FAQ's for Practice Placement Travel &

Accommodation Claims

How long will it take to receive my travel / accommodation payment?

A.

The University will endeavour to check & validate your claim within 10 working
days; workloads permitted, and NHS Bursary state that they will endeavour to
process travel claims within 30 working days of receipt; again workload permitting.

What do I need to complete and include to make a travel claim?

A.

All students must be in receipt of an NHS Bursary to make a claim. Travel and
accommodation claims must have a completed claim form.
For public transport claims you must include evidence of your journeys via original
or photocopied tickets and a signed timesheet / attendance record as proof that you
attended placement.
For all mileage claims you must supply a completed claim form and have used the
RAC website to check your mileage, selecting the shortest route option that is
located just above the 'show route' button, plus a copy of your timesheet /
attendance record.
For all accommodation claims you must supply a completed claim form, a
copy of your term-time tenancy agreement; unless you stay with your parents
during term-time. If you have a mortgage you must supply evidence of your
payments via a letter from your bank with their logo attached. You must also
supply invoices and/or a tenancy agreement from your clinical placement; as well as
a copy of your timesheet / attendance record.
Taxi travel is not permitted unless in exceptional circumstances, permission
must be granted by the Placement Team in these instances, and in most cases this
will be limited to the motor vehicle rate of 0.23p per mile.

Do I have to supply petrol receipts with my travel expense claim?

A.

No, mileage is calculated at a flat rate of 0.23p per mile for all students, regardless of
petrol costs incurred.

4.

How do I decide what mode of transport to choose when travelling to my


placement?

A.

NHS Bursary guidance states that you should use the cheapest form of transport
available for your journey, taking full advantage of any free and concessionary
schemes.

5.

My daily travel to University costs more than my costs to placement, can I still
claim?

A.

No, your daily travel must be in excess of your normal daily travel between
term-time and your place of study. If you have any parking or tunnel tolls that on a
daily basis make your claim in excess, then this is acceptable, if the parking or tolls
are not daily then you will only be paid for the days that are in excess.

If I am at University part-time but at placement full-time, can this be taken into


account when calculating my weekly travel costs?

A.

No, your travel costs are calculated on a daily return basis, regardless of how
many days per week that you actually attend.

7.

Is my daily return mileage calculated using the actual amount of miles that I
have travelled to and from placement?

A.

No, all daily return mileage is calculated and paid using the RAC route planner,
shortest route option. This is regardless of the actual mileage or route taken.

8.

Can I still claim public transport costs if I have lost my actual tickets?

A.

We can only pay for the journeys that we have evidence of as proof that you
made the journey. Tickets will not be paid if they do not match with the claim
period.

9.

If I have paid for clinical accommodation will I get reimbursed for the full
amount I have paid out?

A.

Not necessarily, you will be reimbursed either for the total cost of your clinical
placement address up to a maximum of 110% of your term-time address cost, or your
term-time costs whichever is the lesser.

10.

Can I claim for any additional costs?

A.

In addition to your daily transport costs you are also entitled to claim for any car
parking costs, tunnel tolls or additional costs incurred as a direct result of your travel
to placement, within reason and on a case by case basis; and with authorisation from
the placement team.

Please be aware that you should keep photocopies of all claims and receipts before
submitting your travel claim. In addition to this also be aware that all claims are
decided on a case by case basis by NHS Bursaries.
