Subject : Technical & Financial offer for Supply, Installation, Testing and Commissioning of
effective VRF (Variable Refrigeration Flow) Air-Conditioning System for 14,000
sft. at Aarong new Mirpur Outlet.
Sealed Tender are hereby invited from your reputed Firm / Enterprise for the above mentioned
item under the following terms and conditions mentioned bellow. The tender are to be submitted
on their Letter Head Pad addressed to Head of Procurement and dropped at BRAC Procurement
Department (BPD).
1. General Terms & Conditions:
(a) The following Documents should be furnished along with the quotation, otherwise the offer
will be treated as unacceptable: (i) Copy of Trade License. (ii) Copy of VAT registration
certificate. (iii) Copy of up to date Tax Payment Receipt.(iv) Copy of Bank solvency certificate.
(b) Name of Item: Effective VRF (Variable Refrigeration Flow) Air-Conditioning System.
(c) Capacity: 14,000 sft. (Approximately : 100 110 ton )
(d) Quantity: 01 Job
(e) Offer validity: 30 days.
(f) Delivery Time: Within June 4, 2010 with Installation, Testing & Commissioning after
receiving purchase order. (i) Interior ducting within 15(fifteen) days to facilitate false ceiling work.
(ii) Remain work within schedule date.
(g) Price should be given including delivery, installation, testing & commissioning.
(h) Place of Delivery & Installation: At BRAC Aarong Mirpur new Outlet (Address: Multiplan
Red Crescent City, Meghna Tower, Level 3, Plot # 01, Block # G, Zoo Road, Mirpure Housing
Estate, Section 1, Mirpure, Ddaka) by the supplier at his or her own cost and arrangement.
(j) Date of Submission of the Tender: The tender schedules are to be dropped in the tender box
no. '02' on March 22, 2010 from 9.30 am to 3. 00 pm kept at Procurement Department, Ground
floor, BRAC Center, 75, Mohakhali, Dhaka-1212 and will be opened on same day at 3.30 pm in
present of tenderers or their representatives ( if any).
(k) Technical Offer:
(i) Effective technical specification.
(ii) Minimum size of split type ducting system (Maximum 4") from the beam depth.
(iii) Covering equal temperature in entire floor area.
(iv) Adjustable Regulatory System.
(v) Effective but Economic.
(vi) Brand, Capacity, Model, Country of Origin is to be written separately for main equipments of
the system and quoted only one model of every items.
(vii) Before submit your offer you are requested to visit the site and as per your observation please
submit your Drawing & Design with the Technical Offer.
(l) Financial Offer in details (In separate Envelop).
2. Other Conditions:
(a) The supplier must submit the following documents (in English):
i) Manual of Maintenance & Servicing.
ii) Spare Parts Catalogue
iii) Circuit Diagram for Control Panel.
iv) Necessary Software of operating program
v) Catalogue /Brochure of the Product attached with the quotation.
(b) The accepted supplier are requested to give us the required size of infrastructure, cable layout
plan in details and also details about civil works like pipes setting, AC setting ect. All civil works
will be done by BRAC.

(c) Supplier will have to supply and install the total system to make the system operational with its full
efficiency without any extra charge.
(d) The accepted supplier will take total responsibility for supply, delivery, installation, testing and
commissioning of effective VRF Air-Conditioning System at site.
(e) The Supplier will also arrange manpower, tools & devices for installation, testing and
commissioning. The concerned BRAC engineer will inspect all the equipments at site before
installation.
(e) The accepted supplier will ensure that the supplied effective VRF Air-Conditioning System and its
all accessories are 100% brand new and in good condition. The Supplier will also provide full
warranty of minimum 12(twelve) months, which will cover the repair/replacement (if any) at their own
cost from the date of installation at site. The replaced parts will also be of full warranty for the
mentioned warranty period.
(f) The accepted supplier will ensure safety & security of their materials & tools till handing over to
BRAC authority.
(g) A tender security @ TK. 3% of the total quoted value in the form of pay order from a scheduled
Bank in favor of BRAC shall have to be provided along with the offer. The tender security of all
bidders will be refunded after final decision (in the shortest possible time) against a prayer to GM,
Procurement, BPD, BRAC.
(h) The successful bidders must deposit @ TK. 5% performance security before issuing of the supply
order. In case of failure on the part of supplier to carry out the contractual agreement as specified in the
supply order, the performance security will be forfeited. Performance security will be released against a
prayer to Head of Procurement, BPD, BRAC after completion of warranty period from the date of
installation on submission of successful functioning certificates of the VRF Air-Conditioning System
by BRAC Aarong.
(j) The supply must be done within the scheduled date; otherwise Liquidated Damage (L.D.) will be
calculated at the rate of 0.50% per week delay or part thereof up to maximum 5% from the stipulated
time of supply and deducted as well from the submitted bill. In case of substantial delay, BRAC
reserves the right to cancel the contract and claim compensation for such delay and failure.
(k) Bank Guarantee is not allowed for tender security and performance security in both case.
(m) No additional terms & conditions from suppliers will be accepted.
(n) In case of failure to supply the VRF Air-Conditioning System BRAC reserves the right to forfeit the
performance security.
3. Payment will be made on the following terms:
(a) All payment will be made through A/C payee cheque in favor of Supplier Company by Accounts
Department of BRAC H.O after successful delivery, installation and commissioning of VRF AirConditioning System. Following are to be submitted with the bill:
i) Original Delivery Challan received by BRAC Aarong and a notation on the Delivery Challan by
the recipient with name, designation, & date.
ii) A certificate from BRAC Aarong / BRAC construction Department.
iii) Runing payment will be considered subject to satisfactory prograss of work & upto 75% of the work
done.
iv) All payments will be subject to deduction of VAT and tax at source as per the Govt. rules.
(b) No advance payment will be made against Work Order
The BRAC authority reserves the right to accept / reject offer without assigning any reason thereof.
