Executive Summary:

A process improvement team has a presentation to upper management, describes the areas to

focus for improvements, during meeting group members share conflicting opinions about the topic.

Here we discuss the root cause of problem and share the solution to it and also discuss how team

members and team leaders roles and responsibility, measures to take the situation in control.

In this Case the company has set a team for Process improvement to get better output to customers.

The team has to give presentation to upper management level regarding the areas to improve, so The

team leader and team members having meeting to express their opinions regarding process

improvement, during the meeting various group members share conflicting opinions. Team members

are complaining to Team leaders that nothing is getting done and they are losing momentum.

I consider There are two major groups of components in team processes task-type and maintenance

type. Task-type processes keep a team focused and moving toward its goal, while maintenance

processes help build and preserve the effectiveness of relationships between team members.

Here in this case the It clearly shows that there doesnt seem to be have goal or clear cut road map of

improvement process, they did not set up Proper guidelines in meeting ground rules, the key role is

facilitation.

There is a need for trained facilitator when the team has been meeting for some time and is incapable of

resolving conflicting issues.

The facilitator is responsible for ensuring that the process used by the team and team dynamics are the

best for the stage and situation the team is in, A facilitator is person who observes the teams process

and team members interactions and suggests process change to facilitate positive movement toward
the teams goal and objectives, and Intervenes if discussion develops into multiple conversations, Assist

the team leader in bringing discussions to a close, may provide training in team building, conflict

management.

If a process improvement team is chartered without a clear mission or objective, the team will either do

nothing or will go in the direction it believes best

In order to carry out this process a special group called steering committee can be called up, they often

setup for guiding and tracking of team efforts. The group usually includes key leaders in the company as

well as team leaders.

The steering committee have the responsibility for approving the teams recommendations, and

certainly has the authority to enable implementation, another role of steering committee is to ensure

that managers and team members are trained in all aspects of the team concept.

Team leader is responsible for coordinating meetings, which include creating agendas, guiding team

through agenda, reporting progress to the steering committee.

Conclusion:

Solutions to conflicts should be in the best interest of the team. Team members should be

nonjudgmental, listening to team discussions and new ideas. Group feelings should be verbalized by

periodically surfacing any undercurrents or by giving feedback. One important skill needed in working

with teams is the ability to provide constructive feedback during and/or at the end of a meeting.

Feedback is an important vehicle to help the team mature. This feedback can be provided by the

facilitator or by team members.


There are two types of appropriate feedback: motivational and coaching. Motivational feedback must be

constructive, that is, specific, sincere, clear, timely, and descriptive of what actually occurred in the

meeting. Coaching, or corrective feedback, specifically states the improvements that need to be made.
