Preparing Data before Analysis

Here are compelling scenarios for you to examine.


RETAIL
Imagine that you are a store keeper, and you have recorded the sales of a
product on each working day, for a whole year. Your shop remains closed
on Sundays.
If you want to calculate summary measures (you will learn about this in
the next session) to represent these records, would you say that Sunday
sales for a product is zero? There are severval items that a store carries.
Consequently, an item's total sales could simply be zero on some
days. Representing both of these situations with zero would be grossly
misleading.
SURVEY

Imagine that you are carrying out a survey. The answer to an


important question about annual household income has been left blank by
almost 90 % of the respondents. Would you just replace the blanks with
zero and proceed with the analysis? Or should you take the responses of
the remaining 10 % for this question, and continue with your analysis?
When we are dealing with real life business data, the first activity would
be to clean up the data. Is this the case with our dataset? We will let you

Look for blanks across rows and coloumns

Oftentimes, datasets might span several worksheets within one


spreadsheet. Attributes that pertain to the same entity (e.g. the Region
for a Country, versus the Receipts for that country) may be spread across
different sheets.
The VLOOKUP function helps us build a unified view of the data, with all
of the attributes in one place. This type of merging along a common
attribute is also known as JOIN in database parlance.
