Executive summary

This Tender Application is prepared by the contractors company of Andromeda Industries to


apply for the construction of a prototype Mars Lander designed by AWD Inc. Contractors of
Andromeda Industries have read through the Design Package of company AWD Inc before
creating this document. This document includes the design package review and developed tender
evaluation criteria. Contractor company is fully prepared and looking forward to cooperate with
AWD Inc in this project.

Design Package review includes the understanding of design and the flaws and improvements to
the design of the prototype. In order to prove the contractor company has read through the design
package of AWD Inc, the overall design including the dimensions and the construction of the
prototype are summarized. Besides, contractor company suggested few improvements to the
design. The width of the wheels was suggested to be enlarged to withstand the vertical drop and
balloon was suggested to wrap around the wheels to reduce the friction while rolling.
Furthermore, sponge was proposed to be added on the front of the vehicle to decrease the impact
to the vehicle while dropping. Cotton was suggested to be added on the rear part of body part to
reduce the friction between bottle and the vehicle. Last but not least, a replacement of wooden
dowels to wooden chopstick was suggested to lower the budget as the budget is restricted.

Apart from that, contractor company has prepared evidences to prove and fulfil the requirements
stated in the Tender Evaluation Criteria. Although the contractors had no previous experience of
wood skill, the contractors were inspired and willing to learn the technique through online videos
and safety precaution. Preparation would be done before the construction stage to ensure the
tools and material involved are available. Besides, three contractors fulfilled the requirements in
Teamwork and Communication criterion. The contractors requested for meeting, created
Whatsapp group and took Effective Communication Skills unit in previous study in Curtin
Sarawak Foundation which can be referred as proof of this criterion.

In addition, contractors interpreted the design of the prototype and improvements were suggested
to the designer company. Contractor company approached to some store to research for cheaper
materials and thus, cost of the prototype was controlled within the budget while the quality was
ensured. Lastly, contractor company proved the Punctuality criterion by previous submission of
work and arriving meeting on time.

In conclusion, contractors from Andromeda Industries are confident and looking forward to
cooperate with AWD Inc in following construction stage.

1.0 Introduction

This document is done for submission of Tender Application to AWD Inc from contractors of
Andromeda Industries. The following works are prepared by contractors from Andromeda
Industries.

2.0 Design Package Review

Contractors from Andromeda Industries have read the design package (refer to Appendix 4.1) in
detail from AWD Inc. The review of the design package is performed base on the understanding
of the design package by the contractors. The review includes the understanding of the design,
flaws and modification of the design which are suggested from the contractor company.

2.1 Understanding of Design

The prototype designed by AWD Inc is mainly made of plywood with accessories of nails, screw
and wooden dowel. The dimensions of the prototype are 329.4mm of length, 195.0mm of width
and 125.0mm of height which fulfil the requirement of client. The prototype contains two main
parts which are body part and wheels. The prototype is supposed to roll down 2 metres of slope
with 30-45 degree and a vertically drop from 1m height.

2.1.1 Wheels

The wheel part of the prototype includes three main components, axles, wheels and woodblock
(part C, D, E, H) (refer to Appendix 4.1.1 & 4.1.3). Firstly, cut the wooden dowels into 4 equal
parts which are in 28mm length and 10mm diameter. Then cut 4 equal circle wheels from
plywood board with circle cutter. The diameter and width of the wheels are 125mm and 8.5mm
respectively. After that, drill a hole with 12mm diameter on the center of the wheels to connect
the axles and wheels together. Next, cut the plywood into the shape of Part C, Part D, Part E and
Part H respectively in order to fix the wheels on the body part. Part C and Part E is glued on part
F (side part of body part) with wood glue while Part D and Part H is connected to Part C and Part
E respectively with axle and nails.

2.1.2 Body Part

The body part of the prototype contains three main part, which are front part (Part B), side part
(Part F) and rear part (Part G) (refer to Appendix 4.1.4). First and foremost, cut the front which
includes 6 different sizes of woodblock part from plywood. Those six parts are connected by
wood glue from bottom to top. Third piece to fifth piece of the woodblock is designed as u-
shaped to fit the head of the bottle. Meanwhile, the other pieces are for support propose. In the
following, cut 4 equal size of rectangular stick with dimension (length x width x height) 263mm
x 29.9mm x 8.5mm as the side part of the prototype. The side part connects with front part, rear

part, Part C and Part E by wood glue. Lastly, prepare a wood block and cut a circular hole with
66mm diameter on the center of it. This is the rear part of the body part and also the entrance
of cargo (bottle) holder. The bottle will be inserted from the rear part and placed horizontally
with fitting the head of the bottle at front part.

2.2 Flaws and modifications of the design

After the discussion of the contractor company, few parts of the prototype are decided to be
modified and improved by the contractor company.

2.2.1 Wheels

In the design of AWD Inc, the width of the wheels is 8.5mm (refer to Appendix 4.1.1).
Contractors company worried the wheels are unable to withstand the drop as the width of the
wheels is too small to sustain the weight of the prototype and a filled bottle. It is due to the
prototype is supposed to sustain a vertical drop with carrying a filled bottle and without
significant damage to the prototype. Thus, contractor company suggests to wider the width of the
wheels from 8.5mm to 15mm. Besides, in order to counteract the impact and smoothen the
rolling of the wheels, contractor propose to wrap the wheels with balloon.

2.2.2 Body part

The body part designed by AWD Inc is mainly made of plywood. To prevent being damaged
while dropping, contractor company suggests to attach a piece of sponge on the front of the body
part. The sponge benefits the vehicle by reducing the impact when it drops to the ground and
thus, the probability of being damaged of the body part will be reduced to a lowest extent.
Besides, cotton is suggested to be glued on the circle (refer to Appendix 4.1.2) which is designed
to carry the bottle to reduce the friction between bottle and the wood in the testing stage.

2.2.3 Axle part


Contractor company would suggest to replace the wooden dowel into wooden chopstick. The
wooden chopstick cost only RM 0.25 while wooden dowel cost RM 1.06. In this replacement,
RM 3.99 can be saved as 4 dowels are required in the design while a pair of chopstick is enough
to be cut into the size of axle. Meanwhile, the quality of chopstick is ensured to perform as axles
of the vehicle. Thus, wooden chopstick is suggested to replace the wooden dowels in
manufacturing the axles of the vehicle.

3.0 Tender Evaluation Criteria (TEC)
The contractors from Andromeda Industries have clearly studied through the criteria mentioned
in the design package and prepared evidences to fulfil the requirements. The contractor company
is confident to show the ability and potential to take over and complete the project. Therefore,
the criteria mentioned will be developed and proved in the following content.

3.1 Experience
As the prototype designed by AWD Inc is mainly made of wood, contractor company has been
approaching to the knowledge about handling wood efficiently. The contractor company has
been learning techniques of using saw, circle-cutter, hammer and electrical drill which are
necessary in constructing the prototype via Youtube videos (refer to Appendix 4.2) and
summaries of the knowledge were noted (refer to Appendix 4.3). Besides, the contractor
company is aware about the safety issue as the tools involved possess danger while being used.
Thus, the contractor company will prepare safety glasses and gloves (refer to Appendix 4.4) in
the construction stage. Apart from that, contractor company would suggest and invite the
designers to join and instruct the contractors during the construction stage to avoid mistake and
smoothen the building process. Contractor company would check and test the tools before
constructing the vehicle to ensure the process can be operated successfully.

3.2 Teamwork and Communication


The contractor company understands communication is a vital element in this project. Thus,
contractor Wilson approached to the designer company on 4 April 2017 to request for a meeting
on Thursday (6 April) via Whatsapp conversation with conciseness (refer to Appendix 4.5). Few
discussions were made clearly and concisely in the meeting (refer to Appendix 4.6). Besides, the
contractor company created a Whatsapp group chat with the designer company to exchange ideas
of the design and discuss the evidences required for the criteria (refer to Appendix 4.7).
Furthermore, contractors took Effective Communication Skill in the foundation study of Curtin
University Sarawak (refer to Appendix 4.8). This unit helped the contractors to apply the useful
skills in the communication with the designer company. Therefore, the contractors are able to
communicate via fluent English with the designer company (refer to Appendix 4.5 & 4.6).

3.3 Interpretation of Design


As the contractors from Andromeda Industries have studied thoroughly the design package of
AWD Inc, the contractors are confident to construct the prototype according to the specification
of AWD Inc. Contractor company discussed the modification of the prototype with the designer
company in Whatsapp group (refer to Appendix 4.7) and improvements of the design are
mentioned in the content (refer to 2.2). Contractor company concerns about the availability of the
tools and safety issue which may cause obstacle in the construction stage. Thus, the contractors
have raised awareness of the safety issue by learning the proper gesture while using tools (refer

to Appendix 4.2& 4.3). The tools involved will be checked before the construction stage and
safety equipment (refer to Appendix 4.4) will be prepared while in operation.

3.4 Cost and Resources


As the budget of this project is restricted, contractor company is strongly agreed to apply
materials which are recycled. Recycled materials benefit in reducing the cost and reducing
wastage to environment. Although some material like wooden chopstick and sponge are recycled
items, contractor company will ensure the quality of the materials to perform its best function in
the testing stage. The prices of the materials which are suggested to be added or replaced in the
design are listed in the below table. Sponges price is according to the price from Supersave
supermarket (refer to Appendix 4.9) while the price of chopstick, balloon and cotton is according
to the list of material provided (refer to Appendix 4.10). The materials suggested cost RM 2.33
only. With the prices of originally used materials in the prototype, RM 17.38 (omit wooden
dowel) (refer to Appendix 4.11), the total cost would be spent in constructing the vehicle is RM
20.18, which is below the budget given. Hence, contractor company is able to control and ensure
the cost within the budget and the quality of materials.

3.5 Punctuality
As punctuality is one of the vital principle in every project, contractor company treats it as a
serious issue to keep the project into the right path. The contractors went to the location of
meeting 2 hours before the meeting and found out the place was not available and thus,
contractor company asked to change the location of meeting to Wan Gastro (refer to Appendix
4.12). Contractor company showed sincerity and arrived half an hour before the meeting to
ensure the meeting to be started on time (1pm) (refer to Appendix 4.6). Besides, the design
package from Andromeda Industries (contractor company) was uploaded to Turnitin before the
deadline (refer to Appendix 4.13). It shows the contractor company is keeping assignments and
tasks done and submitted in the timeframe.

2.0 Drawing Specifications
2.1 Introduction
This report contains the specifications of the designing process of a Mars Rover
which is required by client, EMPACT. The company will be able to construct a prototype
vehicle which will meet the clients standards.

2.4 List of Tools
The tools that needed to construct the Mars Rover are shown in Table 2.

2.5 Construction Sequence

2.5.1 Cutting of Body Parts


First, use a pencil, ruler and compass to measure and mark out the lines that
need to be cut on the wood according to the dimensions.
Next, use backsaw to cut the wood into different shapes and sizes. Use a
coping saw to cut curves in wood especially for Part B3, B4, B5 and wheels (refer
to drawings EFPC-7D-AWD-006, EFPC-7D-AWD-011, EFPC-7D-AWD-012
and EFPC-7D-AWD-013).
Use an electric hand drill or drill press to drill holes according to different
diameters on Part C1, C2, D, E1, G, H and wheels (refer to drawings EFPC-7D-
AWD-006, EFPC-7D-AWD-017, EFPC-7D-AWD-018, EFPC-7D-AWD-020,

EFPC-7D-AWD-023, EFPC-7D-AWD-025 and EFPC-7D-AWD-027). Make sure
the holes are all drilled perpendicularly down.
For Part E1 and G which have shapes in the middle of the wood (refer to
drawings EFPC-7D-AWD-023 and EFPC-7D-AWD-027), cut them with the
coping saw by first drilling a hole within the boundaries. Then undo the saw blade
from the copping saw and run the blade through the hole. After that redo the blade
onto the saw and cut saw the wood as usual within the boundaries.

2.5.2 Assembly of Body Parts of Car

2.5.2.1 Part B
Wood glue is needed in this part to glue the sub-parts of Part B (i.e.
Part B1, B2, B3, B4, B5 and B6) as a holder of bottle cap.

Firstly, clean off any debris on the gluing surface (i.e. saw dust and
etc.) using a sandpaper. After that start by gluing sub-part B5, B4 and B3
together in the order of (from bottom) B5, B4, B4, and B3. Make sure the
centre cut-off area is aligned properly. Next, glue both of the sub-parts B2
onto the top and at the shorter edges of B3 (refer to drawing EFPC-7D-
AWD-008). After that, glue both of the sub-parts B1 onto the top of B2.
Lastly, glue sub-part B6 onto B5. Apply glue on B5. Align all the pieces
properly as shown in drawing EFPC-7D-AWD-008. If possible, clamp the
glued pieces using a clamp with sacrificial wood on both ends and let it
cure. Recommended curing time is 24 hours.

2.5.2.2 Part C
Use wood glue to glue Part C2 to Part C1. Make sure C2 is aligned
properly to one end of C1 (refer to drawings EFPC-7D-AWD-015 for right
side and EFPC-7D-AWD-016 for left side of the car). Let it dry for at least
an hour.

2.5.2.3 Part E
Glue another piece of Part C2 on Part E1 with wood glue. Make sure
C2 is aligned properly to the end of E1 which has no hole (refer to
drawings EFPC-7D-AWD-021 for right side and EFPC-7D-AWD-022 for
left side of the car). Let it dry for at least an hour.

Use wood glue to stick two pieces of same dimension wood from Part
E2 which have aligned properly together and let it dry, referring to
drawing EFPC-7D-AWD-024. Place E2 into the hole on the other side of
E1 which C2 is not glued onto and then glue them with wood glue. Make
sure the one side of E2 is not coming out from another side of E1 as shown
in drawings EFPC-7D-AWD-021 and EFPC-7D-AWD-022.

2.5.3 Assembly of Body of Car
First and foremost, fasten Part C2 and D with a nail (Part C3) on the upper
part using a hammer and a screw on the lower part of D using a driller as shown in
drawings EFPC-7D-AWD-001 and EFPC-7D-AWD-020. Repeat the previous step for
Part C2 which has glued with E1 and H, referring to drawings EFPC-7D-AWD-001
and EFPC-7D-AWD-025.
Attach and use wood glue to glue the end of Part C1 that has a hole to the end
of Part B4 as shown in drawing EFPC-7D-AWD-001. Make sure Part C2 and D
which has glued on C1 are facing outward of the car.
Use wood glue to glue each end of Part G to the side of E2. Make sure they are
aligned properly (refer to drawing EFPC-7D-AWD-002).
Glue one end of Part F on the top of the glued part of E2 and G. Then, glue
another end of the same Part F onto the top of B4 next to B3. Then, glue one end of
another piece of Part F on the lower part of E2 and G. Also, glue another end of Part F
underneath B4 next to B5. Repeat the previous steps for another side of the car (refer
to drawings EFPC-7D-AWD-001 and EFPC-7D-AWD-002).
Next, place the wheels in between Part C1 and D and between Part E1 and H.
Use axles to fix the wheels on their sides as shown in drawing EFPC-7D-AWD-001.
Lastly, place Part A in between Part B1 and B3 as shown in drawing EFPC-
7D-AWD-001.

4.0 Tender Evaluation Criteria
The three tendering companies will be evaluated fairly according to the evaluation
criteria that we had provided. AWD Inc. is searching for competent tenders who meet the
vital necessity to build the prototype car and persistently upgrade the current prototype
design, in order to create the ideal product that can be achieved to meet our clients
expectations. The prototype will be built according on the design specification so that the
prototype can work at its highest degree.
Our companys designers will assess the tenders against each criterion listed based to
the expectations and requirement of AWD Inc. All the potential tenders will be evaluated
against each sections criterion. Each criterion carries about 20% marks, where all five
criteria will total up to 100%. All the tendering companies should aim to score above 75%, or
else they will not be given the contract to build the prototype car. The prototype car design
will be given to the company who score the highest overall marks.

4.1 Marking Criteria

4.1.1 Experience
Due to the nature of this job, the tendering company should have staff on hand with
capable knowledge in woodworking and/or building experience. Specifically, the knowledge
of using tools such as saw/jigsaw, drills/drill press etc. . Other than that, if possible, the
tendering company is able suggest a better process for building the prototype with no
significant design change.

4.1.2 Teamwork and Communication
In a cross-company relationship, teamwork plays an important role to achieve superb
performance. Thus, the tendering company must be able to collaborate well and work
progressively with our designers so that the end product would meet the required calibre and
stature. Moreover, tenders should also be able to interact with our designer with fluent
English language. They also should be able to provide quick and prompt responses when e-
mails and text messages are sent to the tendering company.

4.1.3 Interpretation of Design


Tendering company must be able to interpret the vehicle design and construct the
design in accordance to the specification of AWD Inc. The main points of specific details
such as the drawing and specifications will probably be discussed in depth during the
meeting. Besides, tenders should be able to give recommendations about the designs and
predict obstacle that might occur during the construction process. Moreover, tenders may also
brainstorm some ideas that could help in improving the designs.

4.1.4 Cost and Resources
For this criterion, the tendering company will be evaluated in accordance to how well
they supervise their budget and not overspend in constructing this prototype car. Our
designers would prefer that the tendering company that spend the lowest amount of money
spent in constructing this prototype car as our designers will be supplying most of the
material required for the prototype car, so the total cost should not exceed RM30 limit.
Furthermore, tenders should be able to access the suitable resource for the prototype car. If a
recycled material is used, it will be a bonus as it will reduce the total cost required for the
prototype car.

4.1.5 Punctuality
One of the vital principles to thrive in constructing prototype car is punctuality. We
need contractors who always attend all the meetings on time or a five minutes earlier before
the meetings occurs with our company. By doing so, it will show that the company is
professional in handling tasks. If the members of the tendering company are unable to make
it, or might be late for the meeting, they should inform AWD Inc. at most an hour before the
meeting start.
