0 Origin of the repot_______________________________________


Abstract
The BBA internship program is a mandatory requirement for the students who are graduating
from the BBA program under the School of Business Independent University, Bangladesh.
In the internship program, I was attached to a host organization named Lanka Bangla Securities
Limited for 12 weeks. During this period I learned how the host organization works with the
help of the internal supervisor. As a result I have decided to write a report on "Working Report
on the Human Resource, Trade Execution and Settlement Department of Lanka Bangla
Securities Ltd. (Corporate Branch). During the three months of work experience with Lanka
Bangla Securities Ltd. On this internship program, I was placed in the Trade Execution,
Settlement and Human Resource Department . I joined on September 13,2011. This wing of
Lanka Bangla Securities Ltd. provides services of capital market with a small however efficient
team of experts professional. Lanka Bangla Securities Ltd. already established itself as one of the
pioneer among the brokerage house currently operating in capital market through its portfolio
management services, issue management and underwriting services to institutional clients. This
report is focused basically on Trade Execution and Human Resource Department of LBSL.

2.0 Overview of LankaBangla Securities Ltd.____________________


2.1 Company Profile:
LankaBangla Securities Limited (LBSL) is a 99.99% owned subsidiary of LankaBangla Finance
Limited and a leading equity brokerage house in the country.
LBSL (Formerly known as Vanik Bangladesh Securities Ltd.) started its stock broking business
in 1997 trading on the Chittagong Stock Exchange (CSE) Ltd, while commencing trading on the
Dhaka Stock Exchange (DSE) in 1998. The company was renamed LankaBangla Securities with
effect from 27 April 2005 following a restructuring of the company.
LankaBangla Securities provides investors with a platform to trade in both the Dhaka and
Chittagong Stock Exchanges in each of its branches in Dhaka (Motijheel, Corporate,

Islampur,Karwan Bazar, Narayanganj), Chittagong (Agrabad, Khatungong, Nasirabad), Comilla

pledged Depository Participant. The company was converter from private to public limited in
year 2009. The company has the distinction of being the largest broking house in terms of
transaction value in the Dhaka Stock Exchange Ltd. for the last four years and the Chittagong
Stock Exchange Ltd. for the last five years. The companys success is underpinned by its strong
network of key clients and its unparalleled standard of service quality, offering clients the
highest level of convenience and reliability in transaction business.

3.0 Job Description_________________________________________


Time Period in Different Departments at LBSL, Corporate Branch
Before talking about the work that I performed I would like to thank all the co-workers of LBSL
who helped me throughout my internship. At first, things looked a bit confusing but within a few
days, I started to realize the importance of each department. During my internship period, I had
assigned in different departments, such as Human Resource Department and Trade Execution &
Settlement Department.

3.1 Human Resource Department


I was first assigned in HR department. The Human Resource Manager currently heads this
department. The major functions of this department are

Leave policies and attendance.


The Human Resource Manager Md. Mahmudul Hasan Khan is currently heads of this

department. The major functions of this department are strategic planning and policy formulation
for Compensation, Recruitment, Promotion, Training, and Developments, Personnel Services,
and Security. The HR department is very much concerned with the discipline that is set up by the
LBSL management. LBSL management has got strict rules and regulations for each and every
aspect of trading, even for non-trading purposes; i.e. the Dress Code, attendance. All these major
personnel functions are integrated in the best possible way at LBSL, which results in its higher

performance. The Human resource officer monitors the employee staffing and administration
activities. The Training officer supervises training, development, & rotation activities.

3.2 Employees category


Lanka bangla Securities Ltd. has following categories of employees:

Permanent employees: who are confirmed after expiry of 3 or 6 months or after the
probation period and entitled to become member of Contributory Provident Fund and
enjoy other service benefits are known as permanent employee. In some cases no
probation period is given to the top management like Chief Technology Officer or
Chief Executive Officer.

Contract employees: who are employed for a defined period of time. Non cadre like
peon, Security & Surveillance Officer .etc

Trainee employees: who are employed for skill development and after completion of
training, he/she is deputed in a designated permanent position with a probation
period of 6 months. This is applicable for the position Trainee Executive or
Asst.Officer

The services of the contract employees stand automatically ceased on the day the contract of
employment expires as indicated in the letter of appointment.

3.3 HR Issues
Recruitment, Training and Development:
LBSL follows a standard procedure for recruitment and selection. However there is no set time
period when this recruitment and selection takes place. Each departmental head places the
requisition for recruitment to the Human resource officer, if any vacancy is created due to (1)
Retirement, (2) Resignation (3) Death, or (4) Extra workload.
The process for the recruitment of personnel for managerial and non-managerial level differs
slightly but the basic steps are same in both the cases. Before mentioning the steps of the
selection process it is worth mentioning that there is a unique policy in the HR department which

states that a person will not be eligible to apply for any vacancy if his or her first-cousin,
brother/sister or spouse works in any of the branches of LBSL. The steps are

In order to enhance the efficiency of the employees, LBSL gives emphasis on the both
theoretical and practical training for its personnel. For the top management or senior managers
there is provision for overseeing training arranged by LBSL management and HR department.
For the mid-level manager or other managerial level there is provision for regional training
courses. Besides, for probationary level there are training programs arranged in DSE and also
within the organization. For the operatives, various on the job-training program are conducted
within the company. Finally, LBSL follows a performance based promotion system for all levels
of its employees.

3.4 Performance Appraisal:


The company follows both rating and descriptive systems for the performance appraisal.
Although the appraisal system is non-participative, the employees are annually assessed with a
joint consultation with their immediate supervisor and departmental head.

3.5 Welfare Activities:


LBSL has many well-structured welfare policies for its employees. These include well-structured
wage & salary policy, medical facility, sports & cultural facilities, provision for loans etc. These
welfare policies aim at strengthening the relationship of the employees to the organizations and
make them more responsible in their respective positions. The brief description of the major
welfare policies are stated below:

3.6 Wages and Salary Administration:


LBSL follows a well-defined wage structure and fringe benefits for its employees. The wage
structure is updated periodically (Two years terms) by the management. The major deciding
factors are

3.7 LBSL code of conduct

Dress Code

Employees need to dress appropriately to their job and to upholding the standards of LBSL.
Every officer should wear tie in working hours (10 a.m.-3 p.m.). Peons required to wear a
uniform, which are provided for them. All team members of the LBSL are issued with identity
cards which they must keep with them while on duty.

Health and Safety

Employees should report anything, which they consider a risk to their own health and safety to
their supervisor. They should also report if they do not feel better for illness at work to their
manager. Manager/departmental head will inform Head Office HR & Admin head. Corrective
steps will be taken at the earliest opportunity where possible.

Religious

Although LBSL offer jobs to person from any religion but the majority of the employees are
Muslim. Our CEO Md.Wali-Ul-Islam always encourage employees to take their prayers in time.
Every Magrib there is jamat organized for prayers. Prayer room has built up at every branches of
LBSL.

Certificate of employment

When the service of an employee comes to an end due to termination, resignation, discharge,
dismissal, redundancy or retirement, the employee may request for a certificate of employment
stating the period of employment with LBSL along with other details.

3.8 Maintain Database


No employee is authorized to commit the organization to any legal involvement or expenditure
without the express written permission of the CEO. Any team member who becomes involved in

any legal proceedings which may implicate the organization or affect his/her working
Performance should immediately advise his/her superior who, in turn, will inform the CEO's
Personal record. The HR and Admin team maintains individual personnel files for each
employee. These files are treated as confidential and contain all relevant basic information
relating to the employee contains a list of documents which should be included in a typical
personnel file. Only respective manager/functional head have access to these files.
In my working period of three months I had the access to this file. My supervisor gave me the
responsibility to made a new database with all employees information like employee id, name,
designation, address, educational qualification, joining date, confirmation date.etc

3.9 Leave policies


ii) Government Holidays
Employees of LBSL are entitled to maximum of twenty (20) approved holidays annually with
pay. A schedule of holidays is issued by first week of January every year. Employees may be
required to work on holidays if needed.
iii) Paid Leave
Employees may take the following paid leave. In all cases application must be submitted in
prescribed form.

iv) Casual leave


Permanent employees can take up to ten (10) days casual leave in a full year, or on a pro-rata
basis if their employment commences part way through the year. Prior notice should be given of
casual leave, other than in emergencies, and no more than three (3) days of casual leave can be
taken at one time. Also, no CL leave will be allowed two times in a month. Casual leave cannot
be accumulated and taken in subsequent years.
v) Earned leave
Permanent employees following confirmation of employment are entitled to take twenty (20)
days annual leave in a calendar year, or pro-rata if this falls part way through the year.
Employees will apply for earn leave at least twice in a year effort has to be given to enjoy such
leave. If the organization fails to allow him to go for leave in that case unutilized leave will be
encased in the following year preferably during year end the amount will be given to the
employee concern.
vi) Sick leave
Permanent confirmed employees and contract employees, after six (6) months of service are
entitled to fourteen (14) days of paid sick leave per year earned at the rate of one day per month
for each completed month of service. Sick leave may be allowed on special circumstances even
during probation period which will be adjusted from this balance. An employee may also extend
sick leave with unused paid leave.
Employees should notify their supervisor immediately if they are sick. If they are away for more
than three (3) consecutive days a registered medical practitioners written recommendation for
sick leave must be sent to the supervisor.

3.10 Leave application process


Employees need to fill up a leave approval form when applying for any leave It is the
employees responsibility to submit the leave approval form in time for the Manager to approve

the leave. Earned leave, Casual leave and leave without pay are approved by the respective
functional head.

Leave records of all LBSL employees, and field based unit managers are maintained by the HR
team at the LBSL by excel format which known as their leave file.

4.0Job Description____________________________________
Trading & Settlement Department
My work experience:
. Our branch has Six departments. They are- Trading Department, HR,IT, Research, Accounts,
and Settlement Department. From 20th October,2011 - 24th November,2011. I worked in the
trading & Settlement department.
Before going into the details, I would like to talk about the activities of the trade execution, and
settlement department in brief. The trading department is actually the heart of a broker house
because the whole trading procedure actually takes place in the trading department. Here the
traders check the clients' portfolios, ledger balances, list of marginable and non marginable

securities, market depth (monitoring prices of different instruments), market index, behavioral
pattern of the capita! market, various news and eventually place buy or sell orders.
On the other hand, the settlement department acts like a bonk which deals with shares and not the
real money. The main activities of the settlement department are BO (Beneficial Owner) account
opening and maintenance, giving shares to the clients5 accounts, giving shares to the clearing
account, reconciliation of shares, dematerialization and re-materialization of securities, transfer
and transmission of securities through CDBL, pledging, -en-pledging and confiscation of
securities, and corporate announcement management.

4.1 Duties performed in the Trade Execution Department:


In the Trade executive Department, I used to perform the following dutiesa) Analyze market information and have a discussion with the co-workers
b) Monitor the market index (DSE Index)
c) Verify the market depth
a. Check the number of gainers and losers
b. Monitor client wise net position and trader's instrument position
c. Monitor news
d. Check top ten instruments
d) Select the desired instrument, its quantity, price, drip quantity, type of market (public,
spot, odd lot or block), and customer code and submit an order (buy or sell)
e) Withdraw or modify an order.

f) Monitor whether there is any over buy in any code. If there is an over buy, then manage
that amount of money from the customer and settle it with the accounts department.
g) keep records of the names and quantities of instruments that are bought and sold on a
particular day.
h) Check whether there are any short sales. In our company, short sale has a different
meaning. Let me clarify this by giving an example. Let us assume that a client has 100
shares of a particular company and he asks the trader to sell those shares at a particular
price. Now if the trader mistakenly sells 200 shares of that company against that client
code then this incident can be called a short sale. If there is any short sale, then I have to
manage those 100 shares from our other clients who might have at least 100 shares of that
particular company. After that everything has to be settled with the settlement
department.
i) Ensure whether there are any transactions using wrong codes and settle it with the
settlement department (if there are any)
j) Send portfolios to respective clients through e-mail

k) At the week end make a weekly report which contains overall performance of all LBSLs
branches. This report contains top trader, worst trader, turnover of all branches, market
participation with DSE & CSE.
From the trading department, I actually learnt a lot of useful things and one of them is to
read the screen properly. One who is skilled in reading the screens can definitely trade in a
mature way. Another key technical challenge is to predict the behavioral pattern of the market.
One who can do that with lesser errors has the upper hand over the other traders.

4.2 Duties performed in the Settlement Department:


Before talking about the work I performed in the settlement department, let me talk about
the working environment and the software that I used for settlement purposes. First of all, the
working environment was really good and friendly. Secondly, as the settlement department was
located at the back office, it was really calm and quiet in there. We have two computers in our
settlement department. One of them is directly linked with CDBL (Central Depository
Bangladesh Limited) and the other one uses internal software (commonly known as LEADS) to
establish link with our main frame computer which is located at our office.
Below is the list of work I used to perform in the settlement departmenta) Get connected with CGS (Communication Gateway Server) and open Master control
Application
b) BO listing update
c) Download reports
d) Collect new data of pay in pay out and give it to the LBSL sharing drive.
e) Download the daily charge report and send a soft copy COO sir through e-mail.
f) Collect the raw data of the current day's payout from the sharing drive and complete the
g) payout setup process using the master application.
h) Complete the payout procedure after getting shares from CDBL.
i) Compete the pay in procedure after the trading hour.
j) Monitor the clearing account after pay in procedure.
k) Settle short sale of various client codes.

l) Client payment checking.


m) Open, digitalize, and maintain BO accounts.
n) Dematerialization of shares.
o) Transfer and transmission of shares.
p) Receive IPO, Bonus, and Right shares and match the number of these shares with the
LEADS copy.
Now I am going to describe the entire process of some of the tasks mentioned above. Before
going into the details, let us take a look at the main software (Master Control Application) that I
need to use for settlement purpose.
From this application I used to use the following options- Beneficiary Owner Account, BO-ISIN
Inquiry, Demat DP, Host Report Manager, Operator Console, Request Reports, Settlement
Transfers, and Transfer and Transmission.

4.3 The Payout process:

The terra 'Payout' means giving shares from the clearing

account (of the buyers' DP) to the clients' (buyers') accounts. The Payout process is shown below
(with the help of a diagram):

CDBL will restrict the transaction of these shares for the next 3days. On the fourth day, CDBL
will give the shares to LBSL's clearing account.
In order to do the payout, I need to log on to LEADS and go to 'Payout file (Customized)'
under the option 'CDBL.' Then I need to minimize the window and open the sharing drive. I need to
open a folder named 'Pay out file.' After that I need to minimize this window and open the other
minimized window. Now, I need to select the clearing date (the current date), the security market
(which is CSE Ltd.), and name of the branch (Corporate). Next I press the 'OK' button and export the
payout file to the other folder named 'Pay out (Customized) file' in the sharing drive. Now I need to
check whether everything is ok. Next I take this raw file in the pen drive and paste in the other
computer's (CDBL) C drive. After that I log on to masters control application (in offline mode) and
go to the option 'Settlement transfers.' Then I check whether there is anything to upload. If there is
nothing to upload, I need to minimize this window and complete the payout setup process by using
two options (payout rob and payout approve). Next, 1 need to exit from the master application. After
sometime, I need to get connected with CGS (Communication Gateway Server) and check our
clearing account using the option 6BO-IS!N Inquiry.' The purpose of this task is to check whether
CDBL has given the shares to our clearing account. If I find that all the shares are given, I need to go
the option 'Settlement transfers' and press the 'commit' button. This is how I used to do the payout
process.

4.4 The Paying Process:


The term Payin' means giving shares to the clearing account (of the Sellers dp) from the clients
accounts. It is actually the opposite procedure of the Payout process. The Payout process is shown
below (with the help of a diagram):

CDBL will restrict the transaction of these shares for the next 3days. On the forth day, CDBL
will give the shares to XYZs clearing account.

4.5 Record day reconciliation and regular reconciliation:


Reconciliation means matching the number of shares in the CDBL copy with the number
of shares in the leads copy. On a record day, I need to make sure that the shares of a particular
instrument are not there in our clearing account; instead the shares have to be in the clients'
accounts. On record days, the CDBL quantity of particular instruments has to match with the
LEADS quantity. Now let us talk about the regular reconciliation which I used to do on a regular
basis. For this kind of reconciliation I need to check the number of shares in the LEADS copy
with the number of shares in the CDBL copy. If the two quantity matches with each other, then
that indicates that there are no buys in any of the client sides. However, if they do not match,
then it is an indication that there are buys in some of the client codes. In this kind of situation, I
need to download the trade confirmation notes of the last three working days using the LEADS,
Then I need to find out two things-the first one is when did the client buy those shares and from

which market did they buy those shares. After that I need to write the name of the market, date
and the quantity of shares under each instrument on the CDBL copy. Under a mismatched
instrument, if we add the number of shares in the CDBL copy with the number of shares bought,
it has to match with the LEADS copy. Then I need to print a mini report (in excel) of one page
which shows the CDBL, LEADS, and the buying quantity. Next, i need to get it signed by my
co-worker, our assistant manager, and our senior manager (Branch in Charge). Finally I need to
fax this page to our COO.

5.0 Problems and Recommendations___________________________


5.1 Problems Identified:
At first, I want to state that LankaBangla Securities Ltd. has a very strong management team and
a handful number of skilled employees who always try to do their best when it comes to serving
the customers living up to their pride which is being the leader among all the broker houses.
Through my work experience, I have observed that the whole operation process of Corporate
branch is pretty smooth. However, I have identified some problems which are discussed below:
The employees sometimes face problems using the LEADS software. I also faced
problems using this software though it does not happen that often. Sometimes it takes
more time than usual just to retrieve data from the main database. So it actually slows
down the whole operation process a bit.
Internet Trading is not provided to the customers.
There is no knowledge based trading program for the customers. As a result, the investors
often buy bad shares and get stuck at the market prices. Finally, the investors withdraw
their
money which eventually decreases the fees which LBSL could have earned from the
transactions.
There is no real time backup of the trades that take place every single day. It is actually a
major problem in our country. We do not have the technology and logistic support to
provide the brokerage houses with this important facility.

5.2 Recommendation:
LBSL can use upgraded version of the LEADS software or they can simply reject this
software and use a new one which will enable the employees to retrieve data from the
main data base a at a faster rate.
LBSL Corporate branch can improve its service by providing internet service to its
customers but before providing this service, LBSL needs to acquire sophisticated
technological support.
LBSL Corporate should offer knowledge based trading program to its clients as it will
enable the company to acquire more customers and brokerage fees. Moreover, it will
enable the company to retain its customers as they then will have clear ideas about the
listed companies and thus will not get stuck up in the market price.
If DSE, CSE, and SEC work together and manage to install advanced technology and
software, only then it will be possible to have real time backup which is extremely
important for both the traders and the investors.

6.0 LBSL Experience________________________________________


Conclusion:

sophisticated clients. Apart from efficient and effective brokerage services, LBSL is backed by
the strength of a comprehensive Research Unit, which provides a range of services from
company, industry and country research to corporate valuation. The Research & Analysis
Department puts its efforts to analyze the capital market along with the fundamental and
technical indicators of listed securities of DSE market. The key technical challenge here will be
to understand the psychology and trend history of the market, and most importantly the actions
of investors.

Team and Group work receives appreciation in all parts of the company. LBSL believes in
empowering employees to build up future leaders for the Company and the sector as well. In
addition, strong recognition and rewarding system also stimulates employees' potentiality to
perform in favor of the Company. HR Software will soon be introduced by the company for the
future technological strength.
LBSL is planning to develop its IT infrastructure through defining and planning IT roadmap,
providing internet and SMS services, network assessment and system audit, enhancement of
back office software application., achieving ISO 27001 and so on. Despite constantly increasing
competition in the capital market with entering into stock brokerage business by institutional
stock brokerage business enterprises especially commercial banks and non banking financial
institution, LankaBangla Securities will put arduous effort to achieve the business volumes
targeted by all the departments as well as realize the corporate objectives. LBSL is on the move
to diversify their business through strategic investment as well as equity investment in other
business sector to ensure the sustainable growth of other companies.
Finally, 1 have to say that LankaBangla Securities Ltd. is one of the leading brokerage houses in
our country. It has been a three months period of time I spend with this broker house and within
these three months, I have learnt how the practical world of finance actually works and how to
deal with real life problems. Now, I know the importance of brokerage houses in the
development of our economy.
My major focus was the HR and Trading and Settlement department where! have worked and
prepared my report based on these two areas. Therefore, I vigorously thank both the departments
for supporting me and providing me with valuable information. till the end, I would like to thank
Independent University- Bangladesh for providing such a wonderful opportunity to work on. I
hope this experience will help me to become professional in the world of finance.

Fluctuation of Index, Market Turnover, LBSL Turnover & Market Share
Benchmark index lost 104.10 points or 1.95% with an average turnover of 3778.11 million taka
inferring less market activities. SECs stock market encouragement package caused the
market to boost up in the last week but these stimulus were not very dominant in the current
week as some uncertainties arised over the 30% holding of sponsors. Index gained in the two
days and declined in two days and in the other day index remained almost unchanged.
Our overall market share was 5.27% with an average turnover 453.38 million taka.
