Overview

Integration with SMCs RateWare XL is provided with Sage ERP X3 Premium Edition within
Order Entry for customers that have licensed the freight module. Sage ERP X3 integrates with
the SMC freight rating system in order to find the least cost carrier for a particular sales order
(weight/destination zip).
Setup and Parameters

Add-on Parameters - GESXA0

The SMC# parameter must be set to yes in order for the SMC3 freight rating to take place.

Field Descriptions

Field Description
SMC3 This Yes/No field determines if SMC3 integration is to be used or

Use Product This Yes/No field determines the primary Freight Class Level
Level Class (FAK Class). When set to No, the Carrier-Level class must be
used. Even when a Product-Level class is to be used, it may be
overridden by the setting at the Carrier level.
Parcel Shopping Determines if SMC3 is to be used for Parcel Shopping
Carrier Maintenance - GESBPT

Fields are available on the Carrier Table (BPCARRIER) to support the integration with SMC3.
Carrier specific functions, described later on, are accessible from the pull down menu. These
functions include: Carrier Region Maintenance, Carrier Discount Maintenance, Exception
Terminals & Bid Postal Codes.

Field Descriptions

Field Description
SMC3 Rates This Yes/No field determines if SMC3 integration is to be used or
not for this Carrier.
Tariff Module The carriers tariff module used to arrive at base rates in SMC3
Base Year The year on which the rates are based
Type Used By SMC3. Quite often A.
SCAC Code Four-character code assigned to Carrier
FAK Class The class to be used for the goods to be transported. This is
only possible due to negotiations between the carrier and the
customer. Typically the classes being shipped are derived based
on the goods being shipped.
Rate Discounts Discounts can either be based on State or Region. If Region is
By chosen then the Discount Regions by Carrier table (XREGMAP)
will need to be setup.
Treat as Direct A service type may be direct or indirect. The service type

Shipping Modes Maintenance - GESTMD

Additional fields are available on the Shipping Modes Table (TABMODELIV) to support the
integration with SMC3.

Field Descriptions

Field Description
Rate Shopping For the given shipping mode, this field indicates how it should be
Method rated/shopped. If All or Motor Freight are chosen, then SMC3

Freight Amount For the given shipping mode, this field indicates how the freight

then this allows the value returned from either Parcel or Motor
Freight shopping to be passed to the Sales Order. The new add-
on parameter, Charge Plus %, can be used to add an additional
amount to the returned charge. If Freight Revenue is chosen,
then the freight amount will be derived from a lookup on the
Freight Revenue tables instead of the value returned from freight
shopping.

Ship-to Customer Maintenance

The ability to enter/store additional fields specific to the carrier management associated with a
customer ship-to address has been provided. A new tab is used to create/edit the carrier data.
The window can be initiated via a right click on the ship-to address within customer maintenance -
Common Data > BPs > Customers.

Field Descriptions

Field Description
Use Carrier If this field is populated, then the Ship-to Customer will always be
assigned this carrier. The Least Cost Carrier determination will
not occur for this Ship-to Customer if this field is populated.
Date/User The date and user that set the Use Carrier.
Never Use Up to three Carriers for a given Ship-to Customer can be
Carrier(s) designated as Never Use Carriers. When placing an order, the
Never Use Carriers will not be able to be assigned to the order.
Additionally, if a sales order were rate shopped and one of the
Never Use Carriers was returned as the lowest rate, that carrier
would not be used.
Customers - GESBPC

The customer record has been extended to allow for the entry of a 3 new free freight thresholds.

Field Descriptions

Field Description
Free Freight If the order amount is greater than or equal to the Free Freight
Threshold Value Threshold Value, the customer will not be charged freight.

Free Freight If the order weight is greater than or equal to the Free Freight
Threshold Threshold Weight, the customer will not be charged freight.
Weight
Free Freight If the order units is greater than or equal to the Free Freight
Threshold Units Threshold Units, the customer will not be charged freight. The
number of order units comes from the units assigned to products
on the order.

Carrier Region Maintenance - GESXC4

The carrier discounts can be defined by Region (by exception). The region maintenance function
allows you to define your regions by using either state codes or postal code ranges. If you can
get these values defined by state, it simplifies the setup. For certain delivery areas, the state
definition may be too broad and require the use of the postal code ranges.

This function allows you define the start and end values and the region associated with the range.
For defining states, you would specify the state code as the starting and ending value for the
range and the region associated with the state. You could in turn define each state as a region or
could link several states to one region.
Carrier Discount Maintenance - GESXCD

The Carrier Discount Maintenance function can be used to record exceptions to the Default
Discount/Rate amounts stored on the Carrier table and maintained via Carrier Maintenance
(GESBPT).

The Validity dates allow you to keep a historical view of the discounts and also allow you to enter
discounts prior to their effective date. This allows for a smooth transition when switching between
negotiated (contract) rates.

The carrier discount details allow you to define the negotiated variances from the global carrier
setting by exception. This means that the Default Carrier Discount %, Tariff Minimum and
Surcharge Cap % is used unless a detail is defined for a particular state or region.

The details are defined by specifying the region.

Exception Terminal Maintenance - GESXCY

This function is used to define exception terminals (XCEXCTER). When the results are returned
from SMC, the terminal is included. When calculating the freight charge, the exception table will
be checked to see if a match exists (carrier, terminal). If so, the minimum freight amount from the
exception table is used. This minimum replaces the global or state/region minimum associated
with the carrier.

Bid Postal Codes - GESXCZ

When negotiating/working with a carrier, they are asked to submit bids based on postal codes.
They provide this information in the form of a file listing the postal codes. The bid information is
stored in a new table (XCBIDZIP) that is keyed by carrier, postal code from, and postal code to.
A function that displays the postal codes by Carrier will be available from within Carrier
Maintenance and from within the Carrier Discount function. When coming to the Bid Zip Codes
function from either Carrier function, only the zip codes that were bid by the current carrier will be
displayed.
Carrier Surcharges - GESXCS
SMC3 Integration

A VB .Net program will be used for the integration between X3 and SMC3. When X3 requires
SMC3 freight rating, record(s) will be written into a database table called X3 to SMC3
(XCX3SMC3). The Visual Basic program will read the appropriate database records and call the
SMC3 rating system. Information returned from SMC3 will be written into the database table
SMC3 to X3 (XSMC3X3). Once the record(s) have been written into the XSMC3X3 table, the
initiating X3 program can process those record(s) as necessary. For instance the records could
be sorted and displayed or perhaps the lowest cost carrier may be assigned to the order that
requested the rating.

Carrier Selection Rules

The following rules will be applied to determine when SMC3 carrier selection is to occur.

Rate Determination Rules

The following rules will be applied to determine when SMC is used determine the rate that applies
to the order.

Customer Freight Charge Rules

The following rules will be applied to determine when/how a customer is charged freight on an
order.

Freight Terms Behavior Type = Prepay and Add:
Makes the order eligible for charging the customer.

Behavior Type = FOB Dest:


The freight charges should be included in the net price of the
product. FOB pricing is outside the SMC integration.
Ship Mode/Service This identifies the source of the automated freight charges (when
applicable). When present these charges result in adding charges
to the order.
Customer Freight Threshold Orders above this value are never charged freight.

User Override User can manually adjust the freight charges (either way) to add or
eliminate freight from an order
Freight Shopping - CONSXCW

The Freight Shopping function can determine and display the carriers and rates returned from
SMC3. The function displays the relevant freight information for LTL carriers that are setup for
rate shopping. The function retrieves the data from SMC3 and applies any/all discounts and
charges. The results are displayed in ascending rate order with the least cost carrier first.

The following prompts will be provided for shopping.

Bid Zip Flag indicating if the postal code is located in the bid table for the
carrier.
Note: Conditional formatting will be used to highlight the results of this inquiry.

To further highlight the results of the inquiry, a header block is updated to show the following
information:
Least Cost Carrier
Lowest Rate
Minimum Flag indicating that the charges were derived from a tariff minimum
instead of calculated from the discount.
Surcharge %
Surcharge
Total

Based on the setup the rates shopping may be performed for parcel carriers and not just LTL
carriers. This may be useful when processing a backorder or when shipping replacements
products that may be eligible for UPS/FDX parcel processing. This shopping can only be
performed when the order options is selected.

Sales Order Entry - GESSOH

Sales Order Entry will be modified to Shop an order with SMC3. Depending upon the values for
Shipping Mode, Ship-to Customer, Freight Terms and the Rules for Carrier Selection and Freight
Charge selection listed above, the order may be assigned the least cost carrier and charged a
freight amount.

A Required field is available next to the carrier field to indicate that for this sales order, the carrier
entered must be used and should not be overwritten by freight shopping.

The following edits checks will be added to sales order entry:


Shipping Mode/Service
Changing the shipping mode/service can result in a change of the
carrier. When this occurs, any/all carrier edits and validations will be
performed. If it fails any of these, it will be treated as a manual carrier
selection.
If the user specifies a parcel service, the order will be evaluated to
ensure that all lines on the order are parcel shippable.
Carrier Edit
Do not allow the entry of the customers Do not use carriers
If SMC carrier, verify that the carrier has bid the entered zip code
Warn the operator if the entered carrier is not an SMC rated carrier.
If the carrier entered is a parcel carrier, the lines on the order will be
check to ensure that they are parcel shippable.

Note: The rules for shipping mode/service and carrier apply at both the header and the line
level. If the check occurs at the lines level, the validation is done for the individual
line and not the entire order.
New fields have been added to the Sales Order Header Table (SORDER) to store the Least Cost
Carrier and Rate even if the least cost carrier is not being used (manually overwritten or customer
preference).

Every time an order is shopped, the resulting least cost carrier and other pertinent returned
information will be logged in a Freight Shopping History Table (XCFRTSHPL).
