ASCLS Region X (Arizona-Nevada, California, and Hawaii ASCLS Societies) invite you to take part
in our annual Regional Cactus Conference March 17 th & 18th at the Annenberg Health Sciences
Center located on the Eisenhower Medical Center Campus in beautiful Rancho Mirage, California.
This years program will include speakers covering the latest technical information for the Clinical
Laboratory Scientist as well as addressing challenging administrative issues facing todays
laboratory managers. The Spring Cactus Conference is intended to be a mix of continuing
education, product exposure, and social networking. We want your participation in all these efforts.
Included with this prospectus is an Application for Exhibit Space and specific information regarding
what is included in the booth rental. The deadline for securing booth space is February 18, 2017.
After this date, a $50 late fee will apply.
We recognize your current marketing challenges in complying with the Sunshine Act, so we want to
provide multiple ways for you to support our efforts in conjunction with your own.
If you are not able to take part in the exhibits, but wish to provide sponsorship for the event, a
Sponsorship Form is also included. Sponsorship or other donations toward speakers, breaks or
meals is always appreciated and recognized.

Booth Information
Each booth rents for $550. If a double booth is what you need, the cost is only $1,000, for twice the
space! We also have space for demonstration vehicles at $1,000 per vehicle. The contract and
payment are due no later than February 18th, 2017. Checks should be made payable to: ASCLS
Region X.
We encourage vendors to be actively involved in our conference and educational program. An
additional discount of $150 will be provided on booth rental for providing an educational speaker for
our program. Discount will be provided for up to two speakers per Vendor Company.
Booth rental includes two conference registrations. Additional registrations/meal tickets can be
purchased for $25.00/person. Vendors may attend any of the breakout or general session lectures.

Contract for space: The application for space and the formal notice of assignment constitutes a contract for the right to
use the space allotted. In the event of fire, strikes or other uncontrollable circumstances, this contract will not be
Use of space: No exhibitor shall assign, sublet, or share the whole or any part of the space allotted without the
knowledge and consent of the convention committee. Aisles must be kept clear. Exhibitors must comply with all safety,
fire and health requirements during set-up, operation and teardown.
Exhibit space: Each exhibit booth shall have one 6 ft table.
Assignment of space: The committee will assign what is considered best space available. Exhibitor will be notified, in
writing, of booth assignments prior to the meeting. All dimensions and locations of the booths on the floor plan are
believed to be accurate. The committee reserves the right to make modifications to the floor plan as deemed
appropriate. Space is assigned on a first-come-first-served basis. No space is assigned without the official contract and
payment of the exhibit fee.
Hours of the exhibit: Setup will be on the morning of Friday, March 17th with dedicated exhibitor hours starting later in
the day on Friday, March 17th.
Dismantling: Exhibitor expressly agrees not to teardown the exhibit or do any packing before closing hour of the
exhibit on Saturday, March 18th. Teardown must be complete by 5:00 PM.
Exhibit hall admittance/badges: Exhibitors must furnish the committee with an advance list of all their
representatives. Badges will be required to be admitted into the exhibit hall for all convention attendees, including
Liability: ASCLS Region X officers or committee members will not be responsible for the safety or the property of the
exhibitors, their agents or employees, from theft, damage or fire, accident or other cause, but will use reasonable care
to protect the exhibitors from such loss. Exhibitors wishing to insure their goods must do so at their own expense.
Care of building/equipment: Exhibitors, or their agents, shall not injure or deface the walls or floors of the building or
booths. No signs or other articles shall be posted, nailed or otherwise attached to the floors, walls, furniture or fixtures.
Cancellation and refund policy: All booth cancellations must be submitted in writing to the committee. Full refunds,
less $100 administrative fee, will be made for canceled booths on or before March 1, 2017.

Application for exhibit space at the 2017 Conference indicates the applicants willingness to abide by
all accompanying exhibit terms and conditions, general regulations as well as such additional rules
and regulations as the conference management deems necessary for the success of the exhibition.
Full payment for each booth must accompany this application. You may fill this out electronically and
e-mail it to joshpulido@icloud.com. Checks should be payable to ASCLS Region X. Upon receipt of
your check, a booth will be reserved and you will be mailed a confirmation letter that will include
shipping instructions and other pertinent information.
