Introduction to ASN Receiving
Understanding the ASN Receiving Process

INTRODUCTION TO ASN RECEIVING

ASN Receiving is a efficient way of receiving stock into the warehouse based on an Advanced
Shipping Notice) ASN, which is a License Plate/Tracking number that is downloaded with the
purchase order from the host ERP system. The receiver can, for example, check-in an entire
purchase order with one scan of the ASN License Plate/Tracking number, rather than going
through all the products in the shipment. However, this method of receiving requires a high
level of confidence that the expected product and quantity matches the stock that is actually
delivered.

NOTE: Customers require the Advanced Receiving Module to activate this

functionality. Additionally, ensure that the ERP integration being used is updated
to include the ASN information with Purchase Order (RH/RD) downloads.

Understanding the ASN Receiving Process

Advance Shipping Notices (ASNs) are sent in advance of a shipment, and list the shipments
contents and delivery information.
ASNs can be included in the Accellos One Warehouse standard purchase order header /
details record (RH/RD) downloaded from the host ERP system. The License Plate/Tracking
number for the ASN is included at the purchase order line level, i.e, the purchase order detail
(RD) record. Therefore, ASNs can be defined at the item, carton, pallet, or shipment level, and
a single purchase order may have multiple ASNs associated with it.
The Accellos One Warehouse ASN Receiving function on the handheld is used to process
these shipments. ASN Receiving lets warehouse staff receive against a License Plate/Tracking
number. The receiver simply scans or enters the track-trace number, and when prompted,
enters a bin to which the stock is received. All lines with that ASN track-trace number are
received at one time.
The result of ASN Receiving is a message that the check-in was successful or a failure. Check
the error log for codes and messages explaining the reasons for a failure. When successful, a
license plate is created for the received goods. The bin entered during ASN Receiving is the
bin that is associated with the license plate.

RECEIVING BY ASN
If an ASN (License Plate/Tracking) number was downloaded with the purchase
order from the host ERP system, the receiver can use ASN receiving to quickly and
efficiently receive the order. The receiver checks-in the stock simply by scanning or
entering the ASN (License Plate/Tracking) number. Accellos One Warehouse
identifies the all product information associated with the ASN and receives it into
inventory. Depending on the configuration of the receiving bin, the track-trace
number may be captured as the license plate for the ASN during check-in.
> To receive products on the handheld using ASN Receiving:

1 From the main menu, press the number corresponding to Receiving and
press ENTER. he Receiving menu is displayed.

2 From the Receiving menu, press the number corresponding to ASN Receiving
and press ENTER. The ASN Receive screen with the ASN Label prompt is
displayed.

3 At the ASN Label prompt, scan or enter the License Plate/Tracking number and press
ENTER. Details of the ASN contents are displayed.

4 Optionally, press [F2] to view the items in the carton. Each line in the carton is displayed
and shows the product, quantity and packsize ordered.
If necessary, press ENTER to view additional screens of lines in the carton. To return to the
ASN Receive screen, press ENTER.

5 At the TO BIN prompt, go to an overstock, temporary receiving location, or valid pick bin
to which you want to put away all the products. Scan the barcode label on the bin, or
enter the bin number and press ENTER.
6 After you enter a bin, all products associated with the ASN are added to that bin and
depending on your system configuration, the products are license plated with the track-
trace number.
7 The ASN Receiving screen displays again. Scan the ASN, or press [F1] to return to the
main Receiving menu.

Completing the ASN Receipt

After successful ASN Receiving, the purchase order(s) still needs to be closed either in Web
Dispatch or on the handheld, depending on the policy of your warehouse; then, the purchase
order confirmation (RC) records are uploaded to the host ERP system.

Reprinting ASN SSCC-18 Format Labels

REPRINTING ASN SSCC-18 FORMAT LABELS

You can optionally reprint the ASN labels (in SSCC-18 format labels). This may be necessary,
for example, if the original label was damaged.
> To reprint the ASN (SSC-18 format) track-trace labels:
1 From the main menu, press the number corresponding to Receiving and press ENTER. The
Receiving menu is displayed.

2 From the Receiving menu, press the number corresponding to RePrint SSCC18-ASN. You
are prompted to enter the carton for which you want to reprint the ASN SSCC-18 label.

3 At the Totlabel # prompt, scan the existing ASN SSCC-18 label for the carton, or enter
the carton number and press ENTER. Your label is printed.
4 To reprint ASN SSCC-18 labels for additional cartons, repeat step 3.
5 To exit this function, press [F1]. You are returned to the Receiving menu.

The following summarizes the purchase order download from the host ERP system when
ASNs are included with that download.
The RBDownload.xml script creates RECVHEAD and RECVDETL table entries when RH
and RD records are downloaded from the host ERP system.
If a License Plate/Tracking Number is included in the download record (in RD[56])
RBDownload.xml script also creates ASNHEAD and ASNDETL table entries when the
RH and RD records are downloaded from the host ERP system. For more information,
see ASN Header Database Structure on page 8 and ASN Detail Database Structure on
page 8.
RD[56](34C) contains the License Plate / Tracking Number for ASN Receipts.
License Plate / Tracking Number is defined as a unique identifier for the pallet or
container for ASN Receiving.
The License Plate / Tracking Number is included at the Purchase Order Detail (RD) level
so a single purchase order may have multiple associated ASNs.
If multiple License Plate / Tracking Numbers are specified for a single purchase order,
multiple ASNHEAD records should be written.

ERP Requirement
Customers must ensure that the interface for the host ERP/accounting system they are using
has been updated to include ASN information with their Purchase Order (RH/RD)
downloads.
A new Receive Detail (RD) field has been added to accept the License Plate / Tracking
Number for the ASN. The new field is RD[56], defined as follows:
