you missing any important ones?
• Which ones should you be using, specific to the situation in our Revenue Cycle at your
facility?
• How do you best utilize trending?
• How and where do you get the data that is needed from the MEDITECH system, and
other systems, to compile the data?
• What are some ways to automate the process?
• Do you need to purchase a software application to do this, or can you build your own?

This educational session will answer these questions, and more. It will focus on the “what’s,”
“why’s,” and “how’s” of KPI’s, with a focus on how to apply them correctly to help optimize your
Revenue Cycle, how to get the needed data from your systems, and discuss options on ways to
automate the effort.

The instructors are experts who have helped to educate various MEDITECH facilities on these
issues and have successfully implemented KPI solutions for them.
