Dear Colleague:
It is a pleasure to send you the attached contract, and to welcome you to the 2012 session of the
Language Schools. Also attached to this email you will find the following documents, most of which
need to be returned immediately with your signed contract:
Housing and Board Information Policies
Voluntary Insurance Enrollment Form
Classroom Request form
Coursepack Request form
W-4 form, Employees Withholding Allowance (for U.S. Citizens and Permanent
Residents)
Director Deposit form (available only for those that have a U.S. bank account)
In the next week you will be contacted by International Student and Scholar Services (ISSS) at
Middlebury College. Please respond to their message in as soon as possible, regardless of your
citizenship and U.S. immigration status. The message from ISSS will give you information and
paperwork that will assist you through the visa process. Please note that the visa process can take up to
4 months. If you are already in the U.S. in H-1B status please contact the ISSS office immediately at
isss@middlebury.edu. If you have a Green Card or are a U.S. citizen, please respond to their message
with that information. ISSS can be reached at 802.443.5858 or isss@middlebury.edu.
We know that some Language Schools employees bring their families with them to Middlebury. You
should familiarize yourself with the attached document, Language Schools Housing and
Board Policies, so you are aware of what the policies are regarding employee families. Please
note that the available housing consists chiefly of dormitories designed for undergraduate students and
that smoking is not permitted in any College building, including dormitories. We hope that you will
make yourself at home as much as possible within the limits of such housing, but please keep in mind
that a college dormitory, with shared bathroom and kitchen facilities, puts some constraints on the
privacy of normal family life. We ask for your understanding regarding all of these constraints, since
the communal living aspect, which brings students and faculty together both formally and informally
throughout the day, is a quintessential element of the Middlebury Method of total immersion
learning. While Middlebury College does not provide childcare services, there are several facilities in
the area that may be of interest to summer faculty and staff. Space in such programs is limited and fills
up quickly, and their schedules may not coincide with your professional commitments. A list can be
found at: http://www.middlebury.edu/academics/administration/newfaculty/child_care. You may
also be interested in the Town of Middlebury Recreation Department. A few weeks from now they will
start listing summer day camp information on their website: http://www.middlebury.govoffice.com
New in 2012: If you have a United States bank account you can now have your paycheck direct
deposited by filling out the Direct Deposit form. You must return the form no later than May 1st

along with a cancelled check or deposit slip. If you currently do not have a U.S. bank account, you will
have the opportunity to establish one when you arrive on campus.
To help us plan, and to avoid delays in processing paychecks, please return your contract and submit
your housing information no later than March 1st, indicating how many people will accompany you. If
you plan to bring children, please list their names, ages, the dates during which they will be in residence,
whether they speak the language of your School. If we do not have accurate information we will not be
able to make appropriate housing assignments or ensure that ID cards are prepared before your arrival.
Please note that children under twelve who accompany their parents to campus must be supervised by a
full-time caregiver who should also be listed on your housing and board form. It is imperative that
you inform us by May 1st of any changes in the arrival and departure dates of any of your
dependents.
Paychecks will be distributed on the following dates: July 6, July 20, and August 3.
For those of who would like to carry out research projects involving students of the Language Schools
as human subjects, please be advised that you need advance permission from both the Director of the
relevant School and the Vice President of Language Schools. In addition, your research plan must be
approved by the Middlebury College Institutional Review Board. The deadline for applications to the
Institutional Review Board is May 4th. Further information, as well as an application form, can be
