Introduction
AAZ Constructions Limited is small scale Construction Company that
works on various project based jobs as well as has contractors. The
following report is a plan on their CSR activity for the year.

P1: Devise project aims and objectives for the


chosen topic as specified above.

Aim is what we desire on intended to achieve while objectives are a


concrete and specific object we wish to target. (Thomon, 2014). The aim
of this CSR activity is for enabling blue collar employees of the company
to be able to speak English as a second language. The objective is to enrol
at least 20 blue collar employees into in-house Language Learning
Classes.

P2: Produce a project management plan that covers

Integration Management
Project Charter

AAZ has realized a language barrier between the white collar and blue
collar employees. Given English is the second language in Pakistan, the
blue collar employees struggle with reading and understanding
instructions given in English when needed. Given the language barrier
and lack of computer skills, there are no or limited career progress for
these individuals, AAZ Construction is trying to create better career
opportunities through enhancing their skills set.

The project is called The Learning Project and will be conducted in


house, meaning inside the office itself and will be concluded over a
period of 6 months.

The project aims at collaborating with a local social enterprise Reading


Room Project that aims at teaching English literacy using technology.
The enterprise will be given a two room office out of which one will be
used as a classroom and the second as a computer lab. The company
will also be provided with 10 laptops meaning the lab has a capacity of
allowing 10 students maximum at a time.

The main stakeholders are:

1. BOD of AAZ Construction.


2. Blue Collar employees of AAZ Construction.
3. Members of the Reading Room Project.
4. Families and dependants of the blue collar employees.

Scope Management
This is the collection of process that allows managers to ensure all
required activities are broken down into tasks in order to achieve an aim.
(Piscopo).

Scope

Blue collar employees will each be giving 120 minutes off to attend the
in-house language classes 5 days a week. The system is designed such
that a student attends a mandatory class of 60 minutes at a specific
time where their reading and writing skills are targeted. Students then
move to the lab to practice their speaking skills for the next 60
minutes using the Rosetta Stone software and the specialized digital
flashcards called FAFAZ created by the organization itself. Students are
welcomed to spend more than 60 minutes in the lab as it is the self-
practicing part of the course. Officially, the employees will be given 2
hours off from work for these classes; any additional hours must be
approved by the supervisor.

It is the responsibility of each employee to attend their classes at a


given time. Enrolling in the course is an option, however, once

enrolled, they will have to follow strict attendance rules and follow up
on their after class activities.

Boundaries

Reading room Project shall not take up any additional space for the
project as the maximum capacity for their operations is the two rooms
provided. They will be requested to place staff only as per the
minimum requirements to ensure smooth operations of the project.
The institute cannot ask any employee to give additional time than the
120 minutes allotted per day. If the employees desire to invest
additional time, they shall only be allowed to do so by their
supervisors.

Scope Verifi cation

The project manager will be responsible to ensure that the aims of the
project and the resources allocated to them are being justified to what is
being implemented. The evaluation team will be responsible for designing
tools to calculate the impact of the CSR activity.

Time Management:
Time management of the most essential part of any project as time means
money. The larger the duration of the project, the more it will require
monetary and resource investments.

Check List

A checklist is a breakdown of tasks and responsibilities that need to be


carried out for the program to be implemented successfully. The checklist
should be sequences according to priority and pre requisite tasks.
Weekly Review

This is an important tool for the manager to ensure that the focus of the
program stays intact. Often times, while implementing tasks and
responsibilities, employees come across hiccups and challenges they may
not be sure how to deal with; often, they may also implement solutions
that may not add value to the overall objectives. Apart from this, weekly
meetings are a get together of the team members to discuss their
progress of the week. This allows critical issues and challenges to surface
that may result in a reprioritizing of tasks and reassigning of
responsibilities.

Time Blocking

This is a technique that is used for allocating and locking a certain time for
each task in the coming week. Its more associated with planning and
preparing for the coming week. It ensures that the task gets completed in
the assumed time. This also allows managers to note performance of

employees and hold them accountable in case of failure to meet
deadlines.

Human Resource Management


This involves looking after talent management. Team members will need
certain kind of training on how to implement and monitor the project.
Strategy will be created on a communication plan, information sharing
and performance check ins. The program manager will need to create a
grievance channel and system through which team members can
highlight and share concerns and challenges in order to seek assistance
and solutions. (Huemann, 2004)

Cost Management
The estimates costs will create and derive a budget for the program. We
are allocating 6 months for the project implementation. Following is a
budget for the project.

Cost for rent, electricity and utilities are not included as they will be using
office space, therefore, these are already covered.

Quality Management
This involves ensuring that the aims and objectives of the project are
being accomplished. The tasks and responsibilities divided have been
done in the most efficient manner possible. Each week, the goals and
targets for that particular week are being achieved. (Phillips, 2008)

For this project, we are using Gantt and control charts. Control chart
shows any trends in the in the processes and helps us identify failure and
challenges points as well as those we have been able to complete
successfully. A Gantt chart allows us to divide each task according to each
day. This gives a visual representative of what tasks need to be

accomplished and completed in the coming. This ensures none of the
tasks are skipped or over looked.

Communications Management
Communication involves multiple aspects; communication with
collaborating partners, communicating with project managers,
communicating with team members, communicating with enrolled
students and communicating with stakeholders.

A communication Matrix will be used for maintaining clear responsibilities


and requirements.

Evaluation Management
The project will be evaluated through the progress of each student taken
from the pre and post test evaluation. The teachers of the students will be
asked to fill out a survey on how the students personality and behaviour
has changed over the course of the classes.

Students often seem more empowered and more confident after having
learnt a new language. 5 different sets of test will be used that focus on
reading, writing, listening and comprehension skills for English language
of each students. These tests will be taken before the classes began and
one again after the completion of the classes. The difference and progress
will then be viewed graphically through the data entered on an excel
sheet.

Qualitative
Qualitative research is used to describe and understand group norms and
relationships between individual variables. Its more of understanding
complex relations and human experiences. (International). There are
various methods of carrying out qualitative research that includes
studying focus groups, observing certain tasks and carrying out in-depth
interviews. For this particular CSR project, we used a combination of
observation and in-depth interviews.

Interviews

In-depth interviews consisted of interviewing blue collar employees with


the objective of identifying whether there is a need and want for such an
in-house program. We interviewed about 15 individuals randomly who
work as blue collar employees. These individuals are often from third
world countries mainly from Asia that is Pakistan, India and Bangladesh.
They often struggle with speaking, reading and writing English and face
challenges on understanding instructions.

Observations

The second form of qualitative research that was opted for was
Observation. We carried observation out in classrooms as well as with
employees. We visiting various English teaching institutes are observed
their classes in order to choose which fit our criteria the most. This helped
us in evaluating and making a decision to choose Reading Room Project.

We also observed these employees that we interviewed to better


understand their challenges. They often have the most monotonous work
with no hopes of potential career growth given their limited speaking and
computer skills.

Quantitative
When data needs to be presented in numbers that can be transformed to
numerical statistics, we opt for quantitative research. (Wyse, 2011). The

most popular manner of collecting quantitative data is through
questionnaires.

We carried out a survey with almost 30 blue collar employees seeking to


understand the challenges they face through limited understanding of
language. The aim of this research was to understand if these individuals
hold a desire to learn the English language. This research also allowed us
to understand and gain insight on the level of computer literacy at an
average level.

The interviews were highly unstructured are were conducted with the
intension and aim of understanding the challenges that blue collar
employees feel lacking the language skills. The analysis from interviews
have also showed how these blue collar employees are often mocked,
insulted and disrespected in the language that they are not too familiar
with. Most of them also mentioned of having been previously fired
because they were unable to understand the clear instructions that were
given. Some of them had been in the same job in the same routine since
the past 15-20 years.

The quantitative data was analysed through having each of the


questionnaire answer added onto an excel sheet to gain the percentage of
each of the answers. The data showed that majority of the blue collar
employees for foreign countries struggle with both language speaking and
comprehension. Some of their jobs required them to read a little which
was highly frustrating for them. Most of them were computer illiterate as
their schools back home in Pakistan and India did not all have computer
labs and were taught computers from a book. Therefore, the research
helped us identify this need within our own organztaion.

P6. Communicate appropriate recommendations as a


result of research and data analysis to draw valid
and meaningful conclusions.

In the history for the originations, the focus has been on conducting CSR
activities with eternal stakeholders such as members and children of the
community. The organization has worked with JA Worldwide, SOS Village,
UNICHEF etc; that have provided them with various employees who
volunteer as mentors and career counsels to some of the children while
other volunteer with community service. We often overlook important yet
lower levels employees within our company that include office boys, tea
boys, drivers and lift operators etc.

This time as part of the CSR initiative, the company wanted to do
something to help the individuals within our own four walls. Therefore we
looked into options of possible activities and initiatives that can be taken
for these individuals. We aimed at studying their life and thought process
and what challenges they face every day. Through general interviews and
some secondary research we were able to conclude that these blue collar
employees feel limited growth opportunities given the monotonous nature
of their work and limited skills sets that they possess. A tea boy of barely
25 of age will be serving tea for the next 20 years or so and this is one of
the most frightening things for him. Therefore, the organization looked
into understanding what possible methods can we help develop these
individuals further.

Research concluded that these blue collar employees often travel from
third world countries seeking to take advantage of the monetary
differences and exchange rates when they send money back home. The
profile of such individuals is such that they have 10-12 people dependent
on their income back home. So they need to think carefully before
deciding into investing in owns self. They have parents, spouses, children
and younger siblings to look after, a culture common in the Asian
countries where the older sibling has the responsibility of supporting the
younger ones.

As they come from foreign countries, they have weak to almost no English
speaking skills. They pick up language on the way as they work however;
they often still find themselves struggling. This also results In limiting their
opportunities in terms of work and career growth. Most of them being
unable to operate computers itself create a major barrier.

The team brainstormed into looking for possible options of paying the
individuals and enrolling tem into classes however, this also resulted in a
challenge that some employees had double jobs meaning they were
unable to give additional time to these classes. As a result, we concluded
to establish system where they would not have to leave the premises of
the office and adjust the classes such that apart from lunch break, the
employees need to take an additional hour off only. We looked into
possible institutes that provide language classes however; we came
across only one that uses blended learning such that they also provide pre
session classes on learning to operate computers. Their programs were
specially designed for individuals coming from lower income earning
bracket.

Our research showed that 80% if the participants did not know how to
operate computers as they never have owned or used one before. Almost
all the individuals we surveyed claimed that they often do feel stuck
thinking about the monotonous work and doing it for many years to come.
Some of the participants also mentioned in their interviews that feeling of
humiliation and shame that draws upon them when they are unable to
understand or read instructions. Another participant mentioned that he
often has been mocked by other in his presence in English as they knew

he would not understand. It is safe to say that the inability to speak the
language does not only result in limited career opportunities but also
affects the metal wellbeing and self-respect of individuals.

P7 Reflect on the value of undertaking the research


to meet stated objectives and own learning and
performance.

After conducting research, it felt like being connected to a completely


different set of individuals. The research was important as the
organization was aiming at doing something different for CSR. The
objective was also to create a long term impact from the activity and
therefore, this project suited us perfectly.

My own personal learning has increased throughout the research. Thinking


about my own career plans and the major goals I wish to achieve in life, I
was completely spell bound to realize that there are certain individuals,
not much older than I, who feel stuck constantly and fear their own future
as they have an unskilled, lower paid jobs that can be easily replaced by
someone else or even worse by robots in the future, making them
completely redundant. The fact that so much of responsibility bears upon
their shoulder of taking care of family and dependants back home, those
they cannot afford to meet in years given the expensive air fare. Their
limited skills sets, limited income and responsibilities limit them from
seeking personal development opportunities by taking up courses as most
of them even work two jobs to makes ends meet barely.

As for my personal performance, I really enjoyed working on this project


as it gave me the opportunity and exposure I did not think I needed. It
also helped be identify, study and implement the procedures involved in
project management.

Self-Reflection

1. What was the Project supposed to accomplish?

2. Did the project succeed in its aims/ how do you know? Specifically, please outline any evalu

The duration of the project was for 6 months. Before the start of the classes, the enrolled students w
tests. These tests involved a series of writing, reading and listening exercises through which we wer
English literacy grade level of the students. Some fell in grade 1, some fell at Pre-K etc.

At the end of the 6 months period, we conducted the same activities as post-tests. Students were ask
writing and listening activities once again after the completion of their classes. The results were the
and the data was graphically represented. It showed great improvement. Some of the participants s
comprehension of a Pre-K level while now they were reading and comprehending at a 5 th grade lev

The planning and implantation worked very well. This si because the use of various tools allowed c
and clear. Each individual team member was well aware of what they were required and expected t

the team failed to show up or needs someone else to fill in for them for the day, any other team mem
taking up their tasks for the day as everything was on paper and digitised. We even had an enlarged
tasks and put up on the walls so that its more user friendly.
4. What problems emerged during the project and how were they tackled? Was there timely ide
resolution during the project process?

Problems occurred during the planning and implementation stage where employers and superviso
letting go of the employees for an additional hour apart from the usual lunch hour. It took a lot of a
around of schedules. Our aim was to ensure that no other organization operations are disturbed. W
shifts of each of the participants such that they were always available when needed.

Apart from this, implementation process saw certain drop outs and few low attendance issue. This

5. What did you learn from undertaking the project?

I have learnt that we as employers often ignore and overlook the blue collar employees and their ne
have the most threat of unemployment.

I also learnt that the planning phase is the most essential part of the project management phase that
be taken out smoothly.

6. How would you rate your performance as a management consultant leading the project?

I would rate myself as excellent for this project.


7. What strengths and weakness of your performance did you identify?

My major strength was my listening skills. During the course of the project, most of the team memb
that were addressed towards me. I considered each of the challenge as important as any other and w
and provide solutions.

My weakness here has been my attitude of procrastination that has resulted in me being under pres
able to meet my own deadlines however, they did come with a lot of last moment work ups.

8. How will this inform and support your continuous professional development?

This itself is major achievement unlock for me to be able to manage and execute a successful project
allowed better employment opportunities and improved my peoples skills as a personal developme
