1.0 Introduction to online student registration system
Online registration system allows students, through internet, to register, drop and add courses
within the registration period. The online student registration system will eliminate all the manual
intervention & increase the speed of whole process. System will allow student to fill the form online,
system has inbuilt validation system to validate the entered data. After successful submission,
system will give unique registration number for each student. Student can login into the system by
using user- name and password. Online student registration system (software) is an easy way to use,
responsive and flexible alternative to manual, paper-based student registration. It will also allow
online submission of student application, retrieving, recording and update students data. Online
student registration system also increases the number of students (users) and makes managing large
amounts of information a snap (without loose of the information).

1.1 Background

Hawassa University (formerly called Debub University, also known as South University), is
located in the southern nations, nationalities, and peoples region of Ethiopia. Hawassa
University was established as body of Debub University on December 22, 1999 as a result of the
councils of ministers Regulation No. 62/1999. It is one of the fastest developed universities in
academic sector.the registration system in hawassa university is a manually form. Student can be
registered manually by giving their Id number. There are many problems around registration area
in Hawassa University such as student profile and grade reports are not processed correctly.

1.2 Statement of Problem

In our university there is manual form of student registration, data retrieving, data update and
data recording .As the university and the number of student increase from year to year, the need of
students change, requiring the university to change their practices to best meet the students needs.
The practice of manually registering students has become problematic, mainly because this process
is extremely Time-consuming, extravagance some resource such as paper, human power and a
number of pen and pencils. Therefore, I will have to develop the software system that solves such a
problem of manually registering student into computerized online registering system. Moving to the
online registration is an ideal alternative to the procedure currently in place, and it will eliminate
some of the problems associated with the existing system. In addition, students in campus, out of
campus, in-state, out of state, and out of the country can easily and inexpensively take advantage of
many of the services provided by the Office of the Registrar, which today require users to be on
campus during business times.

1.3 Scope and limitation of the project
1.3.1 Scope of the project

This new systems will work around student registration area. The Online Student
Registration System will permit to register, record, update the student data, add courses
and take online service like sending of some resource (attachments) to the student
through their email and maintaining master information and generating various reports
of the students such as grade (CGPA). The main users of the projects are Student or
Members and system Administrator. The scope of this new system development will
include all the information that needed to handle any problem that may be face the
system during processing data of the students record by manually.

1.3.2 Limitation of the project

This new system that will developed mostly may concerned on information that
required for the purpose of the student registration such as student grade report
,course information, assigning class to the student , and so on but it may limited to
include information about student such as caffe service, health service , and others.
in generally it will concentrated only on the students information that will be stored
in the database or the server that contain general information of the informatics
department students.

The resources required for this new project to success is may be categorized into two ways,
hardware specification and software specification.

Hard ware specifications

Hardware specification is equipments that are needed for this project to be success. This
equipment may include the following:-

Soft ware specifications

Soft ware specifications are the programming languages that are used for data base
designing, testing, coding, and implementing the project. The language I will use to test and
to implement this new project may involve the following:-

C++
MySQL query
VB.net-visual basic programming
HTML-[Hyper Text Markup Language]
PHP designer
Java script

Window I will used in this project are the following:-

Microsoft word access 2007

Microsoft office power point 2007
Microsoft SQL server

2.1 functional requirements

It is the function of software system or its component. It is a requirement that is associated

with the specific functions, tasks described as a set of inputs, the behavior, and outputs. The
function of my project is to register the students by using their user name and password in
order to get their personal information.

The functional requirement for this new system development will include:

The system should register the students information in a good manner that used to handle
the whole information of the students.

The system should be able to update, to retrieve , to record , and to delete unnecessary
or redundancy information that may be recorded by mistake in the system.

In generally the system should be meeting its goal at the end of its successes.

2.2 nonfunctional requirements

The system shall contain all information about students Registration.

The system shall include complete information of the students such as course information,
grade report information, instructor information, department information, and so on.

3. Objective
To computerized the manual processing of the students information and to increase the
performance and reduce the time needed during manual accessing of the general
information about students and their department, faculity,and so on. The main goal of
this new system development is to created computerized system which has such a
ability to handle any error that will occur during manual processing and to reduce
resource that needed for manual processing and long time that will be consumed in manual
processing of the database.

3.1 General objectives

The Objectives of the project should be to minimize the error happened during the manually
recording, retrieving and update the students data. The Online Student Registration System will
permit to register and take online service and maintaining master information and generating
various reports to the students. The main users of this project are Student of Hawassa University
or Members and system Administrator. It is also used for record, update and analyzes students
data with a limited error.

The system expected to achieve the whole goal of the project in the measurable way
and accessible way that used and easy to accesses and control the whole information of
the students. In this general objective of the project the system needed to be carried out
practical ever activity that contained in the goal of the project . the system can register,
update, retrieve , and do others related activity in the measurable manner.

3.2 specific objectives

the particular activity that the system will do at the end of its successes full
complementation .
The system will do the following-
Register the students information online
Retrieve the student information
Update the student information
delete un necessary information
Will alter the students information according to their necessarily. This activity will do
by the system administrator.
4. Significance of the project
The significance of this new system is:-
To register student within a short period of time.
To retrieve the student data fastly.
To delete unnecessary files automatically.
To update the student files automatically.

5. Methodology
5.1 data collection
Method of data collection:-
Data will be collected by interviewing the organization information from the owner of the
organization. In this case I will contact directly with the main registration office head and carried
out the interview with them. During this interview time I will started from the pre existing
information of the system and including the current level of the system information and other
needed data or manual if there exist analysis the whole information that I get through this direct
contact with the central registration office. I will also refer different documents about
students registration system that is recorded manually.
5.2 System design and development
System design
The purpose of system design is to create a technical solution that satisfies the functional
requirements for the system.
The activity performed in system designing of this project includes the following:
Interviewing the head of student registration office
Data collection from different source like internet.
Data analysis
Development
It is the life cycle of any project process to complete the projects by analyzing, by designing,
by coding and by testing.
In the development phase of this project I will consider the following life cycle:-
Project planning
Requirement analysis
System design
System implementation
Integration & testing
Installation and etc...

In system designing phase of this project I will use the following methodology tools:-

6. Project cost
Cost of the project is the amount of money that has to be paid or given up in order to
facilitate /complete the whole project process. The cost may be paid in two ways

7. System Analysis
The online student registration system is used by the faculty or department and by the
system administrators. The system is used to solve some error happened during manual
registration of students, retrieve, update and record the data. The system will used in
Hawassa University for registering student, retrieve, update and recording students data.
It also used for different purpose such as login by using user name and password.

8. Data base design

In data base design I will use different language to implement this project.
The language I will used in this projects are the following
HTML,
PHPdesigner,
JavaScript,

9. Project schedule
The online student registration system project could be a part of the program to achieve
the overall goal of the student registration. The time taken to complete this project is
almost around seven month from dec.12/2011 up to jun.20/2012.
During these months there are many activity that completed in the project up to
implementation phase like data collection, data analysis system analysis, system design ,
database design and implementation.

Fig.1 below shows Gantt chart for representing the project schedule
A Gantt chart is a type of bar chart that illustrates the project schedule. Gantt chart
illustrates the start and finish dates of the terminal activity. As the project progresses,
bars are shaded to show which tasks have been completed.
NOTE
1. On the Gantt chart shown below the unshaded part is the activity or tasks that are not done
yet/ tasks that will be done in the future.
2. The shaded parts show the activities that are already completed.
