As companies face new questions on how to leverage new technologies to meet


their business challenges, they continue to turn to NTT DATA to bring innovation
to their operating environments. To meet this demand, NTT DATA must be able to
nimbly deliver services in a cost-effective manner.
NTT DATA has met these demands by updating its service capabilities through
internal investments and acquisitions. This growth has resulted in an overly
complex operating environment comprised of redundant systems, non-standard
processes, and disconnected information flows. This environment is costly to
maintain, requires significant manual activity, and is prone to errors and delays.
These issues require significant capital and capacity that could otherwise go to
investments and offsetting other rising costs.

clients, the Account Owner will be responsible for updates

a single source to all parties, eliminating redundant data entry

Key data is entered by the Sales Executive who negotiated the deal (or
Client Manager for renewals), allowing users easy access and tracking
of critical information.

Upcoming end dates and contract data can be easily queried to better
plan and manage negotiations

Contract information is entered and captured in the system making it


easier to identify and search for contract attributes such as COLA,
warranty, SLAs, invoicing requirements, etc

Cost models are uploaded and centrally stored in the system


establishing a baseline for reporting and revenue recognition with the
system establishing new versions for each update.

For POC deals, cost models will be entered into Synergy to establish
revenue recognition. As changes occur to the project, updated
models will be submitted to adjust revenue recognition accordingly.

Projects without signed contracts can be identified to determine risk


areas and better manage revenue recognition.

As projects complete, Delivery will complete a Project Close process


to close out the project in the system and initiate close out activities
by other groups.

For the majority of employees, time cards are entered into a


single, internal system allowing employees and managers to
submit and approve a single time card.

Time released will create a Workflow that will be available in the


Approvers SAP inbox for approval.

Workflow will escalate up the organization when time cards are


not submitted or approved in a timely manner.

The system can be queried to identify missing and non-approved


time cards through the portal based on the managers security
level.

All policy time will be managed through Navigator and will


populate the time card automatically once approved by the
manager.

AMEX transactions can be pulled through the credit card feed


to create expense reports paid directly to AMEX Dont forget to
update the expense type field!

The Project Manager and/or Cost Center Manager must review


and approve the expenses prior to reimbursement.

Workflow will notify the approvers automatically so they can


review submissions in a timely manner.

Submitted expenses will be automatically escalated to the next


level if not approved within 6 days.

Invoicing is the process


that produces a bill for an

Invoicing is triggered in
SAP when a project
milestone has been
achieved or when billing
dates in a billing calendar
have been realized.

An integrated solution is used, ensuring a seamless flow of


information from submission to invoicing to reporting, resulting in
faster and higher quality invoicing.

Standard invoicing calendars will be used. Any requests to


establish a new invoicing calendar must be approved by the
Vertical CFO and their SVP.

The system will automatically trigger an e-mail to the respective


Billing Executive to review and approve an invoice before it is
issued to his or her Customer.

The CATALYS system (NTT DATAs
LMS) can be accessed from the NTT
Portal home page, under TOOLS:

2. Enroll in the sections relevant to your role.
While employees can enroll in any section, the following three sections are going to be most
relevant to the majority of Sales, Client Management, Delivery, and Practice employees.

The All Learner curriculum consists of SAP


Navigation, SAP Overview, Process Overviews and
training that all employees require regarding Time
and Expense.

The Sales and Delivery curriculum covers the


creation of new accounts, parent document setup
and maintenance, and different types of CIPIs
including Change Requests and Renewals.

The Cost Center Owner pages includes information


on tasks assigned to the Cost Center Owners,
some Project Managers and come Delivery
Managers. These include: Time Approval, Expense
Approval and Purchase Order Creation and
Approval as well as Invoice Approval

4. Take the training*.

Training will be tracked to ensure all relevant participants are preparing for go-live.

PM/DM Day 1 Business Continuity training is mandatory for any Manager who is
managing a project (and highly recommended for Sales and Client Managers)
Presentation communicates the new account hierarchy and key activities for
seamless processing from quote to invoicing.

Read the Business Process Procedure (BPP) before watching the associated Demo
to understand the changes in the business process.

Did you notice that.


Cost Center Owners (Grade 14 and above) approve Purchase Orders / Invoices
prior to being paid giving the owner proactive control and understanding of the
costs affecting the P&L?
Parent contracts, project contracts, and expense receipts are all attached,
submitted, and saved in Synergy?
There are different procedures for submitting expenses to be reimbursed directly
AMEX vs. directly to the employee?

5. Balance your year end close out activities with Synergy priorities.

Key dates for a number of critical activities will be sent beginning at the end of
February going through March to help you balance your work load.
Freeze dates for time cards, expenses, and contract maintenance
Cutover timeline (I.e., When do you first use the system)
Synergy Support Information reminders
CATALYS and selected classroom training notices and reminders

Freeze dates mean transactions are submitted AND approved by the freeze date.
Get your time cards and expenses in prior to the freeze dates so that we can not
only close the books, but you can use the system that you know.

Expense receipts are processed using NTT DATAs corporate policy.


Refresh your knowledge of these policies, by following this link and clicking the
Employee Handbook link (upper left) appropriate for you.

Synergy Post Go-Live: Day 1


Here are recommended steps to guide you on your first day of using Synergy:
Submit your expenses and time cards held during the freeze period using the procedures
side-by-side with Synergy.
Before submitting a ticket to HyperCare, contact a Floor Captain for questions related to time
cards and/or expenses and an Evangelist for other Q2B related processes.
Account Owners (typically Sales and Client Management) should verify that their account
information and Parent Document information is correct.
To ensure employees can submit time cards & expenses and facilitate invoicing, Project
Managers and Delivery Managers should verify that their project information is accurate:

Are all of your projects there?

Is the project information correct? (I.e., start dates, end dates, assigned employees,
revenue, etc)

Is the employee information correct? (I.e., start dates, end dates, rates, etc)
Note: Missing employees or incorrect start or end dates will prevent employees from
submitting time cards and expenses.

Parent and project documents for legacy accounts will be moved into Synergy at a later date.
However, new logos and new projects signed after April 1st must be set up with the signed
documentation saved in Synergy as per the BPPs.
