Request to Enable or Disable E-Mail Notifications


This document provides information about how to request e-mail notifications to be enabled or disabled
on your Oracle Applications Cloud Service environment(s).

Definition:

This service turns system-generated e-mail notifications off or on in a specified


environment.
These requests manage either workflow e-mail notifications, user provisioning emails (from OIM: Oracle Identity Manager), or both. An example of a workflow email notification is an approval request for a new hire. An example of an OIM
notification e-mail is one that provides logon credentials for a new user. Please
note that if you previously have requested that e-mail notifications be turned off, you
subsequently must request that they be turned back on when required (e.g., for
production usage). When turned over to you, assume that all environments,
including both test and production, have e-mail notifications turned on.

Business Need

This service primarily avoids generating e-mails to employees that would

inappropriately be generated by your implementation activities prior to going into


production. It also requests that e-mail notifications be turned on in an environment
where they are currently off. Examples are:
If testing functions (e.g., HCM promotions, new hires, terminations) using real
employee e-mail addresses, you would need to turn notifications off to not generate
e-mails to affected employees.
If testing functions using a project team-defined e-mail address for e-mail
notifications and these notifications are currently turned off in the environment you
are using, you might want to have e-mail notifications turned on to verify that they
are generated properly.
If loading employee data through HCM Data Loader as part of your initial load of
employees, you should turn off e-mail notifications to avoid generating new-hire
notifications.
If testing user creation in a test environment, you would need to turn notifications off
to not generate e-mails from OIM (Oracle Identify Manager) to real employees.
If loading employee data manually into a production environment prior to going into

production, you probably do not want to send e-mails to real employees so e-mail
notifications should be turned off.

Considerations:

3 days minimum advance notice is required. The need for this service
often surfaces at the last-minute. If you cannot or did not plan ahead,
please clearly explain the time criticality when you file the service request.

Downtime

Up to 1 hour downtime is required, as fulfillment requires a server bounce.

SR Filing

You can log a Service Request (SR) to Activate or Deactivate E-Mail

Guidelines:

Notifications by completing the following steps.

Log on to My Oracle Support (MOS).

Select Create SR from the Services Requests section or tab.

Under the What is the Problem? section, enter E-Mail Notifications


as the Problem Summary.

Under the Where is the Problem? section, select the Cloud tab and
enter the following:

Click Next and provide information requested. Questions will be


similar to those listed below.

Specify if you want to ENABLE or DISABLE e-mail notifications.

Oracle Identity Management (OIM) notification only

Both Workflow and OIM notification

What is the desired Effective Date for the change requested?

4.

What is the business reason for enabling (or disabling) e-mail

notifications?

Click Next and select Severity 3. The SR should not be logged as a


severity 1 issue as these requests are not production system or
system impacting issues.

7.

Click Submit.

8.

Once the SR has been fulfilled, the SR will be closed.

How to Validate

Sign on to the environment on which the service was performed and verify that e-

using test transactions. If working in the production environment and you cannot
enter a test transaction, you may need to observe e-mail behavior by monitoring
actual production transactions.

Environment Refresh: By default, all e-mail notifications will be turned off in the

target (Non-production) environment after an environment refresh.


Single Sign-on (SSO): If you have single sign-on installed on an environment, you
should continue to send OIM e-mail notifications unless one of the conditions
described above in Business Needs Met requires that you turn them off
temporarily.
